1 NALAC Diverse Arts Spaces Grant Guidelines Fiscal Year 2013 A grant program for organizations that are part of Ford Foundation Diverse Arts Spaces and grantees of LINC Space for Change Planning and Pre-Development program. INTRODUCTION NALAC Diverse Arts Spaces Grant The National Association of Latino Arts and Cultures (NALAC) Diverse Arts Spaces Grant Program is a funding initiative for the presentation or commissioning of work by Latino artists or ensembles working in visual arts, dance, music, performance art or theater. In order to facilitate these partnerships, NALAC will work with organizations that are part of the Ford Foundation Diverse Arts Spaces and grantees of LINC Space for Change Planning and Pre-Development program to identify and reach out to Latino artists and ensembles. NALAC Mission The National Association of Latino Arts and Cultures (NALAC) is the nation s leading nonprofit organization exclusively dedicated to the promotion, advancement, development, and cultivation of the Latino arts field. In this capacity, NALAC stimulates and facilitates intergenerational dialogues among disciplines, languages, and traditional and contemporary expressions. OVERVIEW NALAC Diverse Arts Spaces Grant Goals The goals of the NALAC Diverse Arts Spaces Grant are to: Deepen the relationships between Latino artists and organizations that are part of the Ford Foundation Diverse Arts Spaces and grantees of LINC Space for Change Planning and Pre-Development program Create cultural equity through an investment in artistic production visual, performance-based, traditional, and contemporary Develop opportunities for the presentation of diverse work Who Can Apply Organizations that are part of the Ford Foundation Diverse Arts Spaces and grantees of LINC Space for Change Planning and Pre-Development program are eligible to apply. Eligible Projects and Requirements Applicants may request support to present existing work or commission new work by Latino artists or ensembles. Proposed Latino artists and ensembles should be new to the applicant organization s roster or may not have been presented/exhibited/commissioned within the past five years by the applicant organization. If commissioning new work, applicant organization must present the new work within a two year period. All projects must include at least one public event or performance as well as educational and audience outreach. NALAC Diverse Arts Spaces Grant Guidelines I Fiscal Year
2 OVERVIEW (cont d.) Grant Range and Requirements NALAC will award five to eight grants ranging between $5,000 and $10,000. All grants require a one-to-one match (up to 60% of the match may be in-kind). For presenting projects, at least 35% of the funding must be used for artist or ensemble fees. If commissioning a new work, at least 75% of the funding must be directed toward the commissioned artist's creative fee; matching funds can be used for the production or presentation of the work. Project Dates Projects must begin after November 1, 2012 and end by October 31, If a new work is commissioned, the presentation of that work may occur after October 31, 2013; however, expenses incurred after October 31, 2013 will not be supported by this grant. Deadline to Apply Complete applications must be submitted online no later than September 14, 2012, 11:59 p.m. Central Time Application Review Process Technical Review: NALAC staff will do a preliminary review of each application for eligibility and compliance. Panel Review: Applications will be evaluated and selected based on published criteria by a peer review panel comprised of arts professionals representing geographic, disciplinary and ethnic diversity. The NALAC Executive Director will submit recommendations to the NALAC Board of Directors for formal approval and authorization. Evaluation Criteria The following criteria are the basis for the panel review of the NALAC Diverse Arts Spaces Grants: Artistic Merit (40%) Relationship of the project to the artistic goals of the organization Uniqueness of project and/or potential for impact on community Artistic significance of the proposed project to the development of the artist and organization Strength of submitted work samples in demonstrating artistic merit Funding Impact (30%) Potential for creating long-term tangible benefit for the organization and relationship with Latino artists and audiences Ability to use the NALAC Diverse Arts Spaces Award to leverage additional funding Potential to broaden and/or deepen knowledge, understanding and appreciation of Latino arts and culture in the community where the organization resides Capability (30%) Effectiveness of project s goals and outcomes Ability to carry out the project Reasonable budget for scope of project Artist or ensemble letter of commitment to participate in the project Viability of the project s prospects for completion Strength of marketing and outreach plan Grant Notification and Availability of Funds Grant notifications will be made in December Funds will be disbursed in December NALAC Diverse Arts Spaces Grant Guidelines I Fiscal Year
3 HOW TO APPLY At-A-Glance Deadline: Friday, September 14, 2012, 11:59 p.m. Central Time A complete online submission will include: 1. Online Profile; 2. Application Form (Narrative, Budget, Work Sample List); 3. Artistic Work Samples; and, 4. Support Documents. All application materials must be submitted electronically via the Submittable online system by the posted deadline. You may link to the online application system via Prepare application Step 1 Carefully review the 2013 NALAC Diverse Arts Spaces Grant Guidelines. Follow instructions and application requirements to ensure that your application materials are complete. An incomplete application will result in disqualification. Step 2 Request the 2013 NALAC Diverse Arts Spaces Grant Application Form. To request the Application Form agallego@nalac.org. Step 3 Complete and save the Application Form on your computer. Save as a PDF: Organization_Name_DAS.pdf Submit application Step 4 Go to NALAC submission manager: Step 5 Create a Submittable account. If you already have an account with Submittable, login with your username and password. Step 6 Enter User Account information and continue. Proceed to enter Profile Information. Step 7 Click "Add File" to attach completed Application Form (Narrative, Budget and List). Step 8 Click "Add File" to attach each Artistic Work Sample. Step 9 Click "Add File" to attach every Support Document. Step 10 Click "Submit to National Association of Latino Arts and Cultures" to submit your application. A confirmation will be sent to the address provided in the Submittable account. APPLICATION REQUIREMENTS Follow instructions and application requirements to ensure that your application materials are complete. An incomplete application will result in disqualification. Applicant Organization Mission Statement: Enter mission statement for applicant organization. Project Title: Enter project title. Project Summary: Summarize project in 100 words or less. Project Type: Identify whether proposal is a presenting project or a commissioning project. Select one. Amount Requested: Enter total dollar amount requested. Must match budget. Project Start Date. Enter project start date that begins after November 1, Project Completion Date. Enter project completion date that ends by October 31, Part 2 of 4: Application Form (Narrative, Budget, Artistic Work Sample Description) To request the Application Form, please agallego@nalac.org. Save the Form onto your computer. Please note: The Application Form is in excel format; in order for the Form to function and calculate correctly, you must enable macros when you open and complete the document. The Application Form will guide you through the following narrative questions, budget information and artistic work sample descriptions: Narrative Your proposal will be evaluated in part on the basis of how you answer the questions below. Be as clear and concise in your responses as possible. Brief narratives are preferred. TIP: Prepare you narrative in a word processing document first, then paste into Application Form. Organization mission. State the mission of your organization. (1000 character limit) Organization history and programming overview. What is your organization s history and range of program activities? (1000 character limit) Artistic Partner history and overview. What is the artistic partner's history and range of artistic production? (1000 character limit) Project description. What is the purpose and overall goal of your proposed project, and how do these relate to your mission? (1000 character limit) Details of the project. How do you intend to carry out the project? Address the following: a. Major project activities (2000 character limit) b. Intended outcomes (1000 character limit) c. Project timeline (1000 character limit) d. Key project personnel (1000 character limit) e. Target population (1000 character limit) f. Plans for promoting and publicizing project (1000 character limit) Impact or significance of the project. Why is this project important or significant to your organization and to the artist? (1000 character limit) Evaluation plan. A final evaluation report is due no later than 60 days after the grant period ends. How do you plan to measure the progress and impact of your project? What will you have accomplished by the end of the grant period? (1000 character limit) Budget narrative. Describe each line item in your project expense budget and explain how you plan to use the funds requested from the NALAC Diverse Arts Spaces grant. (1000 character limit) Other funding. If you receive less than requested from NALAC how will you complete the project? (1000 character limit) NALAC Diverse Arts Spaces Grant Guidelines I Fiscal Year
5 APPLICATION REQUIREMENTS (cont d.) Budget Itemize project-related income and expenses. Indicate requested grant amount. Income. May include cash and in-kind contributions. Requested grant amount must be matched oneto-one by project income. a. Cash income includes cash donations, grants and revenues that are expected or have been received for this project. Classify each income source as Confirmed or Pending at the time of application. b. In-kind support includes donated space, supplies and volunteer services. These same items must also be listed as expenses. Up to 60% of the required one-to-one match may be in-kind. Expenses. Include all project-related costs such as salaries and wages, travel, artist and consultant fees, promotion, evaluation, supplies, materials, printing. Be sure to include all in-kind contributions in the expense section as well. Artistic Work Sample Description List A description list is required of all work samples. Number and include all of the following pertinent information for each artistic work sample: title of the artistic work sample; name(s) of represented artist(s); date completed or premiered; and as necessary, dimensions and medium of the work; and other pertinent technical information. Part 3 of 4: Digital Artistic Work Samples Artistic Work Samples must adhere to the following guidelines for consideration: Submit up to ten (10) total combined work samples representing artistic quality of applicant organization and collaborating artistic entities. Number and Title each file according to Description List. Applicants are responsible for reviewing and testing artistic portfolio uploaded to the online application. To avoid technical issues, we recommend uploading portfolio well in advance of the deadline. Do not submit enhanced promotional materials. These materials do not allow panelists to see/hear the artistic quality of the artist. Choose the most appropriate formats to represent proposed disciplines as described below. Artistic Work Sample Digital Formats Audio Material (music, vocals, spoken word or sound-based art) May be submitted in the following formats: MP3 - MP3 Audio, MP4 - MP4 Audio, M4a - M4a Audio. WAV - Waveform Audio. Applicants submitting audio material as their primary work sample are limited to one three-minute segment. The three-minute segment can be composed of one or several short works or excerpts of works. Video Material (performance art, film/video, music, dance, theatre, spoken word or movement based art) May be submitted in the following format: MOV - QuickTime Video. Applicants submitting video material as their primary work sample are limited to one three-minute segment. The three minute segment can be composed of one or several short works or excerpts of works. Digital Images (visual art, image-based art without motion) May be submitted in the following formats: JPG - JPEG Image, GIF - Graphics Interchange Format, TIFF - Tagged Image File Format, or PNG - Portable Network Graphics. Applicants submitting images as their primary work sample are limited to a total of five (5) images. Images must be at least 72 dpi for viewing online and no larger than resolution on any one side. Writing Samples (literary art, poetry, prose, script or screenplay) May be submitted in the following formats: PDF - Adobe's PDF, DOC - Word 2003 or earlier, DOCX - Word 2007, TXT - Text File, RTF - Rich Text Format, WPF - WordPerfect Document, or ODT - Open Office Files.pdf or.doc format. Applicants submitting writing samples as their primary work sample are limited to a total of five (5) pages of material. Pages must be numbered, with 1 margins, 12 point font size. Prose must be double-spaced, and poetry must be singlespaced. Include first and last name on each page. Combination of Materials If it is necessary to use more than one artistic work sample format, calibrate accordingly for no more than a 5 minute reviewing time of the combined samples. Signed letter of commitment from the participating artist or ensemble; Up to one (1) page artist resume OR bio per participating artist or ensemble; and, Up to one (1) page artist statement per participating artist or ensemble.
