1 Health & Safety Consultation Document non-school group Introduction Adventure Camp Trust Board operates Carey Park Christian Camp and Adventure Camp Piha Trust operates Piha Mill Camp. We operate these camps together under the trading name One Big Adventure. One Big Adventure creates experiences, challenges, risks and situations that stretch, build and grow people not just in the moment, but for life. We recognise that in providing these experiences through various activities, there are associated health and safety risks. We take steps to mitigate these risks, and work together with you to do so. In this Health and Safety Consultation Document, we outline: Information regarding activities offered. Risks associated with activities offered. The steps we have taken and would like you to take to mitigate these risks. Our requests to you for your involvement in understanding, identifying and mitigating risks. We look forward to working with you through this process. Page1
2 Activities Information and Risks We have a range of great activities at our Carey Park Christian Camp and Piha Mill Camp campsites. The activities available at each site are detailed on our website at: we have detailed in our Risk Disclosure Statement the general risks associated with all activities. You will also find on our website specific Activity Instructions and a Risk Assessment and Method Statement (RAMS) for each activity. We require you to review these documents to familiarise yourself with the risks associated with each activity, and to advise us of any queries or concerns you may have and any other information that may impact on the risks associated with the activities. We also require you to consult with all relevant persons involved in and/or participating in activities. Once you have chosen the activities that you would like your group to participate in, we will further review and discuss the activities with you. We expressly acknowledge that this Health and Safety Consultation Document in no way detracts from our responsibilities under the Health and Safety at Work Act Privacy We acknowledge that in undertaking this consultation process and running the camp and activities we will be provided with information regarding you and your group members. We are committed to protecting you and your group member s privacy and respect your and your group member s rights to privacy under the Privacy Act We will comply with our statutory obligations in respect of the collection, use, disclosure, storage and handling of personal information. You authorise us to collect, retain and use personal information about you and your group members (the Information ) including for the purposes of this consultation process and running the camp and activities. You acknowledge that in certain situations, such as medical emergencies or for health and safety procedures, we are authorised to provide the Information to other persons. The Information will be held by us at our address and to the extent it can be readily retrieved you shall have access to it, the right to request correction and the right to be notified of action taken in response to any such request. 3 Risk Disclosure Statement Acknowledgement of General Risks Certain risks and hazards are inherent in outdoor activities and cannot be eliminated without destroying the unique character of the outdoors. However, Carey Park Christian Camp and/or Piha Mill Camp will identify foreseeable risks or hazards and implement correct management strategies along with the availability and suitability of ways to eliminate or minimise the risk. Our systems meet national guidelines. We encourage you to ask any questions about the activities you or your group members will be involved in, to gain a better understanding of the risks involved. You or your group members will/may participate in camp activities such as: low ropes course, team building, swimming, kayaking, archery, campfire, cooking, orienteering, games and sports, flying fox, bush exploration, climbing wall and crate stacking. The safety of each individual is of the utmost importance. Carey Park Christian Camp and/or Piha Mill Camp may alter the program at any time, in order to ensure the safety and well-being of all participants. Substituted programs will be more appropriate to the circumstances. Instructors and the camp Director have the discretion to stand down participants for repeated or severe misbehaviour during activities. Instructors may and will stop an activity when participant safety is compromised. Certain activities offered at Carey Park Christian Camp and/or Piha Mill Camp, after receiving training from camp instructors, are supervised by adults and parent helpers. Carey Park Christian Camp and/or Piha Mill Camp Instructors hold current first aid certification. There is no doctor on site. However, ambulance services have direct access to Carey Park Christian Camp and/or Piha Mill Camp activity locations, with Waitakere Hospital being located ten kilometres from Carey Park Christian Camp and thirty kilometres from Piha Mill Camp. 4 Health & Safety & Wellbeing Activity Safety Activity equipment and operating processes are audited, to ensure that they are provided and delivered in a safe and satisfactory manner. Activity equipment consisting of our Flying Fox, Rock Wall, Crate Stacking, Rope swing and Confidence Course are all inspected and certified once a year. Our operating processes are subject to an annual in-house audit. This included looking at our RAMS system, adult instruction information, the practical delivery of our activities and staff training competence levels. This is to ensure that any changes in industry standards, staff, legislation, etc. is taken into account and our internal processes changed to suit. Our applicable activities are audited on a three year schedule. We are audited and registered with WorkSafe NZ, under the Health and Safety at Work (Adventure Activities) Regulations Our certifying body is Skills Active under the OutdoorsMark certificate. 5 Staff Training Activity staff are trained in the supervision and instruction of our activities as per the requirements of our OutdoorsMark accreditation. Some of this training is based in-house, some is provided by independent third party training providers. However, all training includes ongoing measurement of competency, with refresher training being conducted throughout the year including emergency recovery training. All training meets industry standards to ensure a safe delivery of activities to you, our guests. Activity staff all hold recognised first aid qualifications. Catering staff hold recognised food safety and hygiene qualifications. Staff Working with Children All staff working at camp core workers (i.e. activity staff) as well as non-core workers (i.e. administration, kitchen and maintenance staff) are subject to Children s Worker safety checking. All staff are thoroughly safety checked, as specified under the Vulnerable Children Act Volunteers who work at camp are not subject to Children s Worker safety checking, however they are subject to three reference checks and subject to police vetting checks where volunteers are over seventeen years old. Ongoing Compliance Our activity equipment is fully maintained and annually inspected by professional engineers. This is to ensure that it meets industry safety standards. Ongoing compliance is maintained by inspection, auditing, and certification. Flying Fox, Crate Stacking, Rock Wall and Confidence Course is certified by Height Access Technologies. Kitchens are inspected and certified by Auckland Council. Building Warrant of Fitness by Auckland Council. Electrical certification by Sundgren Electrical. First Aid by St John. Compliance to Adventure Activities regulations OutdoorsMark accreditation by Skills Active Ltd. Page5
6 Your Involvement Client Confirmation We have shared responsibilities towards ensuring that all users of Carey Park Christian Camp, or Piha Mill Camp have a safe and productive visit and/or participate safely in activities. We are taking this opportunity to consult, co-operate and coordinate towards the safety and health of all workers, guests and visitors. To that end we have detailed the following: The activities the participants are to participate in. The identified risks associated with those activities. The steps we have taken to mitigate those risks (e.g. safety practices, audits etc.). Your understanding of the matters and any suggestions for the best way to manage the risks we have identified, or other risks you have identified. Group member s physical or behavioural difficulties. In consideration of Adventure Camp Trust Board ( ACTB ) and Adventure Camp Piha Trust ( ACPT ) allowing your group to use our facilities and/or participate in the Activities: you agree that all members of the group as part of your group booking: Acknowledgement Please tick 1. Acknowledge the group is taking part in the Activities entirely at their own risk. 2. Acknowledge there are inherent risks involved in the Activities and ACTB and/or ACPT require you to consult with them and all other relevant persons on an ongoing basis to identify, avoid and/or minimise these risks. 3. Accept that you are responsible for your group s conduct and actions and will ensure they comply with our safety procedures and directions while participating in the Activities. 4. Understand that ACTB or ACPT has the right to deny participation in the Activities for any reason it deems just and proper in its sole discretion. 5. Will not be under the influence of alcohol, recreational drugs, prescription drugs or any other mind altering substances which would in any way impair your ability to safely participate in the Activity. 6. Except as advised to ACTB and/or ACPT, have no pre-existing medical conditions of which ACTB or ACPT should be aware, and are in proper physical and mental condition to participate in the Activity. 7. Will obey the rules and directions and instructions for the Activities advised by ACTB or ACPT and the ACTB staff at all times. 8. Will query any matters you do not understand. 9. Understand the risks and dangers associated with the Activities. 10. Know the potential for physical injury including but not limited to serious bodily injury, permanent disability, paralysis and loss of life. 11. Accept responsibility for loss of or damage to the group s personal property or the property of others, including property of ACTB and/or ACPT. Page6
7 you agree that all members of the group as part of your group booking: Acknowledgement 12. Acknowledge that exposure to adverse physical conditions can occur at our facilities. 13. Understand that there are aspects of the Activities which are beyond the control of ACTB or ACPT, including the behaviour of other participants in the Activities; Adverse weather conditions; Failure of equipment and safety procedures due to inappropriate participant use and behaviour; All other situations which are not readily foreseeable and beyond the immediate control of ACTB or ACPT. 14. Activity Leaders Assistants Helpers are in your opinion competent to supervise children placed under their control during their stay at our facilities and competent in the activities they will be leading/supervising. 15. You have received/obtained/downloaded from our web site reviewed and provided copies of our Safety Management Information i.e. RAMS and activity instruction sheets to all relevant persons involved in the camp and participating in activities, and sought comment from them. 16. You have obtained consent and an acknowledgement of risk from the parent or guardian of all persons under eighteen (18), and all persons eighteen or over, to both attend camp and participate in activities. We request of your group the following information: 17. Name and Contact details of your onsite contact person. 18. Name and Contact details of your First Aid co-ordinator. 19. Name and Contact details of your Building Warden. 20. You have provided details of any particular child s or guest group members physical or behavioural difficulties that may impact their undertaking the activity and/or their ability to respond appropriately to instruction from our staff. 21. You have provided details of any particular group members special medical needs, their health profile and a copy of any specific Health Care Plan for that participant. 22. You have provided details of any particular guest group members allergies to food or environmental factors. 23. You have assessed your guest group members competence in and around water and their swimming ability/proficiency. Please tick information provided Page7
8 Acceptance and Supporting Documentation Provision I acknowledge that I have read and understood the contents of this consultation document and the further information available on our website and had an opportunity to provide comments. I further acknowledge that I have read, understood and provided the requested documentation and information detailed in the Client Confirmation. This consultation document provides an ongoing opportunity to consult, co-operate and coordinate over the safety and health of all workers, guests and visitors to ACTB or ACPT facilities and activities.
