3 Requirements & Duties of a Farouk Systems Certified Educator Currently employed or subcontracted in a licensed salon as a licensed hair stylist or barber and working with Farouk Systems products Must be a licensed cosmetologist or barber Implement assigned education classes or sales events in a structured manner Excellent presentation skills and the ability to share correct and consistent educational information to class attendees following the guidelines determined by the Farouk Systems Education Department Promote the sale of Farouk Systems products at all education & sales events. Complete event & concur reports for each event Must participate in annual educator Recertification Participate in shows as technical support if and when requested Professional attitude and appearance at all times Valid transportation, driver s license, and automobile insurance Complete knowledge of all Farouk brand product Ability to receive constructive criticism based on evaluations to help improve themselves as an educator How to become a Farouk Systems Educator Attend 5 Day Certified Educator Training (Color or Texture) event hosted by Farouk Systems. After successful completion and a minimum overall score of 80%, stylist will be considered a Sales Certified Educator Level (SCS) Educator If an attendee does not pass the Educator Training Course with a minimum overall score of 80% combined Hands On Evaluation, Presentation, and Written Exam, they will have 1 calendar year from the training date to complete another Educator Training Course (at no charge) and obtain a passing grade Field training and completion of (lead & assist) classes as needed are required to be advanced to the next level as Educator Farouk Systems Trainings Dress code for ALL training events is Business Professional. Black pants, red, white or black solid shirt, and black blazer/jacket. No denim, flip flops, tennis shoes, or revealing clothing Color Educator Training: o 5 Days Course 1 (3 days) Course 2 (2 days) o $ o Licensed stylists must attend if they are interested in becoming a Farouk Systems Educator or a part of the Show Team o All 5 days must be attended completely throughout the end of the final day o Evaluations based on hands on skills, presentation skills, & professionalism Texture Educator Training: o 5 Days Course 1 (3 days) Course 2 (2 days) o $

4 o Licensed stylists must attend if they are interested in becoming a Farouk Systems Educator or a part of the Show Team o All 5 days must be attended completely throughout the end of the final day o Evaluations based on hands on skills, presentation skills, & professionalism Esquire Educator Training: o 2 Days o $ o Licensed stylists/barbers must attend if they are interested in becoming a Farouk Systems Educator or a part of the Show Team o All 2 days must be attended completely throughout the end of the final day o Evaluations based on hands on skills, presentation skills, & professionalism Recertification: o 3 Days o No Fee o Open to ACTIVE Farouk Systems Educators only (All levels). Inactive Educators need to contact Farouk Systems Education Department manager to get information on how they can become Active again. o Required to attend annually to maintain active educator status. Educators may attend any location recertification. o Educators are responsible for any travel expenses incurred to attend recertification o All 3 days must be attended completely throughout the end of the final day o Evaluations based on hands on skills, presentation skills, & professionalism o Must achieve a minimum 80% combined score of hands on, presentation & exam. If minimum score is not achieved, another recertification must be attended and successfully completed with 80% score to maintain active status o If a Recertification is missed or all 3 Days are not completed, another Recertification must be attended in its entirety. If you miss 2 Recertifications consecutively, you will be placed as INACTIVE and you will need to contact Education Department Manager for options on how to get re-instated. Webinar Updates: (New Product launches only) o Online o No Fee o Open to ACTIVE Farouk Systems Educators only (All levels). Inactive Educators need to contact Farouk Systems Education Department manager to get information on how they can become Active again. o Open to FSR/ Sales Manager/Sales Director o Required to attend to get information on new products and tools o If a Webinar Update is missed, Educator/FSR is responsible to contact the Education Department to find out if another Webinar has been scheduled 4

5 Education Level Structure SCS Educators (Sales Certified Specialist Level) After successful completion of the Color and/or Texture Educator Training, all stylists with a minimum overall score of 80% are considered SCS educators in each individual category SCS Educators can facilitate sales events on their own as assigned by FSR or sales manager SCS Educators will assist Certified Educators at Education events until they have satisfied the requirements to be released to the next level (CSL) Ability to tech backstage at local Show events Compensation: o Education: $60.00 Half Day Event/ $ Full Day Event o Sales: $ Half Day Event/ $ Full Day Event CSL Educators (Certified Specialist Level) CSL Educators can conduct both Education & Sales events Ability to tech backstage at local Show events Compensation: o Education: $ Half Day Event/ $ Full Day Event o Sales: $ Half Day Event/ $ Full Day Event CML Educators (Certified Master Level) CML Educators can conduct both Education & Sales events Opportunity to try out for the Show Team Ability to work Show events Compensation: o Education: $ Half Day Event/ $ Full Day Event o Sales: $ Half Day Event/ $ Full Day Event EML Educators (Executive Master Level) EML Educators can conduct both Education & Sales events Opportunity to try out for the Show Team Opportunity to be recommended for a try out for a Regional Trainer position - FSR will submit Recommendation Letter to Education Department Ability to work Show events Compensation: o Education: $ Half Day Event/ $ Full Day Event o Sales: $ Half Day Event/ $ Full Day Event Regional Trainer in Training Must be an EML level educator Hand selected by the Farouk Systems Education & Shows Departments in addition to being recommended by their FSR and/or Regional Sales Manager Must be an example to other educators by being professional and sending in complete and correct paperwork within required time frame Will assist at Conferences & Education Trainings when requested Must attend RT trainings through the end of the final day- not leaving early o RT in Training is responsible for flight

6 o Farouk Systems will reserve hotel accommodations. Educator will be responsible for additional charges outside of the standard room charge Compensation: o EML: $ per day of training (for Assist training & Deliver training) Assist Training o Assist the lead Regional Trainer with contacting attendees, set up and break down of training, and anything needed throughout the duration of the training Deliver Training o Regional Trainer in Training is responsible for contacting all attendees and keeping them up to date with any information pertaining to training. Responsible for tracking the working stock, set up and break down of the event. Responsible for delivering the training in its entirety (Regional Trainer will be there to assist as needed). Responsible for completing all paperwork pertaining to the training and submitting to the Regional Trainer for review A Regional Trainer in Training will need to complete the following requirements: o Assist 1 of each: Color Educator Training Course 1 Color Educator Training Course 2 Texture Educator Training Course 1 Texture Educator Training Course 2 Recertification o Deliver 1 of each: Color Educator Training Course 1 Color Educator Training Course 2 Texture Educator Training Course 1 Texture Educator Training Course 2 Recertification Upon successful completion of all 10 trainings, RT in Training will receive overall evaluation given by the Education Department Manager. Once approved, an official release letter with the date of release will be sent to the new Regional Trainer. * * For existing RT in Training prior to 2017, please contact the Education Department Manager to receive requirements needed to be released based on previous certified educator trainings completed* Regional Trainer Must be an EML level educator Hand selected by the Farouk Systems Education & Shows Departments in addition to being recommended by their FSR and/or Regional Sales Manager Must be an example of other educators by being professional and sending in complete and correct paperwork within required time frame Will assist at Conferences & Education Trainings when requested Must attend RT meetings and trainings through the end of the final day- not leaving early o RT is responsible for flight o Farouk Systems will reserve hotel accommodations. 7 o Standard 1 Day Office Day Fee $ (max 1 day)- Paperwork leading up to and following a training ing/contacting interested stylist Set up and break down of venue Grading tests Submission of all paperwork to Farouk Systems in a timely manner Follow up on ALL paperwork completed by RT in Training Educator Release Process Color Educator SCS can be released to Certified Specialist Level (CSL) after the following has been completed: o Assist 2 Color Classes (1 look & learn and 1 hands-on) o Lead 1 Color Class o Lead 1 Business Building Day (*Repeat this process as needed for release) (An evaluation for each class will need to be submitted to the office. FSR will submit Release Letter to Education Department to request official change of Educator Level once all the above has been completed) CSL can be released to Certified Master Level (CML) after the following has been completed: o Assist & Lead 2 Color Classes (*Repeat this process as needed for release) (An evaluation for each class will need to be submitted to the office. FSR will submit Release Letter to Education Department to request official change of Educator Level once the above has been completed) CML can be released to Executive Master Level (EML) after the following has been completed: o Assist & Lead 2 Color Classes (*Repeat this process as needed for release) (An evaluation for each class will need to be submitted to the office. FSR will submit Release Letter to Education Department to request official change of Educator Level once the above has been completed) CML can be released to Executive Master Level (EML) after the following has been completed: o Assist & Lead 2 Texture Classes (*Repeat this process as needed for release) (An evaluation for each class will need to be submitted to the office. FSR will submit Release Letter to Education Department to request official change of Educator Level once the above has been completed) Esquire Barber Educator Educator will need to contact Education Department to move to the next level. An evaluation will be done by Education, Shows, and Sales departments. Booking a Farouk Systems Event If the Educator has committed to an event, and another department requests them, it is the Educator s responsibility to state they are already scheduled for another event and cannot be double booked. It is recommended to keep a planner for all booked commitments. The Farouk Systems Representative (FSR), Sales Manager, or Education department will request Educators & assistants (if needed) to local classes Educator field training may only be evaluated/ field trained by CML, EML, or RT level educators. Once Educator (and assistant) is/are confirmed, the requestor (FSR/Sales Manager) will complete a Farouk Systems Excel Class Request and submit it to their Class Coordinator 4 weeks prior to the event date if travel is needed or 3 weeks prior to the event date if travel is not needed Class Request 2017 are in a Excel Format ONLY o The Excel Class Request is submitted bi-monthly (Example: January 2017 February 2017) o The Excel Class Request is submitted 3-4 weeks before first class start date o The Excel Class Request must be completely filled out o If changes are needed, make changes with red font and resubmit the excel class request. Make sure you notify the class coordinator in the body of the that you are requesting changes, such as changing educators or changing time, etc. o A Travel Request Form is submitted and attached in the along with the excel request for all travel that Education dept. handles (EDU classes and SLS business building demo days) o If a class is cancelled, submit a Cancellation via to the class coordinator attaching the PDF class confirmation copy with EDU# and stating the reason, date, and party that cancelled Education events are in the following formats: Half Day (2 or 4 Hour) Full Day (6 or 8 Hour) 8

9 Sales Events are in the following formats: Half Day (2 or 4 Hour) Full Day (6 or 8 Hour) Business Building Days, Store Classes, and Salon classes (in general) to be turned in an excel form by the FSR The only late requests that will be accepted will be last minute Salon classes with a proof of purchase of a minimum of $500, and no flight or hotel involved. o Late request only to be submitted in a Class Request Form by no later than 7-10 business days prior to the date of event o If over 5 class request forms are submitted within a month by FSR, Class Coordinator will need to notify Supervisor The Farouk Systems Class Coordinator will generate a class confirmation and forward it along with any travel information to the educator no less than 2 weeks prior to the event date. If the Educator has not received their class confirmation by this time, please follow up with your FSR and class coordinator on the status No more than 2 half day events per day & No more than 2 different locations per day (* This will ensure all expense reimbursements are done in a timely manner) Detailing is to be booked directly through Sales with your FSR. A confirmation will be generated by the Sales Coordinator, Elizabeth Sanchez. Hands-On Cutting Events Distributor Responsibilities o Submit a signed Hands-on Workshop Agreement Form into Farouk Systems Education Department, Attn: Education Manager/Alma Lopez & Class Coordinator o No less than 30 days prior to date o Encourage a minimum of 10 confirmed attendees o Furnished and sufficient class room with rinsing facilities, working station, electrical outputs and plastic to cover the tables, chairs and floor if needed etc. o One mannequin head & stand per attendee o All working stock for the attendees o Advise the attendees to bring their working tools according to the class o Adequately promote the event o Sell tickets for the event Farouk Systems Representative/Sales Manager Responsibilities o Book a Certified CAT member with travel arrangements if needed (8 weeks notification if travel is needed) o Working Stock for Educator demo use only o Certificate for the attendees o Artist level verification to ensure appropriate distributor quote is given Cancelling a Hands-on Cutting Event o Farouk Systems Education Dept. must be notified in writing 14 days in advance of cancellation of workshop. o If cancellation is less than 14 days Distributor will be responsible for any cost incurred by Farouk Systems (IE. Airline Tickets) and Artist Fees. 9

10 Requesting Changes/Adding Classes Re-submit the Excel Class Request with confirmation numbers (if available) to Class Coordinator with the requested changes in Red Font. Be specific in the body the reason for re-submitting the Excel spreadsheet. Cancelling a Farouk Systems Event Any Farouk Systems event (sales, education, or trainings) must be cancelled o 3 weeks prior to the event date if travel was requested o 2 weeks prior to the event date if no travel was requested Any event cancelled within 2 weeks of the event date, the location may be responsible for any charges incurred including airfare, rental, and hotel cancellation fees. Any event cancelled within 1 week of the event date, the location will additionally be responsible for the Educator Fee. To cancel any Farouk Systems Event, the FSR/Sales Manager must submit a request to cancel to their class coordinator. Conducting a Farouk Systems Event The Educator is to contact the event location to confirm, 2 weeks & 24 hours prior to the event: o Class Type o Date o Time o Location o Number of attendees Educator will at this time also request that the location is available 1 hour prior to the event time to set up Contact any assistants to review class information, responsibilities, and if any items are needed for them to bring Educator & Assistant are to educate on the event type requested by the FSR/Sales Manager and confirmed by the Education Department following the provided format pertaining to that class. Any changes to the assigned format without approval could result in termination. If product is needed for the event, it is the educator s responsibility to place an order at least 30 days prior to the class or immediately following the class utilizing the most current Educator Order Form and Front Cover. Please plan to arrive 1 hour before the class to set up and stay at least 30 minutes after the class for questions & answers and to clean up. Educator and assistant are to set up product displays, working area, literature, and place a sign in sheet at the entrance for every class utilizing the Farouk Systems Sign in Sheet supplied by the Farouk Systems Education Department. The designated Farouk Systems Comment Sheets are to be completed by all attendees and turned back in to the instructor following every event. Model release forms are to be completed and signed by EVERY model s hair touched regardless if it is a chemical service or a simple flat iron demonstration. Failure to do so could result in the educator taking full responsibility of the service and results. Certified Educator (and assistant) will be responsible for assisting salon owner, manager, and/or stylists with suggested products for their next product order. Certified Educator is responsible for completion of their own event & concur reports for that event as well as walking their assistant through how to complete an event & concur report following the event

11 All Educators should follow up on their education events by contacting the location within one week following each event conducted. Dress Code Dress Code for ALL Farouk Systems Education, Sales, or Trainings is always Business Professional o Black Pants o Red, White, or Black solid shirt o Black Blazer or Jacket NO denim, flip flops, tennis shoes or revealing clothing Car Mileage Reimbursed at $0.42/ mile or $0.28/ kilometer for actual mileage to and from event locations Enter exact mileage reading from odometer or include Google Maps directions verifying round trip directions and mileage Maximum 3 hour (approximately 200 miles) one way trip. After this, other means of transportation must be found, another educator closer to location must be used, or the event must be relocated closer to the educator *All flights, rentals, and hotel reservations must be approved by the Education Department and made through Farouk Systems Inc. to be reimbursed* Hotel Accommodations Farouk Systems will reserve a room for the Educator, but the Educator must have cash or a credit card to place down at the time of arrival for payment of the reservation Farouk Systems will reimburse hotel charges up to $ per night unless pre-approved by Manager If sharing a room with another educator, each educator will submit 50% of the room charges on their individual expense report Original receipts for the hotel must accompany the concur report to be reimbursed Personal long distance calls, movies, and alcoholic beverages are the responsibility of the educator and will NOT be reimbursed Educators are not allowed to invite anyone (family, friends, stylist, etc.) to a scheduled Farouk Systems Inc. event requiring overnight stays Hotel accommodations will only be approved for full day education events, full day multi-department events, or events lasting longer than 1 full day Half day event will not constitute a hotel room, unless pre-approved by Manager Airfare Any event requiring the Educator to fly must be pre-approved by the Farouk Systems Education Department prior to the event FSR/Sales Manager will submit the class request form with the completed travel request form to their Class Coordinator The class request with travel request must be submitted at least 4 weeks prior to the event date If round trip fare is over $350.00, another educator closer to the location must be found or the class must be relocated closer to the educator All flights will be scheduled by and pre-paid by Farouk Systems 11

12 Used ticket copies must accompany the concur report with specifications that they were pre-paid through Farouk Systems Inc. Farouk systems will generate an itinerary at the lowest fare and in accordance to the travel request submitted by the FSR/Sales Manager The Education Class Coordinator will submit the travel itinerary to the Educator and FSR/Sales Manager for review If Farouk Systems reserves the flight without booking, the fare quote is only valid for 24 hours If Farouk Systems purchases the flight, alterations to times can be made within 24 hours. After 24 hours, the Educator or FSR may be responsible for the fees charged to change the flight (Usually $150.00) Rental Car Farouk Systems will not reimburse for rental car insurance Farouk Systems Inc. will reimburse the educator for rental car charges, if prior approval is given from the Education Department and if the educator has taken a flight to the assigned education event Rental Car companies require the driver to use their personal credit card (double check your balance) The class coordinator and travel department will make the rental arrangements Farouk Systems cannot pre-pay for rental cars If using a debit card, please note that rental car companies place a holding fee on the debit card until the car is returned Meals $30.00 maximum allowed with overnight stays including tips with itemized receipt $15.00 maximum allowed with full day events with no overnight stay including tips with itemized receipt. Half day events will not constitute reimbursement for meals All meal reimbursements must include itemized receipts No alcoholic beverages or unapproved entertainment will be reimbursed Never pay for another educator, each educator is responsible for their own expenses. Any non-reimbursed reasonable meal expense is still deductible on the educator s personal tax return; however submit to a 50% limitation. Taxi or Bus fare Farouk Systems Inc. will reimburse the educator the most economical choice of ground transportation Upon airport arrival, check the hotel courtesy phone station in the baggage claim area to find out if your hotel provides transportation to and from the airport If the hotel is not listed, the educator may take a taxi or shuttle bus Original receipts for taxi and bus fares must be included with expenses Gratuities Farouk Systems will reimburse gratuities paid to waiters, skycaps, bellmen, and taxi/bus drivers, not to exceed $2.00 per tip Tips must be itemized in the misc. column detailed at the far right bottom of the expense report 12

13 Long distance business calls Farouk Systems will reimburse educators for long distance business calls made regarding a Farouk Systems Educational Event Copies of phone bill showing to whom, where, when and the duration of the call must accompany the expense report. No cell phone bills accepted Product Orders Released SCS Educators will receive a packet of event reports following successful completion of the Educator Training Program Once released to CSL, they will receive an Educator kit providing supplies to get their classes started Educators are to use the products and supplies at Farouk events ONLY Educators are responsible for restocking their kits at least 30 days prior to each event or immediately following an event. (This applies to Education events/classes only, with EDU confirmation #) Educators must complete and submit the Educator Order form front cover and the Educator Order Form to their class coordinator in the Education Department Orders for Business Building Day kit must go through the Education Department and be submitted by the FSR/Sales Manager when submitting the Excel sheet Class Requests Orders for Detailing must go through Sales All orders will be marked for arrival 30 days after the date received Please place orders: o 30 days prior to your class- include confirmation number(s) for class(es) pertaining to order ORo Immediately following your class- include confirmation number(s) for class(es) pertaining to order -ORo Restock quarterly (every 4 months)- list the confirmation numbers of the classes completed in the last 4 months Confirmation numbers for prospective classes and/or completed classes must be included on the Educator Order form front cover to verify the purpose of the order. If there is no confirmation numbers listed, this will delay your order and the Education Department will contact the FSR/Sales Manager to verify the classes completed. Inactive Educator Status Educators may request to be placed on inactive Educator Status. Educator must submit an to their FSR/Sales Manager and their Class Coordinator requesting their change in status. Educators will remain INA until they decide to return. If INA for 1 year, Educator must receive approval from Education Department Manager and successfully complete recertification to become Active again. If INA for more than 1 year, Educator must contact the Education Department Manager for procedure to be re-instated. All educators are independent contractors and Farouk Systems, Inc. reserves the rights to utilize the educator s services or not to use their services. Farouk Systems Inc. Education Department can place an educator on the INACTIVE list if: o Any complaints or any behavior resulting in not representing Farouk Systems professionally o The educator does not follow policies and procedures o Misses two or more consecutive Recertifications

14 Texas CE Program FSR/Sales Manager will submit the most current CE Class request on a Farouk Systems and Texas Department of Licensing and Regulation approved request form. Request must be submitted in Excel format with completed travel request form 4 weeks prior to the event date if travel is needed. Request must be submitted 3 weeks prior to the event date if no travel is needed. CE Class Request is updated following each approved coarse renewal. Please make sure you are submitting the most recent CE Class request. Educator is to follow the same procedures as with a Farouk Systems Educational Class. Educator must have a Farouk Systems and TDLR approved sign in sheet available at the front of the class for the attendees to sign in as they arrive. All attendees must sign in on the sign in sheet provided by the educator to received credited hours. Attendance is logged by the sign in sheet. Make sure that all attendees sign in legibly on the sign in sheet. Un-legible writing could result in a delay of posting stylist s hours. Educators are to follow the formats provided by Farouk Systems specifically designed for the Texas CE Program. These formats have been approved by the Texas Department of Licensing and Regulations. Services/ demos cannot be performed on live models during a CE class. CE Certificates must be signed and given to all present attendees at the end of the CE Class. Educators are to fax a copy of their sign in sheet to Attn: Sheena Allen immediately following their CE class. Educators are to submit by mail the original copy of their sign in sheet, yellow copy of the CE Certificate, Event Report, Comment sheets, and any other paperwork. Farouk Systems must receive them within 30 days of the event date. Farouk Systems has 7 days from the date of the event to post credit hours as determined by the Texas Department of Licensing and Regulations. This is why it is preferred that the sign in sheet is faxed immediately following a class. Models Live models are not recommended for 2 or 4 hour events due to the length of time for the class. Live models are not to be serviced during a Texas CE Class. ANY live models testing or serviced must have completely filled out a Farouk Systems Inc. approved Model Release form prior to the service, no exceptions. Formulas must be written on the model release form Completed model release forms must be submitted with event & concur reports. All models must be 18 years or older. Event Reports Farouk Systems Educators are independent contractors. They are responsible for reporting and paying any Federal, State, and local taxes, fees due, or incurred as a result of any contract agreement with Farouk Systems, Inc. Follow the Completing a CONCUR Expense Report procedures. You should include a copy of the completed event report for each event that you facilitate. If the event report is not filled out completely or correctly, your concur report submitted will be returned for correction and will delay payment of check

15 Assignments from different departments must be listed on separate concur reports (Shows, Education, Sales) If an educator works a full day with mixed departments, they will be paid a single full day rate. One event report for each confirmation If same event is more than one day, use only 1 event report Event reports must have all blanks completed, including the number of attendees, and number of models or mannequins used for the event, the formulas used and a synopsis of the class. An explanation of reason why is late will need to be included The Education Department will verify all totals, educators fees, and included paperwork The Accounting Department will re-verify that all expenses are properly supported by everything requested to be included and then process the concur report for payment. If blanks are left in the event or concur report, your reports may be returned to you for correction. This will delay your check. Expense checks or direct deposits will be issued every Thursday. Expense report received 5 business days prior to Thursday will be paid on the following Thursday.
