2 Centre for Project Administrative Support of the JU Since October 1, 2015 (after a merger of two JU units - Department of Research Programs & Department of Research and Structural Funds) The mission of the Centre is to reinforce the position of the JU and its academic researchers on the international grant programmes area. Unit is dedicated to support the University in the field of fundraising and general management of the projects realized within the schemes of: EU Structural Funds European Research Programmes Domestic Agencies Funds (National Science Centre, National Centre for Research and Development, Ministry of Science and Higher Education, Foundation for Polish Science) 2

3 Tasks of the Centre The Centre is involved in: providing information concerning currently open calls consulting proposals and implementation of the research projects administrative, financial and legal assistance concerning research projects partners search hosting trainings, workshops, conferences and brokerage events and networking events 3

5 Structure of the Centre (32 employees) Vice-Rector for the Research and Structural Funds Head Manager of the Centre Project Handling Branches (basic research, R&D, educational, international) Financial-Administrative Branch (legal advisor, employment advisor, databases specialist, helpdesk) 5

6 Project Handling Branches Responsibilities: consulting and assistance in fundraising (including arranging of trainings, individual consultations etc.) assistance on each stage of project application (formal verification of application forms and documents) consulting in the field of project management general support for the project managers and research teams brokering between University and funding agencies formal and legal audit of any changes in the course of project execution evaluation of the final reports 6

7 Responsibilities: Financial Administrative Branch management of Contact Centre (Helpdesk) for the applicants, project managers and research teams participation in audit procedures preparing legal responses, protests and proposals consulting (in cooperation with the proper units of University administration): information on legal matters (in particular: legal acts concerning the projects, Consortium Agreements, Financing Agreements, contracts for services) employment, salaries (information on Working Contracts) competitive tendering (Public Purchase Procedure for the expenses larger than EUR) monitoring dispensed and received public aid, including de minimis aid databases management and reporting, including entering data to POL-on system 7

9 Information Broker Our tutor service includes: administrative support for foreign researchers assisting in administrative matters regarding managing a project keeping a register of projects incoming foreign researchers cooperation with JU Welcome Centre networking with foreign research institutions support for scientists coming from abroad to Poland gathering information about International Programmes searching for partners for joint international research projects advertising and promoting the international programmes within the University establishing and specializing in developing and maintaing international partnerships with foreign universities or entities that deal with the international projects 9

10 Project Advisor Our tutor service includes: Project Advisor for the international grant programmes from: EU Research Programmes (Horizon 2020, 7FP, ERC, COST etc.) National Science Centre (Harmonia, Beethoven, Uwertura, Polonez, Sonatina) National Centre for Research and Development (ERA-NETs, Cooperation V4-Japan Programme, Cooperation V4-Korea Programme etc.) Ministry of Science and Higher Education (Mobility Plus Programme, Granty na granty) International Visegrad Fund (Visegrad Grants) Foundation for Polish Science (TEAM) Polish-German Foundation for Science NATO The Science for Peace and Security Programme ESF European Science Foundation Rothschild Foundation Europe, Foundation Prince Albert de Monaco, Natural Environment Research Council, HFSP Human Frontier Science Program etc. 10

11 Project Advisor continuation assistance with the application: formal verification of the application forms and documents consulting in the field of project management general support for the project managers and research teams formal and legal audit of any changes in the course of project execution brokering between University and funding agencies evaluation of the financial reports responsible for ERC Applicant Supporting Programme providing information to individual researchers concerning grants international funding administrative support for foreign researchers assisting in administrative matters regarding managing a project conducting the internal trainings gathering information about international programmes and the new funding possiblilites advertising and promoting the international programmes within the University 11

12 Proposal Advisor Our tutor service includes: providing input to non-scientific application sections Project Advisor - mentoring for teams planning to submit a research proposals to European Research Council Grants & Horizon2020 (Maria Skłodowska-Curie Actions etc.) (assistance with the application, formal verification of application forms and documents, consulting in the field of project management, general support for the project managers and research teams, formal and legal audit of any changes in the course of project execution, brokering between University and funding agencies, evaluation of the financial reports) professional advice and administrative support for the preparation of applications to external research funds drafting the project budget and ensuring a match between project description and budget organizing courses, workshops and information meetings 12

13 Statistics As of 22nd May 2017: 1076 projects pursued, including: 935 research projects 22 R&D projects 119 other projects (eg. educational - ERASMUS, investment, scholarships for young talented researchers) Total value for Jagiellonian University: PLN (over 228 mln Euro) 13

15 Current plans aiming to strengthen the JU as the best scientific site in Poland to carry out international projects over the long term creating International Projects Branch including new specialist - Proposal Advisor (responsibilities: providing input to non-scientific application sections, drafting the project budget and ensuring a match between project description and budget) increasing the number of international projects through introducing the new Grants Applicant Supporting Programme for the researchers aiming to obtain the prestigious international grants (ERC grants, H2020) networking with foreign research institiutions creating JU Partners Search for all potential international researchers and proposers interested in collaboration with JU within the grant programmes 15

16 Future plans Helpdesk online (videoconferences & online trainings) introduction of online application tool (all project documents avaliable and submitted via SAP UJ portal) regular office hours on selected faculties improving the JU to compete internationally in the projects scientific field 16
