Director of Conference & Events This proposal system guide serves as a quick reference for submitting the various formats of proposals for the 2018 ASHE Conference. Additional questions about proposal submissions can be directed to the ASHE Office at or via at ashe@unlv.edu

3 Getting to the Proposal System Navigate to the 2018 ASHE proposal system by copying & pasting the URL into a new tab or browser window: then click on the Login link at the bottom left hand side of the page. Once you click Login you will be redirected to the ASHE member site login. Members: Use your ASHE username and password to login. ASHE

4 Non-Members: You may either become an ASHE Member OR create a guest Non-Member Account. *NOTE: Members receive discounted conference registration rates. To view the 2018 registration rates, visit our conference website. To create a guest account: please click on this link and select Guest (Non-Member) from the drop-down list on the Member Type. DO NOT create a guest account if you are an expired ASHE member or created a guest account last year. Please contact the ASHE office if you need assistance accessing your account. If you opt to create a guest non-member account, you may upgrade to a paid membership at a later date. Once you have created an account, return to the proposal system login page. ASHE

5 Submitting a Research/Scholarly Paper, Poster, or Roundtable STEP 1: Upon logging in click the Submit or Edit a Proposal link: STEP 2: If this is your first submission, click the link, Submit a New Proposal, or navigate to the links in the submissions box to edit any previously submitted proposals. ASHE

6 STEP 3: Select the division in which you wish to submit your proposal (note: you may not submit the same proposal to more than one division). *Please note Council on Ethnic Participation and Council for the Advancement of Higher Education Programs will not be accepting poster format submissions. Council on Public Policy in Higher Education will not be accepting poster or roundtable format submissions. ASHE

7 STEP 4: Select the proposal format you wish to submit: ASHE

8 STEP 5: Read and accept the terms of agreement, then complete each field of the web form with the following proposal content: Title, Abstract (no more than 50 words), Proposal text (no more than 15,000 characters), References, Keywords, and Research Methodology. Make sure you click Accept and Continue to save your progress. Note: If your proposal is accepted you have a professional and ethical obligation to register for the conference and present your paper at the time and place specified by the program committee. ASHE

10 STEP 6: Add other authors as needed. Search for authors by last name. Use the up or down links to change the author order (this is the order they will appear in the program if accepted). After searching by last name select the author from the list generated, and click add author link: ASHE

11 Click Accept and Continue after all authors have been added to save your progress. IF YOU CANNOT FIND AN AUTHOR IN THE SYSTEM: First re-check the spelling of the name or ask the author if they already have an ASHE member or Guest (non-member account). If they do not have either, please have the author create an account following the steps outlined here: Non-Members: You may return to the proposal system to add authors or make other edits any time prior to the submission deadline once you have completed the final Save Submission step outlined in Step 7. STEP 7: Review your submission and make any edits to the proposal by clicking the green links to the right of each field: At the bottom of this page you may elect to upload supporting graphs, charts, tables, figures or formulas as a PDF only. DO NOT INCLUDE ANY AUTHOR S NAMES AND DO NOT ATTACH YOUR ENTIRE PROPOSAL TEXT! Click Save Submission to submit your proposal. ASHE

12 STEP 8: You will know your proposal was successfully submitted if you land on the following confirmation page: On the same page you should see a confirmation that will also be sent to the affiliated with your ASHE member account similar to the text below: You can use the Submission Menu or Main Menu links at the top of the confirmation page to start the process for another proposal submission, or click Logout if you are finished with your proposal submissions. ASHE

13 Submitting a Self-Designed Paper Session STEPS 1 5: Follow the same steps as outlined above starting on page 4. Please note that you will be able to provide abstracts for each paper included in the self-designed paper session in step 7, and add authors to the paper in step 8. STEP 6: For self-designed paper sessions, you will add one paper at a time. Click the add a paper link: STEP 7: Type the title of the first paper and include an abstract (maximum of 350 words), then click Accept and Continue : ASHE

14 STEP 8: Search by last name to add authors to the paper. Repeat until all authors have been added to the session, and click accept and continue. IF YOU CANNOT FIND AN AUTHOR IN THE SYSTEM: First re-check the spelling of the name or ask the author if they already have an ASHE member or Guest (non-member account). If they do not have either, please have the author create an account following the steps outlined here: Non-Members: You may return to the proposal system to add authors or make other edits any time prior to the submission deadline once you have completed the final Save Submission step outlined in Step 10. ASHE

15 STEP 9: Follow the same steps for each paper in the session. Once you have added all papers, add your session discussant and chair by using the Search by Last Name button (Note: you will need to search separately for the chair and discussant). After entering each paper, and adding your session discussant and chair, click the Accept & Continue button. Self-designed paper sessions are allotted the same length of time as a research/scholarly paper session (1 hour and 15 minutes total). ASHE

16 STEP 10: Review your submission and make any edits to the proposal by clicking the green links to the right of each field: At the bottom of this page you may elect to upload supporting graphs, charts, tables, figures or formulas as a PDF only. DO NOT ATTACH YOUR ENTIRE PROPOSAL TEXT! Click Save Submission to submit your proposal. ASHE

18 Submitting an Interactive Symposium STEPS 1 5: Follow the same steps as outlined above for research/scholarly, poster and roundtable formats starting on page 4. STEP 6: To select presenters and a chair for the symposium use the Search by last Name field. The default of the system is to designate the submitter as both the organizer and presenter in the session. To remove yourself or any other roles, click the remove link to the right of the page. *You must designate at least one person as the organizer to submit your proposal. Click Accept and Continue once you have added all participants to the session. IF YOU CANNOT FIND AN AUTHOR IN THE SYSTEM: First re-check the spelling of the name or ask the author if they already have an ASHE member or Guest (non-member account). If they do not have either, please have the author create an account following the steps outlined here: Non-Members: You may return to the proposal system to add authors or make other edits any time prior to the submission deadline once you have completed the final Save Submission step outlined in Step 7.
