1 EUROPEAN CONFERENCE OF INDUSTRIAL TOURISM CALL FOR NEXT PARTNER ORGANISATION Key facts The European Conference of Industrial Tourism is looking for a city to host its 6th edition, in November The Conference celebrates 10 years in The congress has been organised on a twoyearly basis since It gathers between 300 and 400 professional specialists from all over Europe. The European Association of Industrial Tourism is in charge of organising the new edition of the Conference. The Association is looking for a partner organisation in a European country to host the next Conference edition. 2 About Industrial Tourism Industrial Tourism is a kind of cultural tourism aimed at discovering the economic identity of a territory, by means of its main brands, industrial complexes, high-tech plants, agricultural, fishing and livestock farming, ports and public infrastructures, craft traditions, technical museums and industrial heritage sites. Industrial Tourism is made up of two branches: living industry (factory tours) and industrial heritage. It includes both visits and educational or leisure activities organised by the companies, heritage sites and technical museums. Industrial tourism is an attractive supplementary offer for a tourist destination but also be the core strategy for tourism development in an emerging destination. can Industrial tourism allows the discovery of identity cultural hallmarks of a destination and reflects its social commitment with a sustainable development. Industrial tourism can bring tangible profits and added value to companies: It improves their corporate image It raises the motivation of their human capital It generates income through direct sales at the site shop It promotes the visitors' loyalty to the firm's branding It shows the organisation's SCR commitment towards its local community. The territory also obtains important benefits from Industrial Tourism: It emphasizes the key role of industry regarding the economic development and the employment It changes the usual social perception of industry, which becomes the object of tourist attraction and cultural curiosity, as well as a source of financial income and employment It helps to deseasonalise tourism. The Conference history The 1st European Conference of Industrial Tourism was held in Angers (France), in March 2006, under the name of "Colloque européen de la visite d'entreprise". 300 participants attended the event. The idea of organising a European Conference on the matter was launched by CCI France, the Assembly of French Chambers of Commerce and Industry, who has been the permanent organiser of its following editions, until now. This first congress was also organised by the Chamber of Commerce and Industry of Angers, the Angers Tourism Organisation and the University of Angers. Toledo (Spain) hosted the 2nd Conference in November It was organised by the Toledo Chamber of Commerce and Industry and CCI France. It was
3 attended by over 400 participants. Toledo has been one of the first tourist destinations to plan and develop an industrial tourism strategy in Spain. Turin (Italy) was the seat of the 3rd Conference in October It was organised by the Turin Chamber of Commerce and Turismo Torino e Provincia (Turin Tourist Board), attracting over 200 participants. Turin has been the Italian pioneer in creating and promoting a tourist programme based on factory tours: "Made in Torino, Tour the Excellent". The 4th Conference was held in São João da Madeira/Oporto (Portugal) in November São João da Madeira City Council has been the first destination to develop Industrial Tourism in Portugal, through the programme Industrial Tourism Routes in São João da Madeira, since Ferrol / A Coruna (Spain) hosted the 5th Conference in June The event was co-organised and financed by the European Commission, as it was held in parallel to the 3rd Crossroads of Europe, the main conference and exhibition on cultural tourism organised by the European Union. Conference contents The Conference is made up of (at least): 3 plennary sessions 10 panels on cutting-edge sectorial topics 100 scientific & technical papers submitted 8 industrial tourism themed tours around the hosting region an exhibition and business networking area The Conference accepts communications from any area of knowledge, provided they meet basic scientific requirements. The communications may consist of research articles, review articles and experiences. Attendees The Conference follows an open and practical format to target all stakeholders involved in the development of industrial tourism: tourism and cultural heritage organisations, businesses, industrial policy makers and local authorities. Consequently, the profile of participants is also very large: academic representatives, entrepreneurs, researchers, consultants, government and international organisations officers, students and other experts in the matter. Academic experts Prestigious university specialists have actively contributed, as speakers or scientific advisors, to the previous Conference editions, such as the professors: Amaia Makua (Universidad de Deusto, Spain) Jean-René Morice (Université d'angers, France) Luca Savoja (Universita di Torino, Italy)
4 Alexander Otgaar (Erasmus Universiteit, the Netherlands) Mike Robinson (University of Birmingham, United Kingdom) Dietrich Soyez (Cologne University, Germany) José Manuel Lopes Cordeiro (Universidade do Minho, Portugal) Antonio Zárate (UNED, Spain) Carlos Costa (Universidade de Aveiro, Portugal) Riccardo Beltramo (Università di Torino, Italy) Patrick DeGroote (Hasselt University, Belgium) Official languages English is the official language of the congress, together with the national language of the hosting country. A third official language (French or Spanish) is recommended, to ensure a larger European attendance. English is the working language of the Committees and it is used for their meeting minutes. Committees Organising Committee It is composed of: Two representatives (the Executive Director and another member of the board) of the European Association of Industrial Tourism, who holds the Chair and Secretariat. Two members appointed by the local hosting organisation. This Committee is aimed at organizing the conference, coordinating the logistics and managing the event communication. All decisions shall be adopted by a majority of the votes present. In the event of a tie, the Chairman shall have the casting vote. After each meeting, the minutes are produced by the Secretariat. Scientific Committee It comes under the coordination of the Organizing Committee. It is composed of: 5 European academic experts appointed by the European Association of Industrial Tourism. Two of them will hold the Chair and Secretariat of the Committee 1 national expert appointed by the hosting partner organisation. The members of the Organising Committee are also invited to attend, with voice and vote, the sessions of the Scientific Committee. The Scientific Committee sets the conference topics, the programme, the subjects of the plennary sessions and panels, and the name of the speakers and moderators of he conference. The Committee launches the calls for proposals and evaluates the papers received.
5 Any decision is taken by the majority of present members. In the event of a tie, the Chairman shall have the casting vote. The minutes of the meetings are produced by the Secretariat. For practical reasons, the meetings of the Organizing and Scientific Committee are scheduled at the same date. Both Committees meet twice a year. Bidding requirements and schedule SPECIFIC REQUIREMENTS Applicants have to be based in a European country. Proposals coming from countries which have not hosted the Conference before will be preferred. Applicants need to be public or private legal organisations operating at national, regional or local basis. Industrial Tourism should either be a distinctive part of the tourist offer of the area or a local programme aimed at the development of Industrial Tourism should be under development. BIDDING DOCUMENTS 1. Organisational proposal The interested authorities need to submit: A formal letter of commitment, duly stamped and signed by the President of the applicant authority. This document has to highlight the reasons of the applicant to host the Conference, and state he has the necessary administrative and financial capacity to manage the event and raise funds to cover the whole Conference budget. An executive summary. It has to include: A technical presentation file of the applicant organisation. A report on his experience related to industrial tourism and the landmarks of industrial tourism in his area Information on the suggested venue and the hotel capacity of the hosting city. A letter of support of the national tourist authority of the applicant s country. A letter of support of a national accademic expert whose research area is related to Industrial Tourism. Tenderers are not asked to provide a budget draft to accompany their submission.

Organisational agreement A specific agreement between the European Association of Industrial Tourism and the local partner sets the administrative and financial guidelines for organizing the Conference. BUDGET The local partner organisation has to find the necessary resources to finance and manage the Conference budget, which is approved by the Organising Committee. The average comprehensive budget (on the basis of the last three Conference editions) amounts 150,000, VAT included. The budget includes the following costs: The conference venue (plenary and panel rooms, exhibition area, dining welcome cocktail rooms); and Technical suppliers: catering (welcome cocktail and standing lunches x 3 days), audiovisuals interpreters printing items (programmes and promotional documents, book of abstracts) hostesses photographer bus shuttles signposting decoration items factory tours included in the conference programme post mailings protocol assistant Travel, accomodation and feeding expenses of the conference speakers, moderators and the Committee members, deriving for the latter from their attendance to the Committee sessions and the Conference; The Technical Secretariat fee. TECHNICAL SECRETARIAT The Technical Secretariat fee is as a part of the conference budget. It amounts , excluded VAT. The Secretariat has been managed by MEET SPAIN, a Spanish PCO, since The Secretariat fee includes the general congress management, namely:
7 Secretariat, coordination and technical assistance to the Organising and Scientific Committees. Preparation, implementation and monitoring of its sessions and preparatory works. In addition, this includes information and assistance to the Committees members (documentation and travel assistance). Design and edition of the Conference logo and corporate image. Design and management of the Conference website, periodical newsletters and social networks. Translation of the website contents, the conference programme and all the official documents to the Conference official languages. On-line management and processing of registrations, including the accommodation forms and the choice of panels. Forwarding of practical information to the participants. Technical assistance to the Conference speakers and moderators. Coordination of the Working Groups established by the Scientific Committee (call for communications, reception of abstracts, communication with the Groups coordinators, reception and sending of final papers). Coordination of the preparatory meetings between moderators and speakers of the plenary sessions and panels. Reception of participants. Management of the hospitality desk. Distribution of documentation to attendees. Coordination and control of the meeting venue, equipment, supplies, technical and auxiliary staff and protocol needs during the Conference, as stated in the organisational agreement. Coordination of the plennary sessions and panels. Coordination of the official bus transfers. Management of the exhibition area. Management of the stands and desks reservations. Assistance to exhibitors. Management of the warehouse. Coordination of technical staff, equipment and documents regarding the exhibition area. Coordination of the social programme. programme and factory tours included in the Supervision of all the organisational work related to the preparation of the Conference. Coordination of the publishing of the book of astracts.
8 Coordination of any other activities related to organisation of the Conference provided they are included in the Conference budget. AWARDING AND CONTRACTING ORGANISATION The selection of the candidates, the further appointment of the organising entity and the further signature of the organising contract will depend upon the European Association of Industrial Tourism. TIME SCHEDULE Deadline for the submission of proposals: 1st March The expressions of interest and official proposals have to be sent to: European Association of Industrial Tourism Calle Alemania, Toledo (Spain) Deadline for the appointment of the organising partner: 1st April Deadline for the signature of the organisational agreement: 1st May 2015.
