3 Executive Summary The document describes dissemination and communication activities within the Work Package 6 implemented by the Project beneficiaries for the 1 st twelve months of the einterasia project on ICT Transfer Concept for Adaptation, Dissemination and Local Exploitation of European Research Results in Central Asia s Countries. The report incorporates description of the contribution of the consortium to the promotion and dissemination of einterasia objectives and results. The report highlights the EU research results that have already been demonstrated and those proposed for adaptation, dissemination and local exploitation. Generally the report provides the account of the dissemination means, items and tools utilized, as well as the target audiences involved. The target audiences, the concept of tools, and the kind of content are defined by the primary content of the einterasia Project and the nature of its products. It is expected that these products will be greatly demanded in the Central Asian (CA) region. Deliverable D6.6.6 includes the brief description of partner workshops, dissemination items, means and tools. Dissemination means/ tools incorporate: - Project web site - Project flyer and poster (RollUp) - The database of potential and users - Promotion at the international conferences/ exhibitions-setting up of showrooms (current state) 3

5 1 Introduction The given Interim Report describes events and work implemented by einterasia Project partners of realization of the Work Package 6 by the 12th month of the Project. 2 Partner workshops 2.1. einterasia Kick-off Meeting (Part 1) The first part of einterasia Kick-off meeting took place at Fraunhofer VDTC IFF in Magdeburg on March 21-22, The meeting was opened by Mr.Ardiel Cabrera (PO from the EC).The hosting organization was Fraunhofer IFF. Dr. Eberhard Bluemel of Fraunhofer IFF presented the History and Background of the Project. Prof. Leonid Novickis (RTU) as the Project Coordinator provided overview of the project with subsequent discussion of the Project Management aspects, milestones and deliverables. The meeting participants were introduced to each other and delivered their presentation with brief description of their organizations and their Work Packages. Later they discussed the adaptation of innovative ICT solutions to the conditions of Central Asia and visited Fraunhofer IFF innovative ICT solutions such as Virtual Development and Training Centre (VDTC), Testing Environment for RFID Technologies (LogMotionLab), and Exhibition area. More specifically on the first day of the meeting L. Novickis, A. Mitusiunas, M. Boronowsky, M. Schumann, and M. Boronowsky presented information of the WP2 on the ICT transfer model, concept and components. The subsequent discussion of the Contractual issues was followed by the Steering Committee meeting. 5

6 2.2. einterasia Kick-off Meeting (Part 2) The second part of the einterasia Kick-off meetings took place in University of Bremen, June 24-25,2013.The host Partner was TZI University Bremen. During this meeting the Project participants discussed the current state of the project The Project Coordinator Leonid Novickis presented the deliverable D 1.1.1, Work Package 1 followed by a discussion about each Work Package. With regards to the Dissemination and Communication Activities the participants discussed the following: Participation at the Economic Forum in Astana Project website Project logo, flyer and poster: the concept, structure, content and design of the project flyer and poster were discussed. The project website was accepted and demonstrated. Proposal submission for networking session of the EC Conference in Vilnius BISAM presented the Deliverable Communication and Dissemination Plan Concept of Showroom (and visited TZI Showroom) On the second day after discussing ICT Transfer Concept 1 st part, the meeting participants visited BIBA -Bremen Institute for Production & Logistics. After visiting BIBA, participants talked about ICT Transfer Concept (2 nd part) and how to apply it in Central Asian countries. The meeting was closed after discussion of einterasia next steps, milestones & deliverables, administrative issues, next meetings schedule, and events. 6

7 2.3. einterasia Workshop in Astana The third einterasia meeting took place in Astana, Kazakhstan on September The host partner was Astana Innovations (AI). The meeting included the following activities: Astana Innovation presented their 3D Centre Setting up of AI Showroom Based on 3D Centre was discussion by all partners Setting up of Showroom at TUT: current state and plans was presented by Sangin Boboev (TUT) Technology Transfer Concept InnoSPICE by A. Mitusiunas What, To Whom and How to present TTC and innovative IT solutions: preparation to the 3rd day (meeting with invited organisations) M. Boronowsky and T.Woronovicz Antanas Mitasiunas reported on the Deliverable D Generalizing the research results of EU projects Project flyer and poster: acceptance of the updated versions for printing and distribution The next items discussed were Networking with national projects & participation at the conferences and Dissemination via academic channels. In particular, on the third day there was a meeting with potential end-users from IT and Technologies. Representatives from Astana Mayoralty, Kazakhstan Technical University, Space Management Ltd., KazTelecom, Kazakhstan-Czech technological center, etc. (in total 10 persons) took part in the project session devoted to the presentation of generic TTC, its several components and selected EU projects: Mrs. Tanja Woronowicz, UniBremen/TZI, Dr. Antanas Mitasiunas, MIT-SOFT presented generic TTC. Antanas Mitusiunas presented the overview of EU projects, including project SIGNA (electronic signature). Mr. Artyom Popov, Astana Innovation, Dr. Marco Schumann, Fraunhofer IFF, and Mr. Stefan Leye, Fraunhofer IFF demonstrated VR-based scenarios in 3D center. 7

8 BISAM made presentation on potential end-user database and survey. The presentation included description of the principles of building the data base, target groups, and sample structure of the survey questionnaire for subsequent feedback from the target groups. During this meeting BISAM established contacts with potential end-users and carried out indepth interviews with the invited participants. After the session informal discussions between end-users group and einterasia consortium took place. During the SC meeting the sixth monthly managerial project report was accepted 3 Deliverables and tasks of the Work Package 6 implemented in the first 12 months of the Project Deliverable 6.1 Definition of Dissemination & Communication strategy. 4 th month One of the first tasks to be implemented within the frameworks of WP6 was Definition of Dissemination & Communication strategy. By the 4 th month of the the Deliverable Communication Plan was developed and delivered at the second meeting of the Project partners in Bremen, in June The Communication Plan was guided by the dissemination and communication strategy predefined in the DoW einterasia, which can be summarized by the table below: 8

9 Communication Plan defined communication and dissemination strategy. It incorporated a plan of messages targeted at the end-users and taking into account local needs and requirements. The Communication Plan defined the target audience, the concept of tools, and comprised preliminary timetable of technological workshops and information days. As it was already mentioned the given interim report highlights the work implemented during the first year of the Project. Thus, the set of currently available information for dissemination is limited as there have been no final results of the Project yet Dissemination items Dissemination items for the 1st year of the Project are: a) EU research results ( Deliverable D2.2.1) As a part of implementation of this deliverable the Consortium Partners provided description of projects performed by EU partners: University of Bremen, Riga Technical University, MitSoft Ltd, Fraunhofer IFF Institute for Factory Operation and Automation and Logitrans Consult Ltd. These descriptions were provided for subsequent selection of the most suitable projects for piloting an innovative ICT Transfer Concept and testing adequacy of business models proposed. Among these projects the particular role was devoted to the project BONITA that generated SPICE conformant innovation, knowledge and technology transfer model innospice as a generic background for transfer methodology. At the first kick-off meeting in Magdeburg Prof. Antanas Mitasiunas (MIT-SOFT) delivered presentation on the Technology transfer concept supported by the description of BONITA project and the technology transfer model innospice provided by Dr. Michael Boronowsky (UniBremen). During this kick-off meeting the project partners discussed the provided descriptions. In February 2014 these materials have been finalized. Currently they are being adapted for further dissemination among the potential end-users. 9

10 At the next meeting in Bremen in June 2013, Tanja Woronowicz and Michael Boronowsky delivered the presentation on Capability and impact assessments for Knowledge Transfer and Innovation featuring BONITA and InnoSPICE products in more details (available in the project s website). At the meeting with potential end-users of the project in Astana, Kazakhstan in September 2013 the Project partners MIT-SOFT (Antanas Mitasiunas) and UniB (Tanja Woronowicz and Michael Boronowsky) held presentations of their products for local representatives of state bodies, educational institutions, and businesses - SIGNA project (by MIT-SOFT) and InnoSPICE (by UniB). b) Solutions in e-logistics elogistics is the main target application area for einterasia project. This target application area was represented in the collection of projects description by projects: elogmar-m, SIMLOG and ECLIPS. At the kick-off meeting in Magdeburg Ms. Svetlana Vinichenko of LOGITRANS CONSULT OU (lead beneficiary of WP4 provided presentation of Business-related applications in elogistics. (The elogmar flyer is available in English and Russian languages and can be found on the project s website) Dissemination means/tools The Project web site Deliverable After the discussion of the concept, structure and design of the project website at the meeting in Bremen in June 2013 Fraunhofer IFF provided the Quickplace for online data exchange between the project partners. Unique user accounts were created for all partners involved. Instructions were sent out on how to use this resource. The available online working area comprises two main sections to store different kinds of information on implemented events and actions. The section einterasia project room represents the working area for the daily project issues. The folder Review meetings provides all specific information and documents needed for the review process with the European Commission. The structure of the website is shown in the screenshots below. 10

11 Project Flyer and Poster (RollUp) According to the Deliverable 6.2 Creating and printing the project s flyers and poster (5 th month of the Project). The Project partners from the University of Bremen designed the project s flyer and poster and presented it to the project partners for comments and subsequent approval. After slight revision in terms of local context, these materials were translated into Russian language by BISAM. The poster and flyer will be disseminated among potential-end users of the EU research results. Final English and Russian versions of these materials are available at the project web-site. 11

12 Dissemination via academic channels a) TUT collaboration with GIZ Project flyer In 1995 Tajikistan established cooperation with German Society of Technological Cooperation (GIZ) and established Socio-innovation Centre. Since 1995 GIZ has been supporting the economic and social rebuilding of Tajikistan. In 1996 a country office in Dushanbe was opened. Programme offices were also opened in Dushanbe, Khujant, Khorog and Kurgan-Tyube to support GIZ s work in rural parts of the country. Collaboration between TUT and GIZ started in GIZ has implemented its three year projected phase on The program of career development and professional education in Central Asia. During the GIZ meeting TuT presented einterasia aims and objectives and possible ways of cooperation. 12

13 b) TEMPUS and Erasmus Mundus projects at TUT The academic network created by several TEMPUS and Erasmus Mundus projects is also used for dissemination of einterasia objectives and results. These projects were mainly coordinated by several German universities. CIBELES Curriculum invoking Bologna-aligned Education Leading to reform in Environmental Studies (coordinated by Georg-August-Universität Göttingen, Göttingen, Germany) HEICA Higher Education Initiative for Informatics in Central Asia (coordinated by Technical University of Dresden) DoQuP - Documentation for Quality Assurance of Study Programs (coordinated by University of Genoa, partner from Germany is Universitaet Duisburg - Essen) SWAN - Towards Sustainable Water Resources Management in Central Asia (coordinated by University of Alicante) MAPREE- Master programmes on Renewable Energy and Energy Efficiency in Buildings in Central Asia and Russia coordinated by Lund University, Sweden MANECA coordinated by Technical University in Berlin, Germany Marco XI coordinated by Georg-August-Universität Göttingen, Germany The questionnaire for potential end-users For the purposes of preliminary study of potential end users of the EU research results and for obtaining feedback from them BISAM developed and presented the sample questionnaire at the Project meeting in Astana in September The validation questionnaire within the frameworks of the Work Package 5 will be designed in the 24 th month of the project. Sample structure of the questionnaire for potential end-users was presented by BISAM in Astana. The basic questions of questionnaire were piloted among potential end-users (representatives of local state bodies, educational institutions and business) invited to the workshop arranged by Astana Innovations on the third day of the einterasia Project partners meeting in Astana in September The database of potential-end users The Excel database consists of two major parts: - one is the targeted to potential end users in Central Asian region (data is presented in Russian language) - the other one is focused on EU market (data is presented English). 13

14 The database incorporates entries which represent Kazakhstan, Kyrgyzstan, Tajikistan, Turkmenistan, and Uzbekistan. All those entries will be contacted by describing the benefits of the project for them. The data base has a clear structure: each entry contains the company/organization/institution name, description of its primary activity, address, telephone numbers, website, and s. The database contains entries for the following target groups: Research centers / institutes and universities- 390 IT transfer parks, incubators, centres -27 ICT service providers, IT companies-48 Transport, freight forwarders and logistics associations-152 Big consulting companies (specializing in management consulting, certification and quality standards, and engineering consulting)-95 Organizations form EU- 48 And other potential end users-35 At present the database incorporates representatives of target groups primarily from Kazakhstan, Tajikistan, Uzbekistan and Turkmenistan and organizations from EU countries.. At the next stage this database will be completed by inclusion of target companies from Kyrgyzstan. At the end of February DB incorporates 795 organizations: The following information has been distributed among potential end users in February 2014: a) for Central Asian partners: - project flyer (in Russian) - description of elogmar project in e-logistics (in Russian) - description of SIGNA project (in Russian) - project Newsletter, vol.1 (in English) b) for EU partners similar information was disseminated in English. Next time the questionnaire developed by BISAM will also be ed across the database entries. Based on the feedback from contacted beneficiaries, the offered products will be promoted further Promotion at the international conferences and exhibitions a) VIth Astana Economic Forum May 22th-24th 2013 The Astana Economic Forum (AEF) is an international and regional platform for dialogue and a non-profit organization headquartered in Astana, Kazakhstan. It is annual organized by the Eurasian Economic Club of Scientists Association and the Government of Kazakhstan. As a platform for discussion, the AEF provides the opportunity for international exchange and resolutions for present-day economic as well as financial and social challenges in the world. During the forum, the EU-funded project einterasia was presented to a wide spread of potential end users, e.g. industry and policy makers and research facilities as well as government officials. 14

15 Kazakhstan s Minister of Industry and Trade Issekeshev in dialogue with Dr. Eberhard Blümel (IFF) At the 8 th Innovation Congress, which took place in the framework of the AEF, representatives of Fraunhofer IFF and University of Bremen gave presentations about the methodology of transferring European research results to support the innovation system of Kazakhstan as well as the development and implementation of critical technologies. Participants of the 8th Innovation Congress at the AEF 2013 b) einterasia - BalticDynamics 2013 The Project partner Tanja Woronowicz (knowledge transfer manager at the Headquarter of TZI - an ICT research organization at the University of Applied Science Bremen, Germany) took part at the sessions of International Conference "Competence Building for Smart Growth: Challenges and Opportunities" Riga, Latvia in September 11-13, 2013 with the topic of eintersia - Standardized Knowledge Transfer Linking European Research with Central Asian Business Development. 15

16 c) ICT 2013 International Conference (Vilnius, Lithuania, November 6-8, 2013) Networking session Towards standardized knowledge transfer and innovation capability (Topic : International Cooperation) within the frameworks of ICT 2013 EC Conference was organized by einterasia Consortium. On behalf of the Consortium the proposal for networking session was submitted by UniB/TZI. Antanas Mitasiunas (MIT-SOFT, Lithuania, leader of WP2 ), S.Vinichenko ( Logitrans Consult, Estonia, leader of WP4) and Leonid Novickis (RTU, Latvia, coordinator ) met visitors at einterasia booth during the networking session and explained them the main tasks of the project and technology transfer concept. d) Project partner UIFA participations at international conferences and exhibitions for promotion of einterasia «ICT Transfer Concept for Adaptation, Dissemination and Local Exploitation of European Research Results in Central Asia's Countries» During the first 12 months of the Project UIFA promoted international collaborative project einterasia «ICT Transfer Concept for Adaptation, Dissemination and Local Exploitation of European Research Results in Central Asia's Countries» at the following events. Special attention was paid to the use of innovative IT solutions in the business sector of transport and logistics. Kazakhstan International Exhibition for Transport and Logistics "Transit Kazakhstan 2013", Almaty, September 18-20, Meetings and a workshop at the "Center of Management and Logistics on transport", Almaty (Kazakhstan) in September 20-21, 2013 held by UIFA. Annual National Summit on Information and Communication Technologies, September 24, 2013 in Tashkent held. The Summit was attended by more than 500 key players in the ICT field of Central Asia, foreign countries and specialists of branch structures, including UIFA and freight forwarding and logistics companies interested in discussing the latest achievements and exchange views on issues of ICT development. 12 th Annual International Exhibition of Information Technologies «ICT Expo 2013" during the ICT Week «INFOCOM 2013" from 25 to 27 in September, 2013 in Tashkent and Jizzakh (Uzbekistan). The major section of the exhibition was devoted to 16

17 "Electronic Government" technologies. UIFA highlighted the experience of Lithuania in the field of e-government, according to the information of Lithuanian partner from MIT-SOFT presented during the meeting of project partners on September 16-18, 2013 in Astana (Kazakhstan). UIFA has partnered with information retrieval system "My city". This system covers more than 11,000 organizations and their activities and provides electronic information exchange. Also planned together to create an electronic map of freight routes on the basis of newly created information retrieval system "My Republic in the region". In October 9-11, 2013 in Almaty UIFA attended the workshop in the frameworks of the "Development of ICT technologies and the introduction of modern standards to improve the export competitiveness of Central Asia. The participants of the event discussed IT technologies the multifaceted aspects of the formation of intelligent transport system that completely corresponds to the tasks and objectives of einterasia project. UIFA participated at the meeting in the frameworks of the International specialized exhibition project Uzbekistan Infrastructure 2013 on November 12-14, 2013 in Tashkent. In the course of the meetings the participants discussed a wide range of issues, including application of IT technology achievements, modern standards and best practices that contributes to the promotion of freight forwarding and logistics companies of Uzbekistan. The participants were introduced to the objectives of einterasia Setting Up of Showrooms: Current State Astana Innovations (Kazakhstan) and TUT (Tajikistan) with their IT departments, laboratories, einterasia showrooms, and technological centers serve as technology transfer facilitators in their corresponding regions. a) Showroom in Astana In the frameworks of the Project partners meeting in Astana (Kazakhstan) in September 2013, Astana Innovations arranged a seminar that was attended by representatives of local state bodies, educational institutions, and business. During this event Astana Innovation demonstrated its 3D virtual reality centre which will serve as platform for further showroom setting. It should be noted that Astana Showroom will be oriented on Virtual Reality Technologies. The showroom designed to use 3D based modern software and hardware for modeling and creating visualizations: Virtual reality system CAVE (used for digital engineering of complex systems and mechanisms that allows visually examine the individual parts and the whole project before its implementation). VDT-platform Software (designed to create a virtual environment). 17

18 Unity3D Software (designed to create interactive training sessions). Middle VR Software (designed to create a virtual environment in Unity 3D). They had completed training courses in Virtual reality system modeling by Fraunhofer IFF (Germany). Showroom will offer the following services to potential customers: 3D modeling; 3D visualization; Interactive 3D visualization; 3D animation. The above services are specified for the customer depending on the terms of reference under which the offer is created. The potential customers are public and private companies: JSC "NC" KTZ ", JSC" NC "Astana EXPO-2017", JSC "NC" Kazakhstan Engineering ", JSC" NC "KazMunaiGas", Energy and Utilities Department of Astana city hall etc. The advantages of showroom are: advanced technology in 3D. innovative and unique visualization center in Kazakhstan and all Central Asia. JSC Astana Innovations currently works on the plan of upgrading the 3D Center up to the showroom by adding more visualization techniques. 18

19 b) Showroom in Dushanbe TUT representatives were introduced with Showroom at University of Bremen and its working principles. Returning to TUT, the representatives Prof. Khayol Boboev and Ahror Jafarov put the basis for setting up the Showroom. The TuT showroom will be based on Center of Computer and Educational Technologies. At the moment the following specification of showroom additional equipment is defined: Linux based web server - for web portals PC for demonstration with touch screen WiFi, Bluetooth (better all in one system) Demostration notebook 3D ready multimedia projector with active / passive glasses (for demonstration 3D solutions) Celling mount multimedia projector Wall creen or white board for demonstration. Celling / wall mount web camera with web interface for Skype conferencing. PC for demonstration will be used to present several EU and local projects innovative IT solutions, for instance, in distant learning, digital engineering, e-logistics etc Publications& Presentations Woronowicz T. einterasia- standardizes Knowledge Transfer linking European Research with Central Asian Business Development.
