2 Mission Statement The Purdue Women s Water Polo Club is committed to the development and growth of student athletes in the program by enhancing the skills necessary to perform to the highest standard, promoting an effective learning environment, and being engaged within the Club Sports community. Article I: Name and Affiliation The name of the organization shall be the Purdue Women s Water Polo Club. The Purdue Women s Water Polo Club shall be associated with the Collegiate Water Polo Association (CWPA) in the Big Ten Intercollegiate Water Polo Conference. Article II: Purpose The purpose of this organization shall be: 1. To ensure a supervised and organized means for the recreational and intercollegiate advancement of water polo. 2. To train, support, and fund a collegiate competition team to represent Purdue University in scrimmages and local, intercollegiate, and national Water Polo tournaments. Article III: Membership Section 1: Eligibility Regular membership in the Purdue Women s Water Polo Club shall be open to full-time students at Purdue University. Section 2: Dues All members are required to pay semester dues, whose value is determined by the officer board at the beginning of the academic year. Dues may be either paid per semester, or one flat fee at the beginning of the year for both semesters. A grace period shall be given to members who cannot pay their dues on the assigned due date. The Officer Board shall determine this grace period during discussion of the value of dues. If a member does not pay the team dues by the end of the grace period, the officer board may meet to discuss further action for member(s) involved. Dues will be non-refundable, but may be taken to the officer board for a case-by-case discussion if circumstances permit refunding of dues. Section 3: Registration Any person who has met the qualifications set forth in sections 1 and 2 shall be eligible for membership on the Purdue Women s Water Polo Club. Membership and participation are free from discrimination on the basis of race, religion, color, sex, age, national origin or ancestry, genetic information, marital status, parental status, sexual orientation, gender identity and expression, disability, or status as a veteran. Section 4: Revocation of Membership A member may be temporarily or permanently removed from the team or from attending events and/or tournaments if she violates the policies of the Purdue University Division of Club Sports handbook or any local, state, or federal state laws. The officer board shall

3 determine the severity of the ban, with all decisions being final. In the event of a severe violation, the officers reserve the power to immediately terminate a member s privileges. Refund of dues will not be given in case of a disciplinary revocation. Article IV: Club Operation Section 1: Club Practices Club practices shall occur throughout the academic school year (excluding breaks) in the Boilermaker Aquatic Center. Scheduled practices shall occur in accordance to the following: 1. During the Fall semester, practices shall occur twice a week, at a time determined by the officer board prior to the beginning of the season. These times shall be in approval by the Aquatics staff and administration, as well as through Club Sports. Pool time may vary depending on the availability of the pool. 2. During the Spring Semester, practices shall occur four times a week, at times determined by the officer board prior to the beginning of the season. These times shall be in approval by the Aquatics staff and administration. Practice times may vary throughout the week to follow the schedule of events given by the Aquatic Center. Pool time may vary depending of the availability of the pool. Members are expected to attend all practice when able. Missing practices without an approved excuse may lead to temporary consequences that shall be determined by the officer board. Excuses for missing practices shall be sent to the team captains or a member of the officer board at least 24 hours prior to practice. Failure to comply may result in more severe consequences depending on the severity of the circumstance (which shall be determined by the officer board in a case-by-case basis). Section 2: Coaching The team is responsible for appointing a coach and an assistant coach (if applicable). Any faculty and staff, students with a membership for the Aquatic Center, or members of the Purdue Men s Water Polo Club may volunteer to coach the Purdue Women s Water Polo team. Based on the number of volunteers, the team will vote on who they would want to coach them for that academic year. A majority vote will decide who coaches, however, the officer board has the power to decline any volunteer that they may see unfit to coach and benefit the team. In the case of available funds, the team is allowed to hire a Head Coach and an Assistant Coach. The Coach shall follow all applicable procedures of Purdue University and the Recreational Sports program regarding registration, paperwork, and liability. The team still holds responsibility of hiring a coach that they feel holds the standards and best interest of the team s success. Section 3: Travel The Purdue Women s Water Polo Club must follow the guidelines and instructions for travel in accordance to the Club Sports Handbook and the Division of Recreational Sports.

4 Only certified drivers through Purdue University are eligible to operate University Vehicles. Lodging and transportation should be properly arranged and approved prior to the date of travel. If a member wishes to travel on their own, the Purdue Women s Water Polo Club is not responsible for any costs or damages that take place. Section 4: Tournaments With the approval of a Club Sports Supervisor and the Division of Recreational Sports, members may compete at tournaments under the name of Purdue University Women s Water Polo. Membership dues shall be used to cover all tournament fees and association registration costs. Attendance at tournaments may be put up to a vote if conflicts arise. A team majority vote shall decide the attendance or removal from tournaments during the academic year. Members are encouraged to voice their concerns and opinions about tournaments during a forum. Article V: Officer Positions and Duties Section 1: Eligibility A member shall be eligible for office if they are: 1. A current enrolled student at Purdue University during the duration of the time they hold their position 2. Hold good academic standing at Purdue University 3. A regular member of the Purdue Women s Water Polo Club 4. A regular member of the Purdue Women s Water Polo Club for the season preceding the nomination. Section 2: Permanent Positions All officer positions are to remain filled throughout the entire duration of the academic year. These positions shall be filled in accordance to Article V section 4. In the case that an officer cannot fulfill their duties for the full academic year, refer to Article V section 5. Section 3: Description of Positions President The duties of the President of the Purdue Women s Water Polo Club shall be: 1. To preside over meeting of the Purdue Women s Water Polo Club 2. Manage the overall operation of the Purdue Women s Water Polo Club. 3. To act as a spokesperson for the Purdue Women s Water Polo Club. 4. To arrange practices and competitions.

5 5. To act as a liaison with the Division of Recreational Sports. 6. Establish procedures for public communication, marketing, and recruitment efforts. 7. To be the club representative to the Co-Rec Club sports meetings. Vice-President The duties of the Vice-President of the Purdue Women s Water Polo Club shall be: 1. To assume the duties of the President should the president for any reason not be able to assume those duties 2. Assist the President in her duties 3. Assume or delegate the duties of any unfilled position Treasurer The duties of the Treasurer of the Purdue Women s Water Polo Club shall be: 1. To keep accounts, deposits the organization s funds, and to make expenditures in a manner approved by the Business Office of Student Organization. 2. To oversee all fundraising events as well as clothing and merchandise sales. Community Service The duties of the Community Service Officer of the Purdue Women s Water Polo Club shall be: 1. Schedule community service opportunities throughout the community. 2. Properly document all of the community service performed and submit the paperwork required in a timely manner. 3. Organize and monitor any community service event that is scheduled for the team to attend. Fundraising The duties of the Fundraising Officer of the Purdue Women s Water Polo Club shall be: 1. Arrange two team fundraisers throughout the academic year. 2. Organize and oversee any fundraising events scheduled. 3. Properly document any fundraising performed and submit the paperwork in a timely manner 4. Work with the Treasurer in monitoring funds accumulated by fundraising events. 5. Determine a fundraising goal for the academic year. Safety The duties of the Safety Officer of the Purdue Women s Water Polo Club shall be: 1. Hold the First Aid Kit supplied by Club Sports and bring it to practices 2. Be prepared in case of an emergency during practices. 3. Understand and be able to perform First Aid procedures, including CPR. 4. Oversee the safety of the team when traveling and competing. 5. File incident reports for any events that occur at any team event. In order to hold this position, the member needs to be CPR certified.

6 Team Captains Members are elected to be a Team Captain by majority vote by the team. The duties of the Team Captains of the Purdue Women s Water Polo Club shall be: 1. To act as leaders among the team in the pool 2. To act as an intermediary between the team and the other offices of the Purdue Women s Water Polo Club. 3. Work with the coach/coaches to run and schedule practices for the team. 4. Monitor the condition and performance of her fellow team members. Faculty Advisor Qualifications for faculty advisor member of the Purdue Women s Water Polo Club: 1. The nominee shall be an associate member of the Purdue Women s Water Polo Club The term of office for the faculty advisor shall be for one school year, with no restrictions on the number or terms that may be repeated. Officer Board The officer board consists of all offices held on the Purdue Women s Water Polo team, including Team Captains. In special circumstances, the faculty advisor may be brought into the officer board to oversee forums and meetings. The responsibility of the officer board is to ensure the success and sustainability of the Purdue Women s Water Polo Club, and reserve the right and power to perform any actions necessary to follow the Club s values and mission statement. The officer board reserves the right to dictate the removal of membership, selection of coaches, and oversee various member cases throughout their term in office. Section 4: Officer Selection Process Any member that is eligible to run for an office on the Purdue Women s Water Polo Club may do so by expressing their interest in any position(s) or can be nominated for office during Officer Elections, which shall occur immediately following the final Collegiate Water Polo Association Tournament. A member reserves the right to decline a nomination. Officers shall be voted on selected by a majority vote from the members of the Purdue Women s Water Polo Club. A member shall be allowed to run for re-election, however, a member may not hold the same office for more than two consecutive office terms. Once elected into office, new officers will undergo a training period during which old officers can be used as resources throughout their term. Old officers are responsible for providing the correct resources needed for the new officers to perform successfully during their term in office. Section 5: Procedures for Resignation or Removal Should an officer be unable to consistently perform their duties, officers may be removed from duty by discussion of other members of the officer board.

7 An officer may request to be put back into office after removal with the majority vote of the team and approval of the officer board in a forum held prior to the beginning of the upcoming semester. The officer board reserves the right to accept or deny the request regardless of majority vote if they see the decision to be fit for the best interests of the Purdue Women s Water Polo Club. Section 6: Officer Meetings The President shall schedule meetings with her fellow officers regularly. The President is also in charge of governing the Officer Board, and organizing the forums that will be held with all officers. The Officer Board is required to meet once per month during their term in office. This meeting is separate from the all-member meeting. During these meetings, the goals of the Club shall be discussed and decisions can be made in regards to any aspect of the competitive season. Forums can also be held during this time to discuss member circumstances and consequences if necessary. Each Officer is encouraged to bring forward information to the Board for approval relevant to their position, including events, tournaments, dues, and membership evaluation. The President is in charge of organizing and scheduling monthly team meetings. All of the members Purdue Women s Water Polo Club are required to attend these meetings unless a valid excuse is given to the President or another member of the Officer Board 24 hours prior to the scheduled meeting. This meeting should be scheduled at least one week prior to intended meeting date to allow members to comply with the needs of the Officer Board. Coaches are not required at team meetings, but are encouraged to attend if they desire. Article VI: Amendments to the Constitution The constitution of the Purdue Women s Water Polo Club may be amended if: 1. The vote in favor of the amendment is a majority of the total membership of the club at the time of the vote. 2. A quorum is present at the time of the vote. All amendments to the constitution and the bylaws are subject to the approval of the Student Activities and Organizations office. Bylaws 1. A quorum shall consist of members of the Officer Board and members of the Purdue Women s Water Polo Team. 2. Elections shall be held no later than one week prior to the deadline of the Officer Election Report required by Club Sports. 3. Dues shall be determined by the Officer Board in accordance to the financial need of the Purdue Women s Water Polo Club. 4. Meetings shall be held at least once per month at a time and place most beneficial for all those concerned.
