UNDERSTANDING CONSTITUENT RELATIONSHIP MANAGEMENT SYSTEMS Money For Our Movements 2016
Introductions Hi! I m Rebecca. I work with social change and environmental justice orgs on fundraising, DB development & org development. I m part of the RoadMap Consulting Team
Today s Agenda Welcome & Overview Review of Terms What is Constituent Relationship Management? Keeping up with constituents online, offline, through the mail & on the street Tips for choosing a CRM/DRM system Questions Resources
Introduce Yourself Tell us your Name Location/Organization Brief, burning database question
Understanding Terms Constituent Relationship Management Constituents Donor Relationship Management Donors Cultivation
Terms Constituents: All those who support, participate or have an ongoing interest in the work of your organization Donors: Those individuals and organizations that contribute money -any amount - (and sometimes) in-kind donations Cultivation: The process of building & maintaining relationships with your constituents and donors.
Constituent Relationship Management Helps track all constituents not just donors Focus on participation & interests of constituents Can include membership, volunteers, participation & donations
Donor Relationship Mangement Focused on donors Tracks multiple relationships within a donor household & between donors Helps maintain timely contact Tracks likelihood of gifts
All Constituents Are Potential Donors Contacts Event Attendee Client Membership Issue Advocacy Issue Advocacy Issue advocacy Sustaining Donor Membership Donor Major Donor Donor
A Cultivation Work Flow New Constituent is entered into DB Assign staff contact Identify interests, activities & donations Establish schedule for regular touches (cultivation processes) Set up task reminder/ dashboard for cultivation activities Establish internal review procedures to keep everyone on track
Keys to Successful Db Utilization Participation of staff & board at the level appropriate to their role Commitment to data entry by all cultivators, appropriate to their role A cultivation strategy for each constituent group: from contacts to major donors Clearly defined cultivation processes, tasks & activities
Cultivation & Your Database The Db should match/compliment the kind of work you do Civic Engagement different from neighborhood organizing Online advocacy different from everything Db should provide robust query capacity, including: Participation Donation Issue interests Cultivation processes
Cultivation & Your Database 2 Agreed list of touches : , phone, online communication, visits A task list or personalized dashboard to remind all cultivators of their upcoming tasks A quality control system to guarantee everyone is meeting their commitments Organizational follow-through
Tips for Choosing A New DRM/CRM System Make sure you have a constituency strategy BEFORE picking a database! Start with what you need, not with "the shiny new database that will solve all our problems Make a detailed requirements list, and clearly pick the "needto-haves" vs. "nice-to-haves"- When you ask about costs, make sure you use your organizations real info, so you can accurately compare apples to apples Understand that your organizations processes will need to change. If you choose to use consultants/vendors, don't fall in love with the salesperson Check out the Donor Management Workbook at Provided by Marc Baizman, My Computer Guy Non-Profit Technology Consulting, Boston, MA
