You could also partner with a client for this 30 minute or 1 hour presentation. Registrations received after this day may not be included in any printed Conference documents or in the Guidebook mobile application. January 31, 2018 Payments must be received by CSMFO to avoid $100 late fee. If an ehibitor cancels in writing prior to January 2, 2018, a 10% cancellation fee will be charged; 15% from January 2 19, 2018; and January 20-31, % based on their registration level. In addition, cancellation after January 31, 2018 will result in full forfeiture of ehibitor fees. 5 2018 CSMFO CONFERENCE HOTEL INFORMATION HOTEL INFORMATION The 2018 CSMFO Conference will be held at the Riverside Convention Center in Riverside CA. CSMFO has contracted room blocks in 3 hotels surrounding the Convention Center. As our conference has grown in attendance, our last few conferences have eperienced a large number of room cancellations in the two weeks preceding the beginning of our Conference. Many that could have stayed in the conference hotel have been unable to reserve rooms since the block is often sold out in December. Once our room block epires in late January, the rooms revert to the hotel and are often sold quickly to others not attending our conference. Therefore, CSMFO has adopted the following policy for room reservations for the 2018 Conference: Reservations made at the Mission Inn or the Marriott Riverside will require a one night non-refundable deposit at the time of the reservation. 7 2018 CSMFO CONFERENCE EXHIBITOR Rental Space and Sponsorship Application Rules and Regulations EXHIBITOR REGISTRATION INFORMATION Registration for all Ehibitors and Non-ehibiting Sponsors we be online. You may register your booth and or sponsorship online and then register your complimentary attendees at a later date. You will also register your additional attendees online using the same process to receive the discounted rates ($600 full conference/$375 daily). These rates will be available to you during the entire registration process for all of your additional attendees over and above your complimentary registrations. MULTIPLE BOOTHS Ehibitors may purchase multiple booths, however; booths may not be shared with another company and must remain looking like two booths. EXHIBIT BOOTH SET-UP Ehibits may be installed on Wednesday, February 21, 2018 from 2:30 p.m. to 5:00 p.m. Ehibitors will be provided with an 8 X booth, a 6 X 2 skirted table, two chairs, wastebasket and company signage. Diamond Jubilee and Diamond Ehibitors are provided a double booth, which measures 8 X 20 or 8 X 16. Ehibitors shall arrange their ehibits so that they do not obstruct other ehibits. Aisles must be kept clear. Ehibits should be arranged so that company representatives will be inside of the assigned space. Display materials or equipment at the sides of the booth shall not eceed the height of the side walls. Materials used to decorate shall be of flame retardant materials. Safety eits and equipment must be left accessible and in full view at all times. BRONZE EXHIBITORS TABLETOP EXHIBITS Bronze Ehibitors may set up their tabletop ehibit on Wednesday, February 21, 2018 from 2:30 p.m. to 5:00 p.m. Bronze Ehibitors are provided a 6 X 2 skirted table, two chairs, wastebasket and company signage. Ehibitor display must fit on top of the table. These restrictions will be enforced. EXHIBIT HALL BREAKDOWN The breakdown of the ehibits shall begin Thursday, February 22 at 2:45 p.m. and conclude no later than 5:00 p.m. SHIPPING AND HANDLING Shipping of materials and installation fees are not included in the ehibit booth fee. Arrangements for shipping and storage of displays and materials as well as additional items such as electrical needs must be made through TriCord Tradeshow Services. You may contact Tricord at (831) Please reference the 2018 CSMFO Conference. The necessary forms will be sent to you in their Ehibitor Kit. CONTRACT FOR SPACE The last day to register as an ehibitor is Friday, December 22, However, please note that registrations, if space is available, after date will incur an additional fee of $300. Additional registrations will be accepted if space is available. The completed ehibitor registration form, the notice of space assignment and the full payment of ehibitor booth fees together constitute a contract between CSMFO and the ehibitor for the right to use the assigned booth space and to comply with these rules and regulations. Ehibitors shall be bound by the rules and regulations set forth herein and by such amendments or additional rules and regulations which may be established by CSMFO. SPACE ASSIGNMENT Space assignment priority is given according to sponsorship level and date of registration within that sponsorship level. CSMFO does reserve the right to place, move or relocate any ehibitor in case of necessity for the total benefit and operation of the show. Space assignment shall begin Tuesday, January 2, BOOTH PAYMENT Each ehibitor must submit payment for their reserved booth by Wednesday, January 31, 2018 to avoid a $100 late fee. CANCELLATION If an ehibitor cancels in writing prior to January 2, 2018 a 10% cancellation fee will be charged; 15% from January 2 19, 2018; and January 20-31, % based on their registration level. In addition, cancellation after February 2, 2018 will result in a full forfeiture ehibitor fees. ADDITIONAL ATTENDEES Additional attendees may be added as follows (in addition to those included with your sponsorship level): Full Conference Registration $600; Daily Conference Registration $375. Please register your additional attendees on the online registration form. to share badges. Rights of an ehibitor shall not be assignable to any other firm or person. In addition, complimentary Guest Passes will be available at the Registration Desk for the Wednesday Ehibitor Reception from 5:15 p.m. to 6:30 p.m. for your company staff that have not had the opportunity to attend the conference and ehibit hall in the past. The Complimentary Guest Pass is only for the Ehibitor Reception. The number of passes available is based on ehibitor registration level. EXHIBITOR S RESPONSIBILITIES CSMFO will not be responsible for damage to uncrated materials, materials improperly packed, glass breakage or concealed damage. CSMFO will not be responsible for loss or disappearance of the ehibitor s materials after same have been delivered to the ehibitor s booth. Similarly, CSMFO cannot be responsible for disappearance of the ehibitor s materials before the materials are picked up from the ehibitor s booth for loading after the conference. PRIZES Representatives from the companies ehibiting at the conference are not eligible to win prizes. Prize winners will be eligible to win more than one prize. Individual ehibitors may determine if the prize winner needs to be in attendance at the time of the drawing. Ehibitors are responsible for delivery of their prizes to the winner. INSURANCE LIABILITY Ehibitor agrees to protect, save and keep CSMFO and Riverside Convention Center forever harmless from any damages or charges imposed for violation of any law or ordinance occasioned by negligence of the ehibitor, as well as to comply strictly with the applicable terms and conditions contained in the agreement between the Riverside Convention Center and CSMFO regarding ehibition premises. Further, ehibitor shall at all times protect, indemnify, save, defend and hold harmless CSMFO and Riverside Convention Center against and from any and all loss, costs (including attorney fees), damages, liability, or epense arising from or out of or by reason of any accident or bodily injury or any other occurrence to anyone, including the ehibitor, its agents, employees and business invitees, which arises from or out of or by reason of said ehibitor s occupancy and use of the ehibition premises or part thereof. Additionally, CSMFO shall not be held responsible for any loss, damage, or delay due to strikes, lockouts, Acts of God, governmental restrictions, enemy action, civil commotion, unavoidable casualty or other causes similar or dissimilar, beyond the control of CSMFO. EXHIBITOR S PROPERTY CSMFO (and its conference facilities) cannot assume responsibility for the safety of the property of the Ehibitor, its officers, agents or employees from theft, damage by fire, accident or other causes, but will use all reasonable care to protect them against such loss. In all cases, occupants wishing to insure their property must do so at their own epense. It is especially recommended that all occupants have representatives in attendance at all times when ehibits are being set up or dismantled, to protect against loss. CSMFO (and its host conference facilities) cannot be responsible for any item left unattended or left in the Ehibit Hall during the ties the ehibits are closed. CSMFO does not provide any security in the ehibit hall during closed hours. RULES AND COMPLIANCE Ehibitors agree to comply with rules and regulations as specified in the Ehibitor Package and the TriCord Ehibit Kit. NONCOMPLIANCE WITH EXHIBITOR RULES AND REGULATIONS Each ehibitor and all its employees agree to abide by the rules and regulations given herein and by subsequent amendments and additions considered by CSMFO management to be in the best interest of all ehibitors. Upon noncompliance with the rules formulated, CSMFO management reserves the right to prohibit, reject or eject any ehibitor, ehibitor s representatives, or ehibit in whole or part, with or without giving cause. If cause is not given, CSMFO s liability shall not eceed the return to the ehibiting company of the rental earned at the time of ejection. If an ehibitor is ejected for violation of these rules, or for any other reason, no return of monies received shall be made. AMENDMENT TO RULES These rules, regulations and conditions have been drawn for the purpose and intention of providing a well-balanced, well-regulated, attractive and successful eposition. Any and all matters or questions, not specifically covered by the preceding rules and regulations shall be subject solely to the decision of the CSMFO management. In an effort to provide the greatest good to the greatest number, CSMFO management shall have full power to so interpret the rules and regulations or make such rulings as may appear to be for the best interest of the entire eposition and all amendments of the foregoing rules shall bind the ehibitors.
