5 What Data Should You Submit? All data that meet NTDS criteria and fit TQIP data ranges for submission DO NOT try to match your submission to TQIP report inclusion criteria Always submit your process measures Don t exclude kids If submitting two years of data, submit two different files

6 When Should You Submit? Early and often! TQIP centers do not need to resubmit a full year of data during the NTDB CFD (we should already have a full year of your data)

10 Reviewing Submissions Once you have submitted your file, be sure to check your validator and submission frequency reports to make sure that your data were appropriately sent to TQIP. From the Activity Menu screen, select Submission Listing. Then navigate to the file you most recently submitted and click your Validator reports.

15 Reviewing Submission Summary Review your Validator and Submission Frequency reports to make sure that your data were appropriately submitted If you find errors, correct and resubmit your data Once you are happy with the submission, be sure to Accept your file

16 Importance of Submitting Concurrent Data Adult TQIP reports cover the most recently submitted 12 months of data; Pediatric TQIP reports cover the most recently submitted 24 months of data To ensure equal comparisons, it is very important that hospitals submitted concurrent data e.g. we don t want to compare a hospital including data from the winter months to a hospital that does not include data from the winter months Important to submit any un-submitted quarters/months of data before submitting more recent quarters/months of data

17 Schedule of Reports/ Cut-Offs to Be Two reports a year Included in Each Report These reports cover data from the following timeframes: March 2015 Report: Most recently submitted 12 months of data between 1/1/2013 and 9/30/2014 Last submission before report: December, 2014 September 2015 Report Most recently submitted 12 months of data between 1/1/2014 and 3/31/2015 Last submission before report: June, 2015 In order to be eligible to receive the report, a hospital must: Have submitted enough high-quality data to warrant risk-adjustment Be fully enrolled (paid with signed contract)

18 Timeline for First Report Depends on when you have fully enrolled (paid with a signed contract) E.g. Hospitals that enrolled in August of 2014 were not eligible for the September 2014 Benchmark Report, but are eligible to receive the March 2015 Benchmark Report and the most recent data eligible to be included in this report are data submitted by the December submission deadline We currently do not require that you have submitted TQIP-specific fields (Process Measures) in order to receive a report E.g. a hospital that submitted 2013 data through the NTDB CFD and then submitted Q data through the TQIP quarterly submission process was eligible to receive the Fall 2014 report if they had enrolled in time Unsure contact us!

19 Impact of Data Submission on Reports Simple: the data we use for reports is what you submit to us By design, our reports have 6 months of overlapping data with the previous report, and 6 months of new data but if you are behind on submissions we are willing to produce a report on the SAME data as your previous report Only once, though We also reserve the right to exclude hospitals from reports if hospitals: Have not submitted enough data to warrant risk-adjustment Have not submitted large chunks of data amidst other submissions

20 Importance of Accurate Outcome Information TQIP provides risk-adjusted outcome modeling for the following outcomes: Mortality Complications (in aggregate and individually) If the following data points are not adequately populated, we will not be able to provide risk-adjusted outcome modeling ED and Hospital discharge dispositions must be known for all patients We currently exclude all individuals patients with unknown complications from the complications models, and we exclude all patients at the following hospitals from complications modeling: Hospitals with greater than 10% of their patients with unknown complications information Hospitals with 0 submitted UTIs over a broad data range (2 years +), but that have submitted UTIs as reported on the Medicare Hospital Compare website

22 Q&A Why can t I have an extension for data submission? Processing, loading, cleaning, and analyzing data takes time and our deadlines are designed to accommodate that time and provide reports as quickly as possible. NTDB submissions were able to exclude non-qualified injuries/uncoded records without manual exclusion. Why can t TQIP? Having to manually exclude incomplete records and then re-include when complete is very time-consuming among other issues Software specific issue talk to your vendor.

23 Q&A How will pediatric data from non-pediatric TQIP centers interface with those centers that are? Pediatric analyses currently do not distinguish between Pediatric and Combined centers. As my job entails verification of the data submission, I am interested in learning how to do it the right way. Follow the steps outlined above to review your validator reports. If you still have questions after reviewing your validator reports, please contact your TQIP staff.

24 Q&A Are the Benchmark Reports ever rerun/recalculated after a submission to see if Trauma Centers have made corrections to there data after reviewing the initial benchmark report? We do not re-run reports, however each report is designed to have 6 months of overlapping data so you can resubmit records with errors and they may be included in the next report. After I upload/submit my data file to NTDB, how long do I have before I need to click Accept or Reject the file? I would like to know if there is a time difference between when the Call for data is open and when the Call for data is closed. We recommend that you review your submission and accept or reject your file as soon as possible.
