2 + Today we will learn Reflections is How to get started. Promoting your program. Collecting and reviewing entries. Celebrating! Wrapping up and reporting your success. Evaluating your program and planning for next year.

3 + Reflections is Nearly 50 years ago, the PTA president of Colorado identified a need to enhance the arts in education. Thus the Reflections program was created. It began with four simple arts areas for students grades K through 12 th. Over the years it has grown into the program we now know. Reflections allows students to explore six art areas by reflecting on a national theme. The student is the creator of the entry. The submission must be the work of one student, not a collaboration. Others may appear or perform in the entry, but the artistic creation must be of one student. The art areas are: Music Composition, Visual Arts (2D & 3D), Photography, Dance Choreography, Video Production and Literature. Students may enter within their grade division: Primary (PreK 2 nd ), Intermediate (3 rd 5 th ), Middle (6 th 8 th ), or High (9 th 12 th ). Students who identify as having a disability and may receive services under IDEA or ADA: Section 504 may enter in the Special Artist division (PreK 12 th ) or grade division most closely aligned to their functional abilities.

4 + Step 1: Getting Started July - August 1. Confirm your PTA board and administration support for the program. Check the budget, if there is not a line item for the program you will need to formally request a budget. 2. Register your local unit (PTA or PTSA) with National PTA. Visit PTA.org/Reflections and click on the button Register My PTA. Confirm your local unit is in good standings. 3. Connect with your council to establish a timeline for your program AND to learn of any additional requirements. Visit the Florida PTA website FloridaPTA.org/Reflections-art-program to download the Local Leader s Guide and forms. 4. RECRUIT! Volunteers Judges Visit the National PTA website. PTA.org/Reflections and click on Reflections Toolkit for additional resources.

6 + Find Volunteers These are just suggestions. You may create a customized list to fit your needs. Add a Data Entry position to upload and submit student entries online. Spread out the work. Many positions may be completed at home, after hours. Find parents who want to help, but are not necessarily able to be at the school. Reflections is a great way for them to contribute.

7 + Setting up judges Find judges who are knowledgeable in the art areas. Teachers from feeder schools, retired teachers association, colleges and university students, professionals, community art centers, etc Give the judges the forms in advance to review and ask questions before judging. Set a timeline for judging. Either have the judges come to you OR hand off the entries. You know what works best for you and your judges. Visual Arts and Photography should be completed in one day. The remaining arts areas will require more time. Discuss time needed in advance.

8 + Theme Search (optional, but highly encouraged) August October Each year, students from across the world submit ideas for a new Reflections theme. Florida PTA will submit the top 5 to National PTA. The Theme: What Is Your Story was a student from Florida in Duval County! To run a theme search idea contest: fill in the PTA information. give each interested student a two-sided form using these forms. Students may mail directly to Florida PTA or the school may collect ideas and mail in one package. Only one idea per student is allowed. Duplicate ideas will not be considered.

9 + Step 2: Promote Your Program August - September BEFORE making copies of forms you must fill in your local unit information, contact person and due date. Distribute the student rules and entry forms to all interested students. Florida uses a Media Release for any persons, other than the artist, who appears in or voices are heard in the entry. Attend your County Council Training. Obtain your county due date. Learn of any additional county requirements. Promote your local unit s submission deadline and instructions. Student created posters or use of National PTA s posters are a great way to promote.

12 + Step 3: Collect and Review October November (suggested six weeks prior to county due date) Promote early submissions. This allows time for corrections by the student. Please avoid disqualifications. Allow time for corrections. Keep the intent of the program in mind. Encouraging students to explore the arts through a national theme. Once entries are submitted, corrections made if necessary, prepare the entries for judges. Blind judging is required. Student s personal data is never shared with judges. Number your entries to match the judge s score card. You may customize your numbering and score card. Remind judges of the rubric you gave him/her earlier in the year. Provide another copy, if needed. Interpretation of 20 points should be reserved for 3 5 entries at most. This score will become the tie breaker, if needed. Ask judges to avoid giving max scores to many entries and to make sure each entries has a score in each of the three criteria.

13 + Collect Judges Scores Tally the scores submitted by judges. There are no ties in Reflections. The tie breaker is the Theme Interpretation score. If these scores match, contact the judge and discuss which entry should be top. Suggested places: 1 st, 2 nd, 3 rd, Honorable Mention, and Participation. Check with your council regarding how many entries may advance. Based on how many entries may advance to your county, begin documenting the advancing students information on Form B. Make sure all advancing entries for Music Composition, Film Production, Dance Choreography and 3D Visual Arts are each uploaded and entered into the National PTA database. Optional, but highly recommended: upload and enter Literature, Photography and 2D Visual Arts.

14 + Forms A & B Local Units: Use Form A to help us track Florida PTA s program success. Local and County: Use Form B for the entries advancing to the next level.

15 + Student Entry Submission PTA.org/Reflections All advancing Music Composition, Film Production, Dance Choreography AND 3D Visual Arts MUST be uploaded and submitted online in addition to giving county the original entry and artwork. Online submission and upload of advancing Literature, Photography and 2D Visual Arts are optional, but required for contest entry.

16 + Online Submission Complete PRIOR to next level Music Composition, Film Production, Dance Choreography and 3D Visual Arts MUST be submitted online. All six art areas must be submitted for guitar give-away entry. STEP 1: New Users: Create an Account Click sign up and enter your full name, and create a password. Existing Users: Sign In STEP 3: Click Home to view a list of submissions. Confirm each entry has a status of Submitted. STEP 2: From your account s home page, click create a submission for each student entry advancing to the next round. Click Complete Entry Form to enter information from the original student entry form. Click the provided link to upload a copy of the student s work. Click submit Entry to finalize each entry.

17 + Win a Mitchell Acoustic Guitar! National PTA has partnered with Guitar Center Lessons to help promote the Reflections program. Guitar Center Lessons has given away several guitars for states to use this year. Florida PTA has received two guitars. One guitar will be awarded to a local unit and one will be awarded to a county council. There are three ways for each level to earn entries. Each local unit will receive an entry when 1. PTA is registered by September 30, 2017; % of advancing entries are uploaded and entered into National PTA database prior to county submission; or 3. Program success is reported by January 10, Each council will receive an entry when % of participating units have advancing entries uploaded and entered into National PTA database; 2. Copies of local units Form A and county Form B are submitted by January 11, 2018, or 3. all participating units are in good standings by January 11, Drawings will be held and awarded April 21, 2018 at the ceremony. Guitars must be used to promote the Reflections program.

18 + Step 4: Celebrate! November - December Share in school newsletter. Announce during morning news. Hold a ceremony. Display all entries, including advancing if time allows prior to sending onto county. Share on social media. Take group photo for yearbook. Be creative! 19 + Step 5: Wrap Up and Report Success December - January Immediately after your local celebration, return all nonadvancing entries to students. Recognize your volunteers and judges with a thank you letter and/or certificate. Report your program success.

20 + Report Success PTA.org/Reflections As soon as your program is complete, Report your Success. Florida PTA s deadline to Report Success is January 10, 2018.

21 + Step 6: Evaluate and Plan January - March Distribute a survey to teachers, students and families to learn about what went well and where improvements could be made next year. As a committee, sit down and review the survey and/or discuss what went well and what could be done to improve next year. Submit final receipts and review of program to your PTA. Establish a tentative timeline for next year. Begin sharing the new theme prior to school ending for the summer. The program will be National PTA Reflections 50 th Celebration! The new theme may begin promotion AFTER the current program is closed out.
