Note: If you plan to attend the conference but not as an exhibitor, there will be another brochure coming to you in the near future. The enclosed brochure is for exhibitors only. The Columbus Hilton at Easton has completed its renovations and we will return to that location. Sponsorship opportunities are available for the cocktail reception and the awards banquet. It is through your generous sponsorships that we are able to invite keynote speakers, entertain with the casino, and enjoy delicious food and beverages. We have worked with our exhibit designer to include a few more exhibitor spaces, hoping to accommodate all of our members who want to display their products and services. Based on booth space demand at previous conferences, you will want to reserve your space early. You may register by sending in the attached form, or you can login to our website and register on line at Emily Pickens at OCA will provide website assistance. We have a block of rooms reserved at Hilton Columbus at Easton through November 10, or until our block has been fully reserved. After this date, the hotel will release unused rooms, and our attendees will have to pay the full price. Display space will be assigned on a firstcome first-served basis. OCA will assign exhibitors to the best alternate space in the event their first three choices are already reserved, and will make reasonable shifts in location for the benefit of the exhibitor or the betterment of the exhibition. OCA reserves the right to decline or prohibit any exhibit or part of an exhibit, exhibitor or proposed exhibit which, in OCA s opinion, is not suitable to and in keeping with the character of the exhibition. No subletting or assignment of space will be permitted. Table top reservation deadline is November 3, 2017, and must include full payment. There will be no refunds after this date. Exhibit hours will be: Monday, December 4, from 10:00 a.m. until 7:00 p.m. Buffet lunch will be served in the Easton Foyer. Display space will be available for setup at 8:00 a.m., Monday, December 4, Exhibitors may begin installation of displays at that time, and displays must be in complete order by 9:30 a.m. Exhibitors agree that they will not dismantle their exhibit or remove from their display any articles until after 7:00 p.m., Monday, December 4. Dismantling schedule is between 7:00 pm and 8:00 p.m. NOTE: DISPLAY AREA MUST BE CLEARED BY 8:00 P.M. ON DEC. 4. Once space is reserved, you will receive a form detailing internet and electric availability and costs. Exhibitors requesting electricity should complete the form and send directly to the Hilton. Once space is reserved, you will receive a form detailing shipping instructions and costs. Exhibitors sending items prior to the exhibit should complete the form and send it directly to the Hilton. The use of microphones, recordings, movies, slides or other audio-visual equipment is permissible; however, the sound volume of any such device must not exceed that of normal conversation voice level or be objectionable to neighboring exhibitors. OCA will not be responsible for any loss, damage, injury or theft that may occur to exhibitor, exhibitor s employees or public property from any cause whatsoever, prior, during, or subsequent to the period covered by the exhibit contract. The exhibitor upon signing of the contract expressly releases OCA and the Hilton from and agrees to indemnify, define and hold harmless same against any and all claims for loss, damage, expense or injury. Exhibitors must protect their equipment and goods so that no injury or damage will result to the public or the exhibit area and will be liable for any such damage.
