4 RFA, Guide, and Budget Have 4 documents at your finger tips when working on your application: The Request for Application (RFA) The Guide to Creating an Application Guide to Grants Your quote, price list, budget

5 How do I get started? Print the Creating Application Guide at from the UPDATES page Goto website and REGISTER your three authorizing officials Authorizing Official-Certifies, which submits the application, this will be your Executive Director, City Administrator or Mayor Financial Official-submits your Financial Status Reports (FSR) which is your request for reimbursement Project Director-responsible for the program, usually the grant writer May have a Grant Writer but after the application is Certified they will not be able to go back into the application.

8 Update SAM Date SAM System for Award Management (Profile/Grant Vendor) Applicants must certify that they are registered or registering, and will be issued a date to enter into the application. Website is given in the application for your Financial Official to go to and register to receive a current date. If you are registering for the first time, click the YES box stating you are actively seeking a valid SAM registration, and continue with the application. You MUST enter that date once received and before you submit your application. The SAM consolidates the capabilities of the CCR and Federal Registry.

9 Certifications CJD Requirements Uniform Crime Reporting 1 year of reporting to DPS Criminal History Reporting 90% or above in Juve and Adult for the county you are applying in Immigration & Customs Enforcement Requests full text of this certification on the Narrative tab

11 NARRATIVE Sustainment: You will be asked in the application how many years you plan to ask for funding. CJAC will be recommending future years of funding for the project. Certifications and Civil Rights Liaison Certifications and Assurances click on the link and the Word document will open outside the website READ before you Certify because if you are audited you will have to show proof of all.

12 NARRATIVE Answer each question/field specifically with what they are asking. Don t repeat data in two areas. Use your RFA for additional information while completing your application. DO NOT use special characters like bullets because the egrants system is not set up to accept them. Do not use all caps.

16 MEASURES The Measures are automatically loaded when you choose your Activities Current data on a new application will be zero. On a continuation application, it will be the amount you have served to date. Target data is the number you plan to serve through the year

17 BUDGET Tips: Choose a Sub Category position name that best fits your item You must describe the line item in the Description field Enter # of units or percentage of salary Save each category before beginning another CLICK THE BLUE BAR ADD NEW BUDGET ITEM TO SAVE Note: You can export the budget you have created to Excel to create a document that is easier to read than what is printed out from egrants

18 New TAC Guidelines The egrants may or may not be updated but you should be aware: Equipment is now defined as tangible personal property (including information technology systems) having a useful life of more than one year and a per unit acquisition cost which equals or exceeds the lesser of the capitalization level established by grantee for financial statement purposes of $5,000. Applications must complete the Procurement Questionnaire for purchases that exceed $150,000

19 DOCUMENTS All agencies must get a resolution signed by their governing body and upload it to the application BEFORE submitting/certifying it. UPLOAD feature is found under the SUMMARY tab

20 GET YOUR RESOLUTION Put it on the Agenda now!!! All applying agencies must get a Resolution signed by their governing body. The approved Resolution must be UPLOADED before you Submit and Certify your application.

21 SUMMARY This is the where the sub-tab Upload Documents is located Print or View a complete copy of your application (or print a page at a time from each page) Grant Issues should be reviewed before you consider Submitting. You will not be able to Submit with issues pending.
