6 Treasurer s Report Jan Action Items: 1. We filed our Corporate Renewal (due January, filed in Sept.) 2. The Council mid-year financial review will be happening in February (report given at March meeting). 3. Preparing for the mid-year financial review is a good time to go over your budget and see if income/expenses are as expected, and to see if there are any payments that need to be made.

And Yes you did No I didn t never got us anywhere when we were kids Why Be NonPartisan? It s 501(c)3 law and most PTAs are 501(c)3s! We are an advocacy organization, not a lobbying organization Diversity of thought drives innovation Evaluating the options based on analysis and merit instead of an assumption about the source gets us better results
22 Talking to Legislators What would happen if we started the conversation talking about our shared values instead of a bill or an issue? we started the conversation asking each other what we are trying to accomplish instead of starting with the details about the bumps in the road? we were compassionate and patient? 31 What are grants and why do we give them? Grant Handbook Way for PTAs to support their schools, enrich student experience Provides a way for staff/clubs or others to request funding Grants are non-repayable funds that are donated
32 What are some key elements to a successful grant program? Grant Handbook Understanding of your PTA s goals and mission Cooperative and collaborative relationship with your administration Clear, documented processes $$$
33 What types of grants are there? Grant Handbook Programs regular, expected from year to year Classroom example: a set amount allocated to each teacher Enrichment must be applied for Surplus/unallocated funds - $$ not allocated in the budget; not as common
34 Program Grants Grant Handbook Regular, expected from year to year Would likely be a budget line item School likely expect it Revisit each year with board and principal Examples: $2,000 to the library for books $1,000 towards an assembly held each year $2,694 for a choir teacher stipend
35 Classroom Grants Grant Handbook Set amount allocated ahead of time Might want to have written guidelines on how money can be spent Examples: Every full-time teacher gets $200 for supplies 40 $50 grants made available to staff, on a first come first served basis
36 Enrichment Grants Grant Handbook Grants are awarded through an application process Grant items might be: equipment, enrichment activities, supplies, books, speakers, etc. Suggestions: Discuss goals at start of year Have an established grant cycle calendar Have a clearly written process and application Get input from your principal Decide if you will use a grant committee or make decisions as a board

39 How do we actually PAY for these grants? Part 1 When you know the cost upfront Grant Handbook Payment by PO or invoice Payment by reimbursement to an individual Payment by reimbursement to the school (building/district)
40 How do we actually PAY for these grants? Part 2 When you don t know the cost Grant Handbook Payment in advance to the school (building/district) when grant payment is covering part of the expense (i.e. your whole check will be needed and spent) Payment in advance to the school (building/district) when grant payment is covering the entire expense (i.e. your donation was greater than the expense)
41 Payment in advance when grant payment is covering all of the expense. Grant Handbook. And it wasn t all needed. You will need to work with your office manager/cashier/principal on how you will get that money back! Use a restricted donation letter that spells out what you have donated and how you want to get unspent money back
42 Good things to know Grant Handbook You should not grant money for buses Your principal has the right to reject a grant Work collaboratively with your principal but writing a blank check to them is not a good practice You cannot require a grant applicant be a PTSA member In LWSD we cannot pay to supplement staffing
