1 PROMOS - Programme to increase the mobility of students from German universities Information on application and funding 2019 for students of the TU Ilmenau Application deadlines: January 15, 2019 and June 15, 2019 The TU Ilmenau awards scholarships for study-related stays abroad for students. Funding is provided by the PROMOS programme of the German Academic Exchange Service (DAAD), which is provided by the Federal Ministry of Education and Research (BMBF). The scholarships are awarded in a quality-oriented and performance-related selection process. 2 Prerequisite for funding: You must be enrolled at the TU Ilmenau in a full-time course of studies and still have some examination work to do. The International Office must be in possession of a current certificate of enrolment for the entire duration of your stay abroad. Any change in student status must be reported. Target group: Regularly enrolled students and doctoral students at German universities can apply if they: - have German citizenship, or - are treated in the same way as Germans pursuant to section 8 (1)(2) et seq., (2), (2a) and (3) BAföG (in this context the wording of the Act applies, which can be found at: or - as non-german students and university graduates, are enrolled in a course of study at a German university with the aim of obtaining a degree at a German university or a doctorate at a German university. Non-German nationals are not allowed to stay in their home country. The home country is the country in which the student/doctoral student has mainly been staying for at least five years. Doctoral students may not be supported during study visits or internships. Support measures: A grant may only be awarded if there is no travel warning from the Federal Foreign Office for the country or region in question during the grant period specified in the grant agreement. If the Federal Foreign Office has issued a travel warning for the country or region in question, the university may not conclude/issue a scholarship agreement. If the Federal Foreign Office issues a travel warning after the start of the stay, the scholarship holders must be requested by the university to leave the country. Study visits (1 to 6 months) Study stays at foreign universities can be funded for a duration of at least one month to six months with monthly partial scholarship instalments and/or flat-rate travel allowances. Doctoral students cannot be funded under this programme. Study stays can also include stays to prepare final theses (also in companies) and student research projects (project work). Tuition fees cannot be covered. Support for study visits for the purpose of studying in the Erasmus+ region is only possible in exceptional cases. PROMOS scholarship holders who complete a study visit are obliged to submit a Learning Agreement confirmed by the TU Ilmenau and the host institution. Confirmation of the host institution for a study stay (if already available) Learning Agreement (at least confirmed by TU Ilmenau) Internships (6 weeks to 6 months) Internships of at least six weeks to six months can be funded worldwide with monthly partial scholarship instalments and/or flat-rate travel allowances. Support for internships in the Erasmus+ region is only possible in exceptional cases. For all internships, a confirmation from the employer is required. Doctoral students cannot be funded under this programme. Internships that can be funded through the DAAD's specific internship programmes may not be funded in PROMOS. 3 Confirmation by the foreign institution of the exact period and content of the internship (copy of the internship contract, if already available) Certificate of the Department Specialised language courses (3 weeks to 6 months) Stays for language courses can be funded with a duration of at least three weeks to six months with monthly partial scholarship payments and/or travel allowances and/or a one-off flat-rate course fee worldwide. Courses at universities or established language institutes abroad are eligible for funding. In principle, only language courses with at least 25 hours per week can be funded. Basic knowledge of the foreign language is required. Language courses in Russian, Spanish, Portuguese and Chinese are preferred. (All languages except English). Host organisation's acceptance of the language course with details of its nature, duration, content, fees and conditions of participation Specialised courses (up to 6 weeks) Stays for specialist courses lasting up to six weeks can be funded worldwide with monthly partial scholarship instalments and/or flat-rate travel allowances and/or a one-off flat-rate course fee. Specialist courses are, for example, summer courses/schools or workshops at foreign universities. Lecture and congress trips cannot be sponsored. Acceptance of the host institution for the specialised course with details on type, duration, content, fees and conditions of participation Certificate of the Department Study trips (up to 12 days) University teachers, academic staff and senior administrative staff are eligible to apply. Study trips can be funded with a duration of up to twelve days. In addition to imparting subject-related knowledge and gaining an insight into the host country, the focus must be on meeting foreign students and academics in the host country. Travel with a predominantly tourist programme cannot be sponsored. For study trips, students receive a lump sum per participant and day as a subsidy for living expenses. It is EUR 30 for the EU countries, Norway, Iceland, Liechtenstein and Turkey and EUR 45 for the other countries. Confirmation of the host institution with more detailed information of type, duration and content Competition trips (up to 12 days) Student initiatives and associations are eligible to apply. 4 Travel lasting up to twelve days to participate in international student competitions abroad, e.g. programming world championships or EU simulation events, can be sponsored. For competition trips, students receive a lump sum per participant and day as a subsidy for living expenses. It is EUR 30 for the EU countries, Norway, Iceland, Liechtenstein and Turkey and EUR 45 for the other countries. Informal request List of participants with details of the degree programme, the level of study and the address Confirmation of the host institution with more detailed information on type, duration and content Application: Fill out the application form in the online database and upload a current certificate of enrolment from TU Ilmenau. After you have printed out and signed the application form, please submit the complete application documents without staples, transparencies or application folders. Please note the selection criteria (see Selection), all will be evaluated Applications should be sent to: Technische Universität Ilmenau International office Mrs. Schmolinsky PF Ilmenau or for drop-off to Mrs Schmolinsky in House G, room 1310 Selection: A selection commission consisting of employees of the TU Ilmenau International School and a representative of one of the five departments of the university decides on the applications according to the files. Selection criteria are: 1. Academic achievements (grade- Ø) - 60% 2. Motivation and professional relevance to the course of study - 20%. 3. university, non-university commitment 13% 4. Language skills of the teaching/working language - 7%. For criteria 2 to 4, marks are awarded in 0.5 steps on a scale from 0.5 to 5 (0.5 = excellent, 5 = unsatisfactory). From the scores of the selection criteria 1 to 4, the average is calculated according to the percentages listed above and the points achieved are calculated for the ranking. The selection results are expected to be announced in early March and early August. Each applicant will receive information by . Grant approval: Once the scholarship has been approved by , the grant documents are prepared. Scholarship holders receive a scholarship certificate, an approval letter and a scholarship agreement. This agreement must be signed by the scholarship holder before payment of the awarded benefits is possible. Learning Agreement: Before filling out the form, you should clarify with the responsible lecturers at TU Ilmenau and your examination office which courses you can have recognised as equivalent! PROMOS scholarship holders who complete a study visit are obliged to submit a Learning Agreement confirmed by the TU Ilmenau and the host institution. For the application at least the signature of the responsible examination office of the TU Ilmenau must be available. Certificate Internship: If you are doing a compulsory internship, you must register with the responsible examination office using a form. Please enclose a copy of your application. 5 In the case of an additional internship, you will request an informal confirmation from a professor of your department that this internship is a useful addition to your studies. Certificate Specialized course: When participating in a specialised course, a certificate from the faculty must be submitted that participation in the specialised course is a useful addition to the course of study. A Learning Agreement confirmed by both institutions can also be submitted. Proof of appropriate language skills: An official certificate or the DAAD form can be used as proof of language skills. You can add your details to this certificate in the upper section and have it confirmed by our Language Institute. See document: "DAAD Language Certificate". It is also possible to refer to the "Certificate of all academic and examination achievements", if applicable. The proof must not be older than 2 years. Transcript of Records: At the end of your stay abroad, your host institution will send you a Transcript of Records listing all the courses or language or specialised courses you have attended with an assessment of your performance. You must submit a copy of this to the International Office of the TU Ilmenau. If you have completed an internship, you must submit a confirmation from the company about the content, the exact dates of your stay and a brief assessment. Recognition of academic achievements: The prerequisite for the recognition of study achievements abroad is the conclusion of a Learning Agreement BEFORE the start of the stay abroad. After the end of the stay abroad, an application can be made to the examination board of the department for recognition of study achievements abroad. In addition to the Learning Agreement, a Transcript of Records issued by the host institution must also be submitted. Please contact your examination office to find out whether an informal application is sufficient or whether a form must be completed. All examination achievements abroad can be recognized, it is to be examined whether as equivalence or as additional achievement. Additional achievements are listed separately on the certificate of achievement or in the certificate of completion and have no effect on the credit points to be earned during your studies or the average grade. Funding rates: The funding rates are based exclusively on the DAAD partial scholarship rates, the DAAD flat-rate travel allowances, the subsidy for living expenses and the flat rate for course fees (one-off 500 ). All funding rates cannot be changed in their amount. In principle, funding for half a month is possible provided that the respective minimum funding period is observed. An overview can be found in the document "2019-Fördersätze_PROMOS". It is possible to award individual grants as well as partial funding for the stay abroad (e.g. actual stay six months, funding in PROMOS four months). Applications for activities already started: If the application has been submitted completely and in due time, funding will not be possible retroactively but at the earliest from the date of application deadline with DAAD partial scholarship rates. Combination regulations with other funding: 1. PROMOS and PROMOS In principle, PROMOS scholarships can be combined with each other, but the total funding period within a study period (which ends with the completion of the Bachelor's, Master's, Diplom, Magister, Staatsexamen, etc.) cannot exceed 6 months. 6 2. Erasmus+ and PROMOS Erasmus+ and PROMOS grants cannot be obtained at the same time. 3. BAföG grants and PROMOS Students who apply for BAföG abroad must submit the PROMOS grant to the responsible office for BAföG. 4. DAAD Individual Scholarships and PROMOS DAAD Individual Scholarships and PROMOS Scholarships may not be used at the same time. 5. Germany s Scholarship and PROMOS The Germany s Scholarship ("Deutschlandstipendium") and the PROMOS grants can be obtained simultaneously without restriction. 6. German Public Scholarships and PROMOS Scholarships Double funding from German public funds is not eligible for funding. If stays abroad are supported by German public funds, the purpose pursued is decisive. This means that PROMOS funding is not possible if the same purpose is already being pursued with German public funds. You must report PROMOS funding to other public German scholarship providers. Reporting obligation: If you have also applied to other institutions, organisations, foundations, etc. for a grant for your stay abroad, you are obliged to report the PROMOS grant. It is also your duty to inform us immediately as soon as you receive a financial contribution for your stay abroad from other donors by sending us a copy of the confirmation. A possible double funding can have legal consequences. Erasmus+ countries: Austria, Belgium, Bulgaria, Croatia, Cyprus, the Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Iceland, Ireland, Italy, Latvia, Liechtenstein, Lithuania, Luxembourg, Malta, the Former Yugoslav Republic of Macedonia, the Netherlands, Norway, Poland, Portugal, Romania, Slovakia, Slovenia, Spain, Sweden, Turkey and the United Kingdom. Legal entitlement to funding: There is no legal entitlement to funding and can therefore not be asserted against TU Ilmenau. Status of PROMOS scholarship holders: All PROMOS scholarship holders are also DAAD scholarship holders. Admission to the DAAD Alumni Database is only possible if the scholarship period exceeds 92 days. Tuition fees: The TU Ilmenau does not grant tuition fees from the PROMOS funds made available by the DAAD. Prolongation: A prolongation of the scholarship beyond 6 months is not possible. Insurances: The granting of a PROMOS scholarship does not imply any insurance cover. Neither the DAAD nor the TU Ilmenau are liable for damages resulting from illness, death, accident, personal injury, loss of or damage to property in connection with PROMOS funded stays abroad. You must have sufficient insurance cover (health insurance, possibly also liability and accident insurance) for the host country. Search the Internet. There are many providers and comparison portals.
