2 Acknowledging Your Grant 2 HOW TO USE THIS GUIDE Congratulations on receiving a grant. By receiving and accepting your grant, you agree to acknowledge publicly our support and display the appropriate logo (see Appendix 1) in your promotional work. Postcode Local Trust are entirely funded by the players of People s Postcode Lottery. Appropriately branding your project helps to communicate to the public that our player s support is making a huge difference to local communities. You will find examples of how you can promote your grant and how to use our logo on materials, equipment and at events in this guide. It also makes suggestions about press and promotional opportunities. If you need any help or have any questions about how to acknowledge your grant, please get in touch. 3 Acknowledging Your Grant 3 Section 1 HOW TO ACKNOWLEDGE SUPPORT ON SITE Please ensure that all visitors using your site or taking part in activities can see acknowledgement of our grant. Signs should be visible and not be displayed in an area where the public cannot see them. Costs associated with acknowledging your grant are to be included in your project budget. If you use the materials provided by us, there should be little financial outlay (see section 3). 1.1 Capital Projects For projects involving the purchase of capital items such as equipment, machinery, vehicles, clothing and kit, each item must display the Supported by players of People s Postcode Lottery logo when the item is in use. An appropriately sized logo should be used (in accordance with the size of the item), and where possible, our name should be prominently placed. We will provide a permanent plaque that is to be displayed in a suitably public place at your site (i.e. not in an office that only staff access). Please note that any clothing which is intended for, or likely to be used by, persons under the age of 25 years should never contain the logo or any branding relating to either Postcode Local Trust or People s Postcode Lottery. However, all other items of equipment and kit are to carry the appropriate logo and branding. Should you be unsure, please contact the Trust Helpdesk directly for guidance. 1.2 Building/Refurbishment Projects For building or refurbishment projects (including community gardens and renovation of outside spaces), please display visible signs in public areas, both during the project s duration and for up to 12 months after completion. Signs are to be erected as soon as work begins and should remain once work is completed. If a specific part of a building/outdoor space project has been funded by us, please place the signs on or in the vicinity of this area. 1.3 Activity Projects For projects that do not have a permanent base, other types of acknowledgement are suggested. Please include our logo on all printed project materials, such as leaflets, invitations, posters and other publicity materials. Display clear temporary signs while activities are taking place, and include our logo on any project outcomes such as websites, CD-Roms and learning materials. Additional Options Additional branding options include: Information boards incorporating our logo Vinyl logos attached to glass and walls Removable window stickers Banners and posters Inclusion of our logo on any presentations regarding the project Verbal acknowledgement We encourage you to be as creative as possible when publicising your project. We are also happy for you to produce your own signs (see section 4). Any materials that you produce must meet our minimum requirements (see Appendix 1), and be approved by the Trust Manager before being used.
4 Acknowledging Your Grant 4 Section 2 MARKETING AND PUBLIC RELATIONS It is important that acknowledgement of our support reaches a wider audience. Please include recognition of our support in all of your marketing and public relations materials and activity, in order that others can learn about our funding, as well as the work that you do. 2.1 Marketing Publications and printed material Everyone who receives a grant must acknowledge our support when producing printed publicity material, including leaflets, maps, posters, brochures, guidebooks, stationery, annual reports and so on. See Appendix 1 for correct use of the logo. When using the logos on printed material, please make sure that you meet the following minimum sizes: Size of materials Size of logos Up to and including A5 25mm in height Up to and including A4 30mm in height Up to and including A3 35mm in height If you need to show the logos alongside logos from other organisations on printed material or a publication, please try to include all logos at approximately the same size and in line. Websites If your organisation has a website, the Supported by players of People s Postcode Lottery logo must appear very clearly on the home page. Please include a short description about who we are for example: Postcode Local Trust is a grant-giving charity funded entirely by players of People s Postcode Lottery. Our project received <<insert amount>> from the Trust to <<insert short project description>> Please provide a clickable link to the relevant Trust s site, so that more people know how they can apply for funding. Our website address is: Please also include a link to the PPL website, so that people can find out how to play, and thus support more charities. The website address is
5 Acknowledging Your Grant Public Relations Press Releases and PR Activities Local newspaper, radio, television and online coverage are essential parts of promoting your project and acknowledging your grant. Not only does it let people know about your success, it also brings to their attention the work that you do. The Public Relations Toolkit (see page 9) will ensure that you produce releases that will generate the best possible press coverage of your project. You should acknowledge our grant in any press coverage throughout the life of the grant, not just at the time of announcing the grant or when the project has been completed. Please send copies of press releases to the Trust Manager. Please also let us know if your project is nominated for or wins any awards. We may be able to provide extra support and help in creating newsworthy events and ideas. We are also able to provide quotes for press releases if required. Social Media Using social media is becoming more and more vital to success. If you do not already have accounts, we suggest that you sign up for both Facebook and Twitter, as they will be an important tool in connecting with your supporters. They are also the perfect platform to promote your grant. Upon receiving your grant, please like the relevant Trust s Facebook page ( postcodelocaltrust), and follow them on Twitter ( twitter.com/pcommunitytrust). This will help you to keep up to date with our news. We will do the same for you. You can then use social media to provide updates on your project, and show others how the funding is making a difference. Example Tweets and Posts Use social media to alert your supporters to your cause, tell them about upcoming events, and direct them to your website. Remember you will need to obtain the appropriate permissions should anyone in the photographs be under the age of 16. Recognition at events and openings You must acknowledge your grant at any event you host which relates to a project we have funded. Please let us know when your event or opening is taking place and invite our representatives to attend. 2.3 Checklist The following is a list of all the places we would expect to see our logo used to acknowledge our funding. Advertisements Books - including guidebooks Brochures Catalogues Directional signs Educational material Flyers Invitations Information boards Job adverts Newsletters Plans Plaques Posters Presentations Press releases Programmes Publicity leaflets Reports Souvenir guides Stationery Tender documents Tickets Visual and sound media Websites What s on guides Please include our logo, and where appropriate, a text reference to us, on all of the above that are applicable to your project.
6 Acknowledging Your Grant 6 Section 3 PUBLIC RELATIONS TOOLKIT This toolkit contains a step-bystep guide on how to write a successful press release, tips on what makes a good photo, plus a template for a release. Following these guidelines will give you the best possible chance to create positive media coverage of your project, thus raising awareness of the work you do. Contacting your local paper Contacting your local paper is simple as journalists are always looking for stories so should be pleased to hear from you. It is a good idea to phone your local paper and talk to a journalist about your project before sending them a press release. First, you need to establish which local papers cover your area. Phone numbers and addresses are found on their website, but if you need any assistance, we are happy to help. Please contact our press team using the details provided (see page 10). What makes a good story? Think about what makes your project special. What will you be doing and how is it going to make a difference to your community? You can also contact your local paper at the start of your project, at an opening or launch event, and again when it is finished so that they can report on how it is progressing. They may want to send along a photographer or a journalist on the day. People bring a story to life so where possible, ensure that people are the focus of your press release who is involved in making your project happen and who will benefit because of it? Ideally, you should include a quote from someone in your organisation, or someone that your project is helping. Keep your story clear and simple so that journalists can quickly pick up on the main points. The five pointers below can be used as a guide to help you. Who: what is your organisation and who is it helping? Where: where are you based and which areas do you work in? What: When: How: what do you do to help people in your community and what is the funding going to be used for? when are you planning on beginning your project and when do you expect to finish? how is this project going to help people and what are the expected outcomes? If you are sending out a press release to your local paper, please ensure that you send a copy to us for our records. Keep us updated As well as raising awareness for your work, press coverage of your project also provides a way of thanking People s Postcode Lottery players who have made it possible. You should provide the Trust Manager with case studies, updates and photographs as you progress with your project. Using these regular updates, we can post stories and case studies on our website and in communications with players.
7 Acknowledging Your Grant 7 What to include in a case study Examples of real people who have benefited because of your project will help to raise awareness about your work. They will also encourage more people to play the lottery so that we can give even more funds for projects like yours in the future. A good case study should include: The name and, if appropriate, age of the featured person or people (if your project deals with sensitive issues, a pseudonym can be used) Why and how they got involved in your project How it has made a difference to their lives A personal quote where possible a real person, telling their story in their own words is extremely powerful Where possible, include a photograph of the person or people featured in your case study. What makes a good photograph? A good photograph will help to illustrate what your project does. The following tips should provide you with the basic steps necessary to produce a high quality photo that will bring your story to life: A photograph of a person or people is almost always more interesting than one without, so try to ensure that your image focuses on a human subject You can use props to help explain your project (i.e. a community garden project could take photos of volunteers digging with shovels) Make sure your photos are in focus, are not too dark and frame the subject Smiling faces make good pictures ensure that the people included in your photographs are facing the camera If your project features building, refurbishment or creation of outdoor space, before and after photographs can help to illustrate the difference your project has made Photographs of children under the age of 16 will require permission from their parents before being used in press
8 Acknowledging Your Grant 8 Section 4 BRANDED ACKNOWLEDGEMENT MATERIALS We provide a number of materials free of charge. Using these is a simple way to make sure that you are meeting the minimum requirements for acknowledging your grant. Ordering acknowledgement materials If you would like to order any of these materials, please complete the Branded Material Order form which is attached. Available materials include: Perspex plaque Self-adhesive vinyl stickers
9 Acknowledging Your Grant 9 Section 5 MONITORING THE USE OF OUR LOGO When assessing the progress of your project, we will look for appropriate visual recognition of our grant. This is part of our monitoring procedure. On a monitoring visit, we will expect to see acknowledgement of our funding in place and may bring up the issue with you if clear, visible acknowledgement is not on display. Please note that you are not promoting any aspect of gambling by displaying the Supported by players of People s Postcode Lottery logo, but are simply promoting the origin of the funding which enables the Trust to support good causes all around the UK. We will expect you to show evidence of how you have publicised your project and branded with our logo in your end of project evaluation form. Failure to provide this evidence, or provide evidence of insufficient acknowledgement, could affect future applications from your organisation.
10 Acknowledging Your Grant 10 Appendix 1 DESIGN GUIDANCE The following information will help you to use our logo accurately. In the first instance we always request that the Supported by players of People s Postcode Lottery logo is used when acknowledging our support. Please use the logo exactly as displayed opposite it should not be changed or altered in any way. Please do not redraw, stretch or crop the logo, and do not add or remove any elements. Please note that there is NO drop shadow beneath the outline. You will receive this logo with your funding e-pack. However, logos are also available by contacting info@postcodelocaltrust.org.uk to request one. If you produce your own materials you must make sure that they meet the minimum requirements for size, prominence and position outlined in this appendix. We encourage you to be creative and imaginative in how you acknowledge our support. Please also make sure that you keep us informed and get our approval for the final design. Colour Palette Printers match colours by using a system called Pantone references. These references give the recipe so printers can reproduce colours accurately. The Pantone references for our logo are: Green 347 Yellow 115 Red 032 Blue 293 PLT Green 340 Please try to use the logo in full colour if you can. If there is some restriction, for example limited-colour printing, you can use the logo in black or reversed out of a dark, solid colour in white. Minimum Size See the illustration for the minimum size you should use. To make sure our logo is clear and easy to read, it should never be smaller than 25mm high. The width of the logo should be proportionate to the height, and the logo should not appear distorted ensure that you hold down the SHIFT key when resizing the logo to ensure that the proportions are kept intact. 25mm
