2 INTRODUCTION Why does so much staff and volunteer time go into the organization of class reunions? Obviously, it is a valued service to alumni to bring together old friends to become reacquainted with each other and the Institute. But on a more profound level, this annual weekend allows the Radford University community--students, faculty, administrators, and alumni--to take a good look at each other s diversely remarkable accomplishments. Each year, this weekend rekindles the faith and spirit that allows the Institute to continue its philosophy of promoting interaction with and among its alumni, to highlight the achievements of its alumni, and to provide alumni with rewarding opportunities to serve Radford University, its faculty, and its students. In turn, alumni leave the campus with a renewed appreciation for the role Radford University played in their development. Traditionally, Alumni Reunion Weekend at Radford University is held in October conjunction with the Highlander Festival. Reunions are special occasions for you and your Radford University classmates--a time to renew friendships, visit the campus, and strengthen ties with the Institute. Many alumni are as nervous as they were as entering freshmen. (Will I remember anyone? Will anyone remember me?) Soon everyone finds that there is a warm and wonderful feeling about seeing old friends again and catching up on the years since busy schedules last allowed the time to visit together. Your class reunion can be as successful as you and your committee chooses to make it. While the Alumni Association provides a total Reunion Package, only you and your classmates can bring the class together to enjoy that support. Our hope is that you will accept as fact that the facilities, events, and staff, are absolutely first rate. Therefore, your job does not require you to set up tables, tend bar, or serve guests. Those things are all in place for your class reunion. You and your committee are free to pursue your single most important job... ATTENDANCE. Accepting the challenge of bringing your classmates back to Radford University for what will be a magnificent weekend is key. As tired a cliché as it is, it's true that: "The more, the merrier." THINK BIG! Set high goals and plan on smashing past attendance records. This handbook is meant to serve as a guide. We hope it will grow and expand with your help and experience. Our goal is to put in motion a flexible, useful tool for you and future committees. The Alumni Association staff will assist you in any way possible. 3 YOUR ROLE! The Reunion Committee is the spark plug that brings together his or her class on Alumni Reunion Weekend. Ideally, you should be the recruiter and motivator of an enthusiastic committee that will do the bulk of the work for you. The chairs accept responsibility for assembling the committee and overseeing reunion activities. As Reunion Chair your primary concern will be planning the events and urging attendance. The Gift Chair's efforts are centered on obtaining donations from classmates. Take charge of your class reunion! Not everyone can handle the job, and you're here because you can. It's your job to get firm commitments and to follow through on the assignments you give. If you permit your efforts to drift, they will. Keep in mind that tomorrow isn't time enough; things need to be done today. Enthusiasm is contagious, and it is your example and leadership that will make the difference. There is no substitute for personal contact. Few classmates who are not contacted personally by a member of the committee will attend. Don't rely on the mail, the Alumni Association, or the grapevine. Do rely on the strength of your committee. You put them together, so they ought to be good! 3

4 VOLUNTEER DESCRIPTIONS Class Reunion Chair: Provides overall leadership of the class, helps coordinate the efforts of other class volunteers, and acts as liaison between the class and the Alumni Relations Office. Recruited by RU staff and/or elected by their classmates. Recruits a reunion committee Organizes committee meetings via conference call or in person Presides at reunion committee meetings Delegates committee responsibilities Serves as a liaison with Alumni Relations staff Develops a reunion budget with Alumni Relations staff Recommends reunion activities and timeline Coordinates with reunion staff to plan and send reunion mailings Helps create a succession plan for future reunions Provides updates to class members through different communication vehicles Serves as the official host/hostess for the reunion Develops strategies to increase class attendance Makes a personal outright and/or planned gift Coordinates class calling Class Gift Chair: Provides leadership for soliciting classmates. 5 Class Reunion Committee: Class List Phone Calling Meals Program/Host Regional/Mini Reunions Critical to your success is a commitment from your committee members to attend the REUNION WEEKEND. The size and structure of your reunion committee is left to the discretion of the Reunion Chair. Each committee must take ownership for its own class reunion. The individual class committees set the tone for the weekend. There are no shortcuts to a great event. It will be great only as the result of thorough planning, hard work, and follow through. For your reunion to succeed, you must get your classmates to attend. A strong committee will ensure success. Class List: The committee should work with the computer generated list of your classmates to expand and streamline, and find phone numbers, home and addresses, for classmates for whom we have no current information. A great many of your classmates may never know about your reunion unless you can locate and invite them. When you contact your classmates, keep in mind that they may not have heard from Radford University for some time. Apologize to them and explain that you spent a great deal of time trying to locate them so that you could invite them to their reunion. Each person on the list will be included in the mailings, but about 50-60% of the list should be targeted for personal contact. It is that segment who will provide the majority of your attendance. It may seem like a big job to determine who's who, but your committee needs to identify this group: Review current class list Work with Alumni Association to get "current" addresses, s & phone numbers Identify the 50-60% of the class to get 80% of your results Phone Calling Phone contact is more effective than mail. As one of your goals, consider contacting each classmate by phone at least once before the reunion. Some general tips: Don't be upset by a negative response. Remember that this is an invitation to a party! Concentrate on the reunion. 5

6 Determine the general mood and interest. If positive, arrange a second call. Ask who they would like to see at the reunion and follow-up by letting those classmates know that someone wants to see them. This can be done either by phone or with a personal note. Take advantage of the situation when a spouse answers. Use the call as a way to get the spouse involved and interested. Make sure you deliver on promises to contact classmates or find out about faculty, etc. Meals If your reunion dinner is to be held somewhere other than on campus, choose that location. Use your imagination to come up with some unique ideas that will make your meals special. Choose alternate meal location ( other campus location, local hotel, meal hosted at a classmate's home, etc.) Invite faculty and administration guests Organize any special seating arrangements Program This is your opportunity to be creative. Make your reunion fun and get everyone involved. Find a member of the class to serve as master of ceremonies Organize any special class events (i.e. softball game, class trivia contest, etc.) Determine dinner program (speaker, slide presentation, self introductions, etc.) Choose class favor Initiate awards--serious or fun Mini/ Regional Reunions Help the Alumni Association host mini class reunions in your hometown. This is a wonderful way to build excitement for your reunion weekend. You can host mini reunions at your home or at a local establishment. 6

7 ALUMNI ASSOCIATION ASSISTANCE The Alumni Association sets up the basic framework for reunion weekend. It is our pleasure to help you and your committee in any way possible to make your reunion a success for you and your classmates. While we are happy to assist with special requests, here are the things we routinely do: Provide current lists of classmates sorted alphabetically and/or by zip code. Assist with selection of committee members. Send out communications to committee members. Host your planning meeting and provide training materials. Make facility, audio visual, and meal arrangements for on-campus reunions. Prepare and mail reunion notices. Update reunion website with dates and other information Receive and log reservations; provide attendance reports for distribution to your committee three weeks prior to event. Produce and provide reunion name tags. In addition, we will attend your planning meeting to answer questions and to get to know your classmates better. 7

Our Reunion Weekend is a time to celebrate with friends at Radford University. Our 10 th Reunion Weekend promises to be an opportunity to reunite not just with friends but with the institution that united us in the first place. As the member of the Reunion Committee for the Class of XXXX, I want to update you on all the exciting developments at our alma mater: In the Fall 2008, RU welcomed the largest freshman class in two decades after receiving a record number of applicants. In the Fall 2008, RU welcomed its first ever doctoral students in the field of Counseling Psychology. RU has also gained state approval to offer a Masters in Occupational Therapy degree beginning this year and has submitted a proposal for a new Doctor of Nursing Practice degree to begin in RU received $500,000 from Roanoke-based Medical Facilities of America to fund our first ever endowed chair in what will be RU s second doctoral program-this program in physical therapy is scheduled to start in RU received $750,000 from BB&T to create a Global Capitalism course to better prepare our students for the international marketplace. RU s School of Teacher Education and Leadership received a federal grant totaling more than half a million dollars to design and implement a program to train K-12 faculty to work with children with high-incidence disabilities. Meanwhile, RU is currently undergoing $136 million in capital projects: the state-of-the-art $22.5 million Douglas and Beatrice Covington Center for Visual and Performing Arts that opened in November; the College of Business and Economics will break ground in 2010 for a new $44.2 million facility; a new $37 million building for the College of Science and Technology; and $31 million to renovate Young Hall, Heth Hall and the Dedmon center. All these projects will give the University stellar academic, administration and athletic facilities. In addition, the General Assembly has authorized RU to undertake another $114.2 million in capital improvement projects which will provide the campus with up to three new residence halls; a new student fitness center and wellness center; and a doubling in size of the Bonnie Hurlburt Student Center. 13

14 Each of these exciting endeavors is tied to RU s 7-17 Strategic Plan: Forging a Bold New Future. Under the direction of President Penelope W. Kyle, this plan is a combined effort of the administration, faculty, staff, students, and alumni to position RU as one of the nation s leading public institutions. I personally feel challenged and enthusiastic about the plan s ambitious goals. Each one of them is achievable with your help. Please show your Class of 99 spirit by investing in RU s future with a donation to the RU 7-17 Strategic Plan Fund. A reunion gift is both symbolic and significant. It not only attests to your appreciation of your experience, it also affirms your belief in the value of a Radford University education. They have four children, Sara, Don, Bill and Bobby. Jane graduated from Radford College with a Bachelor of Science in Elementary Education. While in college, she was a member of the Baptist Student Union, Pi Gamma Mu, Kappa Delta Pi, and Student Education Association and the Tidewater Club. She taught in Floyd County for one year before moving to Blacksburg, where she taught for 25 years. Jackie took fifteen years off from teaching while her children were young. Since retiring in 1997, she enjoys traveling and being with family and friends. Some of her favorite activities are volunteering at Smithfield Plantation, being a mentor for Mothers of Preschoolers (MOPS) and teaching Sunday school at church. Favorite Memory: One important memory is of the wonderful friends that I had at Radford. For example, my roommate Nancy and I are still best friends, and there are many more. Two professors stand out in my memory. One is Dr. Long (English) and Mr. Ingles (biology). Of course, I will always remember Dr. Moffett and all that she taught her Radford ladies. Radford was a wonderful experience for me in many ways. 19

21 One of our recent accomplishments was being named to U.S News and World s Report s Top Up and Coming Schools This designation recognizes colleges and universities that have recently made the most promising and innovative change and are projected to soar higher in the rankings. As a volunteer, you will be asked to: Possess a current, working knowledge of Radford University s needs and campaign goals Visit alumni from your reunion class to ask for gifts and pledges Educate alumni concerning the rationale for the reunion goals Make personal campaign commitment, which will boost your confidence when approaching potential donors Encourage participation in reunion events Personally thank donors and volunteers for their support Host RU sponsored events or meetings Recruit other volunteers to be a part of the growing network of ambassadors for RU The most critical aspect of your role as a volunteer is your belief in the quality of the Radford University experience, your enthusiasm for the goals and purposes of the reunion gift campaign, and your willingness to carry RU s message to your fellow classmates. 25

26 HELPFUL TIPS FOR VOLUNTEERING SOLICITORS Do your homework in advance of the call. Know in advance your class goal(s), members of the reunion giving committee, last reunion s statistics, etc. If at all possible, make your solicitations face to face. It is so much more effective to meet personally, especially when discussing a personal financial commitment. Recognize and emphasize the importance of reunion giving and the impact it will make on the Annual Fund as a whole. Use language to help make the ask more comfortable for both you and the donor. Phrases like would you consider making a gift and would a gift with a range of: work for you?- are examples of language that helps to navigate the gift along. Also share the level of gift others are making- help your classmates raise the bar. Never argue with a classmate or potential donor. Refer all situations and questions that cannot be answered easily to the Office of Alumni Relations at Remember that solicitation is a process that may take more than one conversation to conclude. Involve other members of the reunion committee, or Radford University representatives, if needed. Try to be patient and allow the donor the time he/she needs to make the gift. Often this will result in a gift larger than either you or the donor would have expected! Stay on schedule with your solicitations, and keep the class chair up to date. We will be interested in hearing about all of the interactions with classmates! Take notes on areas of interest, significant events in the person s life, key faculty, staff, or other who influenced them. 26

Annual Fund gifts support the University s 7-17 Strategic Plan to position RU as one of the nation s leading public comprehensive institutions. 2. State support only covers about 39 percent of the actual cost of educating a Radford University student. 3. Over 63 percent of all students will receive some type of financial assistance this year. 28 SOME OF THE QUALITIES NECESSARY TO SUCCEED Motivation of donors and volunteers. You must find out why people give to Radford University (see Top Ten List). Rally your classmates around the reasons for giving to RU so that they consider making a stretch gift. A stretch gift is a gift that is larger than one would normally consider. Also, volunteers must be motivated and convey a sense of high purpose and enthusiasm about the objectives of the Annual Fund. Information Resource. Through appeal letters, notes, and personal contacts with classmates, you will be an important source of information on campus issues and the Annual Fund. Forthrightness. In making the case of financial support of Radford University, be direct and forthright. You need make no apologies for requesting the funds necessary for advancing the mission of RU. Persistence. Remember that part of your class will readily respond to your efforts, part of your class will procrastinate and require more pursuit and persuasion, and another part of the class will be virtually unresponsive to your thoughtful and articulate appeals. Do not be discouraged or deterred from continuing to present the case for support of RU. Do not take your classmates responses personally. Creativity. We urge you to inject your own personal touch into your class s fundraising effort; the more you can do that, the more effective you will be. Attention to Detail. Please promptly communicate your progress in securing donations to the committee and Annual Giving staff so that donors can be thanked for their support. Listening. Aim to maximize the opportunities for personal, two-way communication, for learning people s motivations, for responding to their concerns, and for reinforcing their individual importance as a member of your class. As you consider the specific steps involved in implementing a successful campaign, always keep in mind the surmounting importance of leadership, of setting high standards, and encouraging the ideals of those who care about Radford University. 28

30 Practices to Avoid Talking more than you listen Failing to provide the prospect with time to consider your ideas or to consult family and advisors between meetings Agreeing to accept a gift that falls below the prospect s capabilities without attempting to negotiate the situation Failing to write follow-up reports and letters Neglecting to provide prospects with specifically requested information (or explanation of its unavailability) Failing to mobilize the full resources of the RU volunteer and professional staff during the solicitation process Being unaware of the reunion goals and progress to date Failing to cultivate the prospect adequately before solicitation Not realizing that past donors are the best prospects Accepting a gift too soon Accepting a gift with strings attached 30

31 WHAT COUNTS AS A REUNION GIFT? All gifts count no matter what the size of the gift or where it is designated. The program is designed to encourage alumni to support Radford University in personally meaningful ways. Often this support is designated to the school where one holds a degree. Other times, gifts may be designated to a special program or project. What about pledges? Pledges will count toward the reunion gift, if made by June 30, XXXX. Payment for pledges must be paid by December 31, XXXX.; unless it is a large pledge that will extend over a 3-5 year payment period. The full pledge amount will be included in the class total announced at the Reunion Weekend. Class total- All gifts/pledges from members of the class are automatically totaled and announced at reunions. Class participation- Any member of the class who contributes to a school/program at the University. Counting Period: July 1, XXXX June 30, XXXX 31

32 Annual Funds: TYPES OF GIFTS Often referred to as annual giving, provides critical resources to allow the leaders of Radford University to enhance support for students, faculty, and programs. These gifts are spent in full each year so the amount available to university leaders may vary on an annual basis, thus the term, annual funds. Generally, annual fund gifts range anywhere from $25 - $10,000 and can be designated among several areas. Radford University, through the Radford Society, recognizes annual fund leadership of $1,000+ within a single fiscal year (July 1, XXXX June 30, XXXX). Membership in the Radford Society has many benefits. Capital & Endowment Funds: Reunion gifts may be designated to specific existing endowment and capital funds. Often, these are larger gifts which are payable over an extended period, such as five years. Development officers are available to answer questions about capital and endowment gift options. The full amount of new pledges is recognized in the class total. Donors whose lifetime giving total (combined annual plus capital and endowment) reaches $100,000+ are extended membership in the President s Circle. Planned Gifts and Bequests: A donor can designate the RU Foundation (Radford University) as beneficiary of a retirement fund, an insurance policy, or an estate. Designation can be made as portions of these funds. Typically, these gifts are revocable and/or the amount of the gift as a portion of an asset changes over time. Therefore, donors are counted in the class total as participants; however, the gift amount is not included. If a donor expresses an interest in making a planned gift or bequest, please notify the office of Alumni Relations at so an advancement officer can make an appointment to meet with them. Irrevocable gifts can be made and these gifts are counted in full in the class total. There may be income and tax advantages to such gifts and the minimum gifts. Donors who make a revocable or irrevocable planned gift are welcomed into the Society of 1910 to recognize their philanthropic support. 32

On-line, donors may choose to make a credit card gift on our secure on-line giving site at: Donors may choose to make a onetime donation or they may select to make a recurring monthly donation Gifts of stocks, bonds, and mutual funds. Donors who wish to make a gift of these items may find the appropriate form at: Pledges are accepted through a Statement of Intent form. This form can be found at: Payment is due in full by December 31, XXXX, unless an extended pledge agreement has been arranged. Recognition of gift is based on year end receipts. For major capital, endowment, and planned gifts The same payment types are accepted. A personal conversation with an advancement officer can be helpful in guiding a donor for these types of gifts. Make a gift using your Visa, Discover, or MasterCard. 4. Make a gift of cash. Checks should be made payable to the Radford University Foundation, Inc., with a note specifying the area or areas you wish to support. 5. Make a memorial or tribute gift which may be designated in memory or honor of a friend or loved one. The family of the deceased or person honored will be notified of your gift. 6. Make a gift of securities. Gifts of appreciated stocks, bonds or mutual funds may provide special tax advantages. 7. Make a gift-in-kind, which is a gift of tangible personal property, such as artwork, special library collections, furnishings and real estate. 8. Make a gift of life insurance by naming the Radford University Foundation, Inc. as the beneficiary of a policy. With planning, this gift may be tax deductible. 9. Make a bequest by will or revocable living trust. Many of the major gifts that Radford University receives are bequests contained in a will or living trust. 10. Double your gift through your company s matching gift program. 35 How to Make a Gift Radford University welcomes gifts of all types and will work with you and your financial advisor to maximize the tax benefits and value of your gift to the university. OUTRIGHT GIFTS GIFTS OF CASH Your personal cash gift, including by credit card, is the most direct way to give. Your gift is deductible, from your annual adjusted gross income, reducing your out-of-pocket costs. Gifts may be made in honor or in memory of friends and loved ones. MATCHING GIFTS Many employers match gifts made by employees, spouses, and retirees often doubling or tripling your initial gift. Please check with your Personnel or Human Resources Department to see if your gift to Radford University can be matched or visit our online lookup site at STOCKS, BONDS AND OTHER LIQUID ASSETS Gifts of appreciated assets are encouraged to the university. Gifts are credited at current market value. Donor may avoid Capital Gains Tax, as well as receive an income tax benefit. CLOSELY HELD STOCK Stock in private corporations represents an ideal gift to the university. These gifts are individually evaluated and offer numerous tax benefits to the donor, their families and the corporation. The RU Foundation can be included as a partner in an initial public offering (IPO). If you have an investment that has decreased in value, consider selling it and making a gift of all, or a portion of the cash proceeds. This results in a charitable deduction as well as a loss for tax purposes. The amount deductible for your loss combined with the charitable deduction may actually amount to more than the current value of the donated asset. GIFTS OF REAL AND PERSONAL PROPERTY Gifts of real estate or personal property, including art, antiques, automobiles and collections, are generally deducted at current, fair-market value. 35

36 PLANNED GIFTS LIFE INCOME GIFTS Life income gifts include Charitable Remainder Trusts and Charitable Gift Annuities. These gifts allow you to keep an income for yourself and others with a delayed benefit to the university. The RU Foundation offers a full-range of federal-tax-law compliant, life income gifts. Your age, assets, and income objectives help determine the best option. CHARITABLE LEAD TRUST A Lead Trust pays an income to RU for a number of years and then terminates. Upon termination of the trust, the assets are returned to your children or grandchildren with favorable tax treatment. RETIREMENT PLAN GIFTS You can designate that the RU Foundation receive any remaining assets of your IRA, VRS, KEOGH, TIAA-CREF or other qualified pension or profit sharing plan. By doing so, you maintain complete access to the assets during your lifetime. Any gifts that later come to the Foundation can be deducted from your taxable estate, possibly saving your heirs from significant estate and income taxes. Your plan administrator can provide you with the necessary forms. LIFE INSURANCE* There are numerous options for life insurance gifts to the RU Foundation. An existing, paid-up or new policy can be used to make a gift of life insurance. Immediate income tax deductions are the benefit of gifting an existing policy, while a new policy offers deductions for continuing annual premiums. Options are also available for naming the RU Foundation as a beneficiary or a contingent beneficiary. BEQUEST* A bequest through a Will or Revocable Trust is one of the most popular and flexible ways to make a planned gift. Types of bequests include residual, proportional, contingent, and specific. A member of RU s University Advancement staff can explain the differences and work with you and your advisors to determine the best way to fulfill your wishes. RETAINED LIFE ESTATE Primary residences, vacation homes and farms may be deeded to the RU Foundation for benefit of the university. The gift provides the owner/donor the right to retain the use of property for life. 36
