1 Understanding Your Building's Energy Performance A Step-by-Step Guide to Benchmarking Using Portfolio Manager Overview EPA's ENERGY STAR Portfolio Manager is a free online tool you can use to measure and track energy and water consumption, as well as greenhouse gas emissions all in a secure online environment. Southern California Edison (SCE) has created this document to provide step-by-step instructions for using Portfolio Manager to benchmark your buildings. Benchmarking enables you to compare your building s energy performance with that of similar buildings. All building types can be entered into Portfolio Manager, resulting in energy and water benchmark values. Some buildings will also receive an ENERGY STAR score, indicating energy efficiency on a scale, with 1 being low and 100 being high. A score of 75 or better indicates top performance, and means your building may be eligible to earn the ENERGY STAR label and recognition. For the building types that currently aren t eligible to receive this score, EPA provides a list of reference energy performance targets which are based on the median energy use calculated across similar types of buildings. You can authorize SCE to automatically upload energy data into your Portfolio Manager account. Initially, this will be the most recent 12 months of your building s electric energy use. Thereafter, monthly energy data will be added automatically. This guide will walk you through the process of benchmarking your building: how to create a Portfolio Manager account, enter information about your property into your account, authorize SCE to upload your energy usage data, and generate reports. SCE also offers free in-person benchmarking classes on how to use Portfolio Manager called Benchmarking Energy Use in Commercial Buildings. 2 Gather Data for Benchmarking The gathering of required data to benchmark a building in Portfolio Manager is usually the most laborious of all steps, as well as the step that requires the most accuracy. Incorrect data may lead to incorrect benchmarking results. Information required falls into three main categories of information: 1) property information, 2) property type data, and 3) energy consumption data. 1. Property Information a. Determine the primary function of the property (such as Office, Retail) and secondary property type as needed. See for a complete list of property types and definitions of each property (Portfolio Manager has 85 property types to choose from) b. Collect the property name, street address, ZIP/postal code, year property built of your property. 2. Property Type Data a. Gross floor area in square feet. b. Property use details (e.g., weekly operating hours, number of computers, number of workers on the main shift, etc.) that are specific to the property. See for specific data needed for your property type. 3. Energy Consumption Data a. Gather energy data for all fuel types. This includes property-specific utility billing information from all purchased energy, invoices from fuel deliveries (propane, oil, etc.) and information about all on-site generated energy. In order to enable automated uploading of energy consumption data (and to save time by not having to manually enter energy data every month), the building owner or his or her designated agent must authorize all relevant utilities to provide this free service. Any data that was entered manually for a given meter into Portfolio Manager will be deleted when SCE is authorized to exchange data with ENERGY STAR Portfolio Manager for that meter. Free of charge, SCE will automatically provide the past 14 months of historical kwh usage data. b. Collect the information you will need to authorize SCE to provide your energy data automatically. SCE requires the following: Customer Account Number The Customer Account Number can be found in the upper right corner of your SCE bill. It is 13 characters long, and looks like this: Enter it exactly as shown on the bill, with the dashes. If you receive more than one bill, each should have its own Customer Account Number. Be sure to use the applicable Customer Account Number. 1

3 Step 1: Gather Data for Benchmarking Authentication Key The Authentication Key is the last 4 digits of either your Tax ID or Social Security Number, whichever you used when opening your SCE account. SCE usage data is not available without a valid Authentication Key. Customer Address SCE may need to send an containing additional information regarding the authorization process and the transfer of energy usage data in greater detail than that provided via Portfolio Manager. Please enter the address of the person to whom additional information should be sent. An Authorization Form (If Applicable) SCE has implemented an Authorization Form which customers may use to give authorization to a designated Agent to receive service account information or act on their behalf. A completed Authorization form is required to be submitted directly to SCE when there are fewer than 3 accounts assoicated with a building and none of which are residential. If an Authorization Form is needed, submit a completed authorization form, via to 3rdparty@sce.com. Note: Allow 5 working days for processing before submitting your share requests via Portfolio Manager. For help on filling out and submitting the authorization form, please refer to the Authorization Form Instructions. The two typical scenarios when authorization forms are needed are: A building owner who is requesting the tenant's data. A third party (such as a benchmarking consultant) who is benchmarking a building on behalf of a customer and is requesting the building owner's (and/or tenant's) data. In addition to submitting a completed authorization form, the third party should use their (the third party company s) own Customer Account Number and Authentication Key to request to connect with SCE. If the third party does not have a SCE Customer Account Number, a Customer Account Number can be obtained by calling SCE s Commercial and Industrial Call Center at (800) and providing information about the company s Tax ID together with other general information. A SCE customer can authorize SCE to share data with third parties but it is the customer s responsibility to understand the access that a third party can have. The Authorization Form is designed to protect the privacy rights of SCE s customers. Any alterations to the Authorization Form after it has been executed by a customer will render the Authorization Form null and void. Customers requesting data for their own accounts do not need to submit an authorization form. 4 Create/Update ENERGY STAR Portfolio Manager Account Note: All screen shots are shown below the text describing the screen shot. Tip: If you have the ability to have two screens on your computer open at the same time, keep this step by step guide open while you enter information ENERGY STAR Portfolio Manager. 1. To get started, go to Portfolio Manager at If you are new to Portfolio Manager, click SIGN UP to create a Portfolio Manager Account. If you already have a Portfolio Manager account, enter your username and password and click LOG IN. 2. Create your Account in Portfolio Manager by entering a username and password. Tip: The username cannot be modified but all other contact information can be updated at any time. 3

5 Step 2: Create/Update an ENERGY STAR Portfolio Manager Account 3. Enter information about yourself including First and Last Name, Job Title, address, Phone Number, Street Address, City, State and Zip Code. 4. Enter information about your Organization including Organization Name, Primary Business, or Service of your Organization. Note: The Organization Name must be at least 3 characters long in order to connect with SCE. There are also several optional characteristics of information you could enter such as whether your organization is an ENERGY STAR Partner or whether you would like people to be able to search for you in Portfolio Manager and send you a connection request in order to share building information. 4

6 Step 2: Create/Update an ENERGY STAR Portfolio Manager Account 5. Select two security questions and provide your answer. To assist you in recovering access to your account in the event that you forget your username or password, Portfolio Manager will ask for answers to your security questions to protect access to your account. Once you have entered in all information on the webpage, select Create My Account. 6. You will be directed to the Welcome Page for Portfolio Manager. Enter Your Username and Password and Click Sign In. 5

7 Enter Property Information Tip: Navigating within Portfolio Manager is simple with 5 tabs (MyPortfolio, Sharing, Planning, Reporting, and Recognition) to help guide you. For example, there are multiple ways to get to the same place. The MyPortfolio page automatically loads with your list of properties, two charts that you will be able to customize on the left hand side, and a list of your account s Notifications. These can be requests to share data, updates on ENERGY STAR certification applications, or others. Within the MyPortfolio tab, you will see another set of property-level tabs. With these tabs, you can navigate between a summary of the building, property details, and meter data. You can also set and track progress against specific performance goals, and compare a building s current energy performance against the property s baseline and/or initial design. 1. In the top left-hand corner of the MyPortfolio tab, select Add a Property. 6

8 Step 3: Enter Property Information 2. On the Set up a Property: Let s Get Started! page: a. Designate the property s Primary Function from the drop down menu. You can choose from more than 85 types, which will allow you to better define your property, and better analyze and compare your property to similar properties. A selection of the drop down list includes: Tip: Some properties include multiple use types, such as restaurants in hotels, salons in senior care communities, and cafeterias in hospitals. As a general rule, if a certain use commonly occurs in the type of property being benchmarked, simply include it in the square footage of the building s primary use. You do not need to add another type of use. b. Designate the number of physical buildings located on your property. This is important if you plan benchmarking a campus property. Select either o o o None (your property is part of a building) One (my property is a single building) More than one (my property includes multiple buildings) and enter the total number of buildings. A property with multiple buildings is considered a campus. You will start by defining the campus as the main property. From there, you can: Add individual buildings. Track performance by updating information at the property and building levels. Meter buildings separately and/or roll meters up to the property level. Note: For properties with multiple buildings, only Hotel, Hospital, K-12 School, and Senior Care Communities are eligible to receive a ENERGY STAR score at the campus level. c. Select the construction status of your property: existing or design project. Most properties will be existing but Portfolio Manager allows users to enter in projects still in the 7

9 Step 3: Enter Property Information design stage in order to assess the anticipated, as-designed energy use. Once your project is built, you can use Portfolio Manager to compare designed energy use against actual, in-operation energy use. d. Click Get Started! 8

10 Step 3: Enter Property Information 3. On the Set up A Property Basic Information Screen page: a. Enter basic property information including property address, size, and occupancy percentage. b. Select the boxes next to the statements that apply to your property such as whether your property s energy consumption includes parking. You will be prompted to provide further information about your property use, based on typical functions found at the primary property type you selected. This will allow the tool to determine what further information is needed, which you will be prompted to enter on the next page. c. Click Continue. 9

12 Step 3: Enter Property Information 4. Fill out Property Specifics a. Provide details on your primary building use, as well as details on additional property uses, based on the boxes you checked on the prior page. The specific use details required will differ based on the property type selected but typically includes gross floor area, operating hours, and number of workers for each type of use. You can use default or temporary values if you don t have all the information needed. Just remember to update this with actual information once you have it. Tip: Portfolio Manager is able to provide significant guidance as you work through setting up a property using prompts and alerts. As you pass your mouse over each property use characteristic, the precise definition for that characteristic will appear to help ensure that you are entering the most accurate information. There are hundreds of tips, definitions, and mouseovers that can be found throughout the tool. Each is there to assist you to accurately benchmark any type of property. b. As needed, you can change the Name of Building/Property Use by clicking Edit Name and naming that property space accordingly. c. If you have additional spaces or property types, you can go to the drop down menu under Add Additional Type of Use and designate another space or property type. The template for that property type will appear below. Fill out all information required based on your selections. Note, if you add additional property types or spaces, ensure that the square footage of your building is correct since Portfolio Manager initially auto-fills the square footage of your entire building under the primary designation. Tip: Designate separate spaces within the property if the operating hours are significantly different. For example: Overtime office (or some other name, as appropriate): This is where you would break out any office space that has significantly different (>10%) weekly operating hours from the general office space. If you have two or more tenants, each of which have significantly different run times from each other and from the rest of the building, you could enter more than one entry for this category. Vacant space: Even if there is no vacant space at present, if it is a multi-tenant building and vacancies are a possibility, it is recommended to designate vacant space, even if it is currently set at 0 square feet. The number of people, PCs, and operating hours should all be set at 0 for vacant space, although usually the space is heated and cooled in a manner consistent with the rest of the building. When you have filled out all of the property information select Add Property. 11

14 Step 3: Enter Property Information Using a Sample Office Building as an example, the property has been split into 4 spaces based on operating hours and space uses which include: general office space, parking, vacant space and overtime tenant space (a tenant with significantly different operating hours than the rest of the building). 13

To provide Southern California Edison (and other utilities) access to share data automatically, click on the Contacts link in the top right corner of the page. 8. Search for Southern California Edison on the Find Contacts in Portfolio Manager page. a. In the box next to Contact name, search for Southern California Edison. b. Select Search. c. Once Southern California Edison s Automated Data Exchange Service comes up, select Connect. 16

Your Authentication Key (Last Four Digits of Tax ID or Social Security Number) c. Your Name d. Your Phone Number e. Your Address f. Read and Agree to SCE s Terms and Conditions g. Click Send Connection Request. 17

As soon as you submit your request, you will see a notification that your request has been submitted. a. As soon as your request has been submitted you will see notification that your connection request has been sent to Southern California Edison. Southern California Edison SCE b. Once your request is approved, you will see a notification in your MyPortfolio tab that you are connected to Southern California Edison. Sample Santa Ana Office Building c. As soon as the request has been processed, you will see notifications in the MyPortfolio tab and the Sharing tab with the status. Southern California Edison Note: If there is an error or discrepancy with any of the data that has been submitted to SCE, you will also get a notification about the specific issue. 19

21 Step 4: Enter Energy Information and Connect/Share Building with SCE An example of a notification alerting you of an error is shown below: 11. In the Sharing page: a. Select Share a Property to select the property you want to share with Southern California Edison. 20

22 Step 4: Enter Energy Information and Connect/Share Building with SCE 12. At the Share Your Properties page: a. From here, you will choose from a drop down menu which properties you wish to share. You have the option to share one property, to select multiple properties, or to share all properties. Select the property you would like Southern California Edison to provide web services. If you go to select multiple properties, a pop up window will allow you to filter and select the specific properties you want to share. You can filter by region or building type, or use the check boxes to select one property at a time. b. Select one or more connected contacts with whom you would like to share. You can select multiple names at once by holding the Control key as you click names. To authorize SCE to provide data automatically select Southern California Edison. c. Click Continue. 13. After selecting the properties you wish to share, and the contacts you want to share the properties with, you will be asked to select access permissions for each contact and each building. You can choose one of 5 access levels, including none, read-only, full, custom, and exchange data. None (no access) means a contact cannot view a property. You may need to choose none if you have selected multiple contacts to share multiple properties, but certain contacts don t need access to certain properties. 21

23 Step 4: Enter Energy Information and Connect/Share Building with SCE Read only access means that your contact can look at your property data and include the property in their reports, but will not be able to edit or update any of the property use details or meter consumption details. Full Access (Read/Write) allows your contact to access and make edits to your property. If they make edits to property or energy data, these edits will show up when you log into your account and review your building. Custom access allows you to select different levels of access for different aspects of your property record. For example, you can specify full access for some meters but not others; or can provide full access to meters, but read-only access to the goal setting functions. The Exchange Data permission will be used specifically if you are seeking to link up with an organization that has been approved to exchange data directly with Portfolio Manager accounts via web services. At a later step, you will be able to specify specific permissions regarding whether the organization will be able to view or modify property, building, and meter level information. You will be required to provide additional information to the organization so that they can process your request for data exchange services a. Select the button under Exchange Data for Southern California Edison to provide your energy data. b. Select Share Property(ies) to share your property with Southern California Edison. 24 Step 4: Enter Energy Information and Connect/Share Building with SCE b. Are you benchmarking for the purpose of AB 1103? Select Y for Yes if you are t or N for No if not. 15. For each property, you will be asked to select what access you want to give to Southern California Edison from the following choices. None Read Only Access Full Access a. Select Full Access. To provide energy data, Southern California Edison requires Full Access at the property level. Note that SCE may need to create a new meter in a property in some situations where aggregate energy usage data are provided. b. Select Apply Selections & Authorize Connection. 23

25 View Results and Track Progress Once all energy data has been successfully submitted to your Portfolio Manager account, you will get benchmarking results for your property. It is easy for you to see trends and to track improvement for a property or your entire portfolio of buildings with a variety of standard graphs and reports in Portfolio Manager. kbtu (Kilo (One thousand) British thermal units (Btu)). Site Energy Source Energy Common Portfolio Manager Terms and Definitions A Btu is a unit of energy defined as the amount needed to heat one pound of water one degree Fahrenheit. By converting electricity data and gas data to kbtus, the total energy of the building can be assessed. A measure of energy that accounts for the energy consumed on site, as measured by gas and electric meters by the building. It describes the actual energy consumption of a building itself and is more relatable to someone s utility bill. A measure that accounts for the energy consumed on-site in addition to energy consumed during generation and transmission in supplying energy to the site. It refers to the energy consumed in the generation, transmission, and distribution of electricity, as well as the energy losses from storing, distributing, and dispensing natural gas. Energy Use Intensity (EUI) (kbtu/ft2) kilo-btu per square foot per year is the measure of the total energy (site or source) consumed by a building over the entire year divided by the size of the building. Portfolio Manager can be used as a measurement and tracking tool to help you: Track a building s energy usage (site and source) and energy use intensity over time Compare your property s energy use to other property(ies) in your portfolio Compare your property to similar property types in the national database of buildings captured in the ENERGY STAR rating and National Median Comparison Identify and prioritize energy efficient opportunities Verify and monitor pre- and post-project energy use through changes in operations/equipment Track GHG emissions, and energy costs Identify under-performing facilities Assist in planning: set goals, targets, and timelines. 24

26 Step 5: View Results and Track Progress Follow these steps to view reports about your properties and to assess progress. 1. Click the Reporting tab to view graphs and reports for a property or portfolio. The Reporting tab brings you to an array of features, including: a. Charts & Graphs b. Templates & Reports (including custom reporting templates) c. Performance Documents Statement of Energy Performance or Design Intent Data Verification Checklist Progress & Target Reports ENERGY STAR Scorecard 2. Once there is at least 12 months of energy data in Portfolio Manager, you can generate a Statement of Energy Performance for specific properties. Together, the Statement of Energy Performance and the Data Verification Checklist provide a summary of a property's physical and operating characteristics, as well as its total energy consumption. a. By clicking on a Statement of Energy Performance, a PDF of the properties energy use data will be generated as a PDF file that can be printed and/or saved. The Statement of Energy Performance provides a summary of the following: o o o o o o o o Building Characteristics Name Property Type Year of construction Square footage Energy Star Score (1 100), if applicable Summary of Total Energy used at the Facility (electricity and gas consumed in kbtu) Report of the Site and Source Energy Use Intensity (EUI) in (kbtu/ft2/yr) Total Greenhouse Gas Emissions in MtCO2e/Year National Median Comparison Both Site and Source Energy Use Intensity % Difference from National Median Source 25

By clicking on the ENERGY STAR Data Verification Checklist, a PDF of the properties energy use data will be generate as a PDF file that can be printed and/or saved. The ENERGY STAR Data Verification Checklist helps to double-check the information that has been entered into Portfolio Manager. The checklist is designed to provide an at-a-glance summary of a property's physical and operating characteristics as well as its total energy consumption in kwh, Therms and kbtus. It also summarizes the information that has been entered into Portfolio Manager about each space. This includes the square footage, number of employees, number of computers, the weekly operating hours, etc. In addition, it provides a comparison of how the building s current energy consumption compares to its baseline, as well as the median. The energy performance comparison chart provides a summary of the energy rating (if available), site and source energy intensity, energy costs, and greenhouse gas emissions. 26

28 Step 5: View Results and Track Progress Using a Sample Office Building as an Example, the Sample Santa Ana Office Building s ENERGY STAR Data Verification Checklist is below: The Statement of Energy Performance and the Date Verification Checklist can be used to document your facility's energy performance for important activities such as: LEED for Existing Buildings (LEED-EB) applications Mortgage, sale, and/or lease transactions Energy service company performance contracts Tenant/owner/customer communications Display of energy performance Compliance with laws such as AB 1103, California s Commercial Building Energy Use Disclosure Program. Starting January 1, 2014, at or before the sale, lease or financing of an entire building in California that is greater than 10,000 square feet, building owners or their designated agents are required to benchmark using Portfolio Manager and disclose the benchmarking results. After July 1, 2014, the size threshold decreases to 5,000 square feet. Additional information on AB1103 compliance is available at 27

29 Step 5: View Results and Track Progress 3. Click on the Charts & Graphs options to instantly see colorful graphs of how your portfolio or group of properties is performing. You can print graphs or download the images to incorporate into a presentation or document. Download Performance Documents Choose from Pre-set Chart & Graph options Create and generate Templates & Reports 28

View the Templates & Reports section to see a list of available standard reports, including Performance Highlights, Energy Performance, and Water Performance. 5. Select Generate New Report from the Action drop-down menu to create a spreadsheet. a. For example, you could select the Source EUI report for your Portfolio which would show you how your portfolio is performing, as well as how it compares to the national median. 29

31 Step 5: View Results and Track Progress b. If you want to see the current performance of specific properties against their baselines, you can do so for the entire portfolios. You can also select a specific group of properties, or break out the comparison across property types. Icons below each image enable you to print or export images to incorporate in external presentations. At the bottom of this page, you can also view and export the raw data for each chart/graph. c. The reports contain key metrics and information that you can use to easily assess your portfolio s performance and progress across a variety of parameters. 6. To generate any of these reports, go to the Action drop-down menu and select I want to Generate New Report. You will be asked to select the timeframe for this report, as well as the properties to include. 7. Once you generate the report, you will be able to view it from the Action drop-down menu. You can also download the report in Excel and XML formats, update the report to include additional properties and/or new timeframes, and generate a new report. Improve Your Property s Energy Performance SCE offers a variety of rebate and incentive programs as well as a variety of technical resources to help businesses improve their energy performance. Learn more about ways to improve a property s energy performance by visiting SCE website: If your facility s energy use is less than 200 kw, use the do it yourself online audit tool, Business Energy Advisor (BEA). You can access BEA at and click on the Business Energy Advisor icon on the left hand side of your screen). Just by providing a few pieces of information regarding your facility, BEA will start you on your path toward using less energy. The more information you provide about your business, the more the recommendations will be customized to your operations. Portfolio Manager provides a high-level analysis of a property(ies) energy usage and can be one tool to help prioritize budgets and resources. In general, the lower your scores or higher your EUI, the greater the potential for improvement although some buildings may have more opportunities for improvements than others, regardless of their initial energy usage. Using simple tiers, use the benchmarking results to identify savings opportunities: 30

32 Step 5: View Results and Track Progress Portfolio Manager score of 1 to 25 or EUIs much greater than the median Site EUI: Invest The buildings with low scores and corresponding high energy use intensities are extremely inefficient compared to similar buildings % of similar buildings in the US use energy more efficiently than these buildings. These buildings should be targeted for energy efficiency improvements. Action: Make investments in more efficient building components (lights, windows, heating and cooling equipment, etc.). Portfolio Manager score of 26 to 50 or EUIs above the median Site EUI: Invest and Tune These buildings are large energy users and are still inefficient compared to similar buildings % of similar buildings in the US use energy more efficiently than these buildings. Action: Make investments in more efficient building components (lights, windows, heating and cooling equipment, etc.). Action: Make improvements in maintenance and operations (consumer behavior, maintain/tune existing equipment, etc.) Portfolio Manager score of 51 to 74 or EUIs lower than the Median Site EUI: Tune and Invest These buildings are relatively efficient but there are opportunities to tune and invest in retrocommissioning. 31

33 Step 5: View Results and Track Progress 26 50% of similar buildings in the US use energy more efficiently than these buildings. Action: Make improvements in maintenance and operations (consumer behavior, tune existing equipment, invest in retro-commissioning, etc.) Portfolio Manager score of 75 to 100 or EUIs much lower than the Median Site EUI: Tune and Reward These buildings are efficient although there may be opportunities to make them more efficient. 1 25% of similar buildings in the US use energy more efficiency than these buildings. Action: Make Improvements in maintenance and operations (consumer behavior, maintain and tune existing equipment, etc.). Action: Action: Share best practices on what makes these buildings so efficient. Properties that have an ENERGY STAR score of over 75 on the scale are eligible to apply for the ENERGY STAR label.
