COMMUNITY FUNDRAISING KIT 1
WELCOME Thank you! Thank you for your interest & enthusiasm in raising funds for RSPCA NSW. By raising funds for RSPCA NSW you are directly contributing to the care and protection of over 45,000 animals that turn to RSPCA NSW each year. With only 2% of funding coming from the government, we rely heavily on the kindness and support of generous individuals such as yourself and the community to continue our vital work and efforts in animal welfare. This community fundraising kit is designed to provide you with everything you need to know about fundraising for the RSPCA. Fundraising has never been more simple, fun and rewarding. Simply follow these 7 steps and get started today! Should you have any questions at all after reading this kit, please don t hesitate to contact us on or us at fundraising@rspcansw.org.au. 2
WHO WE ARE The RSPCA is Australia s oldest Animal Welfare charity. Established in 1873, we ve been protecting and caring for animals for over 139 years. Each day the team at the RSPCA work tirelessly to ensure thousands of animals are given the right to five basic freedoms; 1. Freedom from hunger and thirst. 2. Freedom from discomfort. 3. Freedom from pain, injury and disease. 4. Freedom to express normal behaviour. 5. Freedom from fear and distress. We are not a government funded charity. Most people think that the majority of the RSPCA s funding comes from the government. This is simply not true. It costs the over $41 million a year to maintain RSPCA NSW and its services, we get less than 2% of that from the government. This means that we must raise most of our operational budget through fundraising activities. We do more than just rescue dogs and cats. Whilst we do care for tens of thousands of dogs and cats every year, we also care for and protect other companion animals, native animals and livestock. We actively lobby the government and industry bodies to change and abolish unfair or cruel animal practices. And we operate Australia s largest squad of law enforcement officers dedicated to policing offences against animals The RSPCA NSW Inspectorate. We support the community. We have lots of community support programs running in all states. These programs include Humane Education, Emergency Boarding, Domestic Violence and Rural and Indigenous Animal Health schemes. We also work closely with other animal welfare agencies and emergency services when required. We help those who can t help themselves. Nationally, our Inspectorate investigates over 48,000 cruelty complaints each year. Many of these complaints are addressed on the spot by giving pet owners guidance and information on how to better care for their pets. However, when animals are deliberately mistreated, our Inspectors have the power to seize animals and prosecute the owner for neglect or cruelty. To learn more about the RSPCA, please visit 3
HOW DO I FUNDRAISE? There are seven easy steps to complete before you can raise money for the RSPCA NSW. 1) Choose how you want to raise money for RSPCA NSW. Refer to page 5 for some fundraising ideas. 2) Read through the Accountability and T&Cs sections on pages 6, 7 & 8 and make sure that you understand what your responsibilities are as a fundraiser for RSPCA NSW. 3) Ensure the Declaration on page 13 is completed prior to submitting your Fundraising Registration form. Please note, this will require you to attach a copy of your drivers license, passport or official identification card (such as a NSW Photo card) to certify the details provided on this application form are correct. 4) Fill out the Fundraising Registration Form on pages 12, 13 & 14 and send it to RSPCA NSW. You can it to fundraising@rspcansw.org.au, fax it to (02) or post it to: Events Department, RSPCA NSW PO Box 34, Yagoona NSW ) Once we receive your form and check through the fundraising activity details, you will be sent a Fundraising Authority issued by RSPCA NSW. This confirms that we have received your registration and we are happy for you to raise money on RSPCA NSW s behalf. 6) Start Fundraising! If you are promoting your fundraiser with ads, posters or leaflets, we can provide you with fundraising logos. These are the only logos that you are permitted to use. They are not the official RSPCA logo but have been designed especially for community fundraising events. 7) Once you have completed your community event, fill out the Fundraising Reconciliation Form on page 15 and send it back to RSPCA NSW along with all funds raised (please see below for information on sending funds to RSPCA NSW). Sending funds to RSPCA NSW. After filling out the Fundraising Reconciliation Form, please send funds via cheque/money order made payable to RSPCA NSW. Please note, any costs incurred by your fundraising activity can not and will not be reimbursed by RSPCA NSW. 4

ACCOUNTABILITY These guidelines must be understood and accepted by the fundraiser before commencing. 1) The fundraiser must apply in writing using the enclosed form (page 12) and receive permission from RSPCA NSW before beginning the activity. 2) The fundraiser agrees that they will be wholly responsible for the activity and understands that the RSPCA NSW is not obliged to provide support in the organising, execution or reconciliation of the activity. 3) The organiser understands that they are not covered by the RSPCA NSW Public Liability Insurance so they are responsible for any insurance if required. 4) Any legalities imposed by the Best Practice Guidelines for Charitable organisations must be adhered to at all times. Any licenses, authorities or permissions that need to be obtained prior to the activity taking place must be done so. 5) The organiser must adhere to the below Fundraising Terms of Agreement: RSPCA Fundraising Terms of Agreement: The Australian Government has developed legislation governing the conduct of fundraising. Under the 1991 Charitable Fundraising Acts in each state, anyone wishing to raise money for charitable purposes must hold an authority to fundraise issued by RSPCA (New South Wales). So before you get started in your fundraising for RSPCA, we will need to authorise your fundraising activity. All individuals, groups or organisations who wish to fundraise must register with us, whatever the size of the event or the donation (cash or in-kind). The Fundraising Guidelines are designed to assist you in planning your fundraising activities in support of RSPCA NSW. We need you to read the guidelines, then complete, sign and send back the Fundraising Registration Form to the RSPCA NSW Events Team (for more information please call ( ). The Fundraiser is not authorised to use RSPCA as its beneficiary charity until it has received the authorisation letter. Thanks again for your support! We re sure that you ll enjoy fundraising for RSPCA and sharing in our joy and efforts in enriching the lives of all creatures great and small. 9
FUNRAISING GUIDELINES Fundraising for RSPCA Due to limited resources, RSPCA is not able to take a coordination role in your event, such as assistance with ticket sales, soliciting prizes or organising celebrities. The Event, including the financial aspects, fundraising, raffles, record keeping and management of the Event shall be conducted in your (the Fundraiser s) name and is the sole responsibility of the Fundraiser. The Fundraiser s arrangements for the Event must be planned with the approval of RSPCA and RSPCA expects a reasonable level of liaison and information about the Event. Any changes made from the original details provided on the Fundraising Registration Form must be reported to RSPCA and may result in a new authorisation letter being distributed or your current Authority to Fundraise being revoked. RSPCA requires that there be no door-to-door appeals, street collections or telephone solicitation of any kind to the public in connection with the Event. Financial aspects of the event Any expenditure involved with the conduct of your fundraiser and any disposition of funds and profits resulting from a fundraising appeal must be properly authorised by RSPCA beforehand. The Fundraiser must take all reasonable steps to ensure that the expenses do not exceed a fair and reasonable proportion of the gross proceeds obtained from the event. The Charitable Fundraising Acts states this as expenses not exceeding 40% of the gross proceeds. The proceeds of the Event and the Fundraising Reconciliation Form are to be send to RSPCA NSW within 7 days of the conclusion of the event. Individual receipts for tax deductions for supporters of the Event can be issued by RSPCA if that supporter makes a donation of $2.00 or more to RSPCA. If supporters would like receipts, please send a list including names, addresses, phone numbers and donation amounts. If the total of individual receipts exceeds 10 individuals, please provide RSPCA an electronic version of your register. When the supporter has received goods or services in return for money given (e.g. purchased raffle tickets or prizes at auction), a taxdeductible receipt cannot be issued. For donated goods and services RSPCA requires correspondence from the company or individual stating the donated value of goods or services to the event. Accurate records of the donors details assists RSPCA with financial reporting and thank you letters. A template is available from RSPCA to assist you with capturing this information. The use of RSPCA name and logo The Fundraiser has no right to the names or logos RSPCA and RSPCA New South Wales. Nor is the Fundraiser given the right to raise funds in those names. This means you cannot call your event an RSPCA event i.e. RSPCA Trivia Night, however you can call it an event supporting the RSPCA. RSPCA can authorise the use of a line of copy stating the relationship between the Fundraiser and RSPCA for all fundraiser promotional materials. Recommended wording would be, This event proudly supports RSPCA New South Wales or Funds raised will assist RSPCA New South Wales in their vital work to enrich the lives of all creatures great and small. Any printed materials or advertisements to be used by the Fundraiser in relation to the Event must be submitted to the RSPCA for approval and must also state how the proceeds from the event are to benefit RSPCA eg all proceeds from this event or all proceeds from the auction. Please allow 10 days for approval of your material. If the Fundraiser wishes to use the RSPCA Supporter logo on any materials or products, the Fundraiser must obtain prior permission from RSPCA. Please contact your RSPCA New South Wales Events Coordinator for more details. RSPCA does not encourage the use of animals in events or in the media in any way that would compromise their wellbeing. Should you wish to include some stories, testimonials or case studies in your promotional material your RSPCA Events Coordinator will be able to provide you with appropriate material. 10
FUNRAISING GUIDELINES Fundraising for RSPCA (Continued) Media and public relations All media materials and press releases must be approved by RSPCA New South Wales prior to circulation. Please allow 10 days for approval. RSPCA representatives In some cases, an RSPCA New South Wales Representative can be arranged to attend your event. This is always depending on availability. At least 4 weeks notice is required. Permits Some activities require permits e.g. raffles where the total prize pool is over a certain amount. Permits are also required by councils and shopping centres for outdoor events. Visit and search under Gaming and Racing for a full list of local gaming authorities in your relevant state. Liability All aspects of financial and public liability and public safety are the responsibility of the event organiser. As RSPCA is not the event organiser we are unable to cover any liability on your behalf. The Fundraiser agrees to indemnify and release RSPCA to the fullest extent permissible under law in respect of all claims, except where such liability arises because of the gross negligence of the RSPCA or its agents. Therefore, please ensure that any space or venue used for your fundraising activities has the required public liability insurance. 11

By contributing to our regular monthly donor program you can make a real difference to animals in need. Bequest. A large part of RSPCA NSW's success depends on donations received from generous animal lovers. Making a bequest, or leaving a memorial donation, will help RSPCA NSW provide care for some 40,000 animals annually. Visit Go retail. Next time you need to buy someone a gift or just feel like some retail therapy shop RSPCA. You can buy lots of items for yourself or a loved one (two and four legged) at Or you can visit our new Care Centres at Rouse Hill Shopping Centre & Tuggerah Supa Centre. Humane Education. 17 HOW ELSE CAN I HELP? Support an RSPCA Campaign. We are always actively lobbying the government to change and abolish unfair and cruel animal practices. Visit our website for more information on latest RSPCA campaigns and ways you can help. Shop Humane. The RSPCA is working to educate consumers about where their food comes from and increase demand for higher welfare products through its Humane Food programs including RSPCA Approved Farming, The Good Egg Awards and Choose Wisely. Consumers are driving this change. People want to know how their food is produced so they can decide for themselves, and increasingly they are finding inhumane farming systems unacceptable. So Next time you're out shopping, keep an eye out for producers approved under the RSPCA's Approved Farming Scheme. By choosing eggs and pork that have been produced humanely you will be helping the RSPCA improve the treatment of hens and pigs in Australia. Volunteer. Volunteers are an integral part of the RSPCA NSW team and play an active part in supporting our work to improve the welfare of animals and protect them from cruelty and neglect. Volunteering involves dedication, commitment and passion. It is a great way to gain experience, develop new skills, meet new people and be directly involved in the animal welfare cause. There are many volunteer roles available some involving contact with animals, while others provide support without direct contact with animals. Opportunities exist to assist with animal care, administration, events, customer service and fundraising. For more information on any of the above, please visit or call
