1 COURSE 24 WELCOME PACK Introduction 1. As part of the enrolment process to 305 Squadron, new recruits are issued with a welcome pack after sign-on. This pack contains useful information to help our recruits start their Cadet careers, including how to nominate for activities, required equipment for bivouacs and a list of commonly used terms in the AAFC. 2. 3 Dear Course 24 Cadets, Welcome to No. 305 (City of Pittwater) Squadron, Australian Air Force Cadets and congratulations on choosing to become a member of one of Australia's premier youth development organisations. 305SQN is the local AAFC unit for the northern beaches in Sydney. You are now one of the more than 1,600 cadets in the New South Wales jurisdiction of the AAFC, called 3 Wing, and 7000 cadets nationwide. Over your time with the AAFC you will have the opportunity to get involved with cadets from all over the State and Country, and even Australian Army and Navy cadets. We have a busy year planned for 2016, with close to 40 different activities to be run. Have a look through the Squadron's Training Schedule to make sure you plan ahead and can attend as many activities and functions as possible. With that in mind, your time starts now! The AAFC and 305SQN in particular can offer you many opportunities that you'll never get anywhere else, but only if you get involved and try things out. The old adage that you get out what you put in is well placed here. So it's time to commit yourself to the AAFC, get the haircut you need, come along every Thursday and start nominating for the activities you'd like to attend during Every member of the AAFC is here to learn and to have fun. To make sure we can all enjoy our time here, don't forget about the AAFC's behavioural expectations. I don't want any member of the Squadron to feel uncomfortable coming along to our parade nights and activities so as long as we all behave appropriately, we'll all have a great time. If you read all the material in this welcome pack you'll be well on your way to know the basics of being a cadet at 305 Squadron. 4 Glossary of Terms and Acronyms Below is a list of commonly used terms and abbreviations/acronyms in the AAFC. Administration JI Joining Instruction ANNEX A TO WELCOME PACK A document outlining details for individual activities. These documents include pickup and drop-off times and locations, as well as any important requirements for the activity. These are issued for any AAFC activity, and must be read prior to arriving for an activity. An AAFC form of Identification, consisting of a small book with a plastic blue cover. As of 2015 these are being replaced by ID tags. PH299 Document code - Blue ID Book TR66 Parental A document which must be signed by a parent/guardian and Consent Form witnessed to grant consent for a Cadet's participation in an activity. PCF (NB: TR66 is the These must be completed and handed in at the start of any AAFC document activity. Some overnight activities, such as bivouacs, require two PCFs. reference code). 5 Organisation and Structure SECT Section Each cadet is assigned to a Section, with a Section Commander who can answer any of their questions. FLT Flight A term given to a specialty training unit, such as 301FLT (Aviation Training Flight). Also used to describe a group of Sections within a Squadron. SQN Squadron A term given to a local unit, such as 305 Squadron. WG Wing A term given to a group of two or more Squadrons. In the AAFC, Wings are used to describe each state or territory. 3WG 3 Wing Squadrons within New South Wales and the ACT are comprised within 3 Wing AAFC Australian Air Force Cadets AAC Australian Army Cadets ANC Australian Navy Cadets ADFC Australian A term given to the AAFC, ANC and AAC as a collective. Defence Force Cadets RAAF Royal Australian Air Force RAN Royal Australian Navy ARA Australian Regular Army ADF Australian Defence Force A term given to the RAAF, RAN and ARA as a collective. Squadron Specific Terms Biv Bivouac An overnight field exercise in a state forest SLT Senior Leadership The body of senior Cadets (Cadet Corporals and Higher) who are responsible for the running of the unit. Team HQ Headquarters MUD Multi User 305 Squadron is located at the Dee Why MUD TPHS Depot The Pittwater House Schools The school next door to the Dee Why MUD. This was the home of 305 Squadron prior to 2015, and may be used as a meeting point for some activities. AAFC Uniforms SD Service Dress The blue AAFC uniform worn week-to-week

7 Bivouac Equipment Information ANNEX C TO WELCOME PACK The Squadron conducts 2 field training activities every year called bivouacs (Bivs). These activities allow cadets to put into use and elaborate upon, the training they have received on a Thursday evening, in the bush. Activities such as navigation exercises, first aid training, camouflage and concealment practice, and team building activities take place on all bivs. However on some bivs more adventurous activities, like abseiling and obstacle courses are involved. All activities are conducted with 305SQN staff and safety personnel supervision. Bivs take place during a weekend with cadets departing on a Friday night and return on the Sunday evening. While walking around during the biv, cadets will need to carry their essential equipment around on them. They ll need to have something to carry their rations, jumper, raincoat, drinking water, and cooking equipment. Most cadets use some form of webbing. Webbing is a belt and harness fitted with pouches used to carry the cadet s equipment. If you are interested is using webbing there is a suggested minimum that you need. This consists of: 1. A webbing belt and comforter, 2. A H harness, 3. 2x 1L water bottles with pouches, 4. A bum bag. There are also a number of extra pouches you may wish to purchase to further enhance your webbing set up. Remember, you can add more pouches later, so you may want to wait until after your first biv! Additional items include, Minimi Pouch Steyer Pouch Included are some pictures of some of the various components that make up webbing and their approximate cost.

8 Webbing Belt and Comforter ($10-15 each): Bum Bag ($25-30): Steyer Pouch ($15-20): Minimi Pouch ($20-25): An assembled set of webbing may look something like this: Depending on your needs for carrying all your equipment, webbing can be expensive and is not a requirement. Many cadets choose to use a backpack instead and that is perfectly fine. You will also need something to bring all of your other belongings with you in. Things like your second set of clothing, sleeping bag, pillow, toiletries etc. Any bag that is big enough will do however you may be required to carry it so make sure it is comfortable. Suitcases are not appropriate for carrying in the bush. Again, camouflage packs are available. Generally a 70 litre pack is a suitable size.

9 You are going to need some cooking equipment so you can cook your rations. At a minimum you will require a Dixie set and hexamine stove with tablets. Hiking stoves are a great alternative to a hexamine stove but are bulkier and more expensive. Don t forget some cutlery! 10 How to Find a Joining Instruction (JI) ANNEX D TO WELCOME PACK Introduction The 305 Squadron website is a useful tool when trying to get up-to-date information and details about upcoming events, the weekly uniform, classes and most importantly, any upcoming activities that you can attend. Upcoming activities can be viewed through a feature in the bottom right hand side of the webpage as shown here: Here, a list will inform you of the different activities that you will need to nominate for.

11 What is a joining instruction? A joining instruction is a formal document, signed off by the CO that informs all nominated cadets within the Squadron the exact details of an activity. These details include, and are not limited to: Timings: (Arrival and departure) Location(s) Required equipment Uniform Emergency contacts etc. These documents are important if you wish to know all about the activity you will be attending. Joining Instructions on the Website You can download updated Joining Instructions or (JI s) from the 305 squadron website. This can be achieved in the following steps: Step 1: When you arrive on the i305 front page, hover your courser over the Resources tab. Here, 5 different options will drop down. Out of these options, click i305 Download Centre. Step 2: When you select the i305 Download Centre you will be sent to a page that looks like this:

12 Out of these options, select the Activity Joining Instructions link. Step 3: After selecting the Activity Joining Instructions you will be directed to this page. As you can see, each activity name is a link to its respective joining instruction. E.g. if you were going to the Avalon Air Show 2015 (first option) you will find the JI by clicking on the name. To download the JI, either select the activity name, or select the small blue arrow in the far right column. Bonus Method Another method to access the joining instruction for an activity is to click the small blue arrow next the activity on the Upcoming Activities feature back on the home page.

13 Notice, that the arrow is not available for the second activity. The arrow will appear once the JI has been uploaded properly. Clicking the arrow will take you straight to the activity joining instruction, where you can download or print it.

14 CadetOne User Guide ANNEX E TO WELCOME PACK Introduction Welcome new recruit to the Australian Air Force Cadets! The AAFC has its own online system called CadetOne (C1), which is used for many functions, including: See your training record and attendance Nominate for camps and activities Printing out a TR66 Parent Consent Form Logging into CadetOne Before we can do any of the above functions, we first need to be able to login to CadetOne. First, open up your Internet Browser and go to You should see a page similar to below: To set up your Initial Password, click on the Request Password Reset link. You will be taken to a page as shown below.

15 To proceed please enter in the details as requested. The Service Number is your Cadet Number (CM3***** for males, CF3***** for females). If you haven t received yours yet, you will soon so don t panic! Once you complete this form and click on Request Password this will send an automatically generated to the address specified on your Cadet Application Form. Once you receive the , please login with the password provided. You should be prompted to change this password. Once you have logged in you will see a page similar to below.

16 Viewing your Details You might want to see your Cadet Service Record at times. This is very simple. Click on the Personnel Tab then My Details Once you are in the My Details page, you will see you have numerous tabs: Personal Details: Just as it sounds. You are able to edit your personal details by clicking on the button Edit Details. Service Details: Here you can see your Cadet History, including Unit Postings and Promotion History. You can also Print Service Transcript by clicking on the button at the bottom. Training: This tab shows the qualifications and completed subjects (with results) during your career with the AAFC. You can also see your Shooting Results at the bottom of the page. Attendance: This tab shows your attendance history. Activities: This tab shows the activities, both local Squadron and Wing activities. Perf Reviews: This tab shows individual performance reviews, but is rarely used.

17 Nominating for a 305 Squadron Activity Most of the fun you have in the AAFC happens on weekends and wing camps. But to be able to be attend these activities, you need to nominate yourself for them! To nominate, click on the Activities Tab in the main menu and select Activity Calendar. Once on the Activity Calendar screen, you will see the following:

18 If you are looking to nominate for an activity from 305 Squadron, the best thing to do is apply a filter to only show the activities from your home squadron. This is done by selecting the third dropdown, and selecting 305SQN, as shown below. Once you have selected 305SQN, you will see a screen as shown below. To nominate for an activity, simply click on the activity name, and click Nominations as shown below. In this example we will be nominating for the Training Weekend 1/15. HANDY TIP If you are looking for an activity that is run by another unit, tick the box only display activities that I am eligible to nominate for instead of applying the filter mentioned above. This filter will show you all activities you are able to nominate for, including both local squadron and wing activities!

19 Click on Nominations. You will see a page similar to below. To nominate, simply click on the button next to Cadet and click Nominate. You will then be notified that your nomination was either successful, or you are on a waiting list. You will also receive an automatically generated advising the same as above. If you are on the Waiting List for the activity, you will be sent an additional if your nomination is successful. How to Nominate for a Wing Activity To nominate for a Wing level activity, the process is very similar to nominating for a 305 Squadron activity. Click on the Activities Tab and select Activity Calendar, and you will see the following screen:

20 Simply click Search. This will show a very large list of all activities that have been entered for both your local Squadron and the wing. You can apply filters (such as date or activity type) by using the filters above. An example of the large list of activities is shown below. The nomination process from this point for a Wing level activity is identical to a local Squadron activity. Simply click on the Activity you want to nominate for, click on Nominations, and nominate for the activity. Most Wing level activities all nominations require endorsement by the Detachment Commander (the person running the activity). This means that your nomination may not be accepted straight away. If you have any questions about nominations or nominating for a Wing level activity, please ask your Section Commander. Printing out a TR66 Parental Consent Form (PCF) For every activity you attend as a cadet, you will be required to print off and complete 2 TR66 s or Parent Consent Forms. Why two? One form is given to the activity staff (often via a nominated Cadet NCO), and the other is kept in the cadet s top pocket in case of emergency, in a zip-lock plastic bag with the cadets Blue Book. If you arrive at an activity without your TR66 s you will not be allowed to participate in the activity. To print your TR66, click on Activities and go to My Activities. For an activity to appear in you're my Activities list, you first must have nominated for it. Once you have found the activity under My Activities, click on it to expand it so you see all the activity info, such as shown below.

21 Click on Parental Consent Form This will download a TR66 Parental Consent Form (PCF) with most of the required information automatically inserted into the document. Print two copies off and complete as required. Remember that ALL fields must contain information for your PCF to be valid. This includes writing Nil in the medical conditions box if none are present, so we are sure that it has been properly filled out. PCFs can also be downloaded from i305 (the 305 Squadron Website) under the Download Centre link.

22 CadetLog User Guide ANNEX F TO WELCOME PACK Introduction to CadetLog CadetLog (C-LOG) is the Logistics system used by the AAFC. Cadets use this system to view the items of clothing issued to them, request new items or exchange items. Logging into C-LOG Go to and you should see a window similar to the one shown below. Enter your Service Number and Password into the appropriate fields at the top, and click Login. Note: these login details are the same as the ones your used to login to CadetOne. If you haven t logged into CadetOne yet, you will need to request your password before using C-LOG. Once successfully logged in, you will see your name at the top right. Note: password changes can take up to 24 hours to come across to C-LOG from CadetOne.

23 Once logged into C-LOG, click on Personal at the top right. Once you click on Personal, you will see a screen similar to below. For more information on the links shown, please see below. Clothing Card These are the items that have been issued to you via your Squadron Supply Officer. This page is displayed by default (as shown above) Transaction History This page shows a history of the items that you have requested or exchanged. Uniform Request This link takes you to the page where you can request new items Exchange Request - This link takes you to the page where you can exchange items. Exchanging Items on C-LOG IMPORTANT POINT Exchange requests are used to swap an item which you have already been issued with a new one. Do not do a Uniform Request when you need to exchange an item! To exchange an item, click on Exchange Request. You will see a list of the items which you have been issued. Scroll down the list to find the item you wish to exchange, and adjust the Exchange Qty to show how many of the item you wish to exchange. E.G. you might only need to exchange 1 shirt if one got damaged, or you might need to exchange all of them if they no longer fit.

24 Once you have updated the required quantities, click Begin Exchange Request at the bottom of the page. Remember: you can do multiple exchanges at once. You don t need to submit individual exchanges for each item. Once you have selected Begin Exchange Request you will see a screen similar to the one below. Make sure that you select a reason why you need to exchange this item, and press Update. Once you have selected a reason, press Submit Exchange Request You will be taken back to your C-LOG Home screen, and see your Exchange Request pending approval. This request then goes to your Squadron Supply Officer (SSO) to review this request. If it is approved a new item will be issued when you return the faulty item. Requesting a New Item If you need to request a new item, the process is very similar to an Exchange Request. When in the main C-LOG screen, simply click on Uniform Request in the menu on the left hand side. Once you click on Uniform Request you will see the following page.

25 IMPORTANT POINT AFB is short for Air Force Blue. Also, where you have an option for Lightweight or Heavyweight clothing, please make sure you select Heavyweight. Lightweight is only available to units located in the Tropics. The first thing you need to do is select the Uniform Type. This is a drop down box. In this example we will request a new pair of 80R Men s Service Dress (SD) Trousers. We select SD Mens from the Uniform Type drop down. This then allows us to further refine our request in the Description drop down. Then we select Trousers Mens AFB Heavyweight. Select the correct size. This request we will choose 80R. We only want one pair, and the reason is Initial Issue. This will look as shown below: Click on Send Request to submit the request. After pressing the Send Request button, you will see the following screen: This request now goes to the SSO for approval. If the items are not in stock at the local squadron, the SSO will request these items from the 3 Wing Logistics Flight (3WG LOGFLT) based at RAAF Richmond. If you have any questions about using C-LOG or clothing items, please see your Squadron Supply Officer, or ask your Section Commander.

26 305SQN SI(ADMIN) 2-1 Amendment List DROP OFF & PICK UP PROCEDURE Amendment Comment Date Authority AL-00 Initial Issue 17 Feb 16 CO305SQN INTRODUCTION 1. No. 305 Squadron is based at an active ADF establishment the Dee Why MUD. With the Defence Security Alert System currently set at SAFEBASE CHARLIE, a number of procedures have been implemented to ensure the safety of cadets and staff inside the depot. AIM 2. The aim of this instruction is to outline the process to be followed by members and families when arranging transport to and/or from the Dee Why MUD. AUTHORITY 3. The authority for the issue of this instruction is the Commanding Officer, No. 305 Squadron, Australian Air Force Cadets (CO 305SQN). SCOPE 4. This instruction applies to all cadets posted to No. 305 Squadron. GATE OPENING TIMES SQN is required to keep the main access gate to Dee Why MUD locked at all times. At the beginning and conclusion of Thursday parade nights, the gate will be opened for no longer than 30 minutes to allow the drop off and collection of cadets to the Squadron. Gates will operate within the following timings for a typical Thursday parade night. a. Drop-off: 1800 Hours (6:00pm) 1830 Hours (6:30pm) b. Pick-up: 2120 Hours (9:20pm) 2145 Hours (9:45pm) 6. To minimise disruption to Squadron operations, cadets must arrive and depart the MUD during these times. Should a member require the gate to be opened outside of these times due to running late, they must ring the 305SQN Duty Officer upon arrival. The 305SQN Duty Officer s number will be displayed on the locked gate. 7. AAFC Members should not attempt to use the intercom, nor ring the Duty Officer number posted on the gate (the non-305sqn sign) as these lines of communication will reach Army personnel who will be unable to assist.

27 8. Queuing in the driveway in the lead up to the MUD gate is not permitted. To avoid this, cadets should not arrive at the MUD prior to the gate opening time. 9. Gate opening times for activities which require access to the MUD will be identified in the relevant activity Joining Instruction (JI). CARPARK PROCEDURE 10. Traffic Marshals will be posted to the main access gate, who will manage traffic on base. Upon arrival, cadets will be required to verify their ID with the marshal on the gate. Cadets who fail to produce their AAFC ID Card will be instructed to sign in with the Duty Sergeant. 11. After access is granted by the traffic marshals, drivers are asked to drop-off all cadets and leave the base as safely and efficiently as possible to prevent a back log of traffic. 12. Refer to Annex A for a diagram of the drop-off system, where the red line indicates the route parents should follow when dropping off their cadet(s). Parking is permitted in the designated areas if required. The orange line on the diagram indicates the area which will be marked with witches hats. 13. When returning to the MUD to pick-up cadets, parents should park in the blue areas indicated in diagram in Annex A and wait for their cadet to approach the vehicle. 14. For safety, all drivers are required to obey the instructions of traffic marshals at all times. Traffic marshals can be identified by yellow safety vests and red light batons. CADETS SELF-DRIVING 15. Cadets who hold their provisional driver s license may be permitted to drive themselves and other Squadron members to parade nights or the commencement of an activity. 16. Any cadet who wishes to self-drive must have the permission of their parents (if under 18) and have approval from the CO. Any cadet must have received parental and CO approval via the approval form at Annex B prior to driving to a 305SQN parade night or activity. 17. Parking for cadets is available in the designated carpark outside the 2/17 RNSWR building. CAR POOLING SQN encourages carpooling between families who live within a similar area of each other. For privacy reasons, the Squadron does not disclose the residential address of members. As such any carpooling will need to be initiated amongst families themselves.

28 19. Any cadet under the age of 18 traveling to and from a parade night or activity not under the supervision of their parent or guardian must have written permission from their parent/guardian and the CO. This can be obtained using the form on the next page. This approval lasts until withdrawn by either the parent/guardian or CO and is valid for travel under the supervision of the adult named on that form only. Multiple forms may be submitted if carpooling with multiple families. 20. The form on the next page should also be used for any cadet wishing to travel with a cadet on their provisional license who is self-driving. Sponsor SQNXI 305SQN BASE ACCESS DIAGRAM
