Jackson Reference: State Report Date: October 3, 2014 Introduction Brothers I humbly come before you with sincere expressions of gratitude for all you do to support the great State of Georgia and the Omega Psi Phi Fraternity, Inc. This has been a fast pace year in which several strides have been made to move us forward. We continue to move Omega forward by supporting its programs and setting the pace for the Mighty 7 th District. The state of Georgia and this country is calling for real men to come forward and help our youth and future leaders. The brothers of Omega are accepting that challenge by working with youth through several mentors programs throughout the state, rallying around the fatherhood initiative and teaching our undergraduates the responsibility of being a true Omega man. Let s continue to work in a spirit of excellence in order to become a better brother, chapter and state organization. Special thanks to the host chapters and all of the brothers across the state that helped make this a momentous Golden Anniversary. It is always special to have our former State Representatives in attendance providing their support and guidance. This was truly a special state meeting with plenty of royal grandeur. I thank all of you for your participation and commitment to our beloved fraternity State Award winners. 6 Date: October 2, 2014 To: Craig Jackson GA, State Representative From: Brother Marvin Broadwater, Sr. GA, 1st Vice State Representative End of Year Report FY Maintained office of 1st Vice State Representative by performing the duties as prescribed in the bylaws- The First Vice State Representative shall perform such duties as are assigned to him by the State Representative and the State Council. He shall exercise coordinating supervision of the activities of all standing committees and Regional Representatives and provide the State Council with periodic reports of the progress and work being performed by the several committees and Regional Representatives. Attended District Meeting, Conclave, and other State Meetings (at my expenses). Increase communication with State Council and the Brotherhood by requesting that the Workshop agenda, fundraisers for chapters, signature events for Chapters and any other pertinent information for the Brotherhood is placed on the State Website. Also, placed Annual Reports Booklet on the website for review prior to and during the State Workshop. Created a text messaging system for the State Council members. Encouraged State Chairmen to work throughout the year rather than three months before the State workshop. Worked with the By-Laws Chairman to get our bylaws updated and placed on the website 60 days prior to the State workshop. In an effort to increase the State Annual reporting created two new awards and as well brought back the Graduate (small) Chapter of the Year Award. Goals and Objectives for FY 14-15: Greater communication Change forms in reporting packet Increase percentage of reports with an emphasis on quality of reports and meeting deadlines appoint UG to State Committee Best Practices: Communication, Communication Communication. 6

7 Date: September 18, 2014 To: Marvin Broadwater, Sr. 1 st Vice State Representative From: Brother Arnold 2nd Vice State Representative End of Year Report FY Throughout the year, I have kept in contact with the chapters to ensure Omega business was handled appropriately and in a timely manner. I have spent time going to individual chapters checking on the brothers and making sure we conducted ourselves in a manner that wouldn't embarrass the organization or the chapters. This past year has been great for new membership as the newest members of Omega are spending time traveling and fraternizing with one and other, not just in the state but in the district. For this year's Conclave, the charter bus that was provided for transportation gave us great bonding time which is important and ultimately reduces the amount of inter-fraternal fights. Goals and Objectives for FY 14-15: I will be graduating this semester and accepting my commission into the United States Marine Corp. If I were running my platform would be to definitely concentrate the Undergraduate efforts along the lines of Omega Stands Against Domestic Violence or something that has to do with corrective action against law enforcement. These are two issues that have really taken America by storm and I believe that anything we get behind we can make a positive difference. With the aid of the our voices on college campuses and social media we could have a huge impact. It doesn't matter what we get behind as long as undergraduate chapters are involved in some type of social action program. We are great at throwing events such as parties or homecomings but we could definitely do better when it comes to community service. Ensuring that the documentation for each event is done so that more chapters turn in competitive state/district reports. Best Practices: Due to the distance in between chapters I find that is easiest to have conference calls. As long as proper notice is given you can ensure that 90-95% of intended participants are on the call. I send out notifications to the chapter Basileus and KRS so I make sure the chapters get any updates on information or events. Maintaining a good relationship with the chapters by actually attending events and fellowshipping has really helped me when I needed things done. I have been to most chapters in the state a few times and have good friends at each chapter. Because of this I have gained the respect and trust from my brothers and they have mine. It has been my pleasure serving in this position I am proud of what the undergraduate brothers have accomplished this year. Many have graduated and gone on to gain employment at reputable companies others are still in search of employment. I believe if they continue to fellowship with the good brothers they will be linked in and find a career. Thank you for giving me the opportunity to serve you. 7

Continue to push for complete and accurate reports Work with region Representatives to follow up with chapters and assist the undergrad chapter KRS complete and submit required forms Best Practices: Think of record keeping as recording information in an organized manner, not simply filling in and submitting forms Recommendations: Schedule KRS training for all chapter leadership that is interested in using the membership database I presented 9

LYONS, III GEORGIA STATE COUNSELOR End of Year Report FY Attended 2013 Georgia State Workshop in Atlanta, Georgia, October 10, 2013 to October 13, Participated in State Council Meetings conference calls. Attended 2014 Seventh District Meeting in Atlanta, Georgia. Attended 2014 Grand Conclave in Philadelphia, Pennsylvania. Reviewed 2014 Omega Psi Phi Fraternity, Inc. Insurance and Claim Manual. Reviewed Revised 2014 Special Events Checklist document. Advised Chapters regarding requirements of Revised 2014 Special Events Checklist. Gave general legal advice to Chapters and State Council. Reviewed contracts for 2014 State Workshop. Communicated and confirmed agreement with Hampton Inn & Suites Jekyll Island regarding 2014 State Workshop room and space booking accommodations. 12 Date: September 19, 2014 To: Marvin Broadwater, Sr. 1 st Vice State Representative From: Brother David Anthony Spencer, Jr., State Chaplain End of Year Report FY I have not performed or facilitated any specific workshops for state chaplains. I have made calls to sick brothers, attended memorial services and State led functions. In some cases I have collaborated with other local chapter chaplains to attend in my absence i.e. I was unable to attend the Fatherhood Rally due to officiating the funeral service of one of the other Brothers. Goals and Objectives for FY 14-15: 1. Call chaplains from chapters throughout the state to provide helpful tips to do ministry in their local chapters 2. Create a network of chaplains, ministers and pastors throughout the state 3. Collaborate with chaplains throughout the state to create a workshop focusing on how to address spiritual and emotional distress of brothers and finding balance between family and fraternity. 4. Create a better method of gaining information of brothers who are sick or who have entered into Omega Chapter and provide spiritual support from State Chaplain Best Practices: 1. Reaching out in advance for names of Brothers who have entered into Omega Chapter. 2. Calling Brothers who are sick or families who are bereaved and praying with them over the phone or in person 12

13 Date: October 2, 2014 To: Marvin Broadwater, Sr. 1 st Vice State Representative From: Brother CarJonne Cooper Region 1 Representative End of Year Report FY Brothers I greet you in the name of our Supreme Basileus of the Universe. It has been a pleasure serving as Region 1 Representative for the State of Georgia. It is an honor to report that the chapters of Region 1 are carrying out the mandates of the Fraternity in the True Omega Spirit. All chapters have participated fully in the Fatherhood Initiative, which took place at a local Atlanta area mall to have a greater impact within the community. The chapters have also put forth a herculean effort in supporting other community service activities such as The Necktie Tying Workshops hosted by Eta Omega Chapter, the Manhood Uplift Program/Project hosted by Kappa Alpha Alpha Chapter where over 150 young men and community members attended. This community service effort included concurrent sessions on college readiness, spiritual awareness, responsibility, and robotics. Mu Mu Mu Chapter participated in the Walk Now For Autism Speaks as well as Relay for Life community service efforts. Tau Chapter were heavily involved in the Atlanta-Metro community with their Youth Leadership Academy which promote Intellectual, personal, physical, and social development. Psi Chapter, Kappa Kappa Chapter, and Zeta Theta Chapter were also involved in blood drives, clothing drives and numerous health initiatives. Hayes Region II Representative Fiscal Year REGION II YEAR END REPORT First of all Region II would like to Congratulate the State of Georgia on its 51 st Omega Psi Phi Fraternity Inc. Ga. State Workshop for The Brothers in Region II are making tremendous strides in their respective communities by continuing to work and serve Omega in their cities. In Region II, the Brothers demonstrated their commitment and service to the mandates of Omega through numerous activities that not only highlighted and celebrated their achievements, but also provided well-needed Uplift in their areas of influence. Chapters demonstrated their commitments via numerous programs and initiatives throughout the year. The activities included, but not limited to: Founders Day, Achievement Week, Memorial Services, Talent Hunts, and various community-oriented service projects. Collectively, chapters submitting reports awarded over $10,750 in scholarships to deserving students to attend institutions of higher learning. All chapters either hosted or were active participants in blood drives and mentoring of the youth in the region. Each chapter conducted a number of activities in their respective communities with over 1,592 hours of manpower contributed and over 600 hours of volunteer community service conducted by the Brothers in Region II. Hassan End of Year Report FY Chapters in Region III met requirements of National Mandated Programs. List of activities include Mentoring, Voter Registration, Talent Hunt, Blood Drive, campus clean up, golf tournaments, Adopt-A- Highway, and numerous health initiative programs. Several thousands of dollars were raised through fundraisers to donate for scholarships, as well as food provided to needy families at Thanksgiving and Christmas. Best Practices: Some best practices to follow are mentor chapter leaders who are new in the position. Too many chapter officers and committee chairmen are elected or appointed to positions without prior training and left to sink or swim. Also, learn from those who are doing it right. Ask for assistance even if from another chapter. 19

20 Date: October 2, 2014 To: Marvin Broadwater, Sr. 1 st Vice State Representative From: Brother Slim Melvin Region IV Rep End of Year Report FY Brothers, it gives me great pleasure to submit the annual report on the activities of chapters in Region IV. The Brotherhood in the region is continuing to hold Omega s banner high in their perspective communities. Within Region IV, the Brothers demonstrated their commitment to the mandates of Omega through numerous activities that not only highlighted and celebrated their achievements, but also provided well-needed Uplift in their areas of influence. Chapters demonstrated their zeal via numerous programs and initiatives throughout the year. These activities included, but not limited to: Founder s Day, Achievement Week, Memorial Services, Talent Hunts, Blood Drives, and Habitat for Humanity, Mentoring Programs, Clothes Drives, and Scholarship Donations to deserving students. As the Chapters in Region IV continue to focus on reclamation, all Graduate Chapters held functions to bring Brothers back into the realm of Omega. There were also many social activities like: golf tournaments, dances, Mardi Gras, sporting events, church visits, youth sports team sponsorships, lectures and numerous other activities. Collectively, chapters awarded scholarship funds to deserving students to attend institutions of higher learning. In addition, over 80 chapter activities were conducted with well over 2800 hours of manpower contributed. UPSILON GAMMA GAMMA CHAPTER - The brothers of Upsilon Gamma Gamma (UGG) Chapter, Omega Psi Phi will be participating in the Golden Harvest Food Bank - Master s Table Soup Kitchen program serving hot lunch to the homeless and other people in the Augusta area who are in need of a hot meal. The members of Upsilon Gamma Gamma Chapter - Back to School Drive. The purpose of this event was in support of Omega Psi Phi 7th district mission of identifying and supporting the youth in our community who could benefit from school supplies in order to participate in classroom activities. This was accomplished by giving them paper, pencils, composition books, haircuts, and mentorship in preparation of starting school. The Beta Gamma Gamma Chapter of Omega Psi Phi awarded a total of $2000 in Scholarships to four deserving students. Dozens of students from Liberty, Long and Bryan Counties participated in this year s Essay contest. In honor of Comcast Cares Day, Brothers of the Mu Phi Chapter of Omega Psi Phi and volunteers from the community were at Georgetown K-8 to pitch in on an outdoor beautification project. Together the community refurbished and landscaped the school's courtyard area. The Week of the Young Child is an annual celebration sponsored by the National Association for the Education of Young Children (NAEYC). The purpose of the Week of the Young Child is to focus public 20

21 attention on the needs of young children and their families and to recognize the early childhood programs and services that meet those needs. On Friday April 11th the brothers of Mu Phi chapter of Omega Psi Phi Fraternity Incorporated volunteered at the EOA Head Start s culminating event Week of the Young Child Festival. There was over 800 Head start participants present; many accompanied by their family. The Brothers of Omega were one of thirty community organizations there to support and celebrate the early childhood program. They assisted in set up of the community organization tables and bounce houses. They supported teacher and teacher assistants as they lead Head Start students through the community fair and play area. The Undergrad brothers of Zeta Delta Delta (Georgia Southern University) participated in Breast Cancer Awareness on GSU campus; the brothers of Omega Psi Phi organized a fundraiser selling customized buttons for $1 each. In order expand the attention of the cause, the brothers gave appreciation shout-outs of their supporter on the chapters Instagram/Twitter page. The proceeds went to the Susan G. Komen Foundation. One of five undergraduate chapters filed reports. There are five active graduate chapters and five active undergraduate chapters with total memberships of 302 and 20 respectively. Two undergraduate chapters are down to one brother and one undergraduate is being phased out due to merger with another chapter. Congratulations to Alpha Delta Rho, for winning International Undergraduate Chapter of the Year at the 79 th Grand Conclave in Philadelphia, PA. Alpha Delta Rho will be merging with Alpha Delta Nu due to the school mergers of Southern Polytechnic into Kennesaw State University (Alpha Delta Nu). Alpha Delta Rho will not be an active chapter after the merger. During the fiscal year, two of five graduate and two of five undergraduate chapters conducted a Membership Selection Process prior to the moratorium. Three graduate chapters raised scholarships in the amount of $44,000; one undergraduate chapter had $1000 in awards. Twenty-eight students were the beneficiaries of the fundraising efforts. Mentoring dominated the social action agendas set by most of the chapters. Health initiatives, blood drives and many other Social Action and awareness activities were also key programs that were carried out by the chapters. All active chapters are scheduled to be registered at the 2013 GA State Workshop. We had 18 resource areas set up and during the event we served lunch to the Attendees, provided a Clothing, Shoe and Toiletry Giveaway, and offered spoken words of empowerment from local Artists and Fraternity Officials. Partnerships While we engaged with a number of Associations and Companies (see above), we ve really made strides in partnering with some more than others: PADV (Partnership Against Domestic Violence), Fulton-Dekalb Hospital Authority, Porsche Cars North America, Delta Community Credit Union, Bethany Christian Services, Sunny Delight, Blue Bell Ice Cream. Engage your state Social Action Chair early and often to ensure compliance with the scoring criteria. Reports should be clearly documented and follow the order of the scoring areas. Become familiar with both the recognition criteria and the evidence required to document activities. Photographic evidence and corresponding documentation should not be separated. Schedule Social Action event respective to the State of Georgia report submission deadlines to achieve maximum points. Begin assembling reports immediately with mandatory quarterly touch points. This allows for a periodic critique prior to submission to the State and the District. 28

There are 21 undergraduate chapters in the State of Georgia, four are inactive (Alpha Sigma, Delta Delta Delta, Omega Mu, and Delta Kappa), three are suspended (Beta Psi, Tau Delta Delta, Upsilon Sigma) and the remaining are active (Alpha Delta Nu, Alpha Delta Rho, Alpha Gamma, Beta Zeta, Chi Epsilon, Gamma Beta, Gamma Zeta, Kappa Kappa, Nu Delta, Omega Eta, Pi Delta Delta, Psi, Zeta Delta Delta, Zeta Theta). The Georgia GPA was 2.9 for the Fall semester of As we continue to emphasize academic excellence, we should encourage our undergraduate chapters to keep up the good work as they strive to reach 3.0. Over the next year, the 2 nd Vice State Representative and the Chapter Advisors will focus on chapter membership and chapter management. There are currently 4 active chapters with 5 members or less. With the hold on MSP I anticipate a decrease in membership in other chapters as well due to brothers graduating. I will work with the chapters and chapter advisors to develop a plan for increase. I recommend having an undergraduate session during the Georgia State Workshop to review special requirement and initiatives for the year and to facilitate a panel discussion with University officials to address campus image, MSP, and the selection of new members for our chapters. Accomplishments: All advisors in the State of Georgia are required to be trained. Below is the status of each chapter and whether we have on record that the advisor was trained. There are several graduate chapter that assigned a new advisor to their mentoring undergraduate chapter. Please make sure we have the correct advisor s name down so that he can be trained. There are several upcoming opportunities for advisors to be trained: 2015 International Undergraduate Summit (Atlanta, GA), Seventh District Meeting (Mobile, AL), or International Leadership Conference (Jacksonville, FL). 31 Goals and Objectives for FY 14-15: MISSION STATEMENT: The mission of the Undergraduate Relations Committee is to provide guidance and support to Undergraduate Advisors, develop supportive initiatives that enhance the Undergraduate experience on campuses throughout Georgia, and assist in the development of strategies that help young Brothers embrace the concept of service and brotherhood and embody academic excellence and leadership. Goal and Objectives: The goal of this committee is to promote academic excellence, good character, and leadership development for undergraduate brothers and an understanding of adequate advising for chapter advisors. We will meet this goal through several innovative objectives: 1. To develop a training template for advisors, which will include advising strategies and campus relations 2. To ensure that all advisors have been trained in the State of Georgia; 3. To obtain cumulative GPAs on D for all undergraduate chapters and Brothers in the Georgia; 4. To continue to obtain academic information on undergraduate Brothers and provide academic assistance to our struggling chapters; 5. To ensure that all undergraduate chapters and advisors possess the Fraternity Constitution and Bylaws, Seventh District Bylaws, State Bylaws, Chapter Bylaws and the Member Code of Conduct and Disciplinary Policy; 6. To develop a training template for undergraduate chapter officers on chapter reporting and chapter management; 7. Fifteen (15) chapters were represented in the 2013 State of Georgia Talent Hunt Competition. Winners were: First Place: Zaria Hall, Alpha Delta Rho Chapter, Marietta, Scholarship Award $500 Second Place: Dola Thurmond, Delta Mu Mu Chapter, Sandy Springs, Scholarship Award $300 Goals and Objectives for FY 14-15: Attempt to identify and support the youth in our respective communities to help them develop and give full expression of their talents and expressive arts. Provide exposure and encouragement to each Chapter contestant within the State of Georgia. The expectation is that the youth in our respective communities will go on and excel to make outstanding contributions not only to their respective communities but to the nation and world. There is an untapped resource of Youth talent available for the Talent Hunt Competition and with continued support from the brotherhood across the state we can certainly tap in to it. Best Practices: Improved Committee relationships to meet frequently via telephone and face to face. Formulated a plan for all chapters to reach out to their respective communities, schools and churches to have a Talent Hunt Contest prior to the end of the school year. 32

The State of Georgia again participated in providing Scholarships in various local communities. As of this reporting date, all 5 Regions submitted reports. Regional breakdown follows: 1. Region I- $48, Region II- $10, Region III- $42, Region IV-$34, Region V- $40, The total reported statewide is $ Findings: 1. Scholarship total is up $51,405 from 2013!!! 2. Reports were submitted using incorrect forms and the over-all report submission was very low Brothers applied for the Alonza Bennett Scholarship. 4. Very few reports were submitted by the undergraduate chapters. 33
