This guide is intended to be referred to by charities throughout the whole process. 2 INTRODUCTION WHAT? The Summer Give is a campaign designed by The Childhood Trust to alleviate the impact of child poverty during the summer holidays. It is an online double your donation campaign focussed on charities which are supporting London's poorest children during the school holidays. The Childhood Trust came up with the idea because for 170 days a year millions of children go hungry and parents often have to choose between food, childcare or suitable activities. HOW? The match funding to double donations comes from a combination of Pledges (a charity s own major donors) and The Childhood Trust. WHEN? On thebiggive.org.uk from 12pm (midday) on Monday 16 th May 12pm Wednesday 18 th May to tie in with National Children s Day
3 INTRODUCTION ELIGIBILITY: Charities which are supporting London's poorest children during the school holidays, which must include the provision of suitable activities and healthy food. Charities seeking to raise between 4,000 and 60,000 towards their projects. UK-registered charities which have a Charity Commission number or tax-exempt status. Charities which are registered on thebiggive.org.uk (free to register). Charities which are willing to incorporate online giving and social media into their organisation and be prepared to ask supporters, trustees and volunteers to get involved. 4 INTRODUCTION BENEFITS OF TAKING PART: Secure funds from The Childhood Trust. During the 2015 Summer Give, each charity received an average of 7,171 of The Childhood Trust. Increase response rates and average gift size from your donors. Research shows that match funding campaigns increase response rate (37% increase), average donation size (63% increase) and overall revenue (54% more) from your supporters. (Brooks, 2016) A chance to ask prospective donors for a first time gift or re-engage your lapsed donors; match funding offers a compelling ask. Over half of all charities reported they attracted new individual donors through taking part in one of the Big Give s other match funding campaigns, the Christmas Challenge. A fantastic proposition for major donors to become Pledgers where their commitment of funding can be leveraged up to 4 times by The Childhood Trust and Online Donors. 90% of charities in Summer Give 2015 reported that they attracted new funding through their Pledgers and 1 in 4 of the charities stated that major donors gave more than they usually do through pledging. High number of donors who Gift Aid. 86% of donations made in the Summer Give 2015 were Gift Aided. The Big Give and The Childhood Trust teams offer support throughout the whole campaign. 4
5 THE PHASES OF THE SUMMER GIVE Stage one application phase (29 th Feb 9 th Mar): fill in details about your project and how much you seek to raise through the Summer Give Stage two application phase (10 th Mar 1 st Apr): collect promises of Pledges from your charity s major donors which contribute to your matching pot Notification phase (by 8 th Apr): find out whether your charity has been selected for the Summer Give and your offer of funds for your matching pot from The Childhood Trust Marketing phase (9 th Apr 15 th May): tell all of your supporters about the Summer Give and the chance to have their donations doubled! The Summer Give phase (16 th 18 th May): the exciting part! The campaign goes live and donations to your charity are doubled! 5
6 HOW THE MATCHING WORKS IMPORTANT THINGS TO REMEMBER: Your matching pot to double donations is composed of ring-fenced funds for your charity formed of Pledge funds (your own major donors) and The Childhood Trust. Donations to your charity will be doubled for 48 hours from 12pm, Monday 16 th May 12pm, Weds 16 th May. Donations will initially be matched by your Pledges and when your Pledge funds have been exhausted, donations will be matched by The Childhood Trust. 6

8 HOW THE MATCHING WORKS: An example of a charity seeking to raise 20,000 MATCHING POT Pledges 5,000 Pledges 3,000 2,000 of online donations DOUBLED Pledges 6,000 of online donations DOUBLED The Childhood Trust 5,000 The Childhood Trust 5,000 Total Raised = 4,000 (20% of target) The Childhood Trust 4,000 Total Raised = 12,000 (60% of target) The 10,000 Matching 1 Pot is formed of Pledge and The Childhood Trust funds. When the campaign goes live online donations to the 2 charity are doubled initially by Pledge funds. The matching pot reduces as more donations are made. Once all of the Pledge funds are exhausted, donations to the charity are doubled by The Childhood Trust funds. 3 8
9 HOW THE MATCHING WORKS: An example of a charity seeking to raise 20,000 Pledges 10,000 of online donations DOUBLED Pledges Keep Donating! The Childhood Trust Total Raised = 20,000 (100% of target) The Childhood Trust Total Raised = 20,000 (100% of target) + Donations to the charity continue to be doubled by The Childhood Trust funds until all matching funds are exhausted. 4 Even after the Matching Pot is exhausted, donors 5 will be encouraged to keep giving so charity exceeds target. 9
10 STAGE ONE APPLICATION Stage one application phase (29 th Feb 9 th Mar) What you need to do in this stage: fill in details about your project and how much you seek to raise through the Summer Give 10
11 STAGE ONE APPLICATION: How to apply 1. Register/Login to your charity account on thebiggive.org.uk. Click on in your charity account 2. Complete the following sections: I. ELIGIBILITY - understand how the Summer Give works and confirm your project is eligible to be considered. II. III. IV. PROJECT - select which project you will be applying for consideration for the Summer Give. FINANCE - explain how much you intend to raise in the Summer Give and how you will raise these funds. The minimum total target is 4,000 and the maximum total target is 60,000. The total amount you intend to raise should not be more than 40% of your previous year s annual income (for further info, please contact info@thebiggive.org.uk). DETAILS - confirm final details about you and your organisation. 3. Once stage one application is submitted, the Big Give will do a brief eligibility check before you can continue to stage two application. Please note: acceptance to complete stage two application does not represent acceptance into the Summer Give. THE DEADLINE TO COMPLETE STAGE ONE APPLICATION IS 5pm WEDNESDAY 9 th MARCH
12 STAGE ONE APPLICATION: Hints & Tips What guidance do you offer? Make sure you read guidebook in its entirety and watch the Summer Give video in your account area. If you still have questions, please contact What projects should I apply for? The projects must be about supporting London's poorest children during the school holidays which must include the provision of suitable activities and healthy food. Term time providers are welcome to apply providing the funding will genuinely extend provision into the school holidays and be accessible for the poorest children. Queries about suitable project ideas can be addressed to info@thebiggive.org.uk. How should we set our funding targets for the Summer Give? Remember there are three components to how much you will raise in the Summer Give: your Pledge funds (25%) and Childhood Trust funds (25%) which combine to form your matching pot which is used to double online donations (50%). Therefore you will need to consider and balance the following questions: - How much you can realistically raise from your Pledges? (see next section for more info) - How much will you be able to raise from your online donors? 12
13 STAGE TWO APPLICATION Stage two application phase (10 th Mar 1 st Apr): What you need to do in this stage: collect promises of Pledges from your charity s major donors which contribute to your matching pot 13
14 STAGE TWO APPLICATION: Your Pledges 1. Stage two application requires you to start collecting promises of Pledges. A Pledge is a promise of funding from a supporter of a charity which is used to match donations during the Summer Give. 2. Pledge promises must be collected via an online form which will be available to you as part of the stage two application in your Big Give account area. 3. The amount of Pledge promises you collect is equal to the maximum amount of funding you could be offered by the Childhood Trust. The Childhood Trust may offer you the full or a partial amount. 4. Collecting promises of Pledges does not mean you will be automatically be accepted into the Summer Give. THE DEADLINE TO COMPLETE STAGE TWO (i.e. COLLECT PLEDGE PROMISES) IS 5pm FRIDAY 1 st APRIL
15 STAGE TWO APPLICATION: Pledge Rules The minimum pledge amount is 100. The charity can receive Pledges from one or more supporters. The minimum total amount of Pledges a charity must receive to take part in the Summer Give is 1,000. All of your pledge promises must be paid to your charity AFTER The Summer Give is completed (from 18 th May and before the deadline of 17 th June). Pledges CANNOT be funds that you have already received or guaranteed funds that are due. Those who Pledge CANNOT donate to your charity during the online Summer Give phase. The Big Give may conduct due diligence after the Summer Give has been completed to ensure pledges have been collected and the Pledge rules have been followed. THE DEADLINE TO COMPLETE STAGE TWO (i.e. COLLECT PLEDGE PROMISES) IS 5pm FRIDAY 1 st APRIL
16 STAGE TWO APPLICATION: Hints & Tips Who should I ask to Pledge? Pledgers can be any supporter of your charity but often they are major donors and trustees of the charity. Resources (e.g. template letters, logos) will be made available in your Big Give charity account area to help you collect Pledge promises. What if I collect Pledges promises but am not accepted into the Summer Give? You should communicate to potential Pledgers that fulfilment of their Pledge is conditional on your charity being accepted into the Summer Give and donations being made to your charity in the Summer Give. What if I don t collect enough Pledge promises to meet my target? As long as you raise the minimum pledge target of 1000, you are still eligible to apply for the Summer Give. Please note that your target will be reduced to correspond to the amount of pledges you have successfully raised. This will affect the amount of available funds from you may receive from The Childhood Trust (The max amount available from The Childhood Trust = the amount raised in pledges). THE DEADLINE TO COMPLETE STAGE TWO (i.e. COLLECT PLEDGE PROMISES) IS 5pm FRIDAY 1 st 16 APRIL 2016
17 NOTIFICATION Notification phase (by 8 th Apr): What you need to do in this stage: find out whether your charity has been selected for the Summer Give and your offer of funds for your matching pot from The Childhood Trust 17
18 NOTIFICATION 1. Once the deadline of stage two application has passed (Friday 1 st April at 5pm) and your charity has collected a total of more than 1,000 of Pledge promises, your charity will automatically be considered for the Summer Give. 2. All applications will be considered by The Childhood Trust. 3. Charities will then be contacted before 8 th April to notify them of the result of their application. Three scenarios can occur: 1. Accepted: The charity is accepted to take part in the Summer Give and will be offered Childhood Trust funds equal to the amount of Pledge promises a charity has received. 2. Offer: The charity is accepted to take part in the Summer Give and will be offered some Childhood Trust funds, but not the total amount of Pledge promises a charity has received. A charity may agree to or decline this offer. 3. Rejected: The charity is not accepted into the Summer Give. 18
19 MARKETING Marketing phase (9 th Apr 15 th May): What you need to do in this stage: tell all of your supporters about the Summer Give and the chance to have their donations doubled! 19
20 MARKETING What should I do? The marketing phase is the opportunity to inform your supporters about the Summer Give and ask them to double their donation to your charity. How should I ask? Charities who took part in the Summer Give 2015 used a variety of methods to inform their supporters including individual approaches and calls to supporters, s to cold and warm supporters, direct mail, social media and events (amongst others). What should I tell them? The most important thing to inform your supporters is the time they need to be online to donate to your charity when the match funding is released, 12pm on Monday 16 th May - 12pm Wednesday 18 th May. What support will you give? The Childhood Trust will conduct a free marketing seminar for all charities taking part in the Summer Give. has been timed to coincide with National Children's Day #NCD2016 so look out for mentions of this and join in. Resources will also be available in your Big Give charity account area. 20
21 THE SUMMER GIVE The Summer Give phase (16 th 18 th May): What you need to do in this stage: the exciting part; the campaign goes live so make sure your supporters are online to have their donations doubled! 21
22 THE SUMMER GIVE The Summer Give campaign launches at 12pm (midday) on Monday 16 th May and donations will be doubled until the matching pot for each charity is exhausted OR until 12pm on Wednesday 18 th May. All donations made in the Summer Give must be made by the donors themselves via thebiggive.org.uk. Pledgers cannot donate to the charity in the Summer Give. For a recap of how donations will be doubled, see pages 7-9. Donations to your charity are doubled on a first-come first-served basis. The maximum donation per donor, per charity is 5,000. The most successful charities which exceed targets may be rewarded with a bonus payment from The Childhood Trust (see T&C s for full details). All donations made on thebiggive.org.uk are subject to a 4% processing fee. 22
23 THE SUMMER GIVE How your supporters can donate 1. From 16 th -18 th May, donors visit thebiggive.org.uk & follow links to the Summer Give page or direct to your donation page. 3. Donors will reserve match funding and have 10 minutes to complete their donation for it to be DOUBLED! They are thanked on completion! 2. Donors click the Double your Donation button on your charity s project page. 23
24 THE SUMMER GIVE: Hints & Tips What happens if I don t hit my target? Any donations you do receive will be doubled as per the matching process explained in pages 7-9. You will receive all of the donations and any matching funds owed to you after the Summer Give has been completed. Any matching funds owed to you will be pro-rata to how much you have received in online donations. What happens if I exceed my target? Any donations made to your charity after your matching pot is exhausted will not be doubled. However, charities which exceed their targets may be eligible for a bonus payment from The Childhood Trust. The bonus payment will be made with any Childhood Trust funds left from the campaign. See T&C s for full details. Can donors use Gift Aid? Absolutely! Donors are encouraged to Gift Aid their donations but the Gift Aid will not be eligible for doubling. DONATIONS WILL BE DOUBLED FROM 12pm 16 th 12pm 18 th MAY 24
25 THE SUMMER GIVE: After the Summer Give finishes The Summer Give will close at 12pm on Wednesday 18 th May. Your Pledges MUST be fulfilled i.e. paid to your charity, AFTER the Summer Give is completed. The deadline for Pledges to be fulfilled is Friday 17 th June. All online donations made to your charity will be paid within 4 weeks and Gift Aid within 8-10 weeks of the Summer Give being completed by the Big Give s payment processor, Charities Trust. Funds from The Childhood Trust owed to your charity will be paid by The Childhood Trust after due diligence has been completed on your Pledges. The Childhood Trust will follow-up with each charity that has participated in the Summer Give to understand the impact their funding has had. 25
