1 Ohio District Kiwanis Foundation June 2016 Volume 2, Issue 2 ODKF News Kiwanis Safe and Healthy Kids The Ohio District Kiwanis Foundation is dedicated to our new focus which is to provide for Kiwanis Safe and Healthy Kids in all of our Ohio communities. Kiwanis members and clubs have embraced this focus by supporting our Ohio District Governor Amy s Amtryke project. Over 35 adaptive bikes have been given to children and adults in our Kiwanis District. Other Clubs have participated by having service projects which focus on Safe and Healthy children. The grants awarded by our Foundation to Clubs reflect this commitment to our new focus. Visit our web site at to see the many children focused grants we have awarded to Ohio Kiwanis Clubs. 2 Grants awarded to clubs At its May Board meeting the ODKF Board approved the following grants to Ohio Kiwanis Clubs. University Kiwanis Columbus $ for Construction of Gateway and Landscaping for Outside Classroom. Kiwanis Club of Upper Sandusky $1, for Clothes Closet Program for (8) Elementary Schools. Kiwanis Club of North Ridgeville - $1, Healthy Snack Bags for children through North Ridgeville Community Care. Bellevue Kiwanis Club - $2, Special Flooring in Community Recreation Building for Jungle Junction play station for children. Kiwanis Club of Youngstown $ Construction of play ground at Taft Elementary School in distressed community. Geneva on the Lake Kiwanis Club $ for Fire and EMS Pediatric Trauma Equipment. Total amount of Grants given $13,700 Join us for our Grant Writing Seminar at District Convention Call to Convention Annual Meeting Our Annual ODKF meeting will be held on Saturday August 13, 2016 at 9 am at the Ohio District Kiwanis convention. Every member of Ohio Kiwanis are members of the Ohio District Kiwanis Foundation and are eligible to vote. Items to be considered at the annual meeting will be: Report from each committee on their activities Report from Officers on the health of your Foundation Election of New Board members Voting on changes to our Bylaws Details are included in a later section of this newsletter. 2

3 Annual Meeting Items to Consider The Ohio District Kiwanis Foundation will be asking for approval of changes to our Bylaws at our annual meeting. The majority of changes are being made to reflect the change in staffing. We now have a secretary, treasurer, and executive director. In the prior bylaws we only had language for a secretary/treasurer. The changes being requested will include job responsibilities of these new positions and their participation on Board committees. In addition, a new position, a Social Media Coordinator is mentioned in the Bylaws. This is a new volunteer staff position with a job description and responsibilities spelled out in the policy and procedures manual. The position does not require bylaws approval. The responsibilities with the Publicity committee does require Bylaws approval. There is a request to change when officers are elected. Currently we do so right after the annual meeting. This process is rushed and oftentimes confusing. The change being requested is to hold officer elections prior to the beginning of the upcoming administrative year. A significant change being offered is to change the term of office of elected directors from three years to four. This change is being requested because board members would be considered for officer positions the second year on the Board and many members feel this is too soon to move up in leadership. The extra year would allow for two years on the Board before consideration of an officer position. To allow for more participation of individuals who want to run for the Foundation Board of Directors, the dates for filing for office are being proposed to change to April 30th. This is in response to some division councils who meet quarterly. Candidates need council endorsement and the prior date in March was too early for some divisions to make endorsements. A change to expand the number of individuals on committees is being proposed. All ODKF committees are a combination of Board members and non Board members. The new proposal is to have a minimum of 4 on each committee and the Chair and Vice Chair to be Board members. Every Kiwanis member attending the Annual convention is eligible to vote on all directors and all Bylaws changes. 4 Annual Meeting Items to Consider The following individuals are candidates to fill four (4) positions on the ODKF Board. They will be voted on at our Annual Meeting. Watch for their bio information in the Ohio Kiwanis on to convention materials. Brandi Bowen, University Kiwanis Club, Division 10W Richard Brulotte, Delaware Evening Kiwanis Club, Division 11S Christopher McCarty, Youngstown Kiwanis Club, Division 26 Brad Kunze, Bellefontaine Kiwanis Club, Division 3 Kevin Whitlatch, Maumee Kiwanis club, Division 1N Ohio Kiwanis License Plates Thank you Ohio Kiwanians for purchasing Ohio License Plates. Your support of this program has provided over $900 in revenue for the Ohio Kiwanis Foundation. Anyone can buy an Ohio Kiwanis license plate. Just specify this custom plate when you renew your vehicle registration. For each license plate order your Foundation receives $25. Funds from this program help support our Kiwanis Safe and Healthy Kids programming. Wanted for a New Staff Position for ODKF The Ohio District Kiwanis Foundation is adding a new volunteer staff position. The Foundation is now accepting applications for a Social Media Coordinator. This individual will be responsible for the coordination of all social media that the Foundation uses to promote its programs and communicate with its members. The primary function is to work with the Foundation marketing and publicity committee in the oversight of the website and Facebook page. Interested individuals can contact Alan Penn, Executive Director at director@odkf.org to obtain a copy of the job description and expense reimbursement information. 5 Join us at the Don Williams Memorial Ohio Kiwanis Golf Outing Ohio Kiwanis Don Williams Memorial Golf Outing July 13, 2016 Tam O Shanter Golf Course Canton, Ohio Inside Story Headline The Ohio Kiwanis Golf Outing has been a fellowship event for Kiwanians in Ohio since Teams of over 300 golfers including Kiwanians and their guests play 18 holes in a scramble format. The day ends with a banquet where there are team prizes, door prizes and skill prizes. Registration includes golf, cart, lunch and dinner. Since 2007, the event has been sponsored by the Ohio District Kiwanis Foundation. In 2015 the Foundation renamed the event the Don Williams Memorial Golf Outing. The Foundation s tax exempt status has provided opportunity for increased sponsorships for the event. Profits from this event benefit the endowment funds of the Foundation. These funds allow the Foundation to provide grants for Kiwanis club service projects around the state. Contact us to sign up a team or become an event sponsor. 7 Club Advised Funds Your own Club Foundation without the paperwork and legal cost Hassles Strengthening Ohio Kiwanis Club Giving through your Foundation Your Ohio District Kiwanis Foundation has in place a way for any Ohio Kiwanis Club to establish a Foundation. Clubs may invest their funds in the investment pool of the Foundation as a Club Advised Fund or sub fund. We have 25 Ohio Kiwanis Clubs using this option for a Club Foundation. We are asking you to consider joining this group of Clubs This practice allows Ohio Kiwanis Clubs the ability to establish a tax deductible Foundation without going through the legal fees and legal filing process normally required for a stand alone Foundation. Once established your Club Advised Fund can receive tax deductible donations under the 501c3 IRS provisions of the Foundation. The Foundation also handles financial reporting to the club, the State of Ohio and the IRS. The minimum amount needed to set up your Club Advised Fund is $5,000. You simply have your Club vote on your desire to establish a CAF in the Ohio District Kiwanis Foundation, complete the required agreement forms and deposit into your account. Your Club may distribute funds for your projects at any time upon approval of the Foundation Board. Distributions are made to qualified charitable tax exempt organizations. Your Ohio District Kiwanis Foundation set up the Club Advised Fund option so that Kiwanis Clubs in Ohio would have the advantages of a Foundation without having the cost of annual audits, IRS and State of Ohio annual filing requirements, the need to set up a separate Board to oversee a Club stand alone Foundation, and the cost of managing a separate investment account. If you have an interest in expanding your club donor base through the use of a 501c3 charitable fund you should consider establishing a Club Advised Fund within the Ohio District Kiwanis Foundation.
