Sorors throughout the country and across continents are expected to attend, and I hope you are one of them. Be sure to bring your camera, because you will certainly want to capture a little bit of Louisiana while touring the city, spending time with sorors, and enjoying the beautiful scenery. The Boulé theme is THE ZETA WAY Sisters Loved Principles Lived Paths Blazed. I encourage you to come prepared by bringing your resources and electronic devices and attending the business sessions, workshops, and other special events. 3 Special commendations are extended to the Boulé Planning Committee, our Boulé Marshal, Past International Grand Basileus Dr. Barbara West Carpenter, the Southern Regional Director, Kay Jones Rosebure, the State Director, Christine Stringer, sorors from the Southern Region and sorors throughout the country who have volunteered in various capacities. 4 GREETINGS FROM 2018 Boulé Marshal Greetings Blue and White Family, It is my pleasure as Boulé Marshal to welcome my Sorors and affiliates of Zeta Phi Beta Sorority, Incorporated to my home state of Louisiana and to the great city of New Orleans! Zeta continues to be a beacon of light for many and represents the enduring essence of Finer Womanhood. The conference theme is befitting to the close of this administration, THE ZETA WAY Sisters Loved Principles Lived Paths Blazed. It is important to uphold our principles and let them serve as the light for our unparalleled pathway. The Sorority has positioned herself for preeminence through Service, Scholarship, and Sisterhood in our respective communities and we continue to impact the lives of many people throughout the world. Your Boulé experience will take you to a conference that is a forward step into the innovative spirit of "The Zeta Way. We are working to cover even the smallest detail for every event and make sure that the New Orleans flair is put into every aspect of this conference. We should all be proud of the hard work that has been put into place to ensure that this Boulé has all the bells, whistles, sights, sounds, and cuisine that this city has to offer. 4 Congratulations to our International Grand Basileus, Mary Breaux Wright, the National Executive Board, and the Boulé Committee members for the manner in which they have executed the plans for the 2018 conference. 6 GREETINGS FROM Executive Director Greetings Sorors, Amicae, Youth, and Guests On behalf of the staff of Zeta Phi Beta Sorority, Incorporated s National Headquarters, it gives me great pleasure to greet you and welcome you to New Orleans, Louisiana for our 2018 Grand Boulé. 6 The opportunity to convene in New Orleans, Louisiana to conduct the business of Zeta Phi Beta Sorority, Incorporated is extraordinary. Not only will the business of Zeta be handled but we will continue our tradition of service via our designated community service project. We will engage in business, educational, and leadership sessions that will set forth actions and policies to continue Building on the Principles of Zeta While Blazing New Paths! The only form of payment accepted for registration is by credit card. THE ZETA WAY THERE WILL BE NO ON-SITE REGISTRATION. The registration fee includes access to all official events of the 2018 Grand Boulé: including special performances, workshops, meal functions (except those indicated as ticketed meals), convention registration materials, and official Boulé bag. You will receive a response within 24 hours of your inquiry. CANCELLATIONS & REFUNDS For all refunds you must go back into the registration system on or before July 18, 2018 with your registration confirmation number and complete the Registration Refund form/link provided on the last pages of the registration Brochure. 11 No refunds will be given after July 18, 2018 for any reason. When you register for the convention, you agree to this policy. A $125 administrative fee will be deducted from all refund requests regardless of when it is received. Refunds will be processed 3 weeks after the convention. These policies will be strictly adhered to and will not be altered for any reason or for anyone regardless of circumstances please do not ask us to do so. This is an individual registration, and it is not transferable from one person to another at any time. Likewise, no substitutions will be allowed should you not be able to attend. Registration fees will not be refunded after the start of the convention and refunds will not be given for no-shows. THERE WILL BE NO EXCEPTIONS! OPTIONAL TICKETED EVENTS There are four meal functions available for individual ticket purchase. These tickets may be purchased during registration or you may go online and purchase a ticket before April 30, Tickets for meal functions will not be available on-site. Tickets for the Old School/New School Stroll Off and the Exhibit/Vendor area can be purchased at the Boulé registration desk. All registered Zetas/Amicae will receive tickets to the Awards Banquet, Amicae Luncheon, Inspirational Breakfast and admittance to the Opening Program reception, Vendor area and Stroll Off with registration. All registered Male Network participants and Guest will receive tickets to the Awards Banquet, Inspirational Breakfast and admittance to the Opening Program reception, Vendor area and Stroll Off with registration. The ticketed Life Member Meeting/Luncheon is open ONLY to Life Members of Zeta Phi Beta Sorority, Incorporated. All Life Members must purchase a ticket for this event. BADGE/REGISTRATION MATERIAL PICK-UP Your badge and registration materials will be held for you at the registration desk. You will be the only person allowed to pick up your registration materials. Please be prepared to show a government issued photo identification (driver s license, state ID card, passport, etc.) to receive your materials. Make sure that you have all optional tickets you may have purchased before leaving the registration desk/area. Only individuals who are registered and have a badge/ticket may attend events Children occupying seats during meal functions are required to have a meal ticket. No Strollers will be allowed in any meeting or meal function area. 12 12 CONVENTION ATTIRE As we convene in the city of New Orleans, it is important that we all take note of proper dress while attending Boulè. You are asked to remember that business attire is standard for Boulè and you are encouraged to wear comfortable and appropriate shoes for every event. The weather in New Orleans in July is hot and humid but, you are to always dress exhibiting Finer Womanhood. Temperatures in the hotel and Convention Center will fluctuate; please bring shawls, sweaters, and jackets so that you are always comfortable. Please take special note that ceremonial functions require special dress. Sorors failing to adhere to the ceremonial dress code requirements will be prohibited from participating in ceremonial functions without exception. CONVENTION ETIQUETTE AND PROTOCOL This information is being provided to heighten your awareness of the impact that your personal behavior has on Zeta s national reputation and its dealings with business suppliers. Each of us has a responsibility to represent the Zeta brand in the best light possible wherever we go and in whatever we do. This also holds true regardless of whether or not we have our logo or letters emblazoned across our chest. What people think of us, they think about Zeta. Etiquette is the art of knowing and using the appropriate behavior and protocol for different types of human interactions. It means having good manners in our dealings with others in order to show respect, kindness and consideration for them. WHAT TO WEAR It is with this in mind that we are asking all conference attendees to please observe the following common courtesies and protocols while attending the conference: 1. Arrive at all business sessions/events 30 minutes prior in order to locate your region and select a seat. 2. Refrain from discussing Zeta business in public areas (lobbies, hallways, elevators, etc). You will be surprised what hotel personnel and others learn from our casual conversations when we are not paying attention. Please save your conversation for the privacy of your guest room. 3. Be courteous to everyone at all times. Even when faced with a problem, do your best to handle it with a smile on your face. You can get much further by using a smile coupled with diplomacy when tackling a problem. 4. Mute your cell phone, or set it to vibrate, so that others around you are not distracted. 5. In the interest of ensuring that everyone has an enjoyable experience at the Boulè, safety concerns and minimizing the Sorority s exposure to risk, no one will be allowed to harass others, form protests, or pilfer meeting space. We must be able to disagree peacefully and respectfully. 6. You will not be allowed to enter any meal function and hold seats for late arrivals. All seating will be done on a first come- first served basis. 7. Please carry yourselves as Finer Women. When you do this, your behavior is above reproach. 14 OFFICIAL HOTEL ACCOMMODATIONS Hilton New Orleans Riverside Two Poydras Street, New Orleans, LA The Hilton New Orleans Riverside is the number one convention hotel in the Crescent City and is nestled along the bank of the Mississippi River, adjacent to the Convention Center and walking distance to dining and other attractions in New Orleans. Attached to the hotel is the Outlet Collection indoor mall and across the street is Harrah s Casino. The New Orleans International Airport is located 13 miles from the hotel and this 1600 sleeping room property is ideally positioned to satisfy travelers who seek comfort and all the entertainment and excitement the city has to offer. 14 ZE THE AY TA W Your reservation is subject to an early departure fee equivalent to one night of your room rate plus tax. Please be certain of your length of stay prior to arriving at the hotel. Notify the hotel upon your arrival if you will shorten your length of stay to avoid the early departure fee. Reservations are accepted on a first come, first served basis. By reserving a room under the Zeta Phi Beta Sorority, Incorporated housing block, you acknowledge that you have read and understand the conditions (policies and procedures) under which you are making your hotel reservation. Further, you agree to abide by all terms described herein and subsequent to this notice. Individuals are allowed only two rooms per reservation on the same credit card at the Hilton New Orleans under the Zeta Phi Beta Sorority, Incorporated housing block. If you need handicap accessible rooms, please refer to the request form on page 22 then it to zpbspecialneeds@yahoo.com no later than April 30, For each room reserved, a deposit equivalent to one night s stay plus tax is required to guarantee the reservation. The reservation must be guaranteed with a major credit card and your credit card will be charged immediately upon receipt of the reservation request. If you would like to reserve a room at the Hilton New Orleans Riverside, you will have the opportunity to do so online at the link provided once you complete your Boulé registration. The Hilton Riverside will not book hotel sleeping rooms by phone. Each registered attendee is allowed to book no more than two rooms. Your deposit is refundable if you notify the hotel by June 16, 2018 that you are cancelling your room reservation. Please request a written confirmation of your transaction and a cancellation number.
