1 Friends of Community High School District 218 Education Foundation Meeting Minutes Thursday, January 15, :30 PM The meeting was called to order by Karen Burmeister at 6:40 with the Pledge of Allegiance. Trustees Present: John Byrne Karen Burmeister Lori Chesna Kevin Hudson (arrived at 6:45 p.m.) Gail O Dea Trustees Absent: Steve Dadonna Larry Garetto Jeannette Huber Kathy Lachowicz Joe Skibinski Tammy Schwartzkopf Also in attendance: Ty Harting and Dr. Gary Rauch Minutes of the October 17, 2014 Meeting Dr. Byrne motioned to approve the minutes of the October 17, 2014 meeting, seconded by Lori Chesna and approved unanimously. Update on Dollars for 218 Gail O Dea did not have the current dollar amount but will get that figure from the Payroll Department and forward to the Trustees in an . Eat and Earn Update There was nothing to report. It was the consensus of those in attendance that we would like to continue and will discuss at future meetings the number of times a year and where. Participation in the Teacher Fair Dr. Harting addressed the group stating that the event went well and that we will be participating in the event every other year. It was further noted by Mrs. Burmeister that the Foundation s presence did promote the Dollars for 218 program. We will continue to participate.

2 AE for Next Year It was noted that the AE for next year will be April 11, 2015 and it will be held at Richards. Mrs. Burmeister noted that Paula has agreed to help organize this event again this year. Mailings will go out and Mr. Garetto has agreed to purchase all of the food for as long as we have this annual event. Karen further stated that she reached out for the Sky Deck tickets from the Willis Tower and they have already responded and will be forwarding the tickets. Participation at the College Fair Mr. Hudson stated that he was in attendance and that it was well attended. The Foundation will continue to participate. Treasurer s Report Mr. Hudson addressed the group stating that there is not much to report. We are in good financial shape with a current balance $51,000. Our pass-through donations total $93,000. Approval of Payables There were no payables to approve. Election of Officers This item was tabled. Meeting Dates for 2015 A listing of the meeting dates for 2015 was presented for approval. Discussion continued and the only change was to move the meeting to Harold L. Richards in March which would be prior to the AE. We will meet at Alan B. Shepard at the April 16 meeting. The Trustees approved unanimously. published per the Open Meetings Act. Gail O Dea stated that this list will be posted and Items for Future Meetings Approval of Minutes Eat and Earn Discussion Discussion AE for next year, April 11, 2015 Discussion on the Golf Outing Treasurer s Report Approval of Payables Election of Officers Comments Mr. Hudson stated that Chipoletes Mexican Restaurant is his favorite restaurant and he will stop by and get the details for a possible Eat and Earn.

3 At this time, Karen Burmeister presented Gail O Dea who is retiring shortly with a bouquet of flowers and a thank you for her services as secretary. Trustees Present: Trustees Absent: John Byrne Karen Burmeister Lori Chesna Jeannette Huber Kevin Hudson Steve Dadonna Larry Garetto Joe Skibinski Also in attendance: Karen Hill, Mike Ryan, Joe Daley, Ty Harting and John Hallberg Minutes of the January 15, 2015 Meeting Lori Chesna motioned to approve the minutes of the January 15, 2015 meeting, seconded by Jeanette Huber and approved unanimously. Eat and Earn Update Kevin Hudson will inquire at Chiptole in Crestwood to setup the next fundraiser. AE for This Year It was noted that the AE will be April 11, 2015 from 5:00-9:00 pm at Richards. Karen Burmeister gave a status update; donations are coming in slowly, if anyone knows any businesses that could donate please reach out to them. Any volunteers who would like to help the day of the extravaganza please arrive by 3:30. Volunteers are also encouraged to help setup on Friday too. For the first time this year, students prints will be available for sale, the students will receive 80% of the sale and 20% will go to the foundation. It was encouraged a map and timeline of events for the days event be available. Golf Outing The annual golf outing will be held on Monday, June 1 st at Odyssey Golf course. It is suggested the 2016 golf outing be the 2 nd week of June next year to prevent a conflict if school closes due to weather conditions. Treasurer s Report Kevin Hudson reported there is not much to report. March is the 6 th anniversary of the Foundation establishment, $154,000 have been raised so far. The Arts Extravaganza raised $5,700 last year. Jeanette Huber motioned to approve the treasurer report, second by Lori Chesna and approved unanimously. Approval of Payables There were no payables to approve.

5 Election of Officers We need to recruit more individuals before election officers can take place. Ideally we should have trustees; it s a 10 month commitment with 1 hour meetings a month. It is encouraged to enlist a trustee representative from each building. Ty will discuss this further at the next education committee meeting. The hope for the future is to assign the fundraising activities (AE, golf outing, etc.) to each building and have smaller committees organize those events. More information will be forthcoming. This will be tabled until next month. May Foundation Meeting Date Change Due to the service recognition dinner being held on Thursday, May 14 it has been requested the May Education Foundation meeting move to Wednesday, May 13. Mini Grants Mike Ryan circulated the 11 mini grant submissions for review. Lori Chesna motioned to approve all mini grant submissions, seconded by Jeanette Huber and approved unanimously. Scholarships to Graduates Jeanette Huber made a motion to award $10,500 (10-$250 at ABS, HLR & DDE each and 6-$250 at Delta & Summit each) in scholarships to graduates, seconded by Ty Harting and approved unanimously. Harold L. Richards Tues, 5/12 Kevin Hudson will represent the Foundation Dwight D. Eisenhower Wed, 4/29 Karen Burmeister will represent the Foundation Alan B. Shepard Thurs, 4/30 Jeanette Huber will represent the Foundation Delta/Summit TBD Lori Chesna will represent the Foundation Resignation of Tammy Schwartzkopf Karen Burmeister read a letter of resignation submitted by Tammy Schwartzkopf. Eat and Earn Update Kevin Hudson did not have an opportunity to inquire at Chipotle in Crestwood yet, but he will soon. Dr. Josh Barron informed the group the new Jersey Mike s opening in Palos is offering to donate $1.00 per sandwich at their grand opening, Shepard will be donating all funds earned to the Foundation. Josh will speak with the Jersey Mike s owner and he may attend the next Foundation meeting to provide further information on other fundraising opportunities. It was communicated the eat and earn fundraisers should happen quarterly if possible. Update on Dollars for 218 Karen Burmeister reported the current amount is $ Update on Golf Outing Karen Burmeister reviewed recent donations and the hole sponsorships that have been received. The golf flyer was mailed to the districts account payables mailing list last month and Paula will mail it to the Foundation list soon. The next step is to distribute the flyer to new businesses and select the golf give away. Jeanette Huber will inquire about shirt prices. Discussion continued about purchasing sponsorship flags on the golf course. Josh Barron will speak with the Jersey Mike owner to inquire about providing coupons for the golf bags.

7 AE Recap The AE was held on 4/11/15, Karen Burmeister reported attendance was not as high in previous years. Reasons could be Karen Burmeisters reported the AE event went very well and things ran smoothly. However, attendance seemed down from years past, could be due to Shepard s music booster having duel engagements that day. The AE raised approximately $3,300, which is down from previous years. Discussion continued on ways to promote awareness and attendance for next year. It was recommended that a ROTC performance be included in the AE for next year. It was suggested a t-shirt be created (hold a contest for students to enter their best logo ideas for the AE) for performers to each receive and sell at the event too. Karen Burmeister reported all thank yous are done and being sent this week. Treasurer s Report Kevin Hudson reported the Foundation hit the $50,000 mark for awarding teacher grants which is something to celebrate. Lori Chesna motioned to approve the treasurer report, second by Jeanette Huber and approved unanimously. Approval of Payables There were no payables to approve. Election of Officers There is a need to push for more trustees (ideal number is 10-13) and parent involvement. The foundation involvement conversation will continue at next week s Education Committee meeting. Ty Harting will report back next month. It is encouraged to recruit foundation participation during school registration in August. It is recommended to remove Steve Dadonna and Joe Skibinski from the trustee list due to their lack of attendance. Future officer elections will occur in the coming months. Flow-Throughs There has been some concern the amount of flow-through donations the Foundation permits. Ilsa Richardella is requesting guidelines for what donations are allowed to flow-through the foundation. Karen Hill will look for the previous year s guidelines that Gail O Dea created and to the group to review and update if necessary. Review Scholarship Presentation Dates The scholarship dates were recapped: Shepard - 5/7 at 6:00 pm (Jeanette Huber) Eisenhower - 4/29 at 7:00 pm (Karen Burmeister) Richards 5/12 at 7:00 pm (Kevin Hudson) Delta 5/19 at 11:30 am (Lori Chesna) Summit 5/18 at 11:30 am (Lori Chesna)

Trustees Present: Trustees Absent: John Byrne Karen Burmeister Kevin Hudson Lori Chesna Jeannette Huber Steve Dadonna Larry Garetto Joe Skibinski Also in attendance: Karen Hill, Mike Ryan, Joe Daley, Ty Harting, Bob McParland and Gary Rauch Minutes of the April 19, 2015 Meeting Kevin Hudson motioned to approve the minutes of the April 19, 2015 meeting, seconded by Karen Burmeister and approved unanimously. Eat and Earn Update Kevin Hudson reported Chipotle in Crestwood requires 6-8 weeks notice and an online application to be completed for the eat and earn fundraiser. The event has to take place on a Monday, Tuesday or Wednesday during a 3-4 hour window and the foundation will receive 50% of the sales. The recommendation is to schedule this event on Tuesday, 9/8 at multiple Chipotle locations. Kevin Hudson will go to the Oak Lawn location to inquire if they can participate. Karen Burmeister reported the Jersey Mike s fundraiser raised approximately $2,000. Update on Golf Outing Karen Burmeister reported as of today there are 14 hole sponsors. The sign up/registration is going well so far. Paula Aggelopoulos has requested someone else take over golf registration in the future. The golf shirts have been ordered from Marathon, golf balls have been purchased and the golf flags should arrive soon. The baskets and raffles prizes are coming along. Karen Burmeister requested an advancement of $1,000 for golf outing items. Treasurer s Report Kevin Hudson noticed more pass through donations recently which is positive. The treasurer report was approved unanimously. Approval of Payables There were no payables to approve.

10 Education Committee Meeting Follow Up Dr. Ty Harting reported the response was well received at the Education Committee meeting. The next step is to attend the building meetings at the start of the school year to promote the foundation and recruit trustees; the hope is to recruit 12 trustee members. It was also encouraged to reach out to surrounding districts (Lincolnway) for additional ways to increase membership. Two parents have expressed interest Parveesh Sarin-Sweis (HLR) and Ennis Shells (DDE); the Foundation will reach out to these individuals in the fall. It is recommended to provide a shirt as a token of appreciation for volunteering to the Education Foundation. Discussion continued about the Education Foundation website and assigning an individual to be the webmaster on behalf of the Foundation. More information will be forthcoming. Eat and Earn Update Kevin Hudson met with Chipotle in Oak Lawn there will be a dual Fundraiser with the Crestwood Chipotle on Thursday, 9/8 from 5:00-8:00pm. Kevin will ensure the flyers are ready for distribution during registration time in early August. Karen Burmeister informed the group that the Jersey Mike fundraiser approximately $700 not $2,000 like reported last month. Recap on Golf Outing Karen Burmeister reported the outing went very well, weather was ideal. There were 19 hole sponsors and 44 raffle prizes. She is still working on the final financial numbers; the Foundation may raise approximately $14,000. Dr. Mike Ryan and Karen Burmeister will review the calendar to select the date for next year; at first glance, Monday, 6/6 is looking like an ideal date. Dr. Ryan also suggested recruiting additional golfers for next year, the course can host an additional 40 golfers. Dr. Harting suggested smaller gifts could be selected while individuals are golfing vs. waiting until after dinner to be conscientious of time. Treasurer s Report Kevin Hudson gave a recap of the financials from May. Karen Burmeister motioned to approve the treasurers report as presented, seconded by Lori Chesna and approved unanimously.

12 Health Fair The Health Fair will take place at Shepard, Friday, 8/7 from 11:00-2:00pm. Karen Burmeister will request the Alsip Park District, Southwest Special Recreation (SWSR) and The Education Foundation tables be arranged next to one another so Lori & Jeanette can man the Foundation table. Last year the Foundation raffled off a Fitbit, the consensus is to allocate $ to purchase a Fitbit once again. Lori will work with Jeanette to handle the specific details. Bob McParland, will place an Education Foundation advertisement in the Health Fair book Items for Future Meetings Approval of Minutes Treasurer s Report Eat & Earn Lincolnway Follow Up Foundation member recruitment (see comments below) Establish subcommittees for parent volunteers Education Foundation Social Reception Frequently Asked Question Sheet Comments It is suggested we reach out to Lincolnway to get their perspective and views on how their foundation is maintained. Mr. Shells suggested focusing on incoming freshman and their families. The Foundation needs to reach out to other parent groups at the building at the beginning of the school year to recruit volunteers. The focus for the fall needs to be on trustee recruitment followed by volunteers. It was recommended to host an Education Foundation social reception to invite parent groups to get involved and active within the organization. There is no meeting in the month of July. The next scheduled meeting is Thursday, 8/20 at 6:30 p.m. at the central administrative building. At 7:25 p.m. Karen Burmeister moved, seconded by Kevin Hudson to adjourn the meeting. Eat and Earn Update Kevin Hudson has not received a formal Chipotle flyer for the fundraiser yet, he will follow up this week. The eat and earn event is scheduled for Tuesday, 9/8 from 5:00-8:00pm. We will not advertise this event until the flyer from Chipotle is provided to us. Flyers will be distributed at the Meet the teacher night on Thursday, 8/28. Recap on Health Fair Jeanette Huber provided a recap of the day s event; it was a positive event, with a lot of activities. MaLinda Majoch noted attendance was a little down, due to alternative health care options for families. The next step is to follow up with individuals who signed up on the volunteer sheet. Treasurer s Report Kevin Hudson gave a recap of the financials from June. It was decided that Richards will manage the Matt Gavin scholarships going forward, and the money will continue flow through the foundation. Jeanette Huber motioned to approve the treasurers report as presented, seconded by Karen Burmeister and approved unanimously. Lincolnway Follow Up Dr. Harting spoke with Linda Lopez from Lincolnway and reported they currently have 26 trustees and has raised approximately four million dollars over 20 years. Their school district employs a Director and an administrative assistant to oversee their foundation. Dr. Harting will follow up to arrange a meeting with Ms. Lopez and some of our trustees. Foundation Member Recruitment

14 Dr. Harting will speak with principals concerning parent outreach and invite them to the September meeting. Jeanette will follow up with the volunteer sign ups. Establish Subcommittee for Parent Volunteers More discussion on this topic will continue after the meeting with the Lincolnway representative. Education Foundation Social Reception This type of event should take place in October or November. Frequently Asked Question Sheet We will review the Lincolnway FAQ if one is available. Other Trustee Lori Chesna s husband had a massive stroke 2 weeks ago. He has a long road to recovery ahead of him, please keep Lori and her family in your prayers.
