1 2010 Team Captain Handbook Thanks for your interest in forming a team for the 2010 Big Climb. We appreciate your support and look forward to working with you on this fun event. While we can t promise that you ll be smiling on the last few flights of stairs, we know you ll be smiling at the finish line or we at least hope so. Enclosed in this packet you will find information to help you organize your team and achieve your team s fundraising goal. There have been some changes to 2010 s event. Please read further and inform your teammates. 2 New 2010 Information Spitfire Kick-Off Pasta Party All registered participants who have raised $75 or more by January 22nd will be invited to join us for our Inaugural Spitfire Kick-Off Pasta Party. The event will be held Thursday, January 28th at the South Lake Union Armory Building in Seattle. Dinner will be generously provided by Spitfire. The evening will feature a special keynote speaker, door prizes, expo booths and more. Joining us for the evening will be participants from the Scott Firefighter Stairclimb. $5 Off - Sponsor Discount Codes Get $5 off your registration fee by using our sponsor discount codes. Use the discount codes with your online registration or mail the code with your paper registration form. Fundraising Minimum: We will once again be capping this event at 6,000 so encourage your teammates to register early. All participants over 21 are required to fundraise a minimum of $50 by March 21 st or participation in future climbs will be prohibited.* See our FAQs page for more information on our $50 fundraising minimum for participants over Additional Post-Race Venue: On race day participants can choose between two post-race venues for special deals. Head downstairs to McCormick & Schmick's in the Columbia Center and show them your event shirt to receive 25% off your bill (drinks not included). Or head over to the Pyramid Alehouse Brewery & Restaurant located across from Safeco Field for race day food and drink specials. *Note to 2009 participants (over 21) who DID NOT fundraise the $50 minimum: We are giving you one last chance to enter this year's race. If you did not meet your 2009 fundraising minimum you have until February 28, 2010 to donate/fundraise the difference. If you do not fundraise the remainder by that date you will not be allowed to participate in 2010's Big Climb and your 2010 registration fee is not refundable. Therefore, do not register for this year's event if you have no plans to fundraise. This is in addition to the $50 fundraising minimum for 2010, which should be raised by March 21st. (Example: John raised $0 last year. This year he will need to fundraise $100--the $50 due from last year by Feb. 28th, plus the $50 for this year by Mar. 21st.)
3 Team Captain Meetings Team Captain Meetings: This year we are giving our Team Captains three opportunities to get all the information they need to be great Team Captains and to request a team start time. Feel free to bring your list of questions to any of these meetings. Once you have picked the meeting you would like to attend please RSVP to andi.barber@lls.org. 1. Saturday, January 23rd: Swing by the Pyramid Alehouse & Brewery across from Safeco Field any time between 11:00am - 2:00pm. Enjoy a free appetizer courtesy of Pyramid. We will be waiting for you upstairs (stairway is on the right after you enter). [Address: st Ave South, Seattle, WA 98134] 2. If you received an invite (by raising at least $75 by January 22nd) to the Spitfire Pasta Party on Thursday, January 28th, you can simply stop by our Team Captain booth and get your questions answered before or after dinner is served. [Address: 860 Terry Ave North, Seattle, WA 98109] 3. Saturday, February 6th: Drop in to the Redmond Panera Bread location any time between 10:00am - 1:00pm. We will be waiting to answer all of your questions in the meeting room. [Address: Redmond Way, Redmond, WA 98052] If you are unable to attend any of these sessions, we may be adding additional dates in February. 4 Team Captain Information As a Team Captain, you can make a difference to the millions of people whose lives are touched by blood cancers. The Team Captain s responsibilities include (don t worry, it s not too scary): Step 1 Set a Goal We ask that every Team Captain set a goal for the amount of money your team will raise. Set a lofty goal and go for it! It will keep your team focused and will also distract them from thinking about the 1,311 steps that they all signed up to climb. Every team member over 21 years is required to raise of a minimum of $50 each. Step 2 Recruit Team Members After setting your goal, the next step is to recruit team members. While you must have at least four people in your group to qualify as a team, we encourage you to recruit as many people as possible. Anyone can be a member of your team friends, family, co-workers, even strangers! To figure out the minimum number of team members needed to reach your goal, divide your goal by what you think your team average will be. For example: team goal is $1,000; $1,000 divided by $150 (team average) = 7 people. Over recruiting is always helpful! Step 3 Come up with a team name The fun part! Be creative or not. Some team names will be mentioned over the PA system on event day so the more creative you are, the better your chances of getting 5 seconds of fame. Step 4 Register As the team captain, you should be the first to register. Just follow the registration links to create a team on Once that is done your team name will appear as an option to join when people register. Make sure everyone on your team registers either online at or they can download a registration form on the same website. To ensure that all team members are assigned the same start time all team entries must have the team name listed on each form. Your team can have a mix of Racers (timed stairwell) and Climbers (untimed stairwell). Racers and climbers use different stairwells, but everyone on your team will start at the same time and end at the same finish line. Step 5 Organize Fundraising Efforts Make sure every member of your team knows the team fundraising goal. The easiest and fastest way to fundraise is with a free online giving page. Every participant who registers will automatically be given a page. Step 6 Climb! We highly suggest you do this step. Team captains who have 10 or more people on their team will be contacted about special registration packet pick-up instructions in February.
5 Big Climb Team Awards So what do YOU get for all your hard work on behalf of The Leukemia & Lymphoma Society? Hey, seriously, you do deserve credit. We will recognize certain team captains, their teams, and individuals at the Awards Ceremony on April 30 th at the swanky and exclusive Columbia Tower Club ( at the top of the Columbia Center. The view is even better when you re not sweaty and are served some pretty tasty heavy hors d oeuvres. Select team captains and their teammates will be invited based on the following categories: Team Captain Prizes The Team Captains of the top three largest teams will receive an invitation to the awards ceremony and be recognized in a Big Climb newsletter. Fundraising Awards Team captains of the top three fundraising teams as well as the top three individual fundraisers will receive trophies at the Awards Ceremony. In addition, team captains of the team with the highest per capita (total $ donations / # of teammates) and top new fundraising team will also receive awards. Racing Awards Trophies will be awarded in the following categories: Fastest Elementary, Fastest MS, Fastest HS, and Fastest Overall. To determine the fastest teams, the top three individual race times will be used. Teams that do not have three people participating as racers are not eligible for this award. Team Community Spirit Award The team captain whose team demonstrates the most team spirit and creativity will receive a special award at the Awards Ceremony. Team Captain Incentives We will enter all team captains in a special drawing. Prizes will be announced as the event date gets closer. Prizes will include backpacks, watches, etc
6 Fundraising Tips & Suggestions We challenge each team captain to beat the fundraising average of $150 for each person on your team. It sounds scary but it s actually quite simple. Here are some ways to reach this goal: Online Fundraising Page The online fundraising page is the easiest and fastest way to raise money and proven to be the most effective. Simply send an to your list of contacts telling them to go to click the donate now button type in your name make a contribution. Funds will be credited to you and you don t have to do anything else. Your donors even automatically get a receipt online! Let s be realistic, it s easier to send an asking for money than it is to ask face-to-face. Every participant who registers will automatically be given a free online fundraising page. You can personalize your page and track all your donations online so you can send thank you letters or s. This is a perfect way to inform everyone that you ll be climbing 1,311 steps and that you ll need their support. Internal Fundraising Help build team spirit and raise funds by holding one or more of the following fundraisers: Bake Sale: Hold a Friday bake sale at work so employees will have treats for the weekend. Ask for donations to be wrapped attractively so they can be given as gifts. Business Raffle: Ask for donations from your company and raffle them off to employees. Possible prizes include: A member of management to mow your yard Free lunch with the boss Prime parking space Day(s) off Casual for Cancer: Ask your company CEO/President to let staff dress casual or wear denim for a $5 donation. Photo Contest: Hold a stump other photo contest. Ask employees to bring a baby or childhood photo of themselves that they believe no one can identify. Charge a fee to make a guess. Give winners a donated prize. This is always good for a few laughs. 50/50 Raffle: Hold a 50/50 raffle where half the money collected goes to the Big Climb team and the other half goes to the winner of the raffle.
7 Letter Writing Campaign Encourage team members to collect pledges from their friends, family and contacts by writing personal letters. The benefit of a letter is that it does not disappear in an electronic inbox. It will sit on a counter or table or fridge until your potential donor decides what to do with it. Donors can give a set amount of their choice or donate per stair or flight. Checks should be made payable to The Leukemia & Lymphoma Society or LLS. Give & Get If you have a talent, share it in exchange for a donation. Many donors will pay a little extra for whatever you have to offer knowing that it is going to a good cause. You could offer help with things like yard work or pet sitting. If you are crafty or artsy you could sell your work. Or maybe you would be a great consultant on something your friends, family and co-workers are looking into. Team Incentives Team incentives are a great way to recruit new team members and increase the amount your team raises. Here are some ideas: T-shirt competition: Create a team T-shirt for people to wear at the event and hold a competition for the design. Earn Dollars for a Day Off: Ask your company CEO/President to give a day off with pay for the person who raises the most money. This will get your team fired up! Pledges for a Prize: Put the names of all team members who raise more than $150 in a drawing for a prize and announce the winner.
