2 About Heritage Karalee Community Branch Background Community Capital Company Ltd (CCC) is a Joint Venture Partner with Heritage Bank in the Heritage Karalee Community Branch. The company was established in 2005 by raising funds from the community to: enter into partnership and/or joint venture with Heritage for the purpose of providing an efficient financial services group in Karalee to service the district by offering a traditional range of banking and financial services; distribute profits as far as practicable in a manner which will benefit the local community; and such other objectives as may be permitted by the Corporations Law and as the Directors shall determine necessary from time to time. The aim is to strengthen local communities. As all funding comes from the profits generated by Heritage Karalee Community Branch, the Board looks to offer grants for groups from communities whose population supports Heritage Karalee Community Branch. CCC s charter is to strengthen and promote a sense of community locally, and all applicants are requested to consider doing their banking business with Heritage Karalee Community Branch to generate more profits for distribution and encouraging members. Applicants are also asked to encourage their organisation s members to do likewise. Making an Application A Community Capital Company Ltd grant is in the form of a cash contribution. Applications MUST be submitted as per the methods outlined below. Applications WILL NOT be accepted by individual directors. It is a condition of a grant that you acknowledge the Heritage Karalee Community Branch and its many services offered. Where to start? Complete the attached application to apply for grant from Community Capital Company Ltd. It is important you read the following information before completing an application form. 2. Closing Dates? Grant applications are available throughout each calendar year. Round 1 Opening Date: 28 May 2018 Closing Date: 8 June 2017 Round 2 Opening Date: 1 September 2018 Closing Date: 15 September What types of organisations can receive grants? Not for Profit organisations within the Karalee area who provide services to the community but not limited to: sport and recreation; emergency services; education eg school P&Cs, playgroups, kindergartens 4. What is the grant limit? There is no upper limit. Grants are determined by annual profits available for distribution. 5. How do I obtain an Application form? Application forms are available in person from Heritage Karalee Community Branch only. 6. What should I include with the Application? The completed application form must have original signatures, include a copy of the organisations Minute authorising the application, quotes, detailed information about how you will acknowledge any grant assistance and other supporting documentation requested. Use the checklist on page 7 7. How do I submit my Application? All applications can be submitted in person to: Heritage Bank Karalee Community Branch, Shop 20, Karalee Shopping Village Junction Road, Chuwar QLD 4306 Incomplete applications will not be considered, and will be returned to your organisation. 2 Heritage Bank Grant Application Package
3 8. Who considers my Application? The Board of Directors of Community Capital Company Ltd prioritise the applications and then make carefully considered decisions. The following factors guide the process: the location of applicant organisation; the projects benefit to the wider community; the broad range of eligible organisations applying; and the need to achieve a balance between those organisations. 9. What happens to my Application? When received, your application is checked for eligibility, correct documentation, recorded and then submitted to the next meeting of the Board for consideration. 10. How long is my Application valid for? Applications are valid for 12 months from closing dates. Unsuccessful applicants will need to reapply once this time has lapsed. 11. How am I notified? The Manager of the Heritage Karalee Community Branch or the Board of Directors of Community Capital Company Ltd will contact organisations to advise if they are successful/ unsuccessful. 12. What happens if my Application is successful? Your organisation will be sent: A. a Grant Agreement which includes how your organisation is to acknowledge the grant assistance; and B. the process for claiming the grant which includes a request for a Tax Invoice to be issued on receiving the grant funding. Upon completion of your project you will need to provide Community Capital Company Ltd with details on how your organisation acknowledged the grant assistance e.g. media articles, photos, banner, logo placement, plaques etc. 13. What happens if my Application is not successful? Your organisation will receive a letter advising that Community Capital Company Ltd was unable to assist at this time but your application will stay valid for 12 months. 14. Basis for selection It is not a requirement of grant assistance that the applicant be a customer of the Heritage Karalee Community Branch however preference is given to organisations who are customers of Heritage Karalee Community Branch and who are making a contribution to the overall cost of the project. Eligibility Organisations Organisations which are eligible to apply for a grant must be: located in the Karalee, Karana Downs, Mt Crosby, Barellan Point, Chuwar, and North Tivoli area whose population base supports Heritage Karalee Community Branch; a community based not-for-profit organisation; incorporated if organisation is unincorporated, a sponsor organisation that is incorporated may be needed; and applying for a grant that will provide benefit to their wider local community. Ineligible Applicants The following are not eligible to apply for grants: individuals; businesses, unless providing demonstrated community benefit as agreed by the Board of Directors at its discretion; organisations registered as a company limited by shares, unless providing demonstrated community benefit as agreed by the Board of Directors at its discretion; and organisations who have not acquitted previous grant assistance. Eligible Projects Eligible projects include: equipment that will benefit the organisation s members; community development projects including pilot projects that address a need within the geographical support area; community education & training; minor capital works; and partial funding for major capital works. (Please note your organisation may be required to provide evidence of lease arrangements for capital type improvements). Ineligible Projects Community Capital Company Ltd will not provide grants for: deficit funding/funds to meet the debts of an organisation; recurrent expenses; projects which may be the responsibility of another grant program; and/or an organisation located outside the Karalee area. 6 STOP SECTION 3 Before you start this section Answer every question. Attach itemised and readable quotes that include GST. Local suppliers are preferred. Provide an explanation if a quote from a local supplier has not been included. Your organisation may wish to obtain more than one quote. 7 Checklist If your application is incomplete and does not contain the information requested, it will be returned to you for completion. Karalee Community Company Ltd does not accept responsibility for incomplete applications or applications received after the closing date. Please use this checklist to help you achieve the best possible outcome. Section 1 Have you provided your organisations details? Have you indicated if your organisation is GST Registered and the date of registration? Have you provided an ABN or Statement by Supplier Form if not quoting an ABN? Have you provided contact details for the person Community Capital Company Ltd is to liaise with for more information or send correspondence to? Have you provided sufficient information about your organisation s history and goals and objectives to ensure that your application is given the best possible chance of receiving grant assistance? Have you clearly stated the purpose for which you are applying for grant assistance? Have you clearly stated who your organisations target group is, their ages if appropriate, areas they live in, and how the grant will benefit the wider community? Have you provided a copy of the Minute from the organisations meeting authorising the application? Section 2 Have you included an itemised quote, including the GST component for each item you wish to purchase? Have you added up the total cost and deducted (if any) your organisations contribution? Have you included quotes from local suppliers? If not, have you included an explanation? (Projects Only) If applying for project funding, have you included a Project Plan that details your objectives, time frames for expenditure, how you will manage any risks and how you will measure performance/value of the grant etc? Have you clearly stated how you will acknowledge grant assistance? This forms the basis of your Grant Agreement if successful, and your organisation will be expected to undertake the acknowledgements stated in the application (i.e. you will be asked to provide evidence). 8 Declaration If a grant application is approved, your organisation (or sponsor, if applicable) agrees to abide by the following terms and conditions: If a grant application is approved, your Group/Organisation (or sponsor, if applicable) agrees to abide by the following terms and conditions: 1. The grant will be used for the purpose for which it was given and will be spent within 12 months. If there is to be any delay in spending the grant, or changes after approval and a cheque has been received, a written request for extension or variation must be made to Secretary, Community Capital Company Ltd, PO Box 7011, Mt Crosby The grant documentation will be returned to the Secretary within 12 months from the date of approval. 3. Unspent funds are to be returned if unexpended within 12 months from the date of notification of approval, or where written approval of variation has not been forthcoming. Cheques to be made payable to Community Capital Company Ltd 4. The project or any component of the project is not to start before formal notification of the grant is advised in writing. If for any reason the project is to commence before notification, the organisation will contact the Secretary before commencement of the project. 5. It is the responsibility of the applicant organisation to ensure adequate insurance cover for the project. 6. The organisation will acknowledge the contribution of Heritage Karalee Community Branch or other wording as advised by the Board of Community Capital Company Ltd. 7. If the organisation is a current customer of Heritage Bank, they will conduct the majority of their business transactions through Heritage Karalee Community Branch. 8. All relevant records will be kept for a period of seven (7) years and will be made available if requested to the appropriate authorities. 9. The organisation agrees to Community Capital Company Ltd collecting information in its grant application to assist in the assessment of the application. 10. If an ABN has not been provided, I declare that the organisation: a. is not eligible for an ABN because it does not meet the definition of enterprise for tax purposes; or b. has Income Tax exempt status; c. has had its application for ABN rejected by the Australian Tax Office. 11. For grant acquittal purposes, all required tax invoices, receipts and statements will be submitted as evidence of expenditure of the grant in accordance with the terms of the grant. 12. All documentation supporting quotations and payments to be made will be on commercial terms and consistent with quotes obtained from other contractors/suppliers and represent the best price available to the organisation for those services/supplies. Any contract entered into with a supplier/contractor will be on commercial terms to ensure no conflict of interest issues arise between the organisation, its members and suppliers. 13. Any special conditions that are attached to the Grant Agreement to be met. I certify that the information provided in this application is true and correct and that all conditions of any approved rant assistance will be complied with. I give permission for a Community Capital Company Ltd authorised representative to contact the relevant person from the organisation as detailed in the application. I agree that the details of the grant or information provided in acquitting the grant contribution may be used in reports and advertising to promote the Heritage Karalee Community Branch.
