1 CALL FOR APPLICATIONS FOR ERASMUS+ KA103 MOBILITY STUDIES FOR PhD STUDENTS IN THE COUNTRIES PERTAINING THE PROGRAMME ACADEMIC YEAR 2018/2019 We present the call for applications for Erasmus+ KA103 studies for mobility for PhD students in the countries of the programme for the academic year 2018/ General information The Erasmus+ programme forms part of the Europe 2020 strategy and the Rethinking Education strategy and covers all the initiatives for education, training, youth and sport. In terms of education it includes all levels: school, professional training, higher education and adult education and training. Action 1 in the Erasmus+ programme includes mobility PhD students from the higher education institutions in the 28 member states of the European Union, the countries of the European Economic Area (Iceland, Lichtenstein and Norway), Turkey and the Republic of Macedonia. Switzerland is outside the Erasmus+ programme. To request help within the Swiss- European Mobility Program, it is required to contact the Office of International Relations of the Swiss University of Destiny directly. There is more information at this link: This call for applications aims to promote the Erasmus+ programme among PhD students at the UAB. The Erasmus+ programme enables posterior recognition of courses taken abroad. This recognition is in accordance with the learning agreement that the PhD students has made with the coordinator of the PhD programme before leaving. PhD students pay the fees to the university of origin and have free registration at the host institution, where they have the right to the same services as local PhD students, in the same conditions. The host university must make the necessary information available about the stay, the accommodation options and the registration procedure. The fact of undertaking an exchange visit to the destination university does not give the automatic right to obtain the qualification from that university. The award of places at the destinations of this competition does not necessarily imply the granting of financial assistance. 1

Requirements To do an Erasmus+ exchange stay students must have nationality, permanent or temporary residence, or refugee or stateless status in one of the states participating in the Erasmus+ programme (see the list in the general information section). Students must be registered on a PhD programme at the UAB during the 2018/19. Students must not have previously done exchange visits with thin modalities of Erasmus+ studies or work experience at PhD level of a period of more than 9 months, given that according to the Erasmus+ visit calculator students may spend a maximum of 12 months per educational cycle on the Erasmus+ programme. Visits to Switzerland are not included in this restriction. The PhD programme on which students are registered must have an exchange agreement with the corresponding exchange programme and also have the approval or the coordinator of the PhD programme. Where there is no valid agreement at the university where the student wants to do the exchange visit, a new agreement may be signed as long as this occurs before the visit takes place. The partner higher education institutions must agree on the learning agreement for studies that the PhD students have to follow before the exchange visit takes place. Students must have the agreement of the supervisor or tutor and the coordinator of the PhD programme that the work plan is fitting for the lines of research of the PhD programme. Student must commit themselves to applying for the International Doctoral Research Component. Proof of having medical and civil responsibility insurance is required. 3. Selection criteria Priority criteria for PhD students, ordered from greater to lesser weighting: Not having undertaken other exchange visit of more than 3 months in international centre during the period of the PhD programme. o Not having undertaken visits of more than 3 months: 8 points. o Have undertaken visits of more than 3 months: 0 punts. Academic year for PhD students: o Second and third year PhD students during the academic year: 5 points. o First year PhD students: 2.5 points. o PhD students in the first extension year: 1 point. 2

3 In the case of equal points being awarded the PhD student s academic activities will be taken into account (participation in conferences, articles, etc.). For the consideration of applications and the award of mobility exchange visits a Selection Committee will be set up made up of the Vice Rector for International Relations and Transfer and the academic secretary of the School for Doctoral Studies, or their representatives. 4. Exchange visit periods The minimum period will be 3 months and up to 12 months for each cycle of studies may be taken. The visits may be taken during the 2018/19 academic year. 5. Submission of applications To apply for a place on the Erasmus+ programme please fill in the electronic application form which you will find at: The electronic application will be available during the periods specified at section 9 (Call for applications calendar). Once you have completed your electronic application you must present the following documents at the School for Doctoral Studies, personally or by (at Documents justifying the participation requirements and the selection criteria: o Letter of commitment by the PhD student that they will apply for the International Doctoral Research Component. o Work plan in with the agreement of the supervisor or tutor and the agreement of the coordinator of the PhD programme. Letter of invitation (this may be in the form of an ) or learning agreement indicating the work plan and the approximate dates of the visit. Curriculum vitae including the academic background of the student (participation in congresses, articles, etc ). Each PhD student may only submit one application to this competition. The personal information of the PhD students will from part of a UAB file with the aim of managing the processes for awarding financial assistance for mobility and exchange. In accordance with Organic Law 15/1999 on the protection of personal data, PhD students have the right to revoke consent at any time as well as exercise their right to access, rectification, cancellation and opposition of their data being held by the UAB. 3

Acceptance or rejection of places The Office of the Vice Rector for International Relations will make the decision on the award of places and financial assistance and the waiting list public in accordance with the decisions of the Selection Committee. The final allocation of places will always be dependent on the acceptance of the destination university. PhD students who have been awarded a place must formally accept or reject the offer within the deadlines and using the required format for the competition. PhD students who do not expressly accept the offer of a place will automatically be assumed to have rejected that offer. PhD students who reject the offer of a place later than the deadline will have to set out in writing the reasons for the rejection at the School for Doctoral Studies. The PhD programme coordinator will decide whether the rejection is justified or not. Non-justified rejections, or non-compliance with the requirements demanded on the part of the PhD student at any time during the process will be penalised by future applications for exchange visits being relegated to last place in the list of selected students. The award of a place does not necessarily imply the granting of financial assistance. 7. Financial assistance The SEPIE (Spanish Service for the Internationalisation of Education) is the entity that distributes funds from the European Union destined to provide financial assistance to PhD participants in the Erasmus+ programme. The grants will be awarded in line with the same criteria used in the selection process until the totality of the funding is exhausted. It can be financed up to a maximum of 5 months per stay. In case of availability of funds, the possibility of financing the totality or part of the stay that exceeds the 5 months will be evaluated. PhD students receiving financial assistance from the Erasmus+ programme will receive the funds by bank transfer in two payments: the first for approximately 70% of the total after they leave Spain. To receive the first payment students must have submitted the original signed subvention agreement and filled in their bank details on Sigma, have taken the initial language level test (see the OLS section) and submitted their arrival certificate. All four of these actions are essential for receipt of the payment. The second payment, of the remaining amount, will take place when the PhD has returned and carried out the following tasks: take the second language level test (see the OLS section), presented the certificate of the exchange visit signed by the destination university (and clearly containing the start and end dates: day, month and year) and filled in the report on the exchange visit using the Mobility Tool (see detailed information in the student Erasmus+ dossier available on the UAB website, at the Mobility and Exchange link). For the month of the start and the month of the end of the visit, which are not 4

5 normally full months, the dates of travel are taken into account and students are paid proportionally for the actual days of the visit during those months (calculating on the basis that one month has 30 days). Where there is not enough financial support available for all the PhD students, they can do the exchange visit on the Erasmus+ zero grant mode. Amount of the financial support Community contribution: (see the table below). Table of amounts of financial support by country of destination: Group 1 Countries with a high cost of living Group 2 Countries with an average cost of living Group 3 Countries with a low cost of living COUNTRY OF DESTINATION Denmark, Iceland, Ireland, Finland, Sweden, UK, Liechtenstein, Luxembourg, Norway Austria, Belgium, France, Germany, Greece, Italy, Spain, Cyprus, Malta, Netherlands, Portugal Bulgaria, Croatia, Czech Republic, Estonia, Latvia, Lithuania, Hungary, Poland, Rumania, Slovakia, Slovenia, Turkey, the former Yugoslavian Republic of Macedonia AMOUNTS SEPIE GRANT (EU FUND) 300/month 250/month 200/month Additional support for cases of economic hardship First year PhD students who receive financial support from the community fund during 2018/19 and who received a general grant from the Spanish Ministry for Education, Culture and Sport in 2017/18 have the right to an additional 200/month which is awarded to students once the UAB receives the corresponding funding from the SEPIE. Compatibility of Erasmus+ grants with other financial support PhD students in receipt of unemployment benefit or other funding for exchange visits abroad should contact their funding organisation to find out whether it is compatible with the Erasmus+ grant or not. If it is not then the participation in the Erasmus+ programme will take place without the student receiving any financial support. 5

6 8. Period of Erasmus+ programme exchange visits. Month calculator The studies mode of the Erasmus+ programme allows students to do an academic exchange visit for a period of between 3 months (minimum) and 12 months (maximum). During their academic career, the same student may do different exchange visits through the Erasmus+ programme in both study mode and work experience mode. To do these visits, apart from fulfilling the minimum periods for the visits and other requirements of the both the programme and the university of origin (see the regulations and the call for application for more details), students must take into account that the European Commission has fixed an upper limit of 12 months per academic cycle (the so-called month calculator) which works as follows: Students have a maximum of 12 months per academic cycle to do Erasmus+ study visits or Erasmus+ work experience i.e. 12 months for Bachelor s degree, 12 months for Master s degree and 12 months for PhD degrees. The calculator operates by academic cycles regardless of changes in qualification, university and country. The months which appear on the exchange visit certificate are taken into account, in other words, the real time of the visit independent of the fact that the number of months for which financial support is awarded may be lower. Any visit made before the academic year on the LLP/Erasmus programme must also be taken into account, whether they were study or work experience visits. Students who have previously done visits of more than 9 months cannot do any further study visits as the minimum period established on the Erasmus+ study visit is 3 months. Visits to Switzerland are not taken in to account. 9. Online Linguistic Support OLS All PhD students doing an Erasmus+ visit must take the level tests at the Online Linguistic Support Service (OLS) set up by the European Commission. There are two tests, one before departure and the other on completion. Both tests are compulsory. Depending on the result of the first test and the availability of licences, students have the option of taking an online language course. Both the level tests and the courses are free. To take the level test you will receive an before the start of the visit giving instructions for enrolling for and taking the test. Tests are available in the following languages: Bulgarian, German, Czech, Danish, German, Estonian, Greek, English, French, Irish, Croatian, Italian, Latvian, Hungarian, Maltese, Dutch, Polish, Portuguese, Romanian, Slovak, Slovene, Finnish and Swedish. PhD students who have the teaching language as their mother tongue are exempt from these level tests and language courses. 6

Call for applications calendar APPLICATIONS PERIOD AND DECISION DATES The call for application for the 2018/19 academic year will have three decision dates for the award of financial support: 1st decision date: 14 September 2018, for application received from the 2 to the 13 July Acceptance or rejection period: up to 21 September Up to 40% of the available resources will be awarded on this date. 2nd decision date: 14 December 2018, for application received from the 15 to the 30 November Acceptance or rejection period: up to 21 December Up to 40% of the available resources will be awarded on this date. 3rd decision date: 13 April 2019, for application received from the 15 to the 30 March Acceptance or rejection period: up to 24 April Up to 20% of the available resources will be awarded on this date plus the available resources which had not been awarded in the previous decisions. 11. Award of financial support The financial support will be awarded by order of the total number of points obtained according to the selection criteria. 12. Information for selected applicants All the PhD students selected must bear in mind that they should carry out the following tasks, among others, within the established deadlines: Acceptance/non-acceptance of the place. Application form to the destination university (with the certificate of the language level achieved, where necessary). Signed learning agreement and any other documents required. Take the online language level test (OLS) before and after the exchange visit. EU Survey end of exchange survey. Take out complementary mobility insurance. Obtain visa (where necessary). 7
