2 EAST Exempt Purpose as filed with the State of TN on November 17, 1986 The purposes for which the corporation is organized are to furnish leadership and to foster advances in the surgery of trauma; to afford a forum for the exchange of knowledge pertaining to injury control, research, practice, and training in prevention, care, and rehabilitation of injury; to stimulate investigation and teaching in the methods of preventing, correcting, and treating injuries from all types of accidents; to enhance the study and practice of the surgery of trauma by establishing lectureships, scholarships, foundations, and appropriate evaluation procedures to afford recognition to individuals working in these fields by extending to them membership in the association; to do and engage in any and all lawful activities that may be incidental or reasonably related to any of the foregoing purposes. EAST Mission Statement EAST is a scientific organization providing leadership and development for young surgeons active in the care of the injured patient through interdisciplinary collaboration, scholarship, and fellowship. EAST Vision Statement EAST seeks to improve care of the injured by providing a forum for the exchange of knowledge in the practice of trauma surgery; to promote trauma prevention, research, and improved trauma systems design; to encourage investigation and teaching of the methods of preventing and treating trauma; and to stimulate future generations of surgeons to meet the challenge. 3 Overall expectations for EAST Volunteer Leaders: As an EAST volunteer leader, one should be prepared to analyze the value of the activities, projects, and initiatives of EAST and their relevance to EAST s exempt purpose, mission, and strategic goals. Participate in the work product for your appointed volunteer opportunity as charged by the Board of Directors. Communicate through and respond in a timely manner to requests to review and provide input. Communications are ongoing throughout the year. Participate in conference calls held on an as needed basis. Sections are expected to hold at least one conference call per quarter. Identify new approaches regarding EAST s dissemination and delivery of information to members with an emphasis on innovation and uniqueness to information delivery. Divisions and Sections See Organizational Chart on Page 4 EAST has six strategic Divisions comprised of various Sections. They are as follows: Development Section This Section reports to the Senior Director-at-Large on the Board of Directors. 4 Appointment Terms Appointments terms are three years and begin and end at the Annual Scientific Assembly. Volunteer participation and engagement are reviewed annually and considered when making future appointments. Eligibility Active, Senior, Provisional, and Associate members in good standing are eligible. Your membership dues must be paid through December 31 st of the year preceding the Annual Business Meeting to be deemed in good standing with the Association and eligible for volunteer service appointment. See the Member Dues and Standing policy. Dues must be paid by June 30 th or your membership will be discontinued and your appointment will be forfeited. Sign in to your member profile for details on your membership dues payment status. EAST Governance Structure Development Section Areas of responsibility include identifying partnerships, collaborations, and donors that support the valuable initiatives that advance scientific and research efforts that improve the care of the injured patient. Section members will work with the EAST administrative staff to cultivate relationships with industry and individual donors to build the EAST Development Fund. Section members will be expected to participate in conference calls with potential supporters and assist in the fundraising activities of EAST. 4

5 Division of Education Annual Scientific Assembly Section Areas of responsibility include the Annual Scientific Assembly program, scientific workshops, and other educational programs presented in conjunction with the Annual Scientific Assembly. Attendance at the Annual Scientific Assembly is expected. 1. Scientific Program Abstract review and selection, plenary session proposal review and selection, as well as review and selection of the winner of the Resident Paper Competition. 2. Workshops/Postgraduate Courses Workshop proposal review and selection, coordination of workshop information to include faculty coordination, self-assessment question development, and course description information. 3. Annual Scientific Assembly Scholarships and Awards Application review and selection for Annual Scientific Assembly specific scholarships and awards. Online Education Section Areas of responsibility include online education and online educational resources for those involved in the care of the injured patient. 1. Selection of Online Education for CME and Self-Assessment Credit Online education proposal review and selection. Identify and develop topics. 2. Program Content Review Review of recorded content prior to website launch. Provide timely review for accuracy of information and ensure content is unbiased. 3. Develop and execute programs for non-cme online educational events to address specific educational or professional needs of the EAST membership 4. Review expiring online education content and determine which should be renewed based on budget. 5. Traumacasts Interview EAST members and invited non-member experts on relevant trauma and acute care surgery topics for podcasts available on the EAST website and itunes. Review existing Traumacasts and evaluate for relevancy and accuracy. Select and supervise personnel to serve as Traumacast moderators. Traumacast moderators are responsible for scheduling/conducting interviews and developing supplementary materials for the Traumacasts. 5

6 Division of Member Services Membership Recruitment and Retention Section Areas of responsibility include review and consideration of all applications for membership and report recommendations to the Board of Directors as well as oversee the recruitment of new members and the retention of existing members. 1. Member Application Review Review member applications as assigned. Application review conducted in December. Expect applications assigned for review. Participate in conference call in December to discuss member applications and determine new member slate for the Annual Business Meeting held in January. 2. Member Recruitment Expected to recruit at least two member applicants and educate residents and fellows on the benefits of membership in EAST. 3. Member Retention Monitor and contact members as assigned who are at risk of termination related to non-payment of dues. Determine interest in renewal and explain need to renew per Dues and Standing policy to avoid termination. Social Media Management Section Areas of responsibility include development of strategic goals for the professional use of social media platforms to optimize the potential impact of EAST by expanding its online following through active recruitment and engagement. EAST s social medial content should be meaningful, thought-provoking, and targeted at appropriate and diverse audiences. 1. Ongoing assessment and analysis of social media familiarity, use, and needs of the EAST membership. 2. Codify social media platforms EAST will use to engage the membership based on assessment of potential reach, content format, and potential risks. 3. Develop social media metrics strategy. Evaluate what domains to measure, existing tools to follow these, & frequency of measurement/reporting. 4. Develop plan/policy for curating & posting content from other sections on social media platforms. 5. Develop how-to/starters guide(s) for membership across various social media platforms. 6

7 Division of Patient Care & Resources Guidelines Section Areas of responsibility include serving as subject matter experts and facilitators in the development and completion of EAST Practice Management Guidelines (PMGs). Individuals will be responsible for monitoring the progress of workgroups developing and/or updating PMGs and provide guidance and assistance as needed to ensure the timely completion of PMGs. Emergency General Surgery Guidelines Task Force Injury Control Guidelines Task Force Surgical Critical Care Guidelines Task Force Trauma Guidelines Task Force Individuals must be familiar with GRADE and able to use GRADE in the development of guidelines. See on the EAST website for resources regarding GRADE and how it is used in the development of guidelines. All EAST guidelines must be developed using GRADE methodology. 1. Provide guidance and assistance to PMG workgroup leaders as needed with the development of PMGs using GRADE. 2. Work with PMG workgroup leaders to ensure progress on PMGs and address any barriers to completing a PMG. 3. Recruit experts to assist in PMG development as needed. 4. Assist in the coordination of EAST PMGs that are included on the National Guideline Clearinghouse (NGC). Ensure the guidelines meet the criteria for inclusion on the NGC through regular review of the guidelines listed on the NGC and verification of guidelines for continued listing on the NGC. View EAST Guidelines currently listed on NGC - Note: It is intended that appointments to the Guidelines Section be for those interested and able to provide leadership and guidance in the development of PMGs and not for participation in one particular PMG. If you are interested in serving on a workgroup for a specific PMG that is under development, or you are interested in developing a PMG, please visit the EAST website at PMGs under development in need of volunteers are indicated with a volunteer button. 7

8 Injury Control and Violence Prevention Section Areas of responsibility include the development of resources and products as well as information dissemination, injury prevention methodology and research, and collaboration with other organizations involved in injury control and violence prevention. 1. Community Outreach Participate in the coordination and participation in EAST supported Community Outreach activities Event held during the Annual Scientific Assembly. 2. Templeton Injury Prevention Research Scholarship Recruit applicants, promote scholarship, and participate in application review and recipient selection process as needed. 3. Cox-Templeton Injury Prevention Paper Competition Attend and critique presentations during the Annual Scientific Assembly and participate in process for determining competition winner. 4. Injury Prevention Evidence Based Reviews (EBRs) In collaboration with the Guidelines Section, review and update existing injury prevention EBRs and develop new EBRs. 5. Development of social media content with regard to injury control and violence prevention. 6. Evaluate opportunities for white paper development in injury control and violence prevention. 8

9 Division of Professional Development Areas of responsibility include the development of resources and educational programming in career development, advancement, and career transition. Development of resources and informational materials promoting Trauma Surgery and Acute Care Surgery options for medical students, residents, fellows, and other healthcare providers interested in a career focused on the care of the injured patient. Career Development Section Areas of responsibility include educational programming focused on career and leadership development for the young surgeon, as well as career development resources. Specific Responsibilities 1. Development of the Leadership Development Workshop Series. The workshop series is a three-year curriculum comprised of a full-day workshop held during the EAST Annual Scientific Assembly. 2. Development of the Fellows Workshop. A half-day workshop held during the EAST Annual Scientific Assembly. 3. Development and coordination of the career networking event held during the Annual Scientific Assembly. Responsible for identifying discussion topics and recruiting EAST members to serve as subject experts for the event. 4. Development and coordination of the EAST Oriens This is why I want a career in Trauma and Acute Care Surgery essay competition and session held during the EAST Annual Scientific Assembly. Responsible for promotion of essay competition, review of essays submitted and selection of recipients to present essays at the Annual Scientific Assembly. Identify and confirm the Oriens keynote speaker. 5. Produce EAST Careercasts. Identify individuals to interview and coordinate interviews. Six to eight Careercasts are produced each year. Include supplementary material (i.e. links to resources, etc.) with each Careercast. 9

10 Emergency General Surgery Section This section will facilitate and improve the exchange of knowledge for urgent and emergent general surgery; encourage research endeavors into the care of patients with urgent and emergent general surgical conditions, support EAST members interested in the surgical care of acute disease, and to stimulate future generations of surgeons to meet the challenge. 1. Establish an Emergency General Surgery (EGS) research agenda and submit a minimum of one EGS multicenter trials proposal to EAST for review and consideration. 2. In collaboration with the EGS Guidelines Task Force, submit a minimum of two EGS Practice Management Guideline (PMG) proposals for review and consideration. Present at least one Emergency General Surgery PMG each year at the EAST Annual Scientific Assembly PMG Plenary Session. 3. Submit a proposal on an Emergency General Surgery topic for an online educational activity. 4. Submit a minimum of one Plenary Session proposal each year on an Emergency General Surgery topic for consideration for the EAST Annual Scientific Assembly. 5. Maintain the Emergency General Surgery Landmark Paper resource housed on the EAST website. 6. Continue to publish three literature review every year in collaboration with the Manuscript and Literature Review Section Mentoring Section Areas of responsibility include educational programming, mentoring initiatives, and facilitation of the EAST Mentoring Program (application review and mentor/mentee assignments). 1. Participate in the review of mentee and mentor applications, and pair/match mentors and mentees. 2. Serve as a liaison between mentor/mentees to ensure advancement of the program. 3. Work with Military on the expansion of the Military specific Mentoring Program. 4. Work with Career Development on the development of Mentoring specific interview topics for the Careercasts. 5. Post one Mentor/Mentee feature on the EAST website per quarter. Example: 6. Evaluate and update web-based mentoring goals and objectives based on feedback from current and previous mentoring pairs and section members. 10

11 Military Section Develop and identify resources and education focused on the specific needs of those serving in the military. 1. Evaluation of the Pre-Deployment Military Resources page ( on the EAST website is still a valuable resource for our military members. If so, review and update the content. 2. Evaluation of the Combat Casualty Article Database on the EAST website - is still a valuable resource for our military members. If so, review and update the content. 3. Work with Mentoring Section on further developing EAST s Military specific mentoring program. Focus on all career phases Transition in/transition out. 4. Actively promote and submit nominations for the John P. Pryor, MD Distinguished Service Award in Military Casualty Care award. Review nominations and select award recipient. 5. Develop and submit military focused proposals for plenary sessions and/or workshops for the EAST Annual Scientific Assembly. 6. Develop criteria for and administer the newly established Military Service award/scholarship supported by EAST Honorary Member Dr. Pina Templeton. First awards/scholarships to be awarded at the 2018 Annual Scientific Assembly. Seniors Section Develop education and resources for career management and transitions being faced by those holding Senior membership status within EAST. Participate and provide assistance in the EAST Mentoring Program, PMG Development, and Member Recruitment. Serve as a resource for EAST Active and Provisional members in the area of career development. 1. Assist in the recruitment of EAST Senior members to participate in PMG development as requested. 2. Assist in the recruitment of and serve as a mentor for the EAST Mentoring Program as requested. 3. Assist with recruitment of Fellows and Residents to join EAST as requested. 4. Participate in EAST Careercasts as requested. 11

12 Division of Publications Manuscript and Literature Review Section Areas of responsibility include review of manuscripts presented at the Annual Scientific Assembly for content and form and collaborate with the editor of the official journal of the association on publication of manuscripts presented at the Annual Scientific Assembly. Responsible for the selection of the Best Manuscript Award recipient from manuscripts submitted and presented at the Annual Scientific Assembly. Attendance at the Annual Scientific Assembly is expected. Contribute to EAST s Monthly Literature Review and the EAST Twitter Journal Club as needed. 1. Participate in manuscript review process. Process takes place over the first two-three weeks in December before the Annual Scientific Assembly held in January. Expect 4-8 manuscripts to be assigned to you for review in advance of the Annual Scientific Assembly. 2. Volunteers are expected to attend the Annual Scientific Assembly for a face-to-face meeting and review manuscripts and select recipient of the Best Manuscript Award. Travel, lodging and meeting registration fees are the responsibility of the volunteer. 3. Participate in the monthly EAST Literature Review as assigned and/or work on the task force managing the EAST Twitter Journal Club. 4. Coordination and maintenance of the Landmark Papers Resource housed on the EAST website. 12

13 Division of Research Research and Scholarship Section Areas of responsibility include general oversight of EAST supported research scholarships to include determination of scholarship requirements and eligibility and review of scholarship applications. Provide education and guidance for new investigators, including ethical standards for research. 1. Trauma Research Scholarship Promote scholarship to young investigators. Review scholarship applications and select recipient. See on the EAST website for additional information on this scholarship and eligibility. 2. Research Related Survey Requests Review requests to survey EAST members and the supporting documents. Provide feedback on survey and determine if approved. See on the EAST website for additional details on Member Survey request requirement. 3. Assist with the advancement of the mission and goals of the Coalition for National Trauma Research (CNTR) as needed Develop and coordinate INVEST-C program This program will provide research mentorship, research design assistance, multicenter collaborations, statistical support, and editorial services using a combination of EAST members and other resources. Multicenter Trials Section Responsibilities include recruitment and facilitation of the design and execution of multicenter projects and assist researchers to collaborate with other centers. 1. Oversee progress of EAST supported Multicenter Trials (MCT). Calling for, reviewing, and maintaining MCTs supported by EAST and offering support for study PIs to bring studies to completion. 2. Multicenter Young Investigator Award - Promote award to young investigators. Review award applications and select recipient. See on the EAST website for additional information on this award and eligibility. 13
