1 WHATS INSIDE: DIRECTORS MESSAGE page 2 NEWS page 2-4 STAFFING UPDATE page 5 AND FINALLY... page 6 Procurement & e-commerce Department Newsletter October 2017 Excellence in Supply Awards 2017 The NHS in the North West Excellence in Supply Awards 2017 took place on the 19th October 2017 at the Village Hotel in Blackpool. The awards celebrate private sector organisations and NHS Procurement working in partnership for the delivery of high quality, effective and efficient patient care. MFT were up for 2 awards: NHS Supplier Engagement and NHS Procurement rising star for Debbie Stevens. Sixteen members of MFT Procurement staff descended on Blackpool on Thursday afternoon to show their support. The big NHS winners on the night were The Walton Centre Foundation Trust who scooped the NHS Supplier Engagement Award and MFT alum Alex Diamond, who now works at Salford Royal NHS Foundation Trust, who won the Rising Star award. Many congratulations to them. Sadly MFT did not win anything but everyone had an enjoyable night out.
2 Directors Message It s been 6 months since we formally unified our Departments and as of 1st October 2017 we are now officially Manchester University NHS Foundation Trust. You should all be very proud that you have through hard work and patience delivered a unified procurement service in line with the vision of the NHS in Manchester being a pathfinder is never easy but the prize as we know has been great. It s been useful to reflect on the past months and learn from what has gone well or not so well. We have had the following success: Implemented a new structure with grades at South that reflect the roles undertaken and to be undertaken Created a new Operational Purchasing Team Improved and modernised some of our services Continued to deliver savings Won national recognition for our work and in particular our Central AP team But we ve also had some challenges: It s been more difficult than we thought to integrate activity especially with different systems and separate Trust structures Service improvements, for example inventory management, have taken longer than we hoped to embed within busy Theatres We still need to break down some barriers and change the culture between colleagues In summary I think we ve all done a tremendous job and we ve learnt much along the way. We are the biggest Trust from 1st October and the biggest NHS procurement Team we are also in my view the best and we know we can be even better! Thank you as always for all that you do. Simon Walsh Procurement Director News Annual Members Meeting The Annual Members Meeting took place on the 27th September The event was the most successful to date with around 200 public and staff members attending during the afternoon. Thank you to all the volunteers who manned the Finance and Procurement stand we had some great feedback. The Procurement Department even got a special shout out from Adrian Roberts (Chief Finance Officer) during his speech as he highlighted that we have been identified by NHS Improvement as having the best price performance score nationally.
3 HCSA PDP Martin Doherty (Buyer) and Simon Bennett (Genesis Lead) were the lucky two to be selected to go on this years HCSA Procurement Development Programme. The 5 day course, which took place at the Ettington Chase Hotel in Stratford-upon-Avon, has been developed specifically NHS Wales Visitors The department welcomed Chris Thain (Deputy Head of Procurement at Cardiff and Vale University Health Board) and Romano Provini (Senior Category Manager at NHS Wales Shared Services Partnership Procurement Services) for the day on the 23rd August. Mark Stevens (Head of P2P) and Ross Palmer (Senior Purchasing Manager) met Chris and Romano through the PSD Future Leaders programme which they are currently enrolled in and for procurement professionals within the NHS. The programme aims to help delegates get the best from their procurement and supplier management processes. Whilst gaining a much better understanding of the invited them for a visit. The visit provided a great opportunity for members of both Trusts to share ideas from the perspective of MFT, NHS Landscape and how their role fits in to that. Martin said about his time on the course: The HCSA Procurement Development Program was a brilliant week where we were lucky to have some excellent speakers covering areas such as Procurement Law & European Legislation, Negotiation & Contract Management, as well as learning more about Advise Inc and the PPIB tool and much more. It was great opportunity to meet other Procurement staff from other NHS Organisations scattered across the country, I would thoroughly recommend it to anyone who has the opportunity to attend in the future! GM and the Welsh system. It proved to be a very useful day and Mark and Ross plan on visiting the team in Wales in the near future.
4 Savings The trading gap is a report that the Procurement Department use to record details of their savings projects along with the estimated and actual savings figures made. Currently the MFT trading gap savings total stands at a healthy 8,596,298 against a target of 6,700,000. A selection of some of the larger value new projects that have made their way onto the trading gap over the last couple of months are: Karl Storz Stacks & Scopes - which is a capital saving of 75,664, the bulk of which going to RMCH, made by Sarah Jackson. Intermittent Pneumatic Compression - a saving of 32,785 which Ross Palmer discovered using the Price Purchase Index Benchmarking tool. Ventricular Assisted Devices (Heart Mate 3 Devices) - a huge 215,000 saving made for Wythenshawe by Jon Hilton. Optos California Machines - a cost avoidance saving of 18,000 for the Eye Hospital by Robert Jones. Biological Mesh - a Ben McKeogh saving of 22,197 for Surgery and RMCH. Lancer Drying Cabinets - a saving benefiting Wythenshawe to the value of 21,539 made by Kate Bailey. There are many more projects not listed here. A big thank you for the continued hard work of those who contribute to the Trading Gap savings. CIPS Congratulations to Duncan Robjohns (Buyer) who has achieved Full Membership of the Chartered Institute of Procurement and Supply. Well done Duncan! Amy Emmerson (Purchasing Manager) who qualified earlier in the year had her graduation ceremony this September in Peterborough. Congratulations Amy and good luck to all our CIPS students with their studies. Other News The South site Procurement Department have now achieved level 1 of the NHS Procurement Standards, which is great progress. The standards were brought in by the government to provide a clear vision of good procurement. Anna Kelly (e-procurement Catalogue Assistant) is recovering well at home after her operation. We all wish her a speedy recovery. Congratulations to Louise Harvey (Materials Management Supervisor) who has recently welcomed a baby girl into the world. Both mother and baby are doing well.
5 Staffing Update Movers The following staff have all changed roles within the Department: Congratulations to Ben Spedding who is the new e-procurement Catalogue Assistant. Ben had previously been working with the Catalogue, Helpdesk & Compliance team in an interim position since he started in June. Gary Burgess interviewed successfully for the Data Analyst role in the Information Team. Previously Gary had been working as the Information Assistant since March Well done Gary! The Operational Purchasing Team welcome Jack Phillips as the new Maintenance Buyer. Jack originally joined as an apprentice in November 2016 before successfully gaining a permanent role as a Catalogue Assistant in April He will also be starting his CIPS in November. Good luck Jack! New Starters We give a warm welcome to the newest members of the MFT Procurement Department: Joseph Nee has joined the Department in the role of Materials Management Assistant, he is based at South. Sophie Pennington has joined the South Helpdesk Team for a 6 week period. Francis O Rourke has joined as the Procurement Apprentice gaining valuable experience which will help him to complete and accomplish his NVQ Business Administration Level 3. Flo Emelone has started work on reception in Wilmslow Park, she will be here Tuesdays and Fridays and covering holidays. Sarah Vaughan has joined the team at International House on a temporary basis. Leavers This month we say farewell to Edward Roughley (Buyer) who leaves the Trust at the end of October. We wish Edward all the best in the future. Chris Ardern has left the role of Data Analyst to join the Turnaround Team at Wythenshawe and is currently enjoying his new role. Kate Bailey (Senior Buyer) will also be leaving us at the start of December. She will be joining Liberty Living as a Procurement Officer and will be sorely missed here at MFT. Good luck in your new job Kate!
6 And Finally... Go-Karting Some of the team went out for a night of go-karting in September. In what proved to be an intense and highly competitive final race Robert Jones (Buyer) was victorious followed by Debbie Stevenson (Materials Development Manager) in second and Simon Bennet (Genesis Lead) third. A clearly emotional Robert said that this was the single proudest moment of my life.
