1 1. Review and approval of September DAC meeting minutes The meeting was called to order. Linda Lazell is unable to attend. Marva Watson will be acting as chair of meeting. Members & ex-officio present: Susan Kalina Diane Hirshberg Judi Spry Jim Mullen Nancy Furlow Kaela Parks Alice Hisamoto Diane Taylor Marva Watson Linda Sterjn JeNae Christensen It was clarified that the minutes to be approved were from the September DAC meeting. The majority of the October DAC meeting was dedicated to a presentation on HB1 visa s. There were no minutes to approve. Diane Taylor made a motion to approve the September meeting minutes. 2 nd by Alice Hisamoto. Motion passed and minutes were approved. 2. Introduction of new DAC funding request At this time there were no completed funding proposals to present. Council members discussed proposals that will be forthcoming but not ready to submit. In addition, there was discussion regarding events, which occur from year to year and are funded by the DAC. Discussion included suggestion to explore possibility of adding line items to annual yearly budget to secure base funding for certain events. Kaela Parks, DSS will be submitting 2 proposals 1) Real Eyes video series which will be presented on several UAA campuses this academic year. She is waiting until she verifies all campuses and will have solid # s to present in the proposal

2 2) Road to Freedom 21 panel display. Kaela is working to purchase an Alaska version of this display. She is working with several funding sources and will present a proposal when other funding sources are confirmed. Line item budget recognition for reoccurring events. Susan Kalina made the suggestions that yearly, established reoccurring DAC funded events have recognition in the yearly budget. This would remove the need for submission and approval for established events. It would also guarantee base funding for these supported events. Two reoccurring events that were identified: 1) Real Eyes 2) AKNOS Committee members were asked to identify other reoccurring DAC funded events that they felt should be included for discussion. Diane Taylor also asked that a budget line item be considered for the inclusion and dissemination of information from the DAC to the extended campuses. It would include a mix of travel, audio conferencing and e-live. 3. Review of DAC funding guidelines (attached) and discussion on stimulating more awareness and interest from the UAA communities (faculty, staff, students at all UAA campuses) to plan diversity-related programs and submit timely DAC funding requests. Council members offered the following suggestions to the Funding Request Guidelines 1. The proposed event/project must be on a diversity-related topic. State the purpose of the event and target audience. Suggestions to be added to the guidelines included: at this point. a. How the event/project relates to DAC goals b. What is the anticipated diversity related outcome c. How do you plan to sustain these efforts d. Describe the impact the project will have on the broader campus. 3. A proposed event/project must occur on one of the UAA s campuses. State the location of the event/project. Replace the use of the word must with possibly -should be, is recommended to be on, 8. The DAC name must be included as a cosponsor on any advertisement or announcements for the proposed event/project, whenever possible. Any reference to the DAC must include its entire name UAA Diversity Action Council. State the

3 advertising methods used. It has been suggested to add an additional statement, at this point, that all funded projects by the DAC include in it s advertising an accessibility accommodations statement. Additional discussion regarding an Accommodation Statement on University Advertising. Provide GSS with information for inclusion of accommodation statement for all advertising Similarly provide University Advancement with accommodation statement recommendation for inclusion on print materials. Communicate to planners of events, the need to be aware of. Responsiblity for making advertising events with the inclusion of an accommodation statement available at events for public and staff. It is the sponsoring entities responsibility to fund accommodation. At an institutional level accommodations must be made. A suggestion was made to include Accommodation guidelines on the Diversity and Compliance website inclusive of guidelines and costs. Best practice is to include interpretive services on flyers and publications. It is more about requiring and enforcing but the pressure has to come from higher up. Diane Hirshberger suggested the DAC as a committee issue a statement each semester that is inclusive and welcoming talking about Diversity events and sponsorship availability on campus. Statement would communicate DAC presence on campus and its mission statement. Remind people this is how we do business. Diane Taylor recommended that a professional looking poster be created talking about the DAC and funding guidelines to support campus events. A poster may be more effective and get better notice. Diane Hirshberger and Alice Hisamoto That the DAC as a representative group create a joint proposal to move diversity policy issues forward on campus. Susan Kalina stated that there are events, like AKNOS, that should have a real permanent commitment by to the University to support. Would like the DAC as a committee to approach the Chancellor and provost on issues like this.

4 Diane Hirshberger stated that a number of issues need to be institionalized. Stated that the cabinent appears to be receptive. Nancy Furlow stated that this would be a good way to partner with the FSDC. Alice Hisamoto asked if the DAC had the ability and presence to push policy change. Marva Watson shared that part of the DAC charter is to serve as resource and advisory group to the chancellor. This is what this body has been commissioned to do. Bullet points from the DAC Charge. Advise and recommend to the Chancellor a course of action on campus-wide diversity issues. Promote and support campus efforts that effectively address issues related to diversity. 4. Update on Diversity Photos Placements Around Campus Large format photos representing the diversity on UAA campus are in the process of being produced and placed in the entries of buildings on campus. 5. Update on Diversity Resource Guide The DRG is waiting for the final approval from general counsel. As soon as final approval is received, the guide is ready to go to submit for print. 6. Planning for Alaska Civil Rights Week activities in honor of UA Alaska Civil Rights Day and Martin Luther King Jr. Day - Discussion on what worked well for the planning for Alaska Native/Native American Heritage Month and what departments/organizations to reach out to collaborate (FSDC, Student Life & Leadership, USUAA, Club Council, Residence Life, Fauclty Senate are a few examples of groups to engage beyond DAC membership organizations). It was suggested that a planning committee be formed to plan for this week. Many suggestions were made for events to plan. Marva Watson volunteered to start contacting different groups on campus to find out activities/event currently being planned, what is happening and to form a campus wide planning committee to organize and identify event(s) occurring during this week. Planning committee would be inclusive of DAC. 7. Update on Joint Meeting with FSDC

5 Dr. Boeckman and I discussed having FSDC members join DAC at a regularly scheduled meeting or visa versa. The DAC December 14 meeting is our next opportunity for a joint meeting this semester. The December 14 meeting will be held in the Student Union Lyla Richards Room from 8:30 a.m a.m. DAC members were reminded of the up-coming DAC meeting for Dec.14 th. Joint meeting with FSDC. 8. Announcements of upcoming diversity related programs, events (through the end of the semester) Nancy Furlow 1) 11/29 - will be the prelim for AKNOS. Give potential students the opportunity to try it out. Judges will be present which allow them to provide feed back, and students can see what it is like in a non-competitive setting. The AKNOS regional competition will be on is February 9 th. The AKNOS statewide competition will be on is April 11 and 12. 2) Partnering with NSS and others on a class to take students to the museum. Students went to the museum but funding was not available and they had to pay for themselves. In the spring plans to the Yupik science exhibit. Alice Hisamoto Alice has joined AHAINA as the student programs retention coordinator.
