1 Dear Social Worker, This information package should be your final check list for preparing to get you to the Games at the Diekman Terrain, in Enschede. This is SIGN s second time to host the Games. We are very excited to come together and make it a week that you, your clients and your organisation will never forget! Please read through the following pages carefully to be sure that the Social Inclusion Games is an event you and your organisation is ready and able to participate in. We have provided ample information and tips for getting you and your people to Enschede. We will create a positive, collaborative and inclusive space for the day that you are sporting with us, to make sure everyone feels invited and worthy. 2 1. Location and getting to site Location The Games will be hosted in the Netherlands, in the city of Enschede. Enschede lies in the eastern part of Overijssel. The Diekman Terrain is a multifunctional sports location in Enschede with a lot of facilities, such as sport fields indoor and outdoor, changing rooms, fitness rooms, etc. Use this address for your GPS JJ van Deinselaan 32, 7541 PE Enschede. Arrival Time You must arrive at the registration desk inside the information office no later than 9.00 am. Your Team Leader can complete the team registration. Parking Buses and cars can be parked in the designated bus parking area on the Diekman Terrain Site. Buses can enter via J J van Deinselaan 22 and drop participants off. Bus Parking is located Tiemeister Es, at the back off the complex access via Kuipersdijk. The arrivals team there will direct you where you need to go! Bike Parking There is ample space for bike parking located in the front of Deikmanhal. Arriving by public transport Bus number 04 from Enschede Central Station goes directly to Diekman Terrein every 15 minutes. The public transport bus stops at the Swimmingpool Aqua Drome and is a short walk to the SIG bus drop off point where the arrivals team will direct you. 2

3 2. Registrations on site Registration will be open from 8:30am. It is in the Information Office onsite, at JJ van Deinselaan 32. Together with this info pack you have received a return form. You must bring along an up to date list of all your participants and supporting staff to the Games and send it to us prior to your arrival (20 th July by the latest). Bring your photo ID (just yours, not from all participants) in order to collect your registration pack from the registration area. You will receive the following items with clear instructions on what to do: Sport Programme Emergency Procedure Instruction and reporting forms Team Pack (Inclusive of t-shirts, tokens, event programme etc.) Accreditation wristbands (to be worn at all times during the event) For all team members Place to Park your vehicle 3. Rules, fees, what to bring, what to prepare, meals, etc Rules No weapons, no alcohol or drugs are allowed at the sport area and camping site of the Diekman Terrain, during the week. 3

4 Payment of Participant Fee Participants and supporting staff are charged a small fee of per person to cover the costs for the whole day. This is a registration fee and should be paid in advance via Bank Transfer, pin or cash payment is not available on site. Please use your organisation's name as the reference for us to keep track of payments. Please transfer your participant fee to: NL 93 RABO Stichting Social Inclusion Games Nederland Information Office Onsite For all questions or concerns onsite there will be staff present at the Information Office from 8:00am until 10:00pm. After these hours the security team will be onsite. Team Leader You must select a Team Leader to represent your organisation. The Team Leader must be a Social worker/supporting staff, travelling with the team. The Team Leader may not be a participant. The Team Leader must also be the decision maker for your team in a time in the event of an incident. For back up, your team must also select an Assistant Team Leader. Team Captains It is also nice if your team has a Team Captain that is one of your clients. Like every Olympic team has one, your team needs one! This is not mandatory but a nice to have if you have a role model amongst your group of participants. Valuables Onsite Your team will have access to lockers to keep your personal belongings locked and safe. See the information Tent onsite. Meals and Dietary Requirements Two meals will be provided (lunch and dinner) for each participant and social worker. There will be a variety of food to choose from. If your team has very specific dietary requirements be sure to include them in the return form with all your team s details. What to bring For a comfortable stay, we require the participants to bring: Adequate sport clothes (shoes, swim wear, athletic shorts, shirts, sweater, etc); Jacket, sweater or sweatshirt Nice to bring if you have them: Football Football boots: if you have them please bring football shoes. Darts (only if you have your own) 4

5 Insurance It is important that you, your organisation and your participants are covered by the necessary insurances while attending at the Games. This means everyone, including staff, needs to have a health insurance that covers health and liability coverage, so any accidents or injuries (to yourself or others) incurred while participating in the event will be covered by your own insurance. Letter of intent In order to commit to the games your organisation will be asked to sign a Letter of intent to compete in the games, this is in the return form. This way, we know for sure we are on the same page with the selection of participants, staff that can accompany your participants, etc. This letter of intent will be made for your organisation specifically after registration and has to be signed by an officially authorised person, like the director eg. The letter of intent and information about your team is attached to a separate document and must be returned by July 20 th Daily Timetable To give you an impression, the week will look like this: TIME 08:30-09:00 ACTIVITY Team arrives to Site + Registration Sport Programme 12:00-13:00 Lunch Sport Programme 17:30-19:00 Dinner 18:30-22:00 Entertainment Programme 4. Codes of Conduct Welfare & Safeguarding Welfare managers are always located at the information tent. Incidents or concerns can be reported in several ways: Submission of a completed reporting form to reception Submission of a completed reporting form to any member of SIGN Sport staff Report to Event Welfare Manager Throughout the whole week remember the 4 Rs: Recognise, Respond, Refer, Record Recognise Respond Refer Record You have a concern, notice a problem or receive a direct disclosure Reassure the individual, tell them what you will need to do (e.g. tell someone) Make contact with the Event Welfare Manager Who, what, where, when use the reporting form to record the information 5

6 Please report or reach out to SIG Crew any of the following: If someone has been hurt; If someone seems distressed/ unsafe in any manner; If you receive a direct disclosure of alleged abuse of a person or materials; If you have any concerns at all, even if they seem unclear (abuse, bullying, behaviour); All accidents and incidents, no matter how trivial they might appear, should be reported. For example: Any event or circumstance, which is believed, could have resulted in bodily injury, illness, shock or other condition requiring immediate treatment. Any event or circumstance which resulted in, or in which it is believed could have resulted in a person s exposure to a substance hazardous to health. Any event or circumstance, which resulted in, or in which it is believed could have resulted in, damage to the site, equipment, vehicle or personal property. The following actions should take place: Listen to the individual; Record and refer the information received in accordance with the Welfare Plan. Sign and date the record then pass it to the Event Welfare Manager. Sharing concerns with college staff Where concern is about poor practice rather than abuse it is reasonable to clarify any concerns with college staff, seeking guidance from the Event Welfare Manager. Allegations or concerns about abuse should always be referred to the Event Welfare Manager. Reporting forms are available at the info tent. 6

7 PARTICIPANT CODE OF CONDUCT The 2018 SIG Sport organisers hope that all participants will have a positive experience at the SIG within the parameters of this Code of Conduct. I am aware that I am an ambassador for my organisation and sport and I take full responsibility for my actions. I have read this code of conduct and agree to follow the points listed below : 1. I will treat others with the respect and fairness that I would like them to show me, this includes the use of social media and networking sites and other competitors who are still competing when I have finished my event; 2. I will compete within the rules of my sport, and respect all officials and their decisions; 3. I will demonstrate fair play on and off the sporting arena and will not use foul, abusive or offensive language. I will respect the referees decisions; 4. After each game I will discuss the Spirit of the Games and fill in the Spirit of the Games form; 5. I will respect the differences between everyone at the SIG in terms of age, gender (including transgender), ethnicity, religious beliefs, sexual orientation or disability; 6. I will promote myself and my sport in a positive light by not possessing, consuming or supplying alcohol or illegal and/or performance enhancing drugs; 7. I will not smoke on the artificial grass fields or in the Dinner and Entertainment Tents. You are allowed to smoke at designated area s; 8. I will disclose any injury or condition that affect my participation to a member of staff as soon as possible; 9. I will inform the relevant organiser myself if I don t want to be photographed, because all photo s taken will be used by the SIG for communication purposes. I understand that any breach of this code of conduct will be investigated and could result in my behaviour being communicated to my team captain and could result in being withdrawn from competition and/or asked to leave the SIG at my own expense. My organisations staff member will agree to these points formally on my behalf 7

8 TEAM LEADER AND SOCIAL WORKER CODE OF CONDUCT The 2018 SIG organisers hope that all competitors and supporting staff will have a positive experience at the SIG within the parameters of this Code of Conduct. I am aware that I am an ambassador for my region and organisation and I take full responsibility for my actions. I have read this code of conduct and agree to abide by the points listed below 1. I will respect the rights of the competitors and promote their welfare and individual needs; 2. I will promote relationships with competitors, officials and others that are based on openness, honesty, trust and respect; 3. I will demonstrate proper personal and professional behaviour at all times, providing a positive role model for the competitors (this includes my use of social media and networking sites); 4. I will respect the differences between everyone at the SIG in terms of age, gender (including transgender), ethnicity, religious beliefs, sexual orientation or disability; 5. I will promote myself and my organisation in a positive light by not possessing, consuming or supplying alcohol or illegal and/or performance enhancing drugs; 6. In case of breach of the participant code of conduct by one of my participants, myself and my team will decide whether or not the person gets a warning or goes home, and if I/my team needs to accompany the person during this travel. Myself/my team is responsible for adequate handling of the situation; 7. I will respond to any concerns about a person s welfare, working in partnership with others in the person s best interests; 8. If a person shares their concerns with me I will listen, stay calm, not make judgements or false promises and will inform the Event Welfare Manager; 9. I agree to ensure that all participants representing my organisation have read and understand the competitor s code of conduct and sign on their behalf as well as my own; 10. I confirm that all Social Inclusion Professionals attending as organisation representatives have passed appropriate checks in accordance with my organisations procedures. I understand that any breach of this code of conduct will be investigated and could result in my behaviour being communicated to the SIG organisation and may result in me/my team to be asked to leave the Social Inclusion Games at my own expense. 8
