3 Greetings to Members of Founder Region, Please plan on joining your fellow shining star Soroptimists at our 42nd Annual Founder Region Conference this May 4, 5 and 6 at the San Ramon Marriott. Your board members, members of your host clubs (SI/EeI River Valley, SI/Eureka and SI/Humboldt Bay) and Conference Coordinator Linda Glantz have been hard at work creating what will be a memorable celebration showcasing our SPARKLE SHINE! Our weekend promises to be fun-filled and action-packed as we come together to see friends we don t see as often as we like, make new friends, revive and rejuvenate each other and ourselves, learn, share, laugh, cry and most of all, reinforce why we do what we do as Soroptimists. Our SIA Official Visitor is Secretary/Treasurer Kathy King. Secretary/Treasurer Kathy is a member of SI/Klamath Falls in Oregon. Please make sure you take the opportunity to introduce yourself and extend a warm Founder Region welcome to Kathy. She will be presenting the SIA Official Message during our conference as well as sharing a presentation with us on Saturday afternoon, along with our very own Past Federation Director and Past Governor Dona Gaddis Wolf. We invite you to see and hear behind the scenes by attending the Region Board Meeting on Thursday morning, from 9:00 to noon, as a Silent Observer. This is a great opportunity for members so don t miss your chance. For those of you arriving on Thursday, plan on joining your region board members as we host our Second Annual Bunco Night, sharing a meal and friendship, and guaranteed to be exciting and fun. Information about both activities is found in the Call to Conference. Our theme, Dream Big, Sparkle More, Shine Bright, sets the stage for our 2018 Founder Region Spring Conference. All of us are SPARKLE STARS and our shining galaxy together creates a huge impact that will make significant changes for women and girls. Friday morning is our big kick-off with a day full of information planned by your Legislative Advocacy Committee. Awareness, Advocacy, Action Soroptimists Stop Trafficking is the title for the day s presentations and we promise to provide you with interesting information about what we can do and are doing about stopping human trafficking. Friday afternoon we will work together to increase our knowledge and help us better understand this serious issue. As we do each Conference, on Friday night we will celebrate by meeting and greeting our Fellowship recipients women in the last year of their doctoral studies. Make sure to indicate if you are a Fellow when you register. We want to invite you to attend the special reception for our recipients. Our dinner on Friday night will be one filled with excitement and appreciation as your Fellowship Board awards the recipients. Saturday morning will start off with the Fellowship Business Meeting, and move into the Founder Region Business Meeting. We have lots in store for you an election to select our Region Board and Fellowship Board, the SIA message from Secretary/Treasurer Kathy, voting on proposed bylaw changes, and Pillar Chair reports, just to mention a few. Your Shining District Directors will host our Dream Big, 3

4 Sparkle More, Shine Bright luncheon and will share information about their clubs and achievements, along with awards presentations. Our evening will be even more exciting with the installation of our new board members, honoring our Past Governors, recognition of our outgoing board members and concluding with a dance party! Sunday morning we will remember our Soroptimists who are no longer with us during our annual Celebration of Service Memorial. Our Dream Program Celebration and presentation of awards to our Live Your Dream Award winners, our Violet Richardson Award winners, and our Ruby Award winner will follow. And let s not forget our Basket Raffle! Make sure you buy your raffle tickets through your club and then increase your opportunity of winning by buying more at Conference. Thank you! Your generosity opens many doors for many women and girls, and we are always appreciative of your support. Please mark your calendars and plan to come and join in on the fun, the camaraderie and the education. So many of us say that attending conference was what made the connection about who we are and what we do as Soroptimists. Come on! Join us and be a bright, shining sparkle star! After completing registration, any alternate selected by the club board of directors to fill a vacancy in the club s representation shall present a statement signed by the club president showing that she/he was duly approved, giving the date of such approval and certifying that she/he is a regular member. Delegates (only) must be seated in the delegates section 5 minutes prior to the opening of the business session. Credential Cards for each delegate shall be filled out by the Credentials Chair and will be made available at the Credentials desk. We will not be mailing them to you. Please fill out the credential registration section completely remember to print clearly. If you have questions, contact Credentials Chair Debbie Scaife at (707) or timberent@suddenlink.net The voting body of the Conference shall be the Region Board members and the accredited delegates of each club in good standing. A club shall be deemed in good standing if all requirements of the Founder Region Bylaws and those established by the region conference, region board, and federation bylaws and procedures have been met at the time its delegates register. A delegate shall represent only the club in which the delegate s membership is held. All Soroptimists and guests are encouraged to attend. REGISTRATION FEE: All Soroptimist shall pay a registration fee. $65.00 ($50.00 per club late fee applies) SUNDAY ONLY REGISTRATION FEE $25.00 MEAL PACKAGE: Friday Lunch $50.00 Friday Dinner $70.00 Saturday Lunch $45.00 Saturday Dinner $58.00 Sunday Brunch $35.00 $ TOTAL REGISTRATION & MEALS $ Registration and meal reservations must be received by 4/13/2018. LATE FEE: A $50.00 late fee shall be imposed on club registrations postmarked later than April 13,

8 Presidents Checklist Share Call to Conference materials with your club by ing to all your members. Review Nominee s resumes, and bring your copies to conference. Recommended attire: Friday presentation casual/logo wear (encouraged) attire; Friday evening - dressy attire; Saturday day business casual attire; Saturday evening dressy casual/island wear attire; Sunday business casual attire. NOTE: Remind club treasurers that the SIA 5008 forms and Founder Region New Member forms must be received by Vicki Ham, Region Treasurer, by March 31, 2018 to qualify for the Julia "Bess" Combs Membership Increase Award. Tentative Agenda (see enclosed agenda on page 6 for detail): You will not want to miss any of the events we are planning for our 42nd Annual Founder Region Conference. We begin on Friday with a presentation from our Legislative Advocacy Committee, with workshops and guest speakers, and continue into the evening with our Fellowship Dinner and celebration of new Fellowship recipients. Saturday we conduct the business of our region, elect our Region Board and Fellowship Board, hear from our Soroptimist International of the Americas (SIA) official visitor, share the successes of region clubs, acknowledge one new member sponsor, draw one club name from each district to send money in their name to Club Giving, announce Soroptimists Celebrating Success region winners and more! On Sunday we begin our day with our Celebration of Service memorial tribute, continue with honoring district and region awardees and end with our annual basket raffle. Delegates' Credential Cards: Credential Cards will be filled out by the Credentials Chair and will be available at Registration Check-in at conference. Contact Credentials Chair Debbie Scaife with any questions (707) or timberent@suddenlink.net. Registration and Meal Form: Complete the forms ASAP and send to Kelley Slater, Conference 2018 deadline. Vegetarian options are available for each meal. If you prefer a vegetarian meal, please indicate that choice by inserting "Veg" for each meal on the registration form. Deadline April 13, First Time Attendees: Be sure to note on the Registration and Meal Form any first time attendees so they can be recognized at conference. BRING A COPY TO CONFERENCE, as it is the only set you will receive. Make copies for your delegates. 7

9 Responsibilities of Club Delegates The elected club delegates should have a working knowledge of Soroptimist International and Federation Bylaws, Region Bylaws, the objectives and ideals of the organization, and experience as a member of a club board or committee. An understanding of parliamentary procedure and a spirit of goodwill and understanding will help the delegate, the club, and the conference body. The Club President, who serves as a delegate and the leader of the club delegation, should: 1. Allocate time at a business meeting to discuss proposed candidates and bylaw changes (if any) and solicit club opinion or direction. 2. Arrange with the other delegates for assigning sections of the report on conference to be given to non-attending club members. 3. Participate in the Caucus Call (if applicable) to learn about the Proposed Bylaw changes (if any). 4. As soon as possible after conference, schedule time at a club meeting for delegates to present their reports. Prior to Conference Delegates Should: 1. Study the Call which indicates the tentative agenda listing business to be transacted, forms, presentations and workshops, and social events. 2. Verify with Club President or Treasurer that Registration Forms and payment have been submitted for all attending members in a timely manner. 3. Participate in the Caucus Call (if applicable) to learn about the Proposed Bylaw changes (if any). 4. Study the Proposed Bylaw changes (if applicable); review Resume of Candidates and discuss with your club. 5. Bring Call to Conference, Region Bylaws, name badge & Soroptimist pin. During Conference Delegates Should: 1. Register promptly. Wear your name badge so others can identify you and your club. 2. Check in at the Credentials Registration Table at conference to receive credentials materials. 3. Attend the Delegate s Briefing. (if scheduled.) 4. Be on time. Time schedules at conference are important. Don t leave early. Guests invited to address the conference body deserve consideration. 5. Attend all sessions and take notes for precise reporting back to club. 6. Vote with the club viewpoint in mind. After Conference Delegates Should: 1. Prepare a report to present to your club that may include action taken during the business meeting and the reason for each action. 2. Discuss awards who won them and why? How can your club participate next year? 3. Present their personal evaluation of the conference and encourage increased club attendance at future meetings and conferences. 8

Because of your support we will be awarding $100,000 in grants to deserving women in the final phase of their doctoral studies. You will have the opportunity to meet these women at our upcoming conference as we introduce them to you at the Fellowship Banquet on Friday night.
