FAILURE TO EXECUTE AND RETURN THIS ADDENDUM FORM WILL DISQUALIFY YOUR FIRMS RESPONSE. This Addendum shall become part of your firms competitive solicitation response and the subsequent contract documents if applicable. This addendum document must be attached to your Solicitation Response. Failure to execute this document and return of same with your firms competitive solicitation response will be grounds for immediate disqualification. 2 ITN : Snack & Alternative Product Vending Operations IMPORTANT NOTICE: This ITN allows for award to one vendor for all snack and alternative product vending operations. It is necessary for all proposals to include both snack and alternative products in order to be considered for award. However, it is up to each vendor to decide how they want to respond to this ITN in terms of commission, equipment, product mix, technology, etc. Vendors may respond to all the areas of the ITN in their proposals as they see fit, breaking down commission, equipment or other areas in a way that is feasible to them. We strongly encourage vendors to submit their best offers as they will be evaluated along with other proposals based on the evaluation criteria outlined in the ITN, but there s no minimum requirement for commissions, technology, equipment, etc. It is up to each vendor to set the numbers and mixes they want to offer in their individual proposals. Questions & Answers 1. Who is the current vendor and how long have they been in place? Vending Americas, Inc. f/k/a DiLoreto & Sons, Inc. d/b/a Pepsi Americas is our current snack food vendor. The contract began on October 1, 2001 and lapsed on September 30, Since that time, we have continued conducting business with Pepsi Americas on a month-to-month basis. 2. Was the current vendor also your previous vendor on the last bid or did you make a change? Prior to our current vendor, the University had a contract with Canteen Vending Services. 3. What is the current commission structure (%) from your present vendor? Category Commission Coffee 30% Snack 30% Cold Food 5% Hot Food 5% Healthy 11% 4. Regarding Attachment 2, Proposed Product Pricing Summary: May prospective vendors create new rows to report vend price for snack like products not listed, such as gum and rolled Tums? Yes, the vendor may include in their response any additional proposed products not stated in Attachment Regarding the Walk through Meeting: Could The University please provide a copy of the presentation given at the walk through meeting, specifically the section regarding the breakdown of student demographics based on country of origin? Yes, the presentation is attached. 6. Regarding the Walk through Meeting: Could The University please provide specific hours of when the various food-selling entities on campus close? Yes, please see attached hours of operation document.

3 7. Regarding Section 3.5, Vending Commissions: How are commissions with the current vendor being established? Is there any variance based on product type or machine type? There is a range of commissions based on the product type, not machine type. Please see question #3 above for the actual commission structure. 8. Can you provide sales dollar volume and volumes per item of the ice cream vending machines? We have requested an ice cream vending volume report from the current vendor. The requested information will be provided upon receipt. 9. Can you provide sales dollar volume and volumes per item of the Healthy vending machines? Attached is the sales dollar volume for the 6 vending machines placed at FIU at the beginning of the Fall 2009 semester as a pilot program. 10. Will the awarded vendor have exclusivity at all FIU campuses for all food sales thru automatic merchandisers? Or will FIU reserve the right to establish any Pilot Programs for the sale of any food items thru automatic merchandisers (AKA Vending Machines) in the future? The successful vendor (or awarded vendor) will be granted exclusivity at all FIU campuses for snack and alternative product vending machines. There will be no opportunities for anyone other than the successful vendor to place snack and alternative product vending machines on FIU campuses unless mutually agreed to by the University and the successful vendor. 11. On clause the explanation of the desired age of the equipment explains that no equipment shall be older than 7 years at any time. Are we to expect that FIU will ask the awarded vendor to upgrade all the equipment as soon as it is 7 years old? Or should this clause be used more on the basis of overall look of the machine instead of age of the equipment? The desired age of 7 years or less is negotiable; however, it is important for the University to have vending equipment with up-to-date technology and an overall fresh look. 12. How does FIU expect the Braille labeling? Should it be a menu attached to the machine or just label the letters and numbers on the key pad? FIU is only expecting what is required by the Americans With Disabilities Act. 13. Are there any requirements as to the panther card? There are no requirements for Panther Card at this time because the University prefers the vendor s financial resources be used for investment in credit/debit card readers. Based on research conducted, there is a higher return on vending machines with credit/debit readers States that vendor s proposal shall include a minimum of 120 snack machines to be placed on the FIU campuses. Does the term snack machines refer to all machines in this bid? Yes, the minimum requirement of 120 machines includes all snack and alternative product vending machines to be provided by successful vendor.

4 : Machines to be installed must be less than three (3) years old and refurbished immediately prior to installation. Then what would happen in the following scenario: a. If a machine is vandalized in FIU at year four (4), and the vendor refurbishes the machine to be installed at a later time. Will it be approved to install the machine back to FIU? At the inception of the contract, the successful vendor may install either brand new snack and alternative product vending machines, or snack and alternative product vending machines that are less than three (3) years old and refurbished immediately prior to installation. This requirement does not extend to a snack and alternative product machine that has been vandalized on campus during year 4 and refurbished to return to campus. The same machine may be refurbished and returned to campus, so long as the machine is not older than seven years. 16. During the site visit it was noticed that Yoo-hoo and V-8 products are being dispensed through food machines. Are these items approved to be sold through this contract? V-8 may be sold by the successful vendor because it is a 100% fruit and vegetable drink that does not conflict with the Pepsi exclusivity contract. Yoo-hoo products are not approved beverages, and may not be sold in the snack and alternative product vending machines. 17. Can you provide us with a set of guidelines or elaborate more on the term healthy vending? The University strongly desires to provide as much variety for the FIU community as possible. Because the definition of healthy varies so widely, we have defined below some of the options that have been successful at FIU. The University s definition of Healthy vending includes, but is not limited to, natural and organic products, low fat, low sodium, fresh fruit and vegetables, whole grain and/or soy products, as well as, products which do not contain trans fats, artificial flavors, sweeteners, colors, preservatives, hydrogenated oils, and/or high fructose corn syrup. 18. Does FIU have plans to continue expanding or close down some of the C-stores throughout campus? The University currently does not have any plans to either expand or close any C-stores operating on its campuses. There are currently 5 c-stores across both campuses, and one already in development at the BBC Library.
