1 ARCHERS Homeschool Group Descriptions are followed by their corresponding point values in parentheses Commitment Descriptions Assimilation/Mentor Coordinator (5) Responsible for assimilation of new members into the group, include attending the New Member Picnic (August) and providing opportunities (a minimum of 3x) during the year for mentor/novices to get together to share ideas and time. (Examples of opportunities include, but not limited to, speakers, panel discussion, and informal get togethers.) Possibly put together a list of members who have specific needs that would like to be matched. Back-To-School Party Coordinator (3) Responsibilities include planning the Back-To-School Party for the group. The coordinator, with the help of the BTS Party Committee, will plan a family party. This includes finding a suitable place for the party (preferably outdoors and offsite from Grace Church), advertising to the group, planning the menu, purchasing food and supplies or coordination of participants bringing food, and receiving reservations and payment from attendees, if required. There is a budget for this event. This event occurs in August or September. Back-To-School Party Helper (1) Responsible to assist the BTS Party Coordinator to plan and execute the BTS Party. Book Fair Coordinator (4) Responsibilities include the organization and execution of the group s book fair in June. The coordinator advertises for the fair inside and outside the group, coordinates facility needs with the room liaison, organizes the snack booth, (for which all proceeds go into our benevolence fund and includes pizza, chips and pop), coordinates table reservations for sellers and vendors and is responsible for clean up. This event occurs in early June. Book Fair Helper (1) Responsible to help the coordinator plan and execute the Book Fair. Box Tops Coordinator/GE Apples for Students (2) Responsibilities include gathering box tops throughout the year and turning them in for deposit. Communicating to the group through regular announcements is necessary as well. The GE program requires communicating to the group in the fall that we re part of the program and occasionally encouraging members (and their extended families) to sign up. At the end of the year the coordinator reports back to the Steering Committee the results of both programs in the spring. This is an ongoing assignment during the school year. Christmas Party Coordinator (3) Responsibilities include planning the Christmas Party for the group. As the coordinator, this person, with the help of the Christmas Party helpers, will plan a Christmas-themed party. The coordinator is responsible for advertising to the group, planning the activities, coordinating food purchasing or coordinating participants bringing food, if required. There is a budget for this event. This event occurs in very late November or December.

2 2 Christmas Party Helper (1) Responsible to help the coordinator plan and execute the Christmas party. Concert Coordinator (2) Responsibilities include organizing the attendance at the various Severance Hall school concerts throughout the year. The coordinator must advertise, within the group, the available concerts during the school year. Flyers may be created for this purpose. He/she must then take names and money for the tickets and turn in the money to the Severance Hall contact person and disseminate tickets, if necessary. Daddy Daughter Dance Coordinator (3) Responsibilities include planning the Daddy Daughter dance for the group. As the coordinator, this person, with the help of the Daddy Daughter dance helper, will plan the dance. The coordinator is responsible for advertising to the group, planning the activities, coordinating food purchasing or coordinating participants bringing food, if required. There is a budget for this event. Daddy Daughter Dance Helper (1) Responsible to help the coordinator plan and execute the Daddy Daughter Dance. Digital Scrapbooker (2) Responsibilities include gathering pictures taken at group events from families and putting them on our website and/or creating a video montage. The digital scrapbooker is also responsible for keeping track of group events and being proactive about getting photographs and publishing them in a timely manner. This event is ongoing throughout the school year. Field Trip Coordinator (3) Responsible to coordinate with field trip organizers in planning, scheduling, organizing, and advertising their field trips within the group. This person coordinates with the Calendar and Concert Coordinators to ensure minimal scheduling conflicts, and provide Commitments Coordinator with completed field trips at the end of the year. Field Trip Organizer (2) Responsible to organize a field trip, for advertising the field trip within the group, taking RSVPs from families, collecting necessary payments, giving out pertinent information, and being present during the field trip. Friday Class Assistant Coordinator (3) Responsible to assist the Friday Class Coordinator in any and all ways possible. Responsibility may be shared with the Friday Class Coordinator as each feels gifted. Some responsibilities include, but not limited to, ensure that Friday Classes run smoothly by arriving early and serve as a point person for problem-solving on class days. (see Friday Class Coordinator below) Friday Class Barista & Welcome Table Co-coordinator (2) This role will be filled by two people working in tandem. Each person gets two points for setting up the coffee station and manning the welcome table for the duration of one session of Friday Classes. Responsible for inventory of coffee supplies and labels, purchasing as needed, and washing the tablecloth. This position is especially suited for families with older children. Both coordinators should plan to arrive by 9:30AM on Friday class days. Friday Class Coordinator (5) Responsibilities include overseeing all facets of Friday classes. These include, with the help of the Friday Class Assistant Coordinator, securing teachers for classes at each of the three age brackets, preparing the class descriptions (with the help of each teacher), advertising these classes to the group electronically, receiving completed class requests with payment, scheduling students into classes, and

3 3 overseeing the execution of Friday classes during the fall and/or winter session. Coordinator is also responsible for reserving necessary rooms, scheduling parents and subs to help in the different classes, and ensuring that the rooms are open and set up appropriately. Friday Class Teacher (3*) Responsibilities include planning and teaching a class to a specific age group for Friday Classes. This position requires the teacher to be present for the majority, preferably all of the Friday classes during the session to which he/she commits and for providing lessons for all six days of class. Fall session runs September through November. Winter session runs January through March. *3 points/class period/session. Geography Fair Coordinator (3) Responsibilities include establishing the theme for the year, advertising within the group, and taking reservations for participating students. The coordinator and helpers decide the schedule of events, activities for the evening, and create certificates for participating students. This event occurs in November. Geography Fair Helper (1) Responsible to help the coordinator plan and execute the Geography Fair. Graduation Assistant Coordinator (5) Responsible to assist the Graduation Coordinator by attending all meetings and in planning/executing the annual commencement and reception. Graduation Committee (5) Committee members are the parents of the graduates. Responsibilities include designing and deciding on the necessary items to create a commencement ceremony that reflects the graduating class, as well as participating in the decorating of the Worship Center for commencement, and the Activity Center for the reception. Graduation Coordinator (5) Responsibilities include facilitating the planning and execution of commencement and reception for the graduating seniors with the help of the graduating seniors parents. Duties include leading meetings to assist the students and parents in designing their unique commencement ceremony, selecting a commencement speaker, assisting the graduating seniors in deciding their class verse, song, and other items that will uniquely define their class. Coordinator also assists with graduation practice and oversees the execution of graduation on Commencement evening. Graduation is in late May. Graduation Helper (1) Committee consists of all junior parents and their junior student (at the minimum), as well as other individuals who are asked to serve in this capacity. Responsibilities are to participate in the commencement as needed and host the commencement reception. They will coordinate food, drink, and set up/ clean up for the evening. Commencement attendance is required. History Fair Co-Coordinator (3) [To be coordinated with the Science Fair Co-coordinator] Responsibilities include the organization and execution of the group s History Fair. The coordinator plans the evening by securing a room at the church, advertising throughout the group, taking reservations from participating students, and creating certificates for participating students. The coordinator is usually the emcee for the evening. Students are evaluated by parents at this event. (There is a complete list of instructions on the website for this event.) This event occurs in March. History Fair Helper (1) Responsible to help the coordinator plan and execute the History Fair.

4 4 Homeschool How-To Coordinator (4) Responsibilities include organizing the group s outreach seminar on how to start homeschooling. The coordinator will recruit moms who specialize in different types of homeschooling methods to speak at the seminar. Advertising for this event is done inside and outside the homeschool group. This event occurs mid-may. Homeschool How-To Presenter (1) Helpers agree to share (or present) their homeschooling methods with parents who are just starting out or starting their homeschool journey. They also help the coordinator plan and execute the Homeschool How-To. Lego Olympics Coordinator (2) Responsibilities include setting the date, advertising the event within the group, and ordering prizes. On the day of the event, the coordinator will organize the competition and provide necessary judges. Make-A-Plate (MAKit Plate) Coordinator (2) Responsibilities include setting up the date, advertising the event within the group, ordering the forms, and collecting funds from participating families. The day of the event, the coordinator will facilitate families in preparing their forms. At the conclusion of the day, forms and funds are submitted. When returned, plates are distributed. Make-A-Plate (MAKit Plate) Helper (1) Responsible for helping the coordinator plan and execute the MAKit Plate event. Middle School Activity Coordinator (4) Responsible to plan, advertise, and execute activities for the 6 th 8 th grade students with the assistance of the Middle School Activities Helper. Four events are to be planned throughout the year. Coordinator also oversees events for scheduling and assists, as necessary, with advertising. Middle School Activity Helper (1) Responsible to help Middle School Activities Coordinator plan and execute activities. One point assigned to each event. You may sign up for more than 1 event. Model UN Coordinator (4) Responsibilities include teaching 5-6 preparatory classes, gathering and critiquing students position papers, and accompanying students to the Model UN (held in November at a sponsoring organization in Cleveland). Classes can be done during the Friday classes or at a time convenient to the coordinator. Mom s Night Out Coordinator (3) Responsibilities include setting up three evenings throughout the school year for the moms in our group, with one of the evenings taking place during the Christmas season. These evenings are held in various places, and the coordinator is responsible for planning and executing the evenings. Mothers of Teens & Tweens Coordinator (MOTTS) (3) Responsibilities include setting up meetings for the mothers of teens in the group. This may be socially oriented: a time for moms to exchange ideas, etc. This also may be a time for someone gifted in an area of high school to present her thoughts and ideas for group enrichment. The coordinator is responsible for planning 3 events per year on topics that are pertinent to the high school years and advertising meetings within the group.

5 5 New Member Picnic Coordinator (3) Responsibilities include the organization and execution of the New Member picnic for the group s new members. Working in conjunction with the Membership Coordinator to notify new members, the coordinator hosts the event at a chosen location, purchases the required food, and coordinates the new members bringing a side/dessert to share, and arranges for child supervision/activities. There is a helper for this event. The event occurs on a weekend day in August before the Annual Meeting. New Member Picnic Helper (1) Responsible to help the coordinator plan and execute the New Member Picnic. This occurs before the Annual Meeting in August. Oral Presentations Coordinator (3) Responsibilities include the organization and execution of the Oral Presentations for the group. Starting with advertising the event within the group, the coordinator is responsible for taking reservations for students presenting. The coordinator usually emcees the evening. There is an ice cream social at the end of the presentations. The coordinator is responsible for certificates for all participants. This event occurs in late November or early December in the evening. Oral Presentations Helper (1) Helper is responsible to help the coordinator plan and execute the Oral Presentations Evening. Presidential Fitness Challenge Coordinator (5) Responsibilities include overseeing this activity as the participants try to achieve progressive levels of fitness that coordinate with the President's levels of achievement. Students achieve awards by performing to a national standard in 5 different activities. The coordinator, with helpers, advertises the event within the group, oversees the students as they achieve levels of fitness, and disseminates appropriate awards at the conclusion of the event. PFC runs 4 Fridays in May. SAT Administrator (2) This position requires a Bachelor s Degree and certification from Abeka. There is a video presentation as part of the certification process (one time only) for new administrators. This position administers the SAT to students for two days in the spring. See worksheet for exact dates. Preferably, administrators will also have their children involved in testing too. SAT Party/refreshment Coordinator (2) Responsibilities include planning a party for the ARCHERS members after SAT testing on Friday of the testing week. Coordinator will provide pizza, pop, and organize attending-family contributions as well as organize other refreshments (coffee/tea/water) during testing as needed. SAT Party/refreshment Helper (1) Responsible to help the SAT Party/refreshment Coordinator with the SAT After-test Party and with refreshments during testing. SAT Assistant Coordinator (2) Assist the SAT Coordinator in planning and executing SATs, as well as assisting during both days of SAT s for the group. SAT s are held in the spring. See worksheet for exact dates.

6 6 SAT Bubbler (1) This position requires an hour or two to fill in the demographic information and the associated bubbles on the SAT testing forms in preparation for the students testing days. This takes place 1-2 weeks ahead of actual testing days, mid-april. SAT Stanford Achievement Testing Coordinator (5) The SAT Coordinator is responsible for ARCHERS spring SAT testing event. This includes advertising about the event inside and outside of the group, gathering orders from members and non-members, scheduling rooms (in conjunction with the Room Coordinator), assigning administrators and helpers to classes, and communicating with participants about testing. This coordinator is also the liaison between the testing company and our group. Coordinator receives all test materials from the testing company and returns all completed testing materials to the testing company. This event occurs in the spring each year, with orders accepted from participants during the month of February. See worksheet for exact dates. Science Fair Co-Coordinator (3) [To be coordinated with the History Fair Co-coordinator] Responsibilities include the organization and execution of the group s Science Fair. The coordinator plans the evening by securing a room at the church, advertises throughout the group, and takes reservations for participating students. The coordinator is usually the emcee for the evening and also creates certificates for participating students. Students are evaluated by parents at this event. (SEEDS) Shepherds for Elementary Education and Discipleship Support Coordinator (3) Responsibilities include setting up meetings for the mothers of elementary students in the group. This may be socially oriented: a time for moms to exchange ideas, etc. This also may be a time for someone gifted in an area of elementary school to present her thoughts and ideas for group enrichment. The coordinator is responsible for planning 3 events per year on topics that are pertinent to mothers homeschooling young and pre-school families. Service Project Coordinator Fall (1) Responsibilities include coordinating a service project during the Fall season. The Coordinator must communicate pertinent information about the project to the group and encourage participation. The Coordinator must communicate pertinent information about the project to the group and encourage participation. Shirt Order Coordinator (1) Responsible for taking orders for ARCHERS apparel and payment once per year. Also coordinates the distribution of orders and payment to apparel vendor. Spelling Bee Coordinator (2) Responsibilities include advertising well in advance of the event, taking RSVPs from students, and acting as emcee for the event. The coordinator also gives ribbons and certificates, as earned, to participants of the Bee. This event occurs in early May. Spelling Bee Helper (1) Responsible to help the coordinator plan and execute the Spelling Bee.

7 7 Spring Formal Coordinator (3) Responsibilities include planning the Spring Formal for the high school teens in the group. The coordinator, with the help of the committee, must find a suitable place to hold the formal (nicer restaurant), help plan the menu with the restaurant, and receive payment from attendees. The Spring Formal Committee attends the event. After the formal, the committee may plan an after-formal party at someone s house. This event occurs during May. Spring Formal Helper (1) Responsible to help plan, execute, and attend the Spring Formal. (TAG) Teen Activity Group Host (1) Responsible to plan an event during the school year for the teenagers in the group. Activities can be planned at Grace Church or at other venues in the area. Host is responsible to advertise event within the group. Dates and events are to be coordinated with the Teen Activities Coordinator. Talent Night Coordinator (3) Responsibilities include organizing the group s Talent Night. This position utilizes a committee to plan the evening. The coordinator advertises the Talent Night throughout the group and takes names of participants. In addition to the talent portion of the evening, there is an art walk, which is a collaboration of children s artwork displayed for viewing. Coordinator usually emcees the evening. After the talent portion, there is a social time for participants and guests, with refreshments brought by the participating member families. The event occurs in late February/early March. Talent Night Helper (1) Responsible to help the coordinator plan and execute the evening. Teen Activity Coordinator (3) Responsible to plan, advertise, and execute activities for the teens with the assistance of the Teen Activities Helper. Three events are to be planned for the teens. Coordinator also oversees TAG events for scheduling and assists, as necessary, with advertising. Teen Activity Helper (1) Responsible to help Teen Activities Coordinator plan and execute activities for the teens. One point assigned to each event. You may sign up for more than 1 event. Theatre Camp Coordinator (5) Responsible for teaching a summer theatre camp consisting of six classes and culminating in a performance. Takes place in summer. Theater Coordinator (3) Responsibilities include organizing the participation at the various school theatre presentations at Playhouse Square Theater, the Cleveland Playhouse, and other local theaters. The coordinator must communicate (through timely announcements) the available theater presentations for the school year. Reservations are taken by the coordinator and then tickets are distributed to the families before the play date. The Theater Coordinator reports to the Field Trip Coordinator for calendar scheduling purposes. Valentine Party Coordinator (3) Responsibilities include planning the Valentine s Party for our younger members. The Coordinator plans the party events; advertises within the group; and uses helpers to execute the craft, snack, and games. There is a budget for this event, and the Coordinator is in charge of purchasing food and supplies. This event takes place at Grace Church.

8 8 Valentine Party Helper (1) Responsible to help plan and execute the Valentine s Day Party. Year-End Picnic Coordinator (3) Responsibilities include securing a place for our families to picnic to celebrate the end of the school year. The coordinator advertises the event within the group, arranges activities for the participants, purchases necessary food or drink, and oversees the set-up and clean-up of the event. This event occurs in early June. Year-End Picnic Helper (1) Responsible to help plan and execute the Year-end Picnic.
