2 Types of Assessments Direct Observation of Procedural Skills (DOPS) Anaesthesia Clinical Evaluation Exercise (A-CEX) Anaesthesia List Management Assessment Tool (ALMAT) Case Based Discussion (CBD) Completion of Unit of Training (CUT) The DOPS, A-CEX and ALMAT are used during clinical sessions These are based on the observed performance of the trainee s skills, attitudes and behaviours, and knowledge The CBD is used away from the clinical environment This allows the assessor to question the trainee about a clinical episode to assess the trainee s knowledge and rationale for their actions or what they would do if presented with the clinical scenario The CUT form is completed when a trainee completes a unit It shows all of the assessments and other evidence linked to that unit of training

3 Creating Assessments Assessments can be created by either a trainee or trainer BUT it is normally the trainee s responsibility to create an assessment and send to the trainer for approval Assessment Tools > Enter New Assessment The trainee then selects the type of form and selects the assessor

4 Select Assessor By default, trainees are then shown a list of all the assessors within their region The region searched can be changed by adjusting the filters on the right hand side Click Select to choose an assessor and move to the next stage If an assessor cannot be found you should speak to your local e- Portfolio contact or College Tutor

5 Assessment Form Fill out the details of the assessment, including the observation and description of the case Check that the training level and the date of the assessment is correct this can t be changed later!

6 Assessment Form All assessments are formative (except the Completion of Unit of Training form) The trainee can choose to fill in the last three text boxes or leave these for their assessor to fill in However, it is normally best if the trainee fills this section in for the assessor to check and edit (if applicable)

7 Link to Curriculum or Save as Draft Once the details have been entered on the assessment, the trainee can save as draft or link to curriculum to proceed Assessments must be linked to relevant units of training before they are sent to the assessor though the assessor will have access to review the units and amend them if necessary ( associations tab when completing a form) Once the assessment has been approved by an assessor, the curriculum links CANNOT be changed please proofread this carefully! If you are unsure of which units to link to, check with the assessor or your Educational Supervisor.

8 Save/Send or Quick Approval Once linked to both the curriculum and the GMC attributes, the trainee can either send the form on to the assessor, or, if the assessor is present, conduct a Quick Approval Quick approval allows the assessor to enter their login details straight onto the page and complete the form without the trainee having to log out If using the quick approval, please click approval rather than hitting <Enter>

9 Completing an Assessment The assessment will now be with the assessor If receiving an assessment from a trainee, the assessor should ensure that they access the edit tab to be able to complete the form The approve/reject tab should only be used to reject a form this would return it to the trainee

10 Completing a CUT Form Completion of Unit of Training (CUT) Forms are completed when a trainee finishes a unit of training CUT forms can be found with the other assessments, but have some extra steps The first step is to choose the unit of training for sign off Please ensure this is correct as it cannot be edited later!

11 Completing a CUT Form Ensure that the level of training and the supervisor selected are correct This cannot be changed later!

12 Completing a CUT Form For trainees and trainers: Ensure that both the Logbook Review and the WPBAS sections are correctly populated If they are blank or do not have enough items assigned, this is an indication that The trainee has not linked their WPBAs correctly to the curriculum OR The CUT form has been created for the wrong unit of training If these sections seem incomplete, DO NOT APPROVE THE FORM

13 Final Notes Be sure to check the links and associations of assessments carefully; these cannot be changed once the assessment has been approved Check that you are completing the correct type of assessment an assessment cannot, for example, be changed from an ACEX to a CBD and you would need to create a new form if the wrong one is selected Ensure that your Educational and Clinical Supervisor are up to date and that you have listed the correct hospital in the My Details section of e-portfolio If assessments are defaulting to the wrong training level you should get in touch with e-portfolio support to ensure your details are up to date and that the college has received copies of all of your forms and certificates Don t ignore this and continue to complete assessments at the wrong training level this can cause problems when you get to your ARCP panel!
