1 Royal Victoria Regional Health Centre March 2012 Sharing experiences: RVH s Employee Experience Survey In the fall of 2011, RVH initiated a comprehensive Employee Experience Survey to gauge staff perceptions about the care provided at RVH and engagement with the organization. The overall results, which were presented at a series of town halls on February 9 and posted on the intranet, provide RVH with invaluable, focused information that will act as our roadmap for action. Overall, the response rate was outstanding with 100 per cent of leaders, 77 per cent of full time staff and 67 per cent of part time staff completing the survey. The overall completion rate was 66.6 per cent or nearly 1,300 people, giving RVH a solid benchmark for future surveys and a wide representation of areas for improvement. There was also proportional representation from union and non-union staff, as well as clinical and non-clinical departments, providing a wealth of information about every department in this health centre. The results were honest, detailed and accurately reflect how staff are feeling. There were categories in which the organization excelled and those in which the results were disappointing. Regardless, all results will not be taken lightly and they will be acted upon. The purpose of this survey was for staff to tell RVH leadership how they are feeling and to provide direction on areas of focus over the next eight months on both an organization-wide and department-specific basis. Having an opportunity to use skills Teamwork Zero-tolerance violence policy Workplace injury initiatives Promotion of hand hygiene Opportunities for improvement: Need time to provide patients with information Need time to understand patient needs We work in crisis mode, trying to do too much too quickly Ensure work meets patient needs Have materials/equipment needed to give patients the best treatment When an event is reported, it feels like the person is being written up, not the problem Staff worry that mistakes are kept in their personnel file In addition to the overall RVH results, there are 29 individual department results in both clinical and non-clinical areas. Among all areas, there are common themes which will become areas of focus for our action plans. To be effective and have the most impact on teams, the action plans must be developed by staff, for staff. RVH s leaders have devoted significant time to reviewing the results and have established priorities on which the organization will focus for improvement right away at the health centrewide level: Better value and recognition of your good work Improve trust within our organizations (through workload management and consistent and direct interaction with RVH leaders) Employee Engagement Survey Results are in: 46.8% of staff feel engaged based on question about pride and trust in the organization, how RVH values matched their own and job statisfaction. 2 MARCH 2012 RVH celebrates a brand new day Brand Launch - The Auditorium has never housed so many people as it did the day RVH launched its new identity on January 9, Staff, physicians and volunteers crowded into the standing-room only space to witness the unveiling of RVH s new name, logo and tagline Inspiring care Flag-Raising - RVH officially became Royal Victoria Regional Health Centre when the new flag was raised, signifying a brand new day and a brand new identity at RVH. Volunteers RVH volunteers and Auxiliary members, including Ina Smith (left) and Guy Hachey, were a great help throughout the week of RVH s new identity launch. At the launch ceremony held on January 9, they proudly modeled the new Auxiliary vests while handing out RVH pens to attendees. The launch of a new name and logo provided the perfect opportunity for volunteers to refresh their uniforms as well. The new vests were decided upon in consultation with a focus group of male and female volunteers, including members of the Auxiliary s executive. Spirit Wear Fashion Show - Models strutted their stuff, and the new RVH Spirit Wear, in a highly successful fashion show held on the second day of launch week. 23 staff, physicians and volunteers helped to model the new line of clothing available at Victoria s Gift Shop. Page 2 Flash Mob The RVH Rappers returned for another outrageous performance as they initiated a spontaneous flash mob in the RVH Food Court. A photo cannot really do this true feat of rapping prowess justice, so please view the video on the intranet or on the RVH website.

3 MARCH 2012 Excellence among us At a town hall meeting on March 8, staff, physicians and volunteers gathered in RVH s auditorium to honour five inspiring members of the Royal Victoria Regional Health Centre Team. Each received a 2011 Board of Directors Award of Excellence for their invaluable contributions to RVH. There are four categories Staff, Volunteer, Manager/Director and Physician but in a surprising turn of events this year, the Awards of Excellence selection committee found two nominees in the staff category equally deserving of this recognition. New Intranet If you haven t been on the new intranet yet, we certainly encourage you to visit. The revitalization of this internal website for staff has changed dramatically with a more appealing look and intuitive navigation. She is always friendly and more than willing to help patients. Even under in a high pressure work environment Victoria still pays attention to the small things that matter - that makes a difference. Anyone who has ever worked with Victoria would say that she is very compassionate, a great listener and genuinely cares about fellow staff and patients. In fact, she is so well-loved by her colleagues that their signatures alone took up an entire sheet of her nomination. Staff Heather Stubbs Security Coordinator Heather Stubbs is a well-known RVH staff member who truly makes safety a top priority. She promotes a safe environment in which our staff work and patients heal. Heather treats everyone with respect and in return, she is always held in high regard. Anyone who meets Heather walks away with the feeling of trust, sincerity and excellence as she exemplifies the characteristics valued at RVH. She is the perfect first impression that our clients see as a Security Officer upon entering RVH. Volunteer - Margaret Tervit Margaret is the past president of the Auxiliary and is still very much involved in fundraising. She always leads by example and continually strives to work as a team member in the best interest of the hospital, the staff and the volunteers. Margaret regularly demonstrates her compassion in the way she interacts with others - whether it is a patient, a family member, a doctor, a staff member or a fellow volunteer - she is an active listener and responds in a kind and empathetic manner. Manager/Director Lois Hill Lois Hill, the former manager of the regional cancer program, not only embodies exceptional service with her work ethic and dedication, she truly is an outstanding leader. Her diligence and innovation, combined with the strong foundation of trust she has built among staff make her the kind of leader many strive to be. Lois has now retired and RVH will certainly miss her great follow through on issues and the way in which she always views issues through the lens of quality improvement. Physician Dr. Rick Irvin Known for his sunny disposition and huge heart, Dr. Rick Irvin has a tremendous passion for family medicine, palliative care and teaching. Dr. Irvin, a outstanding supporter of RVH beyond our local boundaries, lives the core values of RVH. He has dedicated his life to serving the community with compassion, dedication and energy and his efforts as a champion of palliative care have made us much more fully prepared to meet these challenges as we open the Simcoe Muskoka Regional Cancer Centre. 4 MARCH 2012 Quality FIPPA Tips In the upcoming issues of the Royal Review we will be including information to further familiarize staff with the Freedom of Information and Protection of Privacy Act (FIPPA) to which all hospitals are subject as of January 1, Ways to Keep Your Minutes FIPPA Friendly Minutes should be a record of what was done in a meeting, and not a record of what was said by individuals Focus on documenting the processes and outcomes of the meeting, not transcribing verbatim what was said (unless it is a motion) Include only factual and concise statements about each issue discussed, leaving out unnecessary details Provide sufficient contextual information to enable the reconstruction of the actions that led to a decision Do not include unsubstantiated or subjective information or opinions Protect the privacy of individuals by avoiding the use of personal information without losing the meaning, importance and context of what was said If the minutes are also to summarize the discussion, this should be completed in an objective manner that captures the key points made without identifying those who made them Sometimes the subject matter of a meeting makes it necessary to record personal information as it is vital to the discussion If you must include personal information, do so in a manner that makes it easily severable from the main body of minutes without resulting in black out sections At times it may be necessary to identify a speaker, but use a business title if this occurs; i.e. the CEO or the Director of as opposed to an actual name This checklist was compiled using the following sources: Carleton University, Information and Privacy Office, Keep your minutes FIPPA friendly (June 10, 2006). Front page story continued Sharing experiences: Physicians were also surveyed in 2011 and collaborative working groups have been created to assess those survey results and develop action plans. Given the amount of time spent at work, it is important that physicians have a positive view of their work experience, want to come to work everyday, are proud to work at RVH, and feel supported and valued in their role. Although there have been some difficult discoveries in the survey results and there are no quick fixes, the goal is to ensure RVH is a workplace of which physicians are proud, and above all, where we provide the safest, quality patient care. The early bird prize winner Ron Woods of Shanty Bay received a $2,000 gas card from Mayes-Martin Limited. Congratulations Mr. Woods! The winning early bird ticket was returned to the drum for a chance to win the car a new 2012 Scion xb - later this year at the 25th anniversary Crystal Classic Golf Tournament. The tournament is taking place at the Nottawasage Inn Resort on June 11, The second prize of $250 cash, donated by the RVH Auxiliary, will be drawn at the same time. The Scion xb was generously donated by Jackson s Toyota Scion of Barrie. The tickets are only $25 each and can be purchased at Victoria s Gift Shop during business hours. Proceeds from the raffle will assist the Auxiliary in reaching its goal of raising $1.5 million to help equip the new Coronary Care Unit as part of the Phase 1 Expansion Project. The Auxiliary is also taking the car out into the community to promote the raffle and sell tickets throughout Barrie and the surrounding areas. We have already been at the Bayfield Mall and the Georgian Mall and have more event attendance planned. Keep your eyes open around town to spot the car and you ll have more opportunities to get that ticket! There are only 3,000 tickets for sale, so please don t forget to buy your tickets now. RVH s Auxiliary once again demonstrated how big its heart is. Wayne Hubbard (third from left), Auxiliary President announced they have hit the halfway mark of its $1.5 million pledge for the new seven-bed Coronary Care Unit (CCU), part of the Phase 1 Expansion Project. Hubbard made the announcement official by presenting a cheque for $750,000 to Scott Elliott, Chair of the RVH Foundation Board of Directors. 5 MARCH 2012 Service Good Neighbours Halton Healthcare Meditech upgrade collaboration team Imagine your implementation of a new system resembled an old-fashioned barn raising, with neighbours travelling from miles around to help out. Well, that is exactly what happened to Halton Healthcare Services (Oakville) when they received a little assistance from Royal Victoria Regional Health Centre, Headwaters Health Care Centre (Orangeville) and Georgian Bay General Hospital (Midland). Because of this multi-organization collaboration, Halton was able to complete the implementation of their Meditech 5.6 upgrade under budget, while minimizing the resources required from patient care areas. Andrea Partridge, RVH s Manager of Clinical Informatics and Applications (CIA) at the time, teamed up with her counterpart at Halton to develop a plan that would reduce the amount of staff pulled from nursing units to support the implementation. This meant recruiting application analysts from each hospital to work with Halton s CIA team. When the regional partners got together to assist with Halton s implementation, they expected to increase their own knowledge about Meditech 5.6, but they ended up learning so much more. The regional partners were able to apply the implementation planning and lessons learned to their own hospitals 5.6 upgrades, says Andrea Partridge. We believe other sites should consider collaborating because it enables the partner hospitals to be better prepared for their own 5.6 go-lives. Afterall, we re working toward the same goals - to improve patient safety using clinical knowledge and technology. Quality & Safety Healthy Workplace Committee heralds the heart February was Heart Month and your health matters so the Healthy Workplace Committee held the following heartfelt events in February: Weight Watchers at RVH New Series - Registration is on now Quick Facts: A total weight loss of pounds was achieved in 2011 with 23 members and a total of 10 Lifetime Members at RVH Congratulations to all of YOU! Pilates sessions are offered three times a week at RVH - details are posted on the intranet The Healthy Heart Interdepartmental Fitness Challenge - Staff kept track of the time their department spent walking, jogging, exercising. Stay tuned to see which department has the most heart at RVH! Is now the time you want to quit smoking? The Driven to Quit Challenge visited RVH on February 7, but if you were unable to attend and want to quit smoking (and have a chance to win a car), we can provide you with tools to help you quit please contact Occupational Health for more details. You can start making changes today it begins with taking the stairs instead of the elevator or parking your car a bit further away in the parking lot. Let s keep our hearts healthy by eating well, exercising often and smiling always! Quality Code Red procedure changes When most of us joined RVH and went through our orientation, we were instructed to return to our work areas in the event of a Code Red Fire. The procedure for how we respond to a Code Red has recently changed. All persons staff, physicians, volunteers, patients and visitors should remain in their current location until the all clear is provided via the overhead paging system. The reason for this change is to ensure that the fire/smoke is contained and does not spread throughout the building through the opening/closing of fire separation doors. The only exception to this new policy is when the fire is located in your area, at which time staff must return to assist. If the fire requires an evacuation, instructions will be provided to staff through the overhead paging system. The emergency plans, accessible on the intranet, have been updated with these changes and all staff are being educated on this change during existing staff orientation. Smoking cessation In an ongoing commitment to promote health and wellness to staff, physicians, volunteers, visitors and patients, RVH hosted the Driven to Quit Challenge. The Driven to Quit Challenge is a Canadian Cancer Society health promotion campaign in collaboration with the Simcoe Muskoka District Health Unit. The contest encourages smokers to quit for one month for a chance to win a car, a dream vacation or cash prizes. Page 5

6 MARCH 2012 The Staff Scoop NP joins Eating Disorders Services team Anna Pevsner recently joined the Simcoe County Eating Disorders Services in the role of Nurse Practitioner (NP), Eating Disorders. Anna previously was a nurse in the NICU at Sick Kids Hospital and has completed a Masters in Nursing, Acute Care Paediatric NP program at the University of Toronto. Anna is very excited about this new opportunity at RVH where she can help youth recognize, develop and diversify their personal strengths in order to achieve long term recovery. Changes in EVS Rosalyn Rowe has accepted a permanent position as the manager of Environmental Services (EVS) at RVH. Since Rosalyn joined RVH in 2003 she has gradually taken on more roles with increasing responsibilities including policy revisions, staff training and laundry outsourcing. Rosalyn is also a graduate of the Ontario Hospital Association (OHA) Health Care Administration program. Terri Stashick and Sally Ward have also accepted permanent roles as coordinators in EVS. Terri, has been the interim coordinator since 2008 and has completed the OHA courses for Environmental Services Level 1 and 2. Sally started at RVH in 2000 and has worked as a housekeeper, charge and porter. Sally has completed Level 1 of the OHA Environmental Services course and is currently registered in Level 2. New VP joins RVH Lindsey Crawford has joined RVH as the new Vice President, Cancer and Clinical Services and the new Regional Vice President, Cancer Services North Simcoe Muskoka Regional Cancer Program. Lindsey joins RVH after working at The Scarborough Hospital (TSH) for approximately seven years in a variety of senior management positions, including Human Resources, Corporate performance, Patient Services and Cancer. During her tenure at TSH, she was extensively involved in physician leadership, the introduction of LEAN methodology, Safer Healthcare Now and patient safety accreditation initiatives, and the development and implementation of the Regional Cancer Program for Scarborough. Prior to TSH, Lindsey gained valuable experience at University Health Network, The Wellesley Hospital Research Institute, York-Finch General Hospital and in the private sector. Lindsey is a physiotherapist by training, holding a Masters degree and is also a Certified Health Executive. Thank you to Tracey Keighley-Clarke for helping to transition Lindsey into this new role and for serving so capably and enthusiastically as the interim Vice President for the past few months. New manager in Foundation Marcy Baldry is the new manager of Development for the RVH Foundation after having filled various roles including donor relations and event management over her six years in the organization. Over this time Marcy has worked closely with the Foundation board and committees in addition to her responsibilities in donor relations. In her new role, Marcy will take on the day-to-day supervision of the Foundation office team and manage many of the development activities of the Foundation. Changes in HR In addition to her duties as director, Volunteer Resources, Val Bennett will be taking on a small client group. There will be some change to the existing client groups in order to accommodate this change and to better align client groupings with the organizational chart introduced last fall. Cardiovascular Program Director chosen Selma Mitchell, the manager of 3SA, has been chosen for the position of Director, Cardiovascular Program. In addition to working at RVH since 1999 as a staff nurse in the ED and ICU, Selma has collaborated on several major projects related to cardiac rehabilitation. Selma also has relevant past experience as the Manager of Cath Labs, Cardiac Recovery and the Heart Rhythm Program at Southlake. In her new role, Selma will also be accountable for other vascular services including Dialysis Care and Regional Stroke Care. New ED manager Wendy McLauchlin has assumed the role of the new manager in the Emergency Department, joining us with more than 12 years of leadership experience in healthcare. Having first begun her career as a paediatric nurse at Sick Kids, Wendy then moved to Alberta where she held several roles as an Educator and the Director of the Regional Children s Health Program. Wendy has also worked at Collingwood General and Marine Hospital, and Orillia Soldiers Memorial Hospital. In addition to also having private sector healthcare experience, Wendy holds a Bachelor of Science in Nursing from McMaster and is currently enrolled in a Masters of Health Studies, Leadership program. 7 MARCH 2012 ICU changes hands Lois Adams has assumed the role of the new ICU manager, coming to RVH with more than eight years of leadership at North York General Hospital as the Manager of Cardiology, C H F/A r r h y t h m i a / Pa c e r Clinic and Cardiac Rehabilitation, and as the Director of Nursing, Clinical Operations and Central Booking at St. John s Rehabilitation. While holding these roles, Lois continued to work as a staff nurse in Coronary Care at St. Michael s hospital and has also achieved a Masters of Science in Nursing. RETIREMENTS Michelle Ortwein After nearly 12 years of service at RVH, Michelle Ortwein has retired from her role in Finance as an Accounts Receivable Analyst. In her retirement, Michelle hopes to spend more time on hobbies like quilting and travelling, as well as spend more time with family and friends. Liese Bolte After more than 35 years at RVH, Liese Bolte is retiring from her role as the Charge Medical Laboratory Technologist for Transfusion Services. During her time with RVH Liese was always willing to go out of her way to share her expertise and provide guidance to her colleagues. Liese positively represented RVH when she became an Ontario committee member of the Quality Management Program Laboratory Services (QMPLS). Her knowledge and passionate involvement enabled RVH to be named an expert site for QMPLS. Liese is embarking on a new career in a role with Canadian Blood Services in Toronto. In order to support a long-time colleague who has recently been diagnosed with cancer, the staff on 3SA decided to raffle off two gift baskets. Capital Development M*A*S*H BASH Everyone enjoyed a fun day of skiing and on-hill activities, including the infamous bed pan races, as they gathered at Snow Valley Ski Resort to celebrate the 25th anniversary of M*A*S*H Bash on January 27. This year s event raised $17,000 in support of Royal Victoria Regional Health Centre and the Simcoe Muskoka Regional Cancer Centre. Organizers, mascots and representatives from CFB Borden gathered for a photo at the event. Representing RVH is Wayne Hubbard (President, RVH Auxiliary), Eric Dean (CEO, RVH Foundation) and Arlette Utton (Board member, RVH Foundation Board of Directors). Page 7

8 Getting to Know You: By Marlene M. Salojärvi, Occupational Health and Safety So you re excited to bring the latest medical device, product or piece of equipment to RVH. As required by Accreditation Canada, be sure to first visit the RVH intranet to request a Product Trial/Evaluation. Purchasing Assistant Laura Cameron oversees these requests and provides updates on their status to the Product Evaluation and Standardization Committee. In addition, the 23-year-old Bradford native handles requests for proposals (RFPs) and capital and redevelopment purchasing. Along with the rest of the Procurement Services and Materials Management team, under the Service A word from our Patients You Asked It: direction of Janet Mininch, Laura ensures RVH s accountability to ever-increasing Broader Public Sector requirements. With a diploma in Business Marketing from Georgian College, Laura specifically sought out RVH for her second year co-op in 2008 and was hired full-time upon graduation in Her many job duties ensure that new items brought into RVH are safe, not only for our patients, but our physicians and employees as well. When asked about her role in patient care, Laura says, My department is busy working in the background to assist the rest of RVH, ensuring that the Good afternoon, I just wanted to send a quick to share with you how wonderful my nurses were during my stay on 3NB. I am an RN and was admitted for pneumonia and asthma in October. During my stay I met several nurses, however I would like to let you know that three nurses stand out for me Grace (my night nurse), Fairen and Melissa (my day nurses). I found them to be so very professional, sensitive, hard-working and attentive. I would like to make sure RVH shares with the Unit Manager the very fine care I received from these three nurses, as well as the other fantastic nurses that also cared for me. RVH is very fortunate as an employer to have these fine young ladies working on your team. I applaud their dedication and care. Also, I do want you to know that from the minute the triage nurse took me into the Emergency, I had the best care by the most professional staff. I thank everyone - from the wonderful Emergency physician Dr. Onlock (who was amazing), my hospital-appointed physician Dr. Srour (who was also amazing, very attentive, listened to me and provided me with the very best care) and all the nursing staff on 3NB for the great care I received. I don t think all Ontario hospitals have completed this type of survey (from NRC Picker), so is the OHA average made up of comparator hospitals? These following comparator hospitals have conducted similar surveys and make up the OHA average. While each hospital is unique and has many factors that impact the employee experience, their results combined and averaged provide a benchmark to consider: Arnprior & District Memorial Hospital, Campbellford Memorial Hospital, Gateway Community Health Centre, Hawkesbury General Hospital, Headwaters Health Care Centre, Lakeridge Health, London Health Sciences Centre, Peterborough Regional Health Centre, Providence Care, Sherbourne Health Centre, St. Joseph`s Health Care, London, St. Josephs Care Group, Thunder Bay, St. Mary`s General Hospital, Toronto East General Hospital, Toronto Grace Health Centre, West Park Healthcare Centre, York Central Hospital. MARCH 2012 departments have what is necessary. It s rewarding knowing we help others get what they need to do patient care. Laura acknowledges her Oma for modeling a strong work ethic, as well as passion for life and cooking. Arriving from Holland in 1954, her Oma and Opa ran a farm and raised ten kids. Even as one of 20 grandchildren, her Oma always made her feel special. Laura now puts that same passion and love into her own cooking, hand-rolling her own pasta for family and friends. She smiles, saying that friendly feeling is also present at RVH. This is my first job out of school. There s a family environment here. I m proud to work in such an open place.
