1 Grants Programmes Officer - Harpur Trust Office JOB TITLE: JOB TYPE RESPONSIBLE TO: RESPONSIBLE FOR: LOCATION: Grants Programmes Officer - Harpur Trust Office Part Time (30 hours per week) Community Programmes Director No direct reports. Responsible for day to day supervision and support of the Community Programmes Administrator Harpur Trust Office, Pilgrim Centre JOB PURPOSE Responsible for ensuring the grantmaking programmes run efficiently and the Trust s broader activities are supported effectively. KEY ACCOUNTABILITIES 1. GRANTMAKING Advise and support individuals and organisations seeking funding. Assess and manage grant applications from organisations and individuals; seeking further information, visiting projects and liaising with external agencies and specialists as necessary. Provide Trustees with clear assessment reports concerning each application to support decision making. Implement the decisions made by Trustees at Grants Committee; ensuring applicants are notified of the results as soon as possible after decisions are made. Manage and monitor the caseload of grants awarded, advising Trustees of key developments. Contribute to the evaluation of the impact of the grants programmes, with specific responsibility for own caseload. Undertake research in order to contribute to the development of existing and new grants programmes as requested. Manage the Trust s University Bursary Programme liaising with schools to publicise the The Harpur Trust 1 Amended: August 2017
2 programme. Manage the University Bursary Programme applications. 2. SUPPORTING THETRUST S BROADER COMMUNITY ACTIVITIES Contribute to the organisation of information and learning events aimed at the local voluntary sector. Support the Community Programmes Director with the management of the Trust s Almshouse properties and other accommodation for older people. Accountable for the organisation of the annual Almshouse summer party. Support the Community Programmes Director and the Education Development Manager with a range of projects involving the Harpur Trust schools and partners in the state education sector. Represent The Trust at external events as required. Support the External Relations Manager by gathering grants content for the website and social media and the implementation of the social media plan. Assist the External Relations Manager with a range of duties associated with community events. 3. ADMINISTRATION Day to day supervision of the work of the Community Programmes Administrator Maintain accurate paper and computer records relevant to the grants programme, using specialist grantmaking software as required. Accountable for ensuring all actions arising from Grants Committee are completed. Produce agendas, papers and reports for grants related meetings and provide other support as necessary. To take minutes at meetings involving the grants programme as required. 4. OTHER FACTORS To attend occasional meetings outside core office hours. Adopt a flexible work pattern to suit the grants cycle. Review Date: The Grants Programmes Officer will undergo an annual appraisal, during which the job description for the post will be reviewed. In addition, it may be reviewed at other times should circumstances prove necessary. 4 Grants Programmes Officer- Harpur Trust Office Person Specification QUALIFICATIONS Educated to degree level or equivalent SKILLS AND EXPERIENCE Experience of working in the voluntary sector and/or relevant areas of the statutory sector, for example education, health & social care or housing Experience of grantmaking Excellent oral and written communication skills, including the ability to prepare clear, concise and accurate reports and correspondence Methodical, with good attention to detail including proof reading skills Strong numerical skills with an ability to analyse and interpret financial statements Strong qualitative & quantitative analytical skills, with the ability to gather, interpret and synthesise complex information from a variety of sources, assess risk and identify key issues Solid organisational and project management skills. An understanding of outcome based monitoring and evaluation Ability to plan, organise and prioritise own workload and that of others. Ability to understand and appreciate different perspectives Ability to think creatively to solve problems An understanding of and interest in social policy and the current issues affecting the voluntary and public sectors Understanding of legislation relevant to charities and voluntary organisations.
