2 WHY PROJECTS COMMUNICATE? It is necessary that projects (and consequently Programmes) are able to give visibility of the results achieved in order demonstrate how Interreg delivers a positive change in Europe and imply meaningful impact for citizens Internal communication and management To insure internal involvement of all partners To involve the stakeholders in developing outputs Thematical work packages Communication work package Transfer the project results to the well defined audience 2

5 WHAT DOES HE/SHE DO? Prepares the Project communication Plan (to share with pps) Acts as project website content manager Ensures that all pps have read and understood the Project brand manual and are using the Project Communication toolkit Takes care about overall Project Communication report each semester Cooperates with JS on communication issues 5
6 RULES OF THUMB (I) All projects are obliged to disseminate information about the project activities implementation and achievements. Communication is a common responsibility of all pps (horizontal project activity) Public availability of results is to be guaranteed also after the project closure (preferably for at least 3 years) All projects have a joint communication message: the benefit of the funding received from the European Union through the European Regional Development Fund (ERDF) 6
7 RULES OF THUMB (II) All information and communication measures of the project (publications, including brochures, presentations, newsletters, studies, articles, promotional material, gadgets..) must display the EU flag together with textual reference European Union and European Regional Development Fund (exception: in case of limted space the reference to the ERDF can be left out). 8 WHERE DO RULES COME FROM? Legal requirements on publicity and communication for the projects are laid down in: Regulation (EC) No 1303/2013 (especially articles 115,116 and 117) and its Annex XII Subsidy Contract (art. 14) Factsheet 8 Branding requirements, brand elements and correct use and application of logo Project Brand Manual 8
9 IN PARTICULAR REGULATION SAYS EU regulation 1303/2013 articles and Annex XII Use EU emblem, ref. to European Union and ERDF Short description of project, incl. aims and results, financial support, on beneficiary s website (also in national language) A3 poster describing project in location readily visible to the public (template provided by the Programme: pps just edit, fill out and print) 9
10 WHAT ARE THE MINIMUM REQUIRED ACTIVITIES/DELIVERABLES (I)? Project poster (of minimum A3 size) at a location readily visible to the public (all project partners) Publish on institutional websites a short description of the operation, in English or in the local language (all project partners) At least one high level event (involving relevant policy makers, presence of Programme MA/JS, eventually presence of other ESI funds MA and Macroregional strategies governing board, etc.) Start-up activities: organization of the project kick-off meeting Regular project website (available on the Programme webplatform) set up and updates 10
11 WHAT ARE THE MINIMUM REQUIRED ACTIVITIES/DELIVERABLES (II)? At least one printed or digital publication on relevant paper magazines Social media communication of/for project and active participation in Programme social media communication Publication of at least one short portrait of the project adapted to main target group(s) (printed publication such as flyer or audio-visual such as video) Communication Strategy (for Standard+ projects only a capitalisation strategy is required) 11
12 PROGRAMME CHECK LIST OF PUBLICITY REQUIREMENTS Checklist of publicity requirements Logo set is used All partner institutions inform about project on their website (in national language) All partners institutions are linked to the Italy-Croatia CBC website During the events project poster or a project banner placed in a readily visible place All partners institutions place A3 project poster (template provided by the Programme) on the readily visible place on their premises All partners institutions planning small-scale constructions place temporary billboard and permanent plaque (within 3 months of the work completition) ERDF support is mentioned clearly on all the documents used to be disseminated to the public or to the participant s in the project operations/activities Project website populated with content and updated at least once every month (when released) Required Required Recommended Recommended Required Required Required Required 1 2

16 WHAT ABOUT GDPR & COPYWRITES? GENERAL DATA PROTECTION REGULATION When organizing an event it is necessary to specify that we: Use data aimed and for the purpose of the event organization Video and web-streaming registrations: inform the participants when they register. In case of problems they have to inform you Photos: at the moment of registration participants have to give they consent COPYWRITE: Minors photos: partents consent to publish is necessary Respect copywrite: photos bought with project funds and uploaded online - may be published untill the licence is valid and not expired The same goes for music in videos Verify licences and quote the origin (if necessary) Want to licence any work (like photo, video, report...)? 12
17 WHAT ABOUT QUALITY OF VIDEOS AND PHOTOS? The Programme must have all the videos produced in HD In the website pages videos must be embedded as youtube videos Videos spoken in national languages must have english subtitles Try professional journalists to present and a good videographic design to increase impact We need also all the original photos files, in high resolution, with its credits; Every project should have at least one good quality photo (300 dpi) that represents the project concept; Don t use administrative pictures to promote the project (from internal project coordination meetings) Invest some project resources to have professional photographer for events. With professional photographer produce great photos to be used for campaigns afterwards! 17
