6 Guiding Principles Overview As we embark on our journey to the implementation of an electronic medical record system, it will be critical that all users are well prepared. To that point, training for all end users is mandatory and system access will not be granted until all of the training requirements have been completed. Course length will vary, but it is our goal to provide you with training that is meaningful and applicable to your role within our organization. The training sessions will be led by Epic certified instructors and will focus on workflows that are integrated into your everyday routine. Assessments The learner s ability to display competency in the system is an important indicator of readiness. As part of your Epic training, you will be required to display competency in Epic by passing an appropriate assessment. The assessments will be a combination of written exam and a scenario based exercise. Course Enrollment Enrollment for Epic courses will be conducted through APEX. All Provider courses will be open for selfenrollment. All other learners will work through their manager, CRL, CPE, etc. to find the course(s) that are required and enroll in the course. Most courses WILL NOT have open enrollment, managers and other leaders will enter the enrollment for the learner in APEX. ELearning Resources Some of the application-specific courses have pre-requisites identified and should be completed prior to attending the training course. 7 ADT, Scheduling and Registration ADT is the application used for the Admits/Discharges and Transfer of patients. Prelude is the application used for registering patients. Cadence is the application used for scheduling patients. Principal Trainer: Sally Mahoney: ADT Patient Access In this course learners will learn how to preadmit a new patient; preadmit a patient with shared coverage; preadmit a dependent patient; admit a Medicare patient and add secondary coverage; admit a preadmitted surgery patient; admit a patient with outdated guarantor and coverage information; make a reservation; admit a direct admit patient; complete an authorization and certification and manage events. 15 Emergency Departments ASAP is the Emergency Department application that will be used in the Adult, Pediatric, and Burn Emergency Departments for patient medical record documentation. Principal Trainer: Kim Yedowitz: ED Managers and Clinical Resource Leads In this course the ED Management Team will learn all information contained in ED Registered Nurse course, and additionally learn about reports and report capabilities. Details about chart deficiencies will also be discussed. A variety of tracking modes will also be reviewed. 17 Health Information Management HIM is the Health Information Management Department application that will be used to manage chart deficiencies, provider relinquishment and suspension, release of information requests and coding and abstracting, as well as scanning the remaining paper chart. Principal Trainer: Ana Hernandez: Deficiency Analyst - Part 1 In this course, the Deficiency Analyst will learn the basics of navigating a patient chart in Epic, verify deficiency completion, notify providers of missing documentation, as well as reassigning deficiencies. No prerequisites required. Course Length: 4-hour session. Deficiency Analyst - Part 2 In this course, the Deficiency Analyst will learn the relinquishment process for providers with delinquent deficiencies. In addition, they will learn how to assist providers with the completion of deficiencies. Deficiency Analyst - Part 1 Course Length: 4-hour session. HIM Tech In this course, the HIM Techs will learn to identify discharged patients charts, checking in and completing reconciliation of charts received in the HIM Department. As well as, identify and locate discharged patients' charts that were not received in HIM. No prerequisites required. Course Length: 2-hour session. Page 12

18 ROI Clerks - Part 1 In this course, the ROI Clerks will learn how to initiate the process of release requests for patient information, identify the patient and determine whether the request is a duplicate, record the request, obtain authorization, determine which records need copying or printing, preview the patient's record and indicate that the release was fulfilled. No prerequisites required. Course Length: 4-hour session.) ROI Clerks - Part 2 In this course, the ROI Clerks will learn how to identify new requesters, how to process release requested for patients with incomplete records, as well as patients not seen at MIHS. ROI Clerks Part 1 Course Length: 4-hour session. ROI Clerks - Part 3 In this course, the ROI Clerks will learn how to prepare release requests for Auditor s review, how to review patient s records through the Release Inspector, as well as release records on CD. ROI Clerks Part 1 ROI Clerks Part 2 Course Length: 2-hour session. Page 13

19 Coder In this course the Coder will learn how to identify accounts to be coded, review the chart, code accounts with sufficient documentation, abstract any information from the chart, work claim edits from the Claim Edit workqueue, set a tickler, override an error, and understand how Epic integrates with the encoder. As well as, change account status, add account notes and communicate with the physicians on accounts with incomplete documentation via the coding query. No prerequisites required. Course Length: Total 6 hours HIM Management In this course management will learn the provider notification and relinquishment process customize reports in the system, review deficiency statistics and the release of information functions. 20 Inpatient Units ClinDoc is the Epic application that will be used for all inpatient documentation. This includes: Nurses, Techs, HUCs, Speech Therapy, Occupational Therapy, Physical Therapy, Child Life therapy, Case Management, Social Workers, and all of Psychiatry. Principal Trainer: Todd Hurst: Inpatient Nursing Training Path All Inpatient Nurses will be required to complete the core courses below (100 through 400 level), along with any specialty course(s) as appropriate. E-Learning & Nurse 100 Clinical Basics E-Learning: Placing Orders with Order Sets E-Learning: Quick Disclosure Course Length: 4 hours Nurse 300 Epic Orders Management In this course, nurses will learn how to manage orders based on physician instructions, documenting a line, drain, airway or wound, and document restraints. We will also cover patient discharge, charge entry, and post mortem care. 22 Nurse 400A Epic Medication Administration (Non ICU Nurses) E-Learning & In this course, Nurses will learn how to administer medications in Epic including IV meds, PCA meds, how to document overdue meds and documenting override pulls. We will also cover blood administration and adverse blood reaction documentation. In this course, Techs and Sitters will learn how to maintain a patient list, review patient information, how to use the work list, prioritizing patient care, documenting on patient flowsheets, and basic intake and output. The Techs will learn how to collect labs, document patient belongings, document in flowsheets and document on the Plan of Care as appropriate. Chart corrections, downtime procedures, and managing the in-basket will also be covered. Course Length: 4 hours Inpatient HUC 120 Epic Clinical Basics In this course, HUCs will learn how to maintain a patient list, and how to arrive, transfer, discharge and update patients. They will learn how to view patients in their unit, review charge information, and enter charges. This class covers chart corrections, downtime procedures, managing the in-basket and post mortem documentation.
