2 Introduction Colorado State University s Campus Recreation Department offers meeting and event space for CSU registered student organizations, campus departments and organizations, as well as community groups. The Rec Center provides a variety of meeting rooms as well as activity spaces for all sizes and needs. Campus Rec s Facility Scheduling & Event Management Coordinator will assist your group in finding the appropriate space for your needs, developing a layout/set up, and coordinating rentals and catering, while complying with university rules and regulations. All facility reservation requests will be considered when received with appropriate lead time; 14 days is recommended. Reservations are not final until a confirmation and/or contract has been sent and/or signed by CSU Campus Recreation and are dependent on space and staff availability. Reservations must include dates within the current semester. Non-university affiliated individuals or groups (or events open to the public) must provide a proof of insurance certificate. 7 Activity Spaces Climbing Wall and Bouldering Cave Before requesting use of any Rec facility, please see the Policies section at end of manual. 12 max on the climbing wall at one time with one person each to belay individuals on the ground. All participants must sign a waiver prior to climbing. Closed-toed and closed-heeled shoes must be worn at all times while in the climbing area. Campus Recreation staff does not belay event participants. It is recommended that groups contact Campus Recreation to arrange for some of their group members to become belay certified prior to their event. Climbing Wall is not available for exclusive rental during normal climbing wall hours. Staff costs will fluctuate depending on age and number of participants and the type of activity. Please be aware that any additional lifeguards scheduled specifically for your event will be added to your final invoice.

Children 15 years and younger are required to have the ability to swim 25 yards (to the lifeguard s satisfaction) or be accompanied by an adult swimmer within an arm s reach while using the pool or spa. 12:1 child to adult ratio Pool area is not available for exclusive rental during normal pool hours. 18 Age Usage Policies Children under 16 years old must be directly supervised by an adult with at least 1 adult for every 12 children. Children under 14 are not permitted to use weights or cardio equipment. Climbing Wall All climbing wall participants must sign a general waiver. Campus Recreation does not provide belay staff for group events. Groups should plan to have some of their own members belay certified by Campus Recreation staff prior to their event. Participants must be at least 16 years old to be belay trained. Closed-toed and closed-heeled shoes must be worn at all times while in the climbing area. Adult climbing harnesses are appropriate for most youth. Campus Recreation does have a limited supply of youth harnesses for smaller children but will not allow children to climb if a harness does not fit in a manner to provide the appropriate level of safety. Pool Policy requires a minimum of 1 lifeguard for every 25 swimmers. Attire designed specifically for swimming is required. Cut-offs and workout attire are not permitted in the pool or aquatics area. Street shoes are not permitted on the pool deck. Participants are required to shower before using aquatic facilities. Please be aware any additional lifeguards brought in specifically for your event may be charged to your account.
19 General Policies Usage Polices Meeting and activity spaces inside of the Student Recreation Center, as well as the outdoor patio, outdoor sand volleyball courts, and outdoor basketball courts are reserved through the Campus Recreation Facility Scheduling & Event Management Coordinator. Sports equipment can be reserved with the Facility Scheduling & Event Management Coordinator. Varying rates are assessed dependent on an individual/group association with CSU and the intent of use for the reserved space. Individuals/Groups will be charged according to one of the two rate structures outlined in the Rate Classifications section. Supervision fees may apply to rentals. The Campus Recreation Facility Scheduling Office reserves the right to move a group to another space that adequately meets their needs. Recognized Student Organizations (RSO) requesting a single event reservation have rental fees waived if request is approved. Reoccurring reservations are not accepted. Recognized University organizations must be authorized by the Coordinator of the Student Organizations Resource Center before soliciting students or groups for the purpose of selling food, merchandise or services, or obtaining contributions on or off campus. Proceeds from the sales must be used toward fulfilling the purposes of the soliciting organizations. Solicitation by individuals or non-university groups is prohibited, except through established University sales outlets. Food sales must be coordinated with Food Service and/or Environmental Health Services. The University Scheduling Office (USO), (970) , is responsible for scheduling events at Moby Complex, South College Complex, Intramural Fields, and Tennis Courts. USO schedules events for the CSU community as well as the Non CSU community. All Colorado State University facilities are under the jurisdiction of the State of Colorado, and any use thereof is subject to the laws of the State of Colorado and rules and regulations issued pursuant thereto. Any use of such facilities in violation of such laws, rules, and regulations could subject an offending party to civil and/or criminal liability. Further, any persons who enter into a contract (written or verbal) on behalf of the State of Colorado or Colorado State University for use of facilities, without specific contractual authority therefore, could be held personally liable on such contract. Notwithstanding these guidelines for use of facilities, the governing authorities of the University reserve the right to deny use of any facility for any reason determined by them as necessary to comply with applicable law or otherwise to promote or protect the University.
20 Rate Classifications Usage Policies CSU Affiliate: Currently enrolled CSU students, CSU employees and their spouse / partner CSU Degree Granted Alumni, CSU Official University Retirees, Osher Institute Members, CSU ROTC, CSU Global Students, and their spouse/partner Non CSU Affiliate: Individuals/Groups not meeting at least one of the above listed CSU Affiliate status qualifications Non CSU Affiliate individual/group reservations organized via CSU Office of Conference Services and the University Scheduling Office Individuals/Groups reserving space associated with revenue producing endeavors * Facility rental rates for philanthropic events will be determined on a case-by-case basis. Facility Requests General inquiries can be made by calling (970) or by sending an to CampusRec_Scheduling@mail.colostate.edu. Facility requests are submitted via the facility request form located at All requests will be considered when received with appropriate lead time; 14 days is recommended. Requests received less than 14 days prior to the proposed event date will be accommodated when possible. Large scale events will be considered if received with appropriate lead-time; 30 days is recommended. Campus Recreation reserves the right to decline any request. Confirmation An automatically generated confirmation of receipt for facility requests will be sent via upon receipt of the electronic facility request form. An update on the status of the request will be sent via within five business days after the initial request. If confirmation or status update is not received within five business days of the initial request date, please contact Campus Recreation Scheduling at or CampusRec_Scheduling@mail.colostate.edu Catering and Food Food and catering must be approved through CSU Environmental Health Services (EHS). Requests for approval of food are directed to Jeannine Riess at (970) or Jeannine.Riess@ColoState.Edu. Notification of approval from EHS for food or catering must be received by CampusRec_Scheduling@mail.colostate.edu to permit food service and consumption.
21 Changes to Reservations Usage Policies Changes to reservations will be considered when requested with appropriate lead-time; 14 days is recommended. Submit change requests electronically by to or by phoning (970) Charges may apply for changes if applicable. Cancellation Policy Notification of event cancellation can be made at any time. Cancellation charges, if applicable, are as follow; Notification of event cancellation is made - 14 or more days prior to the event date: User responsible for administrative fee No additional charges apply 8 to 13 days prior to the event date: User responsible for administrative fee User responsible for 50% of total staffing fees User responsible for 50% of total equipment fees User responsible for 50% of total facility fees 7 or fewer days prior to the event date: User responsible for administrative fee User responsible for 100% of total staffing fees User responsible for 100% of total equipment fees User responsible for 100% of total facility fees Events may be cancelled due to forces of nature or other conditions beyond reasonable control of the client. Clients having reservations cancelled due to such circumstances may expect to pay only the administrative charges associated with their rental, dependent on the discretion of the Facility Scheduling & Event Management Coordinator, and determined on a case-by-case basis Invoice and Payment Policy CSU Affiliate groups, and Non CSU Affiliate groups working with the CSU Office of Conference Services or the University Scheduling Office, will receive a final invoice via no later than 14 days after the conclusion of their event. Payment in full must be made within 60 days of the invoice date to avoid late fees. After the initial 60 day period 10% of the final invoice total will be assessed as a late fee every 60 days until the total amount due is paid in full. Non CSU Affiliate groups working directly with the Campus Recreation Facility Scheduling & Event Management Coordinator are required to make payment in-full at least 24 hours prior to the day and time of their event. If payment in-full is not received as stipulated, the event will be cancelled. Cancellation fees will be assessed as per the Cancellation Policy previously listed in this manual.
22 Deposit Policy Usage Policies Deposits are required for Non CSU Affiliate individuals/groups. Deposits are equal to 25% or the estimate total. Deposits will be applied to the total amount due of the final invoice. Refund Policy Refunds are granted on a rare, case by case basis, determined by the Scheduling and Event Management Coordinator. Lost or Damaged Equipment, Cleaning, and Maintenance Charges Additional fees and charges are added to the final invoice for lost or damaged equipment and/or if additional cleaning and/or maintenance are required at the conclusion of an event. Equipment damages and additional cleaning and maintenance charges are determined on a case-by-case basis by the Campus Recreation Facility Scheduling & Event Management Coordinator in conjunction with Custodial and Facilities staff. Charges are added directly to the final invoice. Non CSU Affiliate groups that have made payment infull prior to the day of their event will receive an additional invoice for cleaning, maintenance and/or damage charges.
