1 Aim of the Policy This document outlines the policy of Carefound Home Care (the Company ) in relation to induction training. The Company is committed to providing an induction training programme to ensure staff are skilled and competent to provide high quality care to clients. Policy Statement New staff joining the Company not only need to learn about their own tasks and role but also need support in gaining confidence and fitting in to the Company. The Company provides an induction programme for all new staff which meets the standards set out in the Care Certificate developed and published by Skills for Care, Health Education England and Skills for Health. The Care Certificate is an identified set of standards that health and social care workers adhere to in their daily working life. Designed with the non-regulated workforce in mind, the Care Certificate gives everyone the confidence that these workers have the same introductory skills, knowledge and behaviours to provide compassionate, safe and high quality care and support. Regulated staff (e.g. Doctors, Nurses, Social Workers, Occupational Therapists) gain similar skills and knowledge within their professional training so they do not need to also achieve the Care Certificate. The Care Certificate: applies across health and social care; links to competences (National Occupational Standards) and units in qualifications; covers what is required to be caring; will equip workers with the fundamental skill they need to provide quality care; and gives them a basis from which they can further develop your knowledge and skills as their career progresses. The 15 standards in the Care Certificate are: 1. Understand your role 2. Your personal development 3. Duty of care 4. Equality and diversity 5. Work in a person centred way 6. Communication 7. Privacy and dignity 8. Fluids and nutrition 9. Awareness of mental health, dementia and learning disability 10. Safeguarding adults 11. Safeguarding Children 12. Basic Life Support 13. 2 Induction Training All new members of staff in the Company are required to attend a 5-day induction course at the Company office during which time they will be provided with a Staff Personnel Record which includes the following employment / induction information: Employee Handbook Induction Handouts Induction Resource Book Induction Workbook - Written Induction Workbook - Observation Medication Workbook Staff will also be introduced to the online Staff Portal which includes a range of useful information including Company policies and procedures, employment information, staff forms and training information. The induction training for all new members of staff consists of the following training sessions: The Care Certificate (Standards 1-15) Administering and Managing Medicines in the Community Contented Dementia Trust - SPECAL Photograph Album Dementia Awareness The Care Certificate Training in the Care Certificate will cover all 15 standards outlined above. As part of this, a Company Director (or Home Care Manager) will introduce the new employee to the Company and its aims and objectives at the start of the course. The training modules will also link to the Company policies and procedures, operating documents and how to complete any such forms. To support this training staff will be provided with and be able to reference the Induction Resource Book and Induction Handouts which include all required information about the 15 standards. In order to demonstrate and evidence that they have met the required standards each staff member must complete the Induction Workbook - Written during the induction course. This workbook must be assessed by a competent person in the Company based on the guidance published by Skills for Care here: The Care Certificate Framework - Guidance Document If there are any errors or areas of concern in the completed Induction Workbook - Written these must be discussed and updated with the member of staff to ensure they have provided sufficient evidence to be deemed to have met each standard. Administering and Managing Medicines in the Community Prior to supporting people with their medication, all staff must have attended and completed medication training in how to administer and manage medicines in the community. This training is delivered by a competent person in the Company and each learner is also provided with a Medication Workbook which must be read. Page 2 of 5
3 In addition to face-to-face training when learners may be monitored to ensure their competency, all staff members must complete an online assessment to evidence their having met the required standards for administering and managing medicines in the community. All staff members must also be observed as competent to administer medication in the community. This involves a competent colleague observing the staff member administering medication in the community and completing a Medication Competency Check form. Contented Dementia Trust - SPECAL Photograph Album All new staff must receive specialist dementia training, in addition to dementia awareness training, ensuring that they have been given practical guidance in supporting people with the condition. The Company has adopted a specialist technique called the SPECAL method through a partnership with the Contented Dementia Trust. Each new member of staff will receive an introductory training session in the SPECAL method as part of their induction - Introduction to the SPECAL Photograph Album and the Three Golden Rules. Dementia Awareness All new staff must receive dementia awareness training as part of their induction. This is delivered through face-to-face training. Shadowing Before working alone with clients for the first time, each new member of staff must undertake a minimum amount of supervised work, which will involve shadowing a competent colleague working with clients. The minimum amounts of shadowing are: Hourly Care: 12 hours Live-In Care: 2 days (each day covering a full daily routine of the client) During this period of supervised work the supervisor(s) will be asked to complete each section of the Induction Workbook - Observation in which evidence must be recorded that the staff member has been observed demonstrating practical competency for each standard of the Care Certificate which requires this. Each observation must be assessed by a competent person in the Company office based on the guidance published by Skills for Care here: The Care Certificate Framework - Guidance Document The Medication Competency Check form should also be completed during this period of supervised work, or before the staff member is allowed to administer medication to a client alone. The Home Care Manager reserves the right to require the new member of staff to undertake additional periods of shadowing if there are concerns about his / her performance and / or capabilities. Safe to Leave Meeting The Company operates a Safe to Leave policy based on Care Quality Commission (CQC) guidance. It recognises that staff need close supervision and support throughout the induction period. Before any new staff member is allowed to work on their own or with relatively inexperienced colleagues the Company carries out a full assessment of their competence to do so during a Safe to Leave Meeting. 4 Following completion of the induction training and shadowing the Home Care Manager is required to hold a Safe to Leave Meeting with the new member of staff in order to sign-off all individual parts of the induction process. Before and / or during this meeting the following documents must be completed with the staff member and signed by the Home Care Manager: Induction Evidence Training Log Induction Tracking Form At this meeting an initial personal development plan will also be completed determining what other training and development is required. A new member of staff may not commence work on their own or with relatively inexperienced colleagues until an Induction Tracking Form is fully completed and the Home Care Manager is comfortable that the new member of staff has demonstrated sufficient competency to be safe to leave. Note: Standard 2 of the Care Certificate ( Your Personal Development ) cannot be completed and signed off until the staff member attends a Supervision Meeting with their Supervisor which takes place after 3 months with the Company. As such, this section of the Induction Evidence Training Log will only be signed off at this stage, meaning that the Care Certificate cannot be completed and issued until then. Induction Mentor During the Safe to Leave Meeting every new member of staff will be allocated a Mentor - a colleague who can provide informal advice and information and help the staff member fit into the Company. The Mentor will usually be a colleague of a similar grade and doing a similar job who has at least 1 years experience of working with the Company. Mentor Meeting Following the Safe to Leave Meeting, the Mentor will be informed that they must hold a Mentor Meeting (lasting up to 1 hour) with the new member of staff within 4 weeks. During this meeting the Mentor must take the time to discuss the Company s Medication Policy with the new member of staff and ensure that any issues or concerns are addressed. The meeting is also an opportunity to discuss any other concerns and ensure that the new member of staff is settling into the team. If any concerns are raised by the new member of staff these must be communicated to the Home Care Manager immediately. New Starter Spot Check In addition to a Mentor Meeting, the Mentor will also be required to undertake an unannounced New Starter Spot Check with the new member of staff within 3 months (i.e. prior to their first Supervision Meeting). If any concerns are raised by the Mentor these must be communicated to the Home Care Manager immediately. Page 4 of 5
