1 2017 GRANT APPLICATION INFORMATION AND TIPS What is ENGAGE? ENGAGE is a program of the Give Where You Live Foundation in partnership with Barwon Child, Youth & Family and Gforce Employment Solutions. The program educates and empowers young people age years old in the G21 region to effect positive change, by identifying youth issues that are important to them and making grants to organisations working on these issues. In 2017 ENGAGE is working with 12 diverse young people from across the region to implement the program. Working with the partner organisations the young people have identified an issue focus for this year (the causes of youth unemployment) and have developed an application and review process to assist them in making grant recommendations to the Give Where You Live Foundation Board Issue Focus Causes of Youth Unemployment Getting a job for today s youth is much more challenging than it was for their parents or grandparents. Nationally more than 650,000 young people were unemployed or underemployed (defined as having some work but wanting more hours) in February (Generation Stalled: Young, Underemployed and Living Precariously in Australia, March 2017) The Geelong region has been especially hard hit by this issue. Geelong is among the top 20 regions with the highest youth unemployment in the nation. (Australia s Youth Unemployment Hotspots SNAPSHOTS, March 2016). In the last year alone, youth unemployment in the Geelong region has almost doubled shooting up to 9.9 per cent in the latest ABS figures from 5.7 per cent at the same time last year. (Geelong Advertiser, June 28, 2017). To compound this issue, unemployment is not experienced equally by all young people. At risk young people, including those with a disability, of aboriginal descent, with carer responsibilities, from low socio-economic communities and those who have dropped out of school are more likely to experience unemployment and for longer periods of time than their peers. Many of these disadvantaged young people experience individual barriers to employment, such as drug and alcohol abuse, unstable housing or limited access to education or transport, that compound their risk of unemployment. (Fundamental Principals for Youth Unemployment, September 2015) The 2017 ENGAGE grants will focus on the causes of youth unemployment including, but not limited to: transportation issues for young people, including lack of a driver s license; lack of awareness and access to job seeking resources, networks and skills by young people; lack of opportunities to gain work experience and skills for young people; adult attitudes and bias towards young workers; lack of post job support and workplace mentoring for 1 P a g e
2 young people; disengagement from education by young people; individual barriers to employment for young people including drug/alcohol abuse, unstable housing and mental health issues. Available Grants The minimum grant request is $5,000 and the maximum request is $15,000. It is expected that 2-6 grants will be made. Grants requests may support new programs, existing programs or materials goods/equipment. Grants requests may be for 6 months or 12 months. Who Can Apply To be eligible to apply for an ENGAGE Grant you may be a not for profit organisation, a school, an incorporated body, a cooperative or association, or a registered charitable organisation. No matter which organisation type, you must have an ABN and must be tax exempt or endorsed as a Tax Concession Charity (TCC). You can visit to check your organisation s endorsements. Please note you DO NOT need to be a Deductible Gift Recipient (DGR) as covered by Item 1 of the table in section of the Income Tax Assessment Act 1997 to apply for an ENGAGE grant. In addition, your grant request must be implemented in the G21 region. The G21 region is defined as the five local government areas of the City of Greater Geelong, Surf Coast Shire, Borough of Queenscliffe, Golden Plains Shire and Colac/Otway Shire. General Exclusions - Please note Give Where You Live does not provide funding to/for: Individuals Clinical or medical research Endowment Funds Conferences or fundraising events Retrospective or duplicative funding Programs that discriminate or create community conflicts Auspicing - the organization applying MUST be the one undertaking the project or program Previous grant recipients who have not completed reporting and acquittal requirements If you have any questions about your eligibility, please contact us. Application Process All applications must be submitted online. Before completing the online application form be sure to read and review the Tips for Completing Your Application. 3 via the online application form by 3:00pm Thursday, 28 September. Only one application will be accepted from each organization for this grant program. In addition to the online application some applicants will be invited to participate in a interview as part of the review process. These presentations/interviews will take place on Monday, 9 October and Wednesday 11 October between 5:00-8:00pm. Organisations will be notified the week of October 2 nd regarding an interview. The review process (including presentations/interviews) will be undertaken by young people participating in the ENGAGE program and recommendations for funding will be based on the following criteria: Organizational Capacity (ability to demonstrate your organization has the capability to successfully deliver the grant request) - 20% Budget and Financial Management (ability to demonstrate your organization can be accountable, transparent, and can successfully manage funds for the grant request) - 20% Evaluation and Impact (ability to demonstrate maximum impact on the effects of youth homelessness) 60% The Give Where You Live Foundation Board retains final and discretionary approval of all funding applications. All Applicants will be advised of their status no later than November 3, Terms and Conditions Please be aware that the following terms and conditions will apply to all successful grantees: This funding is non recurrent and must be used between 1 December 2017 and 30 November Any unspent funds are required to be returned to the Give Where You Live Foundation. Any significant delay or changed circumstances for your project or organisation must be advised and any requested variations need to be submitted in writing for prior approval by the Give Where You Live Foundation. The return of a signed Funding Agreement and organisational logo (JPEG) prior to receipt of funding (due 20 November 2017). CEO (or equivalent) participation in a grant announcement event. The event will take place on Thursday, 7 December (exact time and location to be advised). Submission of a Final Report and Acquittal Statement (including a Good News Story) to document expenditure and the impact and outcomes achieved by the end of the project (due date dependent on whether grant period is 6 months of 12 months). Acknowledgement of funding from the Give Where You Live Foundation via the ENGAGE program. Marketing and media support e.g. submission of media collateral for use within Give Where You Live Foundation and ENGAGE materials, guest speakers, special event invites. CONTACT 3 P a g e

5 2017 TIPS FOR COMPLETING YOUR GRANT APPLICATION GENERAL TIPS FOR COMPLETING YOUR APPLICATION Read the Grant Program Information and Tips for Completing Your Application thoroughly before submitting your online application. The online application can be found at Ask questions if information and/or instructions are not clear. If you have received a grant from the Give Where You Live Foundation in the last 12 months please request your Organisation name ID. This will ensure that your ENGAGE Grant Application is attached to the appropriate organisation in our data base. You can request this by ing grants@givewhereyoulive.com.au or contacting Cynthia Scherer at You may save and return to your online application form. On each page of the online application there is a Save Answers and Resume Later button. Simply click on this button when you would like to save what you have input into the form. Clicking this button will save all information input into the form EXCEPT attachments. Do not add attachments until you are ready to submit the form. Clicking on the Save Answers and Resume Later button will take you to the following screen: 5 P a g e
6 The screen will provide you with a link to your saved application form. Copy and paste this link somewhere safe so you can use it to return to your saved form at a later time/date. You may also request that a copy of the link to your saved form be ed to your address. It is recommended that you also request the link be sent to you in an . You will receive an like the pictured below. Please note, each time you save your form you will be given a NEW link to your most recently saved form. The link will only be good for 30 days. If you do not return to your form within 30 days to either submit it or save your form again all information you have input will be lost. Do not lose your link as there is no way to retrieve it from the system. Despite being able to save information you have input, we would still encourage you to compose your application in a word document. You cannot easily print your completed application form. You will receive an acknowledgement once you have submitted your online application form. The will contain a PDF version of the application you submitted. A number of the questions have word/character limits; be sure when crafting your answers to take these word limits into account. Please note the online application form, will not count your words for you. As the application forms will be reviewed by individuals with a diverse set of back grounds and understandings of the emergency food assistance issue and work done in this arena, have someone not from your organization review your narrative 6 P a g e
7 application answers and provide you with feedback prior to submitting your application. Most common errors made when submitting an online application form are: ABN number - An ABN number should only include 11 characters When entering your ABN number DO NOT leave any spaces or put any dashes between the numbers. If you do you will receive an error. Not completing required fields - If any required fields are left blank or unanswered your application will not submit. Instead those fields that still need to be completed will be highlighted as required fields. Size of files you are attaching Documents uploaded to your application form CANNOT exceed 5MB in TOTAL (this means all uploaded documents cannot add up to more than 5MB, not each individual document can be up to 5 MB). Please contact Cynthia Scherer if you need assistance with the size of your uploads. Additional attachments/large attachments can also be sent separately via to grants@givewhereyoulive.com.au. Specific to the Budget question, the totals will self-calculate (i.e. it will automatically add the numbers you put in each line item to create a budget total) After submitting your application do not close your browser until you have received a Submission Successful! window and message like the one below Take care when writing, using spell check and clear, concise language. You should also make sure if you are cutting and pasting text into the online, that you make sure appropriate formatting has been maintained. 7 P a g e
8 SPECIFIC TIPS FOR ANSWERING EACH APPLICATION QUESTION Application Form Question Tips for Answering ELIGIBILITY To be eligible to apply for an ENGAGE Grant you may be a not for profit organisation, an incorporated body, a cooperative or association, or a registered charitable organisation. No matter which organisation type, you must have an ABN and must be tax exempt or endorsed as a Tax Concession Charity (TCC). You can visit to check your organisation s endorsements. Please note you DO NOT need to be a Deductible Gift Recipient (DGR) as covered by Item 1 of the table in section of the Income Tax Assessment Act 1997 to apply for an ENGAGE grant. Please provide your ABN: Are you tax exempt or endorsed as a Tax Concession Charity (TCC)? Please upload a copy of your TCC status if you HAVE not applied for a grant from Give Where You Live in the Last 12 months. Your ABN is an 11 digit number. Please do not put any spaces or dashes between the numbers. TCC refers to your organisations status as being exempt from income tax, and having concessions related to Goods and Services Tax and Fringe Benefit Tax. You must upload documents which attest to your tax exempt/tcc status. These may be uploaded as individual documents or as one document. If you have provided copies of these documents to Give Where You Live in the last 12 months you DO NOT need to provide copies again. If you cannot provide both then you are ineligible to submit an application. REQUEST SUMMARY Grant Impact Statement Provide a short statement (maximum of 50 words) about what you will do and the difference your grant request will make. This description will be used for communicating to others the purpose of your grant application and if awarded your grant award. Your summary should start with the difference your grant will make if funded and included how you will use the grant funds requested. For example, "To strengthen educational and social participation of disadvantaged young people ages through support of the Brothers Big Sisters Youth Mentoring Program." Grant Amount Requested Indicate the amount of money you are requesting from Give Where You Live only. For the 2017 ENGAGE Grant Program you may request between $5,000-$15,000. Project timeframe Please provide the Start Date and End Date for what you propose. Grant requests may be for 6 months or 12 months duration, but the project start and end dates must fall between 1 December 2017 and 30 November Grant Focus: transportation issues for young people, including lack of a driver s license lack of awareness and access to job seeking resources, networks and skills by young people lack of opportunities to gain work experience and skills for The 2017 issue focus for ENGAGE is the effects of youth unemployment. You will be able to explain your indirect impact in another question in the application. ABOUT YOUR ORGANISATION AND CURRENT SERVICES RELATED TO FOOD ASSISTANCE 1. Briefly describe your organisation including history, mission and goals. Provide a brief narrative description (maximum 300 words) about your organization. This should include history (when started), your mission and goals. Think elevator speech, how do you describe what your 10 P a g e
11 organization is and what it does to those who don t know you? 2. Briefly describe the programs/services your organisation provides related to youth in the G21 region, including how you engage young people in your organisation and work. Provide a brief narrative description (maximum 300 words) of the services your organization currently provides related to youth. Be sure to include: the kinds of programs or services you provide, how long you have been providing them, how many young people you help, who the young people you work with are (demographics) and how you engage the voice of young people in your work. This will help us understand what you are doing as it relates to youth issues and the context for your grant request. 3. Please attach a copy of your most recent annual report and audited financials. Alternatively, please provide a link to your most recent annual report and audited financials on your website. If you do not publish an annual report please provide the following in a document: a list of board members or committee of management, a list of senior staff and a summary of your activities and accomplishments in the last year. If you do not have audited financials, please provide the following: a copy of your revenue and expenses for the last year; a statement of organisational assets and liabilities. About Your Request and the Difference it will Make on the Causes of Youth Unemployment 4. What are you proposing to do? Provide a detailed description (max 500 words) of the proposed project, program, service or activity you would like to undertake. 5. Who will implement what you are proposing to do? Provide a brief narrative description (maximum 200 words) of who will implement your grant request (i.e. which staff, volunteers, consultants, contractors, partners). If working with other partners or organisations please include a letter of support. 11 P a g e
12 6. Why is what you have proposed necessary? What research or evidence exists to support this need or approach? How/why did you come with this idea or what inspired your request? (max 300 words) 7. What is the difference/impact your proposal will make? In answering this question you should be focusing on your clients and how it will be/or what will be different for them because of your request. (maximum 300 words) Be sure to explain who will be directly and indirectly impacted and how. You should also make sure that your project, need and impact are connected. 8. How will you know if what you have proposed has made a difference? This is your opportunity to outline how you will evaluate what you have proposed. (max 300 words) Please indicate what evidence you will collect and how you will collect it. 9. What are the potential risks or challenges to success for what you propose and how will you overcome them? Please list possible challenges related to the successful implementation of your request (maximum 250 words). 10. Please describe how you have engaged/consulted young people in developing what you have proposed? This is your opportunity to talk about how you have engaged youth in developing your proposal? Did what you propose come out of a youth survey? Did you ask young people you work with for feedback? (Max 250 words) ABOUT THE MONEY 11. Please provide a detailed budget of how you would spend the funds you are requesting: Salaries; Consultants and professional fees; Travel; Equipment; Supplies; Printing and copying; Telephone; Rent; Utilities; Research & Evaluation; Marketing; Admin/Overhead; Other; Total Expenditure Please provide a budget ONLY for how you will spend the funds requested from the Give Where You Live Foundation in your ENGAGE grant. This budget should not include funds from any other sources. The Total line is self-calculating, so there is no need to put the total in. 12 P a g e
13 12. Please provide a budget narrative describing how the requested funds will be spent. Please describe what the numbers in the budget represent and how you arrived at them. For example you might have indicated that you are requesting $400 in supplies. As part of the budget narrative you should indicate what these supplies are (pots and pans, plates, saucers, cups and bowls) and how you arrived at this cost (1 set of 5 pots and pans various sizes at $200 and 12 place settings at $200) Describing how you will actually spend the requested funds and how you calculated those costs will add to our understanding of why you need the funds. 13. Is this grant request the only source of funding for what you have proposed? If not please identify the other sources. 14. What are your plans for what you have proposed after the grant funding has finished? If your request is for partial funding for a project/activity, or is a contribution to the overall costs to deliver a service, please help us understand that. Please help us understand if the project/program funded will continue, if the impact will continue, or if you will need to look for ongoing funding for the program/project.
