1 LBP PAC Meeting October 2 nd, 2017 MINUTES Item Minutes Lead Welcome and Meeting called to order: 7:04 pm Marni Beaudin Introduction Approval of Agenda Approve: Jessica Johnson Marni Beaudin 2 nd : Marissa Langstroth Approval of Minutes Minutes from May 15 th Approve: Serica Galloway 2 nd : Che Robbertze All who attended May 15 th, 2017 meeting Reports from Executive DPAC DPAC hasn t met yet; nothing to report Treasurer Both accounts up to date General account: o Hip hop already taken care of for this year o Total $6,600 o A bit lower than usual; must make sure we are not overcommitting; need some simple fundraisers to keep our amounts on track o In previous years this account has been significantly lower so we are not in an unusual condition Gaming account: o Government account; provide funds to schools based on registration of students per school year o Amount has not been sent yet; will show up automatically in account so will keep checking o Sitting at $43.00 right now; this is a good thing with funds from government we will be in good shape o This account can only be used for things related directly to the kids; cannot be related to the curriculum i.e. field trips, busses, etc. o Supposed to use all funds each year can only defer maximum $400 to next year; important to use all funds to make sure we get funding to full amount following year o All reporting in good shape Che Robbertze in lieu of Rochelle Robbertze Mary Catherine Moseley Page 1 LBP PAC MINUTES

Che Robbertze President s report Emergency Preparedness Still collecting forms Need to next put together kits Need to recycle last years emergency bags and forms and put new ones in Will do this as soon as we get photos from photo day ACTION: Che Robbertze and Amanda Wong to replace emergency bags once new photos are received from school. The Great Pumpkin Run: October 26 th, 1:30 pm Motion: purchase of juice boxes up to $150: Mary Catherine Moseley 2 nd : Danika Hunter ACTION: Marni Beaudin to purchase juice boxes Hip Hop: remaining payment Deposit paid Motion to pay remainder up to $2,400: Che Robbertze 2 nd : Marni Beaudin ACTION: Mary Catherine Moseley to forward remainder of payment for Hip Hop to Sue. Teacher Incidentals: Previous years teachers were given $100 each Hoping to work towards giving teachers more; dependant on fundraising success 2 more divisions more than last year (total: 17.5 teachers on staff; 12 classrooms and some extras) Idea: to provide $100 up front then later in year do a fundraiser specific to teachers and try to forward them proceeds later in year Marni Beaudin Page 2 LBP PAC MINUTES

3 Motion to commit $1,500 to provide $100 per division: Marissa Langstroth 2 nd : Serica Galloway ACTION: Mary Catherine Moseley to allocate $1,500 total towards teache Robbertzer incidentals in budget. Cheque Signing: Important for Monica Reis to not sign cheques anymore Marni Beaudin to sign cheques Marissa Langstroth to 2 nd signing authority on cheques Must go to Westminster Savings bank to get signing authority process complete ACTION: Marni Beaudin, Marissa Langstroth, Monica Reis to go to Westminster Savings bank to update signing authority for LBP. Fieldtrip Busses 1 bus per 2 classes Usually approximately $420 per year Ms Shiu would like to Estimate for this year would be Motion to pay bus per paired division and skills team with amounts to follow: Mary Catherine Moseley 2 nd : Orion Huel ACTION: Mary Catherine Moseley to allocate funds to provide each division plus the skills team with a bus for fieldtrips to budget. Principal s Report 1. Great September Welcoming BBQ was a success Thank you to our PAC volunteers Daren Fridge 2. Enrolment 254 students (+25) Space at the grade 1 and K level only Significant challenges with ELL Level 1 students 3. My Teaching Time (Prep Coverage) Mondays between Recess and Lunch Tuesday afternoons Wednesdays between Recess and Lunch Fridays 9:45-10:15am, between Recess and Lunch 5. Code of Conduct shared 6. Action Plan for Learning (APL) shared 7. Calendar Interim Reports this coming Friday P/T Conferences with early dismissal- Thursday, October 12th WE Day- Wednesday, October 18th Photo Day issue to be resolved Pro-D- Friday, October 20th Drop Everything and Read- Monday, October 23rd 11:30am Great Pumpkin Run- Thursday, October 26th Recognition Assembly- Friday, October 27th Teacher requests: o Technology goals o Have applied in past for Chevron Fuel my School which gives each teacher who applied $1000 towards technology or S.T.E.M. but they have discontinued this program which was really upsetting o Teachers need continued support for technology o Need fundraising or grants officer o Teachers feel LBP is very behind with technology though appreciative of new ipads and new laptops o 5 ipads with 27 kids makes classroom research really difficult when time in computer lab is limited o Needed more general technology to ensure we do not go stale o Previously purchased $3,000 towards ipads to buy 6 ipads Dawn Smith Page 4 LBP PAC MINUTES

5 Old Business ACTION: discuss purchase of technology to support teachers at November 6 th PAC meeting to allow time for gaming grant to be received and PAC is in a better position to know how to support. ACTION: Dawn to better understand specific requests from teachers on technology requests so PAC can best define what they can support. Hot Lunch Ordering Update New system all in order and ready to launch New caterers, designed for schools and children Distribution will be very simple; caterers will organize orders by division and by child Sushi day, pizza day (Boston Pizza), Mexican day, hot dog day October 13 th, 27 th, November 3 rd, December 1 st, December 8 th Will be set up for 2018 before end of December 2017 Ordering will be open until one week prior to lunch date on munch-a-lunch to go out to all LBP via Jen Batac System available for people wishing to pay by VISA or cash or cheque Emphasize payment by VISA online as more efficient ACTION: Lana to send sample instructions for parents for how to order online ACTION: Beth to forward Daren message about munch-a-lunch ordering for fall to be sent out electronically to LBP community via Serica Galloway New Business Book Fair Update Need volunteers!!! People needed especially at lunchtime ACTION: PAC Executive and those attending PAC meetings need to inspire others in the LBP community to volunteer Fundraising IDEA: bring your own device technology fundraiser with all proceeds going towards purchase of new technology IDEA: movie night (Monster s Inc.); Just Dance before movie starts IDEA: combine both fundraiser ideas in one night Marissa Langstroth All Page 5 LBP PAC MINUTES

6 $20 per person, $5 per additional child, open to others outside the school Stipulate age minimum for kids without parental supervision Kid sign in/out ACTION: begin working towards Thursday October 26 th 5-9pm for this event ACTION: Fundraising sub-committee to meet to organize this event ACTION: Daren Fridge to contact CMFSC to cancel gym booking Grant Facilitator or letter writers needed: need someone or a few people interested in researching and writing grants or letters to bring opportunities for grants and funding to augment the resources available to the LBP PAC.
