2 Dear Mutual Volunteer, Welcome to a new year at Mutual Elementary! We hope this handbook will help you navigate through the school, making volunteering easier than ever before. This is a great school and made even better with the help of many generous volunteers. Whether you help out just a few times a year or every week, the information here should be helpful. The volunteers at Mutual Elementary are essential in providing support to our teachers and staff so that they can give the best to our students! We could not do what we do for Mutual without the help of dedicated volunteers like yourself! Thank you for all of your contributions to making Mutual Elementary School the best in the county! 4 I. Volunteer Application Process Calvert County Public Schools uses KeepnTrack for visitors and volunteers sign in and sign out. Since July 1, 2010, all visitors and volunteers are screened each time they enter a school or facility. All volunteers will need to complete an Online Volunteer Application before they may begin service as a volunteer in any school or schools. If completing an application online is not possible, paper applications are available in all schools. Applications must be submitted after the prospective volunteer has completed all parts of the application process. A signature will be required on all paper applications and the applicant will need to sign an Attestation Letter that he or she has read Calvert County Public Schools: Volunteering in Our Schools. CCPS, Welcome to the Online Volunteer Application Process If you have completed an application in the past at a different school, please ccpskeepntrack@calvertnet.k12.md.us and they will add or delete schools for you. If you have not completed the Calvert County Public Schools Volunteer Application form, please visit and complete the application process. It will take approximately 2 weeks to be approved. II. Volunteer Opportunities One of the things that makes the Mutual PTA so unique is the enormous amount of parental involvement. Many of our PTA members volunteer a lot of their free time to our school. It s been demonstrated that the greater the parental involvement in your child s school the more successful children are at school, not just academically, but socially and in the community. There are MANY opportunities to volunteer your time and talents at Mutual. You can come in to the school and volunteer or complete volunteer work from home! If you choose to volunteer at home, we would ask that you keep track of your volunteer hours by using our Volunteer at Home Hours form at this link: mutualpta.com/pdf/volunteershours14_15.pdf Check out the list of opportunities below! In School Volunteer Opportunities Opportunity What you would be doing Amount of time Tuesday Folders Filling one teacher s or team s ~1 hour week or less Tuesday folders with fliers Beautification Weeding and maintaining landscaping are willing to give 4
5 Classroom Parent Classroom Tutor Field Trip Chaperone Special Events these are one of a kind events that are held at different times of the year Fall and Spring Festivals Holiday Shop Cultural Events After school activities, Staff Appreciation Book Fair Providing classroom teacher with help with copying, filing, cutting, laminating, etc. Working with small groups of children Chaperoning students on field trips Helping with set up and break down at special events; Act as a student helper/ monitor are willing to give are willing to give; a few hours a week 9am 3pm depending upon the field trip Usually 2-4 hours are willing to give At Home Volunteer Opportunities Opportunity What you would be doing Amount of time Fundraisers Sell various fundraising items to friends and family are willing to give Box tops Collect and count box tops for 1-3 hours per week/flexible submission Coke Rewards Logging rewards from a computer 1-3 hours per week/flexible 5
6 III. Coming to School Parking Parking is allowed in all lots of the school. Do not park in white zones in front of the school as they are for pick-up and drop-offs only. Do not park in the bus zone, it is only for buses. Signing in and out You must be an approved volunteer to sign in and out at the office. All volunteers must sign in and out at the office using a photo ID. The sign in computer is located on a desk across from Mrs. Peel in the main office. The list is used by the office so they know who is on campus. In addition, the PTA tracks volunteer hours. Name Tags All volunteers must wear a yellow name tag that is printed out at the office while on campus. This is a safety measure for the school and helps the staff and students learn your name. Please use the peel and stick volunteer tags that are printed next to the sign in computer in the office. IV. Mustang Room The Mustang Room is adjacent to the teacher s work room and is the PTA room. It is located on the first hallway to your left after entering the building. It is on the left side of the 4 th /5 th grade hallway just past the boy s and girl s restrooms. There are copy machines, laminators, paper cutters, office supplies and a large working area in both the teacher s workroom and the Mustang room. Many of these machines are easy to use but, you will need someone to show you how to use them first. If you have a problem with any one of these machines, please do not attempt to fix it yourself! Please ask another volunteer or someone in the office for assistance. Copy machine- for making 20 copies or less Riso Machines for making 20 or more copies Paper cutters Laminator This machine melts a plastic film over paper to protect the paper. It takes about 15 minutes to heat up. Ask for training. PTA paper fliers are to be copied on yellow paper that is in the PTA room. Binding Machines these are used to create booklets. You will need someone to show you how to use them at first. 6

Communication Tools Below are some ways to keep up with what s going on at the school: School Website: mesweb.calvertnet.k12.md.us PTA Facebook page and website: Everyone is welcome to join the Facebook page to keep informed. It is used only for sharing important school information. You don t have to be a PTA member to join! and School Messenger: you can sign up to be contacted by , phone, and/or text to receive important announcements from CCPS. Marquee: In front of the school that contains up to date information on current and upcoming events. Tuesday Folders: Fliers and newsletters are sent home in the Tuesday folders. Be sure to look through all the papers! Posters: As a school events approach, posters are hung up around the school.
