3 Introduction When you get bogged down in paperwork and administrative tasks, it can be tough to focus on patient care. Thankfully, support staff and technology can play key roles in improving productivity in your medical practice. Physicians Practice recommends these strategies to increase your efficiency: 3

4 1. Optimize your staff members. Staff appropriately to be sure you have enough experienced and skilled individuals to provide excellent patient care. Your staff members can play several roles in your practice, including: Marketing agents. They can help promote your practice by wearing nametags with an appealing logo that helps your patients remember your practice. Customer service representatives. Your front desk staff should ask patients about their experience during their visit, promptly addressing any concerns. Checkout staff can also encourage patients to complete a patient satisfaction survey on your patient portal. Advisors. Ask your staff for input on ways to improve your practice s efficiency and productivity. Reward staff members who suggest successful initiatives. 4

5 2. Use a patient portal. Integrating your patient portal with your Electronic Health Records (EHRs) can facilitate documentation. If your patients use the portal to enter their health histories, symptoms and medications, that information can be pulled into the EHR, saving data entry time. A patient portal is an efficient way to book appointments, respond to patients questions and refill prescriptions, while helping you satisfy the patient engagement criteria for meaningful use. 5

6 3. Fully utilize your practice management system (PMS). The right PMS will save your staff time with the eligibility verification process. It also provides important payer data and reduces time spent on billing. The PMS tracking system tells you which patient is in each exam room, making it easier to prepare for each patient encounter. 4. Use voice recognition software Use voice recognition software for clinical documentation in Electronic Health Records. Physicians can quickly dictate and edit medical records, improving efficiency and meeting meaningful use criteria. Using voice recognition software reduces transcription costs. One large medical group in San Diego reduced their transcription costs by 80 to 90 percent after using a voice recognition software program for 10 months. 5. Use physicians time wisely. Physicians should respond to non-emergency questions, reply to s and sign documents in batches at several pre-determined times instead of throughout the day. Physicians shouldn t be spending time on tasks that don t require a physician s license such as billing. Delegate administrative tasks to your office staff and consider outsourcing your medical billing so your physicians can focus on patient care. 6
