1 Bursar s Assistant We are looking for a flexible and professional individual to assist the Bursar with compliance and governance work and to provide efficient administrative support. The successful candidate will be looking for a busy and varied role and should feel confident to prioritise work, exercise intiative and use their strong interpersonal, communication and organisational skills. Hours are an average of 37 per week all year round, including some Saturday mornings on a rota basis. Summary of the role Job Title: Bursar s Assistant Department: Job Purpose: Reporting Line: Hours: Bursary To support the Bursar with compliance, governance and risk management work and to undertake administration for the Bursar Bursar An average of 37 hours per week all year round, including some Saturday mornings during term time on a rota basis when the School is in session: but the postholder will be required to work as necessary to complete the job (subject to the Working Time Regulations 1998) Main duties and responsibilities This job description does not form part of the contract of employment and may be varied in accordance with the demands of the appointment. The main duties and responsibilities of the Bursar s Assistant are as follows (this list is not exhaustive): Compliance and Governance Responsibilities Assisting the Bursar with company secretarial, legislative and regulatory compliance work Undertaking research tasks, to assist the Bursar with risk and compliance issues and preparing summaries of findings Managing risk assessments and maintaining the records for overseas school trips and dealing with the approval process

3 Managing health and safety administration for the school, to ensure compliance with all relevant health and safety legislation and regulation (in conjunction with the Bursar and Deputy Bursar). This will include working with the Bursary Administrator to arrange risk assessments, liaising with Heads of Departments about safety inspections and ensuring that follow up work is undertaken. Ensuring that up-to-date records relating to risk assessments, accidents and other health and safety requirements are maintained within the Bursary Arranging health and safety training sessions and keeping relevant training records Scheduling the annual review of the School s health and safety policy and ensuring an updated policy is uploaded to the intranet To act as Health and Safety Committee Secretary and to assist the Harpur Trust s Health and Safety Adviser Administrative Responsibilities Undertaking administration for Bedford School Trust, including arranging meetings, liaising with professional advisers and other tasks as needed Dealing with filing, telephone calls, messages and office administration for the Bursar Drafting agendas, collating and circulating the papers and minutes for the School Committee and Finance and Resources Committee. Maintaining the master files for both committees. Uploading papers for all committee meetings to the Board Paper app Managing the corporate phone account Working with the Bursary Administrator to ensure that on site and external accommodation needs of newly appointed members of staff are met Working with Bursary Administrator to manage process of insurance claims Arranging appointments and managing electronic diaries for the Bursar and Deputy Bursar Providing administrative and reception cover in the absence of the Bursary Administrator Ensuring Honours Boards across the whole school estate are updated Financial Responsibilities Undertaking financial tasks as allocated by the Bursar, including preparation of data and statistics and reconciling credit card bills for the Bursar, Deputy Bursar and own credit cards

4 Line Management Responsibilities Line Management responsibility for the Bursary Administrator, including annual performance review Assisting with other tasks as delegated by the Bursar and Deputy Bursar You may also be required to undertake such other comparable duties as the Trust requires from time to time.

Essential These are qualities without which the Applicant could not be appointed Desirable These are extra qualities which can be used to choose between applicants who meet all of the essential criteria Method of assessment Qualifications Good honours degree or equivalent qualification Certificates Experience Administration experience in an office environment Used to undertaking committee work and taking minutes Understanding and experience of risk, compliance and governance work Application form and references Experience of carrying out research tasks and reporting on findings Skills and Knowledge Proficient user of Microsoft Excel, Word and Outlook Excellent written and spoken English and the ability to communicate in a professional manner Knowledge of financial software packages Application form, references and interview Personal competencies and qualities Excellent organisational and administrative skills with the ability to remain calm under pressure and work to tight deadlines, managing competing priorities. Interview and references Able to work as part of a team. Self-motivated, with the ability to use initiative and manage own time and resources effectively Demonstrates a positive and helpful approach Ability to be flexible to meet the needs of the School Responsibilities may be direct, joint or through devolved structures, but always in accordance with whole school policies.
