The conference takes place October 23-24, 2015 at the Ocean Place Resort & Spa in Long Branch, NJ. Prominent presenters will speak on information-dense topics covering recent changes in the delivery of mental health care. 5 Rules & Regulations Exhibit Shipments If you are shipping materials to the resort, you must notify the resort one week in advance of the conference. (No later than October 17, 2015) All materials sent to the resort should be addressed as follows: Name of Event: Society of Psychiatric Advanced Practice Nurses Professional Education Conference Contact: (Your name here) Date of the program: October 23-24, 2015 Number of items: Address: Ocean Place Resort and Spa, 1 Ocean Boulevard Long Branch, NJ Prior to delivery you must also inform the resort of any such shipments that have a value in excess of $1000. Shipments should arrive no earlier than three days prior to the conference. Neither the resort nor the Society of Psychiatric Advanced Practice Nurses accepts any responsibility or liability, for the delivery, security, or condition of the packages. The resort's receipt of the first five packages will be at no cost to you. A $5.00 (five dollar) charge will be imposed for any packages in excess of the initial 5 (five) packages shipped to the resort. Additional Expenses Without limitation all expenses are the sole responsibility of each exhibiting company, examples of additional expenses are as follows: additional furniture, telephone requirements, internet service, electrical service beyond the standard 110 V outlets, exhibit installation and dismantling, etc. For any additional needs, you must contact the resort prior to Oct 14th to arrange without additional penalty. Cancellations and Refunds There is a $250 processing fee for all exhibit space cancellations. No refunds will be issued for exhibit space cancellations received after October 1, All signed contracts received by Society of Psychiatric Advanced Practice Nurses are considered binding. Registration list Exhibiting companies will receive a final electronic registration list within 30 days after the conference. The list will contain attendees name, city and state only, no or phone numbers. Use of this list will be restricted to a one-time use only and use is restricted to information directly related to the conference. Badge Policy All vendor representatives working the exhibit must be registered. Each person will be issued an exhibitor badge and must be employed by the exhibiting company or have a direct business affiliation. Each company is allotted two registration badges. Badges are not transferable. Additional badges may be purchased for $200 each. Please include the name of the representatives with this application. If you do not know the name of the representatives at the time of you are submitting the application you may the information to Keely McNerney at keely@kmassociates.net no later than October 5, 2015.

6 Space Assignment Highest levels of sponsorship will be given priority exhibit placement. Exhibit space will then be assigned in the order in which completed applications (with payment) are received. Exhibitors wishing to avoid placement adjacent to a competitor should indicate this on the application. SPAPN will do our best to not place competitors next to each other but cannot guarantee placement. Conducting Exhibits Exhibitors shall be in accord with the ANCC standards and guidelines governing support of Healthcare Professionals. In addition, no commercial drawings, raffles or contest of any type will be permitted. This applies to any envelopes, folders, portfolio, box, etc. that provides a carrying space for more than a single sample. All exhibits must comply with meeting space standards for noise promotional displays, souvenirs conduct and or activity. Guidelines related to the Separation of Promotional Activities from Educational Activities: In compliance with the ANCC Standards for Commercial Support, and SPAPN related guidelines, all exhibiting companies must abide by the following: Exhibitors/Sponsors will not participate in planning, developing, implementing or evaluating the educational activity; Exhibitors/Sponsors will not recruit learners from the educational activity for any purpose; Exhibits and other promotional fees shall be separate and distinct from educational grants/ commercial support. All exhibitors must be in a room or area separate from the education and the exhibits must not interfere, or in any way compete with the learning experience prior to, during, or immediately after the activity. All promotional activities including interview, demonstrations, and the distribution of literature or samples must be made within the exhibitor s space only. Canvassing or distribution promotional materials outside the exhibitors rented exhibit space is not permitted. Company representatives may attend educational sessions at the Society of Psychiatric Advanced Practice Nurse s discretion. However, representatives must refrain from holding any commercial discussions in the educational sessions. Monitoring: the separation of promotional materials and activities form the educational arena is strictly enforced throughout the activity by SPAPN onsite volunteers. All CE activities must abide by all ANCC Standards for Commercial Support. Infringement Interviews, demonstrations and distribution of literature or samples must be made within the area assigned to the exhibiting company. Canvassing or distributing of advertising matter outside the exhibitor s own space will not be permitted and subjects the exhibitor to immediate dismissal from the conference without refund.

7 Security The Society of Psychiatric Advanced Practice Nurses (SPAPN), the New Jersey State Nurses Association (NJSNA), its sponsors, endorsers, program committee, officers, contractors and the Ocean Place Resort & Spa are not responsible for theft, loss or damage which may occur during the conference. We also advise each exhibitor to be sure that stands, equipment and material is insured at full value and stored appropriately for safe keeping. Do not leave valuables unattended. Security will not be present in the exhibit area at any time and the safe keeping of the exhibitors property shall remain the responsibility of the exhibitor. Limitation of Liability The Society of Psychiatric Advanced Practice Nurses (SPAPN), the New Jersey State Nurses Association (NJSNA), it s sponsors, endorsers, program committee, officers, contractors and the Ocean Place Resort & Spa and their assigns, and their affiliated and subsidiary companies, shall not be liable or responsible for, and shall be held harmless from claims for any loss, damage, death or injury whatsoever or however arising, which may occur to an exhibitor or to his/her agents, employees, guests, the public, and all others or to the property of the exhibitor arising out of or caused by exhibitor s installation, removal, maintenance, occupancy, or use of the program s premises or part thereof, including any outside program areas (collectively, Claims ) during or subsequent to the period covered by the exhibitor. The exhibitor assumes responsibility for company representatives, and hereby agrees to protect, indemnify, defend and save harmless, and their respective partners, directors, officers, employees, and agents against all claims, losses, and damages to persons or property, governmental charges, or fines and attorney s fees arising out of or caused by Claims. Insurance The exhibitor acknowledges that SPAPN and NJSNA do not maintain liability insurance for exhibitor s property and thus it is the sole responsibility and obligation of the exhibitor to obtain business interruption and liability insurance for property damage covering such losses by exhibitor. This application/contract shall also not be considered or constitute or a joint venture, partnership or agency between SPAPN, NJSNA and the exhibitor. Amendment to Contract Any and all points not covered specifically are subject to the discretion of SPAPN. Use of Resort Property & Protection Exhibitors will be held liable for any damage caused to the resort property and no material or matter of any kind shall be posted on, tacked, nailed, screwed or otherwise attached to columns, walls, floors, or other parts or portions of the building or furnishings. Whatever may be necessary to properly protect the building, equipment or furniture will be installed at the expense of the exhibitor. If any controversy arises as to the need or propriety thereof, the Convention Service Manager of the resort will be the final judge thereof and his/her decision shall be binding on all parties concerned.
