1 UCSF MEDICAL CENTER JOB DESCRIPTION WORKING TITLE: (Blank) Assistant III DATED: COST CENTER: UPDATED: REPORTS TO: Analyst IV - Supervisor DEPT: Radiology APPROVED BY: Radiology Operations Director SUPERVISES: MANAGER S SIGNATURE: To be completed by Human Resources: FLSA STATUS: PAY RANGE: PAYROLL TITLE: JOB CODE: SUMMARY The primary function is to schedule multiple radiology examinations using the Radiology Information System. Scheduling these exams includes the following process: schedule examination in DECRAD, review insurance information for authorizations, enter the authorization, create a visit in IDX (PACE), take minimal insurance and demographic information and assist the patient or practice scheduling with preparations for the examinations and other information regarding the examination requested. The multiple exams include: MRI, CT, Mammography, Ultrasound, Mammography, and Nuclear Medicine, PET scans and Diagnostic and Fluoroscopy procedures. Attention to detail using both computer systems. Knowledge of radiology procedures and the associated requirements of the examination are required. Some of the requirements include, scheduling with anesthesia on those cases requiring, reviewing examination checklists, such as MRI with the practice or patient and explaining and preparations for the test requested. Selecting the correct ICD 9 code when scheduling is necessary. Requires knowledge of radiology procedures and associated information. Knowledge of registration functions and insurance requirements. Required classes include IMF, Visit Management, Basic Insurance Concepts and Collecting Patient Information.. DUTIES & ESSENTIAL JOB FUNCTIONS A. AREAS OF EMPHASIS 60% 1. Schedules inpatients and outpatients for all radiology procedures requested from all of the following departments: MRI, CT, Ultrasound, Nuclear Medicine, PET, Mammography, Diagnostic and Fluoroscopy, Interventional Radiology, Neuro Interventional Radiology. 2. Uses Automatic Scheduling Module for the most current examination time. Adds on patients when requested. 3. Schedules adult/pediatrics anesthesia and nurse sedation cases. Requests medical records, H/P from referring physician. Schedules add ons emergent anesthesia cases. 4. Schedules court order cases for foster children. 5. Schedules Pet Scans, times, preps that are required.
2 6. Uses associated checklists to questions patients regarding examination requested. 7. Follows all rules when scheduling. Utilizes Medicare guidelines. 8. Explains preparations for all radiology examinations. Some examinations requiring special instructions such patients with pacemakers, metal, allergies and diabetics. 9. Schedules biopsies. 10. Schedules HSG exam and times/prep that are required. 11. Request clinical history and ICD 9 Codes for the procedure requested. 12. Assigns appropriate ICD9 Code when scheduling for billing and reimbursement. 13. Receives authorizations of those procedures requiring them. Keeps updated on those insurance copies requiring them. Does not schedule without proper authorization. 14. Pre-registers all outpatients. Enters insurance information and demographic information into IDX and DECRAD. 15. Attention to detail, applies correct medical record/accession numbers to paperwork 16. Uses the computer and its functions for patient care duties. 17. Maintains confidentiality of all patient information. 18. Demonstrates competency in the registration process. 19. Assists in the billing process and TES and Billing Exceptions File. 20. Confirms patients for their appointments prior to their appointment day. B. ADHERES TO POLICIES AND PROCEDURES 10% 1. Utilizes proper body mechanics. 2. Follows established radiation safety guidelines. 3. Follows established department and hospital guidelines for attendance and tardiness. 4. Adheres to all hospital and department polices and procedures. Remains current on patient safety to include electrical, mechanical, fire, safety and disaster procedures. 5. Adheres to all radiation and magnet safety policies and procedures. 6. Provides excellent customer service to patients, co-workers, physicians and other departments. 7. Assures that work environment is clean and in compliance with infection control and environmental health and safety standards. 8. Is a role model by maintaining a professional, neat appearance and adhering to the department dress code policy. Displays hospital identification badge. C. INFORMATION MANAGEMENT 15% 1. Demonstrates competency in the Radiology Information System. 2. Maintains competency in Visit Management, Insurance, by taking required classes. 3. Insures clinical data is correct and appropriate for specific procedures being requested. 4. Insures authorization is entered on those examinations requiring. Reduces denials. 5. Demonstrates competency in the selection of the correct Visit Number. 6. Applies correct ICD 9 codes. 6. Demonstrates competency in the use of the hospital s registration and billing system. (PACE) 7. Remains current in the radiology and hospital information systems. 8. Utilizes hospital/department computers for hospital business only. D. LEADERSHIP/SUPERVISION 3%
3 1. Provides leadership in the absence of the supervisor. 2. Demonstrates the ability to work with minimal supervision. E. DEVELOPMENT 4% 1. Assumes responsibility and accountability for own professional growth and practice. Attends assigned staff development activities. 2. Participates in cross training activities when necessary. 3. Recognizes and performs duties which need to be performed although not directly assigned. 4. Attends meetings or seminars to remain current. 5. Complies with the department expectations and standards. F. PERFORMANCE IMPROVEMENT 4% 1. Participate in related performance improvement projects for the department and hospital. 2. Attends required hospital training and inservices. G. BUDGETARY 4% 1. Demonstrates effective use of time. 2. Is conscientious regarding the use of supplies. 3. Adheres to the productivity monitors for the department. 4. Assures patient information and billing codes are correct. 5. Identifies opportunities for cost containment. OTHER FUNCTIONS AND RESPONSIBILITIES 1. Assists other departments when necessary. 2. Performs other duties as assigned within the scope of the job, training and licensure. SUPERVISION: A. SUPERVISED BY: Blank Assistant IV Supervisor QUALIFICATIONS REQUIRED Requires High School Diploma Previous computer skills Read and write the English Language. Flexibility in scheduling, ability to rotate shifts and coverage for weekends and holidays if necessary. PREFERRED Prefer previous experience in a hospital acute care setting or imaging center. Previous insurance experience.
